Autmatical refreshing of workbooks

Hallo all dear,
is there any chance to let queries in workbooks be autmatically refreshed in the background  with daily jobs (BW 3.5!!!).
I know it will work in BW 7.0. May be there can be done some programing????
Many, many thanks in advance
with best regards, Dorothea

Hi Bhana Gupta,
your advice was a great help for us! Thank you so very much. The precalculation server does well, but it only can send the calculated wokbooks to users etc. For our project it is absolutely necessary to let the workbooks automatically be saved after calculation .
I copied the program with the precalculation routine and tried to use the function module RRMX_WORKBOOK_WRITE. But after the program run, I can't open the 3.X workbook any more.  Now I try to find out, in which database tables the workbook has to be saved, so that i can save the precalculated workbook by my own program.
So my question to you or any other person who might know is: How can I save the workbook, which is given from the precalculation server in a blob-table into the  database tables, so that the old version is overwritten by the calculated version?
I can't describe what a grat favour the answer means for us! Lots of thanks in advance for the answer!

  • Critical Error when trying to refresh a workbook

    Hello all,
We recently upgraded to OFFICE 2007 and have the latest SAP GUI aswell. A lot of the users are having no issues at all.
But some are getting an error "A Critical Program error has Occurred. The program will now terminate" when they try to refresh the workbook or change any filter values on the workbook in Bex Analyzer (excel 2007).
While the same workbook when opened on a different laptop with the same configuration works fine..
    Any ideas??

    Hello Mr,
If you are using Windows 7, you have to install SAPGUI 7.20 and the BI addons for 7.20.
Windows 7 and BEx Analyzer 3.x for SAPGUI 7.10 doesn't work.
    Kind regards,

  • Error when refreshing a workbook - urgent

    Hi,
I have a workbook containing 2 queries. No modifications have been made to the queries and they used to run fine.
Recently when I refresh the workbook I get the following error in the SAP Error messagebox:
<b>The property Constant Selection is active for element 1..
The characteristic 0INFOPROV is, however selected in 1. and the propertie
Constant Selection and Display Non Accounted Values are

The property 'Display Not Accounted Values' is not allowed here</b>
Note that no modifications have been done to the query. I have 2 variables for input, Fiscal year period and the Version (Plan, Q1, Q2 etc).
Any help would really be appreciated.
    Thanks in advance

In the key figure properties, there is a property called 'Constant selection'.  Uncheck this box, resave and try again.

  • The hidden columns of wrokbook will appear when refresh the workbook

    Hi,expert.
      I create a query,the query has 3 columns,
    Fields Name: Col_A, Col_B, Col_C
    Fields Value:  1001.....001 ...  X
I want to connect the Col_B and Col_C, so I add a column Col_D, like this:
    Fields Name: Col_A, Col_B, Col_C, Col_D
    Fields Value:  1001 ... 001 .. ..X  .... ..001X
and then I hidden Col_B and Col_C in the excel. save the query as a workbook.
When I open the workbook, and refresh it,the hidden Col_B and Col_C were appear.
PLZ tell me how to hide the columns Col_B and Col_C, If I refresh the workbook, they will be hidden either.
My BEX Analyzer version is BI AddOn 7.x(based on 7.10), Support package 8, Revison 1408.

    Hello Bruce,
    As mentioned by others.
If it is possible, try to hide these two columns in the query designer.
If there are few calculaions need to be done in excel with these fields, then include a macro to the hide these columns.
You need to include the code to hide these columns to the exit macro 'call back'.
    Hope this helps.

  • Refresh a workbook via VBA

    Hi all,
I have a workbook with a query inside and so far, users have to download this workbook, connect to SAP, and then refresh the query, changing the month. It's a simple sales report on a monthly basis.
My idea is to create a vba macro, so the users can pick-up the month from a combo-box and then click on "Refresh" and the query is automatically updated.
We were using Bex3 for those reports but now we have to migrate to Bex7 mandatory and as far as I understood, once you migrate the report to Bex7 this macro doesn't work anymore.
What I did so far is the connection string (yeah, so easy, I know...) and I need a guideline with function should I use to automatically refresh the query
    Dim ObjBAPIControl As Object
    Dim Sapconnection As Object
    Set ObjBAPIControl = CreateObject("SAP.Functions")
    Set Sapconnection = ObjBAPIControl.Connection
    Sapconnection.Logon
If Sapconnection.Logon(0, True) <> True Then
MsgBox "CANNOT Log on to SAP"
    End If
Thanks a lot for your help!
    Martin

