Automatic creation of employee vendor (KS01)
I want to set up a process when HR sets up an employee, there could be an automatic set up of the corresponding vendor rather than a manual process as at present.. is there any SAP standard functionality to do this? any recommendations for the best way to do do this?

Just to follow on from Ravi's reply: most sites that I work at have the report RPRAPA00 scheduled to run on a periodic basis (define the job via transaction code SM36) to automatically create employee's vendor accounts. A screen variant is usually saved for the program, and then the batch session is monitored on a regular basis to ensure that it has run successfully.

Use the t.code: PRAA. Give reference to an existing employee vendor.
Or, you can also create a batch job that runs this daily. Before that you need to create a reference employee vendor and input the most common fields in it (like, Recon Account, Payment method, etc.).

Automatic creation of employee to business partner
Hello geniuses,
We have scheduled a job that executes program BBP_VENDOR_SYNC. This brings new and updated partners from ECC 5.0 to our SRM 4.0.
After that, we have to manually create employee with contact person to each new partner, so that they can log on the system and participate in live auctions.
However, in our context, all information required in order to create an employee can be obtained by the corresponding business partner's data. This suggests we could automatize our process.
Have any of you ever attempted to do this? if so, could you give me hints?

If you are creating customers from BP. i.e. first the BP will get created and then customer gets created, the way system behaves is that it creates the BP and get a number is generated for it, then it goes and create a customer with the same number by passing the number already created as BP.
So the number range for BP should be internal and for the customer account group should be external. you might need to create a different customer account group for REFX customers.
Assumption: same number range tick is selected in the assignment where we assign the BP group and customer account group.

Automatic creation of Vendor in FI from Business Partner
Hi, experts!
We are looking into a process to automate the creation of vendor master data in FI Accounts Payable for our employees and to keep them in sync as employees' names, banking and address info change over time. We use concurrent employment, and we noticed that running PRAA as a mass-update job to create vendor records for all employees will create duplicate Vendors for employees who have more than one active Personnel Assignment.
We are now looking into the possibility of using the Business Partner as a means of pushing HR data into FI within the same ECC6 system. So far, we have been able to turn on the automatic creation of BPs when new employees are 'hired' into our test system via transaction PA40. We can also use the program HRALXSYNC to create the BP for existing employees. Once these BPs are created, master data updates flow from the employee master data in HR to the BP. However, we can't seem to get the system to automatically create a Vendor record for this BP and have that linked together at the same time.
Is this possible? If not, is there a transaction that can be run to do a mass creation of Vendor records for Business Partners that don't already have one?
I can see that our BPs have been assigned to the proper Role in table BUT100, and we have "define(d) vendor link for business partner roles" in V_TBC002 to be "vendor-based". What configuration step might we be missing?Hi, Mahesh
Thanks for the response!! We have already created an entry in this table for Role Category = BUP003 (the SAP-delivered role category "Employee"). In this table, we have chosen the "Vendor Based" radio button, since we want Vendor master data to be created for all BUP003 business partners that are created.
Which function modules need to be activated via the SPRO path Cross-Application Components -> SAP Business Partner -> Data Distribution -> Activate Function Modules in order to have Vendors automatically created whenever a specific role of BP is created?

Goto SPRO\ Cross application components \ Master data synchronization \ Synchronization control.
Assign account groups of customer and vendors to respective BP grouping. This setting is enough to create BP in background while creating customer / vendor. But the fields groups are very much important, ensure mandatory fields should be sync.

Job Scheduling for Employee Vendor master creation

We want to automate the activity of creating the employee vendor master.
If an employee is hired today, a job should run tonight and create his vendor master based on the no range set.
I believe we need to use program PRAA.
We have 5 company codes with 5 different no ranges.

The reference vendor is given correctly so that it comes under the company code for which the employee is hired....
the problem is that the system picks up the first pernr (first employee in the system), reference vendor and matches these together and throws the error message
"Reference vendor 0000pernr , company code XXXX do not exist"
So I understand that if the employee is hired for the same company code of first pernr, this will become successful....
But, how do we do this this activity for remaining 4 company codes? for remaining 4 company codes, we will get the same error message.

it is possible via PRAA tcode , pre-requisites are below
ALL employees for whom vendor is to be created should have
1. Infotypes 0,1,2,6,9 maintianed mandatory
2. Reference vendor should be created from which the program will create a new vendor.
Then schedule the praa tcode in background and execute the job in sm35 tcode , the vendor should be ready.
For any automated updation of data , there are user exits available , this can be done if needed .

