Automate MSS substitution rule activation with 'Fill In'

Hi,
I have a question about the substitution, shipped with EhP7. There is the possibilty to add the rule as 'Fill In'.
If I add the rule, the substitute will get the information in his overview directly. This option does not look at a maintained absence in infotype 2001?
The reason for my question is the following:
I would like to automate the activation of the rule, when the system (or especially a report) does detect an absence in infotype 2001. Only if that is the case, the rule should be activated. The result of this procedure is, that the substitution rule only has to be added once initially (of course for one substitute).
I read different articles and the part of the HR600-course-material. With that and my testing in a system, I think that there is no such automation I described. Am I right?

yes you are correct, FIll in means, any unexpected absence of the manager, a substitutue who is predetermined to take over tasks will do the approval for critical tasks. This is how its intended to be and as such its not automated. You can look at BADI WF_SUBSTITUTE if you want to include some checks, you ll find lots of docs on it

    Hello Team,
    I am working on new Implementation for ESS MSS in ECC6.0 and the country grouping is 99. I am getting error in 'Manage Substitution Rules' in MSS.
    When I create the substitution rule, I am getting 'problems Reported' in the 'Rule activation' field.
    The detailed message is 'System does not support Substitution methods'.
    I tried different options in the rule creation. All gave same error.
    I have activated the standard workflow TS12300097 and changed the task to 'General Task'.
    Is there anything else I need to do?
    How can I solve this issue?

  • FB60 - Substitution rule to generate Text in automatic generated line item

    Hello SAP genious,
    While we post vendor invoice ( FB60) and customer invoice (FB70), at this time along with Dr and Cr line items one automatic additional line item is getting generated this is based on Tax type which you select while making invoice.
    now, I want to show some text in this automatically created line items. This might be possible by creating some substitution rule but i am not sure.
    and if it is possible through substitution rule then what could be my prerequisite, and check would be..?????
    can you please tell how can i get Text in this additional line item getting created due to VAT tax code.

    I Want the field BSEG- KOBEZ i.e description field in the accounting doc of the offsetting entry to be replaced in the GL account  text field.
    Ex :
    PK    Account        Description                  Amount           Text
    31    100000         Furniture  Vendor             50             Sales
    40    1999             Inter Compy                     50             Furniture Vendor
    I want the description of offsetting entry vendor description i.e Furniture vendor (field BSEG-KOBEZ) to be replaced in GL line item text BSEG-SGTXT.
    I cant find the field BSEG- KOBEZ while i search in the substituion to replace in Text field.
    How do i write in substitution to say that the offsetting entry description should be in text field of GL account.

  • UWL/Universal Worklist/Substitution - Removing the "Rule Activation" column

    Hi SDNers,
    From the Universal Worklist, it is possible to access the "Manage Substitution Rules" screen, in which one can manager substitutions over its colleagues.
    I would like to remove a column in the standard "My Substitution Rules" table : the "Rule Activation" column.
    Is there a way to do it ?

    Michael, you can do this in the UWL but only with a 6.40 backend (ex. ECC 5) with a specific patch level (can not remember that patch level).
    Before this you need to set these substituion in the R/3 inbox.
    This being said it is only for workflow task routing. If I read your message correctly you want a manager to assign his authorizations (roles in R/3 or the portal) to a secretary. This is not supported in any standard SAP (or portal) scenario as far as I am aware.

  • Fill in for Me Substitution Rule - Why no offline approval mail to Deputy?

    Dear Experts,
    in SRM 7.0 CS, i am facing the following question w.r.t. the substitution rule:
    When a user (approver) creates the Receive my tasks substitution rule for a deputy, than, when ever there are new SC get ordered that need to receive an approval from the "original" approver, not only this original approver but also the deputy receives a the offline approval mail.
    But in case the "original" approver maintaines the second substitution rule - the Fill in for Me rule, than no offline approval mail is sent out to the deputy.
    Can you maybe help me out with a pointer regarding a possible root cause?

    sorry for the missing clarity in the formulation.
    What i usually see in my system is, that when a work item is created (in general) than on one hand this work item gets sent via the workflow to the (universal) work list of the responsible. And on another hand, there is also an offline approval mail that is being sent via an email to the approver. In that offline approval mail, there is a description of the shopping cart content and also a link included. Via that link the approver can branch out into the shopping cart itself, out of the offline approval mail.
    So, the above described behaviour i see also, when the first of the substitution rules is used. The delegate receives both, the work item via the workflow into the work list. And also the offline approval e-mail.
    But when the second substitution rule is in use, than there is only the distribution of the workitem to the work list of the delegate there. But the delegate does not receive the offline approval e-mail.