Hello Martin, If you could clearify from where you want to fetch the information within SAP? Is the information possible to get from i.e SE16 in a table? Or is it some sort of report you've created that needs to be executed? There's alot of recent examples on how to execute and run RFC_READ_TABLE on the forum if the data is available there.
ScriptMan has posted a good example of this here:
SAP CRM <-> VBA Excel Macro, No data return
And i've tried to explain what I see as the most critical bits of that code example here:
    Macro: Excel to SAP

  • Bex Analyzer-No space error on refreshing the Workbook

    HI all,
I am trying to execute a workbook with below fields
Parner ID,Cus Name,Market class and volume.
The requirement is to show the top 5 customers in the workbook. As there are huge volume of records I just filtered on Market class and executed the query and applied the condition on Partner ID and volume then came back and removed the filter and everything is fine and showing overall top 5 customers.
When I closed that workbook and trying to refresh it then it is showing No Space error .I am just wondering what could be the reason for this.Any help is highly appreciated.
    Thanks in advance

    1. Try creating aggregates & rollups, if data is very huge, BASED on the query.
    2. Check OLAP cache by the RSRCACHE. Check the report/query performance in BEx/HTML via RSRT.
    3. Do some research on the query properties, fine tune; don't just drag drop cios. Try with minimal restrictions.
    4. For Top-N type series, you can use APD also for better & faster analysis.

  • Unable to refresh my workbook loaded in PowerBI

Greetings! Please can somebody share / shed some light and where I am going wrong!
I have added a detail description of my problems on Another Forum Post. I have received no answer and wonder where to go for help!
I just cant get my workbooks to refresh data sitting on an on-premise server
    Thanks Howard Diesel

    Hey Howard,
Thank you for the detailed steps. I see that you trying to do refresh from within Excel online. This is not supported as of now. The error message you get is slightly misleading.
You need to 'schedule refresh' on the workbook. Click on the ellipses next to the workbook in the Power BI site. And then schedule refresh.
    Hope this helps!

  • Macro not refreshing in workbook with SP 14

    Hi Gurus,
We have developed worbooks which uses macros to transform data from query to the report sheet. After installing SP front end 14, the macro's are not getting refreshed when the workbook opens., This was fine untill SP 13. Pl let me know if anyone is encountering this issue.
Just a note my macro code gets called from CallBack subroutine.
    Thanks

    Hi Syed,
I got the same problem with Frontend Patch 15 here. It allready worked with FEP14. The macro I defined in the workbook properties is not used when you initially open a query. When you do a refresh manually everything works fine.
Could you solve this problem? If so please let me know how...

  • Query not refreshed when workbook is broadcasted.

    Dear All,
I have an issue in a very critical workbook. It fetches data from around 14 diff queries. there are three variables to as inputs required for this workbook. The setting is set to refresh all qureies when wb is open. So when i execute the wb, it first asks the first variable and refreshes all relevant quereies and then the second and third .. Now when i am broadcasting this workbook in BI 7.00, in the workbook pre-cal setting-> variable assignment , all three variables are appearing and so i am giving the variable values there. but when i have executed the setting, and checked the workbook, only queries related to first variable have been refreshed.
Let me know if any other setting needs to be changed.
    Thanks
    Naisha

    Hello,
There is a recently bug which Precalculation does not precalculate/refresh some queries.
Please, review note  * 1476546 - PrecalculationServer: wrong data is calculated/broadcasted
Unfortunately there is no solution yet.
The correction will be delivered on next Precalculation Server SP, on CW 33.

  • Auto-Refresh Multiple Workbooks

    Hey all!
We have a Sales Reporting team that has been using BPC to create reports for Sales Managers.  For the most part, everything works great.  However, during the first week of the month, our Sales Reporting team needs to open up each individual Sales Manager's report, click "Refresh Workbook", save the report and send it to the sales managers.  We have over 400 Sales Managers, so as you might imagine, this is very time consuming.
I've been asked if there is anyway that we can automate this process.  I've been butting my head against a wall for a couple of weeks now, but every idea I come up with seems lead to a dead end.  Has anyone else tried to do anything like this?  Any ideas would be greatly appreciated.
    Thanks!
    Sean

