Approval of Documents
Hi,
I am trying to create a custom Workflow to Approve a Document in a Library. I cannot use the oob Approval as we have a special change and lookup for Approvers. I have all that functioning but I cannot get the Document to be set to Approve or
Rejected based on the outcome of the Workflow. I have set the Variables to EnableContentApproval. It just not approving or rejecting after completing the WF nor am I getting any errors. This is for a SharePoint on Office365 in the cloud.

My understanding is, you want to approve/reject according to your variable "EnableContentApproval",
right?
In "When the Task Process Completes", change first "If" condition into "If
Variable:EnableContentApproval
equals
'YourValue'" then "Set Workflow status to
Approved" else vice-versa.

Do anyone have some solution for this issue?, it is bigger than I thought, I can check it impacted all systems, and all transports, all transports seems to issue they lost project code in it we rollover maintenance cycle last week and this problem started from their, we put charm master note and few other charm fixes(notes) last week,
this problem not coming any new change document, but all change document created before rollover impacted

This is coming from IT14. But we are not using this Payment Reason field in Infotype 14 anywhere.
We are in Release 604 and Support Pack 12.
Please advise.Open the document with Open Office. Select and Copy the image. Paste it into Pages.

Open the document with Open Office. Select and Copy the image. Launch Preview. Press command-N (New document from Clipboard). Save the Preview file as a PDF or JPEG, as appropriate. Insert that in Pages.

How do I prevent a user from having the rights to approve a document in approval workflow?
I have a document library with the SharePoint 2010 approval workflow assigned. Documents must be approved before a major version is checked in.
The checkbox "Start this workflow to approve publishing a major version of an item." is checked for the workflow.
I want any user to be able to create a document and submit for approval but I only want a subset of people to have permission to approve the documents submitted for approval
How do I only allow certain users be able to be selected to approve a document?Deleted other posts because pictures did not upload.
I have done exactly as has been indicated, yet User1 can still assign User2 as the approver and User2 can approve the check-in when the "Open this task" button is clicked in the approval
email in Outlook and the approve button is click in the displayed dialog.

Two signatures required on a document-one person applies both signatures and approves the document
Does anyone know how to disallow someone from putting two digital signatures on a document when one signature is for the employee and the other is for the supervisor's approval? We have never allowed digital signatures because someone raised this question because they were able to create a digital signature in their supervisor's name and affix it on the document in the approval space. Is there any way to tell that both signatures were created by the same person? I only have LiveCycle Designer 9.0 and Adobe Acrobat Pro X. It seems that there should be some code in the signature details that shows that they were both created at the same source. I've checked the certificates details on multiple names that I created and they were different every time I affixed a signature (even one for my dog) so there was no way that I could see, that we could prove that the signatures were or weren't both affixed by the same person. Until I have a way to stop this from happening, we cannot use digital signatures on our documents. There needs to be a way to trace the signature back to the source.
There are many ways to generate a digital certificate (digital ID) that can be used to sign a document. In your post you are describing what are referred to as "self-signed" certificates. This means that any user can create their own identity (as you have discovered) and sign a document with it. Acrobat and many other utilities are available that can be used to generate self-signed certificates. Using self-signed certificates can be useful in a scenario where you have established some level of trust with the signer. Usually this involves a relationship with the signer where you have explicitly trusted their digital certificate by importing the public key portion of their digital id. This use of signatures is not suited for non-repudiation, but it does allow you to determine if the document was modified or tampered with after it was signed.
When you need signatures to also guarantee the identity of the signer, then you must implement some type of Public Key Infrastructure (PKI). A PKI handles the creation, issuing and revocation of digital certificates (digital ids), typically a user must prove they are who they say they are for the system to generate them a digital certificate. VeriSign and Entrust are two examples of PKI vendors. Trust of the signer can then be implicit, you "trust" the issuer (or Certificate Authority (CA)), therefore you trust the signatures generate with certificate that came from the Certificate Authority. When a certificate is created by a CA, there is a "certificate chain" so you can determine who (which CA) issued the certificate.

Digital Signature while approving a document in KM

We have a an approval enabled folder in KM. My question is, can we enable digital signature for documents in that folder?
Scenario will be like this. I'm an approver. When I approve I should be allowed to digitally sign on the document.
Is this possible in KM?
We are on EP 7.0 Ehp1 SP04.