  • Substitution rule: ania-aktiv with proj-plsez(t-code: CJ20N)

    Hi,
      I am trying to create a substitution rule in transaction OPSN. On project save ania-aktiv is to be substituted with proj-plsez based on a condition in t-code: CJ20N.
    I am aware of the client specific user exits and i have successfully set substitution rule for another field( Copying standard program into a custom program and setting the configuration in SPRO).
    I am facing problem to set substitution rule for ania-aktiv as these fields are not available in the exit. I could populate only PRPS and PROJ fields and not ANIA fields.
    Can any one please give a solution for this.

    I will suggest you to use <b>BADI PROJECTDEF_UPDATE</b>, Method <b>AT_SAVE</b>. Inside your implementation, you can call another function module to update ANIA fields.

  • MSS UWL substitution rules

    Hi,
    I have two questions about universal worklist task managing when manager is not handling the tasks in his job:
    1. Leave request: How is ruling of days for when manager does not respond on leave request before sent to above manager?
    2. Travel request: How is ruling of days for when manager does not respond on travel reimbursement before sent to above manager?
    Anyone who know this, if it is configured by needs of the client or is this standard ruling by SAP?

    Hi Hilde,
    Pls follow these steps for Substitution Rule
    1) Create a Task
    A task is nothing but a request to one or more assignees.
    2) After creating the Task, Substitution should be assigning the tasks; if manager went to leave he can create substitution in his place
    So here once you define the Rule for subtitution then next step is to Set Rule Activation i.,e nothing but "you can turn the rule On or Off at any time on substitution rules management screen .

  • UWL - Substitution Rule with END date

    Dear All,
    When user creates substitution rule in UWL, assignee can select Start Date. We want to have end date too.
    But as the documentation of UWL says: All substitution rules created have no expiration date (end date) is limitation of UWL.
    Can we implement this on our own using some APIs or some other option?
    Please suggest.

  • MSS substitutes- remove other users substitution rules after leaving

    Hello
    Does anyone know how to remove another users substituition rules once they have left the company?
    The scenario we have is...
    Manager A is selected as a substitute FOR manager B. Manager B subsequently leaves the company but hasn't removed the substitution rule so it still remians in view for manager A.
    Other than logging in as manager B (i.e. changeing their password etc) and manually removing the substitution, is there any other way of removing the substitution rules from manager A's list? (i.e. program?). We can see in table HRUS_D2 that the substitution rules are set, but we are unable to find any method of clearing them out.
    Help much appreciated.

    I do not know of any standard progeram that can do this, on a couple of occasions we have used custom transactions to maintain HRUS_D2 table - you do not need to log in as manager etc, you can use the custom transaction to directly maintain the table.

  • UWL Substitution Rule Issue

    Hi All,
    We are facing some issues with Substitution rule in UWL on NW portal 7.3 SPS08
    Issue described below,
    One user has created substitution rule by selecting task type "All" and "Fill In For me" option.
    So, as per the standard process this is visible in assignee's login in UWL under "Other users' Sunstitution rule section".
    But here problem is in this section there are two line items with same user name and task type, one for "Take Over" and another for "End Take Over".
    But as these both are from same user and for "All" type of tasks, it should have only one entry. and both "Take Over" and "End Take Over" should be operated from one entry and two entries of same type is not required, Screenshot is attached here with,
    We are required this to be sorted out asap, any help is appreciated...