Don't look at distributing books. This is mainly for distributing published books which are one or more PDF reports with a TOC, (as you already discovered).
It seems the Distribution and collection feature of the product is hardly known or used.
I have always found this to be a fantastic feature, (though it can be a little quirky until you get use to it).
I have pasted the basic info from the documentation below; this should give you at least the basics for starting, (the online help has all the information).
Please let me know if you have any further questions and let us know how it works out for you.
    Fletch
About distributing and collecting offline data
OutlookSoft's offline distribution and collection feature allows administrators to distribute reports and input schedules to multiple recipients, based on a predefined distribution list. The reports are saved to be used offline from the server in native Excel.
The mechanism to distribute offline reports is similar to publishing a book of reports, but this feature also allows you to distribute and collect input schedules. Other differences between publishing a book and distributing and collecting reports and input schedules are:
u2022     Reports or input schedules are locked (parked)
u2022     You can collect changes to offline input schedules and send the data to a database
u2022     Reports and input schedules are distributed through email or a designated network folder, not with a TOC on OutlookSoft Web
Distributing offline reports involves at least three steps, with an optional fourth step to collect modified input schedules:
u2022 Step 1: Create a report or input schedule template that defines the layout of the report. See
Creating reports or Creating input schedules, respectively.
For input schedules, you should set the input cells to 'unprotected' and protect the workbook. See Setting workbook options: Setting the OutlookSoft workbook password.
Also, the workbook should not contain any data. This is because the input schedule expands upon distribution, and clears all input cells.
u2022 Step 2: Create a distribution list that defines the scope (current view) of the data for one or more users. See Creating distribution lists.
u2022 Step 3: Use the Distribution Wizard to distribute offline reports or input schedules through email or a network folder. Reports are created for each user and for each current view described by the distribution report. See Distributing reports and input schedules.
u2022 Step 4: (Optional) If you distributed input schedules, the users can input data offline, and then email the reports back to you or save them in a designated directory. You can then use the Distribution Wizard to collect the data from the modified reports and send it to the database.
    See Collecting input schedules.

  • Arrow Marks appearing when i refresh the workbook

    Hi,
In BI 7.0, i have created a workbook which has hierarchial structures upto 2 Level.  When i execute the workbook for the period June 2007 & the table is displaying 20 records.  Say, when i refresh the query & give the input as some other month say May 2007 which has only 10 records, the 10 records are coming in properly.  But the problem is the Arrow mark for the hierarchial structure is coming for the remaining 10 rows (I think its fetching it from the last input).  Actually, this 10 rows should be empty but its displaying the arrow mark symbol alone.  I tried deleting it but the arrows again appears.  Why is this happening like this?  How do i make this arrows disappear?
    Thanks for your time.
    Regards,
    Murali

    Hello Bruce,
    As mentioned by others.
If it is possible, try to hide these two columns in the query designer.
If there are few calculaions need to be done in excel with these fields, then include a macro to the hide these columns.
You need to include the code to hide these columns to the exit macro 'call back'.
    Hope this helps.

  • Excel Workbook with Excel Data Model stored on SharePoint - daily refresh

I'm not sure if this is exactly the right forum but I'm hoping that someone here can either answer or point me in the right direction.
I have an Excel Workbook with an Excel Data Model.
The Excel Data Model uses SQL to contact our data warehouse and pull through data into tables.
We are storing the Workbook on a SharePoint site and viewing it using Excel Services.
The data in our data warehouse is updated daily and so I would like to refresh the workbook daily and remove the option to refresh the data in the browser.
Is this possible with a workbook that has an Excel Data Model (I've seen lots of posts that relate to workbooks with connections to tabular models).
    Thanks
    Paul

    Hi Paul,

  • Refresh Data in an Excel Workbook from another Excel file

I have an Excel file that I need to use as a data source for a report that is generated from another Excel Workbook that I am using PowerPivot and PowerPivot with.
I make the connections and everything works fine, but the schedule to refresh doesn't work.  I found the below, and another Excel file isn't listed as a data source that is can automatically refresh from.  Doesn't that seem like an obvious miss?
Report data in an Excel workbook can come from many external data sources. You can schedule automatic data refreshes for these external sources:
    •Power BI Cloud Service
    *       Microsoft Azure SQL Database
    *       SQL Server in Microsoft Azure Virtual Machines
    *       OData
    *       Basic authentication
    *       Anonymous authentication
    *       SP Lists
    *       ProjectOnline feeds
    •On-premises
    *       SQL Server 2005 and above
    *       Oracle 10g, 11g and 11gR2
A workbook accesses external data through an embedded connection string or URL you specify when you import the original data into the workbook. Data refresh reuses the original connection information stored in the workbook.
A workbook can have only one data refresh schedule. Typically, if you create the workbook you define the schedule.

    Thanks,
    Craig

It seems apart from mentioned sources no other source is supported, even I tried refreshing model having excel as source.