I am on a support role and here is a document creation through DMS and it goes approval for 4 level , upon each level mail trigger to the user id (approval authorised person) .
now company changed the users for approving authority , so i have to change the authorised person name . can some one help me where to go to change their name in DMS.

you should run transaction SUIM - User information system: then select the row "Roles --> By authorization values": in the field that will show up enter the name of the authorization object, that's to say C_DRAW_STA, then press the button"Entry values", put the Document type and the document status, then execute. The list of the roles containing that authorization object, with the values you are intersted in, will be displayed: then you have to enter in each role, open the tab "User", and there you will have the list of the users with the authorization to put that status for that document type. There you have to enter the name of the new user that shoud perform the release of the document.
However you should also check if any SAP workflow task is implemented to follow up the release steps.

Hi all,
I would like to ask if anyone encountered this before. It seems like SBO is not able to trigger the approval if we want to check each line of a single document.
Let's say I have Purchase Order with 5 lines, i want to trigger approval if there is a line with quantity > 1000 for example. I tried to write a query against POR1, but it doesnt work. I think SBO only recognize the header information of document.
is it any workaround for this issue?

As far as I know the approval procedure is only triggered by the normal SBO. (Someone correct me if I'm wrong) So it will not be triggered while adding documents by your AddOn/query etc...

Approval Dates for each Approver in Document Details

Please I want to know if this can be done. I need to show the approval dates for each approval step of a document next to the approver name in the iview,
Context Menu of a document -> Details -> Settings -> Approval. (The approval process must be enabled).
Example:

After searching for days in SDN / HELP, I found that in "km.appl.ui.statemanagement_api.jar" there are ".properties" for all the languages. What takes my attention is the file "ApprovedItemRenderer_en.properties" that has this content,

As you know approvals is internal SBO mechanism and you can't change its behaviour at metadata level.
What i could suggest is to implement your own approvals for journal entries by yourself usin SDK.
How it can be done:
- add UDF to JE - that will store the status of JE (confirmed/redused)
- implement using UI trigger on Add-action
- refuse Add action in case of any specific condition and save JE as Journal Voucher + send message to user which has to confirm JE
- implement some logic regarding UDF of JE (user1 and user 2 can confirm it, others can't, for example)
- user can save Voucher as JE only if it is confirmed

I have a requirement where i need to change the appearance of UWL tasks related to appraisal approval.
Whenever a user clicks on approve apraisal tasks it is popping SAP GUI for HTML and taking to the backend showing Performance appraisal display.Our client are in need of normal iview rather than sap view( sap gui view).
I have identified the tasks related to approval appraisal.The tasks in the backend are
approval appraisal - perf appraisal - ts91000005, URL generation - ts12300108 , Submitted obj - WS 91000003.
i have created an iview based on http://xxx.xxxx:8000/sap/bc/bsp/sap/hap_document/documents_todo.htm?sap-client=xxx&sap-user=xxxx&sap-language=E
i have given the ID and iview PCD link in SWFVISU.Reregistered UWL again and logged in as a test user.When clicked on Appraisal approval i can see the appraisals completed.It wont allow us to edit.All hap_documents are BSP pages.
I guess i did something wrong.

You will probably have to change the XML being used in your UWL. Go into the ItemType portion for the PM task and check/set the following properties

Check if your Action tags within the ItemTypes have the following properties

Check whether the Property within Action tags is linked to your BSP view that you want to trigger when the task is clicked
For e.g. <Property name="SAPIntegrator" value="ROLES://portal_content/com.sap.pct/line_manager/com.sap.pct.erp.mss.bp_folder/com.sap.pct.erp.mss.pages/....."/>
Once you change your XML dont forget to re-register your ItemTypes to the connector you are using.

Document Contains Errors - Approval not possible
Hi,
We are having issue in our Invoice Workflow.
When ever the approver is trying to approve the document, he is getting the error message "Document Contains Errors -> Approval not possible".
We have verified the document and check for error messages and found the below error messages on the Document.
E BBP_PD 047 Posting period 006 2011 is not open.
The document was submitted some time in the first week of December and as part of AP process the posting period will be closed during the first week of every month. This is a common business case and why is it stopping from posting the doc?
FYI..this Invoice is posted against the WBS element.
Pls give some insight on this and how to address the issue.

The posting date in the invoice is referring to the past period which is closed.You will have to change the invoice posting date to current period date and then process.