    In continuation of my earlier...can you please check if Substitution from manager is Activated ?
    SBWP -> Settings -> Workflow settings -> Activate/Deactivate Substitute....
    If it is deactivated......then Login as secretary:
    SBWP -> Settings -> Workflow settings ->  Adopt Substitution....
    Also goto TCode PFTC...
    And check your TASK that is not coming in secratary inbox....
    Select Additional data -> Agent Assignment -> Maintain data....
    Select task and click on attributes.....
    Make sure correct classification is mentioned for this task....it should be same to what has been delegated to secretary......

    Transaction GGB4 is very usefull.
    Click on Active Subst/Validation, the click on Asset Accounting, make an entry for substn with company code and call point (item level or header level).
    Under that substitution, create step and rule.
    At the time of creating step SAP will ask for exit or constant.
    (Be aware give prerequisite as transaction specific).

  • Business Area - Substitution Rule?

    Hi Gurus,
    I need help with creating a substitution rule for a business area.
    The scenario is as follows-
    We have multiple company codes in different regions that sell their product system wise to company code XXXX. We are using one business area YYYY. What i need to do is create a substitution rule that when ever an invoice passes into accounting it automatically picks up the business area YYYY from all those other company codes selling to company code XXXX.
    I am not sure how to create this rule? meaning how it should read. When i attempted to create the rule via OBBH I am not seeing the field BSEG-GSBER in the selection? This is where you chose the field & is substituted by a constant value YYYY
    I tried reading some other messages that we posted online by other members. One of the suggestions made was to go SM30 or SE11 and pull table VWTYGB01 and uncheck a flag. I tried to do that but I was unsuccessful. When i go there the message i get is that it does not exist.
    Please can someone help me...suggest what I can do to solve this issue?

    Hello,
    You have to go in the edit mode as suggested by Eli. You are NOT going in the edit mode but going in display mode.
    Please go to SE16N
    Enter the Table GB01
    Maximum number of entries change to 9999
    Press ENTER button on your key board.
    Put your cursor on Transaction Bar (where normally you enter transaction codes to go to particular activities). Enter &sap_edit
    Then press enter on your key board
    You will see a message "SAP editing function is activated"
    Now click on execute button.
    The table will open in edit mode now. You can make changes now.
    Please make sure you are changing the right entries. This is not the recommended way of doing, but sort of last means. Any erronous changes will not be reversable. I would not recommend doing this in production. Always we should be cautious when we are doing by this way.

  • Substitution rule for Business area in F-02

    Dear SAP gurus,
    The client has 2 plants at different locations. 2 plants are created as business areas.
    Our requirement is, when users at bus area 1 are posting expenditure in f-02, the field business area should be automatically filled with '1000'(bus area 1). the users need not manually update the field Business area since they only operate and post in that location. Same functionality is needed at plant 2 also.
    I came to know that this requirement can be fulfilled with Substitutions in SAP.
    Can anybody please tell me how to write a substitution rule for the above requirement. Any other ideas are also welcome.
    Please help me in this issue.

    Hello,
    You have to do two things.
    1. First you write the substitution in GGB1
    2. Assign the substituion to your comany code OBBH
    In OBBH, write substituion at line item level of the document.
    If the plant = A
    Substitute business area with A
    Check if there are any standard substitutions are available in your system
    just for your reference.

    This is a common issue and usually has to do if the 'substitutee' for lack of a better word, is no longer a valid user.
    4. When there is a substitution rule connecting the current user to a
    deleted user, the following problems were discovered:
       - substitution rule management returns 500 browser error;
       - it is not possible to delete a Java Workflow substitution which
    refers to a deleted user as assignee;
       - Java workflow connector is not able to retrieve items for user that
    has a substitution rule with a deleted user;
       - The "status", "What to do", "assignee" and "Task Owner" fields are
    not properly filled in the Manage Substitution Rules view.
    Do a search in SAP notes in component EP-BC-UWL and also for your version.  Alternatively you can let me know the version here and I can tell you in what release this is fixed in that matches closest to your version.  (maybe only a patch required).

    If the user is on leave and  and he is not submitting his task for more than 3 days automatically BPM has to redirect that task to another user with out any human involvement. Is it possible?? If so with what version.