As per the documentation in SE38 on program RPRAPA00, the system creates vendor records by reading the infotypes:
Actions (Infotype 0000)
Organizational Assignment (Infotype 0001)
Personal Data (Infotype 0002)
Permanent Residence (Infotype 0006 Subtype 1)
Bank Details (Infotype 0009 Subtype 0 or 2)
The Communication (Infotype 0105) where the email address is stored is not read. Even if the 0105 was read and was able to populate field SMTP_ADDR with an email address in the vendor master record it is actually not possible to email remittance/payment advices to vendors after running the payment run (F110) or creating the DME file. It is only possible to fax or print payment advices. An Alternative suggestion to other customer is to used the User Exit in note 570023 and 407827.

You can use the Interface SAMPLE_PROCESS_00002040 in note 407827.

Automatic creation of Service Arrangements in SAP CRM 2007
Dear all
we're using SAP CRM Resource Planning with HCM integration, so get the Employee Master and requried Availability Info Types replicated from HCM via ALE.
Unfortunately, between the creation of an Employee and the Time Distribution, a Service Arrangement must be created manually. As both the HCM-side steps are executed automatically as background job, we are trying to find a way to also create Service Arrangements automatically. We do not need to maintain any data other than ID and Name for the Service Arrangement in the first place.
Can you point me to a way to do this - eventually a function module that would be available for this purpose?

i would like to know whether std sap - mm allows automatic creation of rfq against pr reference.
i have a requirement user creates prs for materials, and rfq have to have to generated/created automatically after pr is saved. is this possible with std sap spro settings

What does their mean automatically is
using the assign and process you can create RFQ. but not like Auto PO using Me59n
Creating RFQs
To create RFQs, you must generate a basic list via Requisition ® Follow-on functions ® Assign + process.
From the basic list, you can flag a requisition for RFQ processing. Select a requisition and choose Edit ® Flag for RFQ ® With vendor or Without vendor.
Choose Goto ® Assignment overview to access the assignment overview screen. Position the cursor on the text Flagged for RFQ processing and choose Edit ® Process assignment.
A dialog box for the creation of RFQs appears.
Enter the deadline for submission of quotations and check other relevant data, such as the purchasing organization.
When you press ENTER, you will obtain an overview of the purchase requisitions that have been flagged for RFQ processing.
Select the items that are to be adopted in the RFQ.
Adopt the selected items in the RFQ.
u2013 If you wish to change the selected items before adopting them, choose Edit ® Selections ® Adopt + details. The relevant item detail screens will then appear, allowing you to make the desired changes.
u2013 To adopt the selected items without changes, choose Edit ® Selections ® Adopt.
The item overview for the RFQ to be created is displayed with the adopted items.
If you have flagged the requisition for RFQ processing without a vendor, or if you wish to issue RFQs to another vendor, assign the RFQ to a vendor and save the document.
Repeat this process for each vendor to whom the RFQ is to be issued.

Pl Make sure you have done following settings for the Automatic Creation of PO during GR:
1) In SPRO ---> Enterprise Structure ---> Assignment -
> Material Management ---> Assign Std. Purchase Org. to your Plant...
2) In Material Master -
> Purchasing View -
> Pl. Check. Automatic PO check Box and Maintain Purchasing Group....
3)Create your Vendor for oyur Company Code and Std. Pur. Org. combination and in that Vendor Master -> Purchasing Data View--- > Pl. Check Auto. PO Check Box...
4)For your Vendor -Material Master - Plant -Std. Pur. Org combination Maintain valid Info record...
5)In OLMB ---> Goods Receipt -
> Automatic Creation of PO ---> for the M.Type:101 pl. check Auto PO check Box
6) In OLMB ---> Movement types ---> Copy,Delete, Check M.Types ---> Choose the M.Type:101 and go into Details -
> Then goto allowed Fields for M.Types for M.Type:101 ---> there for the M.Type:101 make the field LIFNR as a Mandatoty field...
If you have done the above settings properly...then in MIGO ---> Choose Transaction GR and referance as Others
and do the GR....Make sure you are doing GR with M.Type:101....and yougive the Vendor's name during GR....
Now If you save the GR ...automatically PO will be created...
this you can see it by displaying the MIGO Document..

Automatic creation of PR after MRP run

can anyone please tell me what all fields are picked up in a Purchase Requisition(PR) in the scenario of automatic creation of PR after MRP run.
If we are using more than 1 PR type in the system how is it determined during the MRP run that the PR will be created for which type.I understand that source list will have to be created and maintained but how is the PR type determined

Step1:Auto PO tick in material master Purchasing view (mandatory)
Step2:Auto PO tick in vendor master Purchasing view
Step3:Maintain Source list for vendor and material (If u r not using source list for auto PO creation, the assign the Source of supply to a PR in ME56)
Step4:Maintain Pur. Inforecord
Step5:ME59n : execute for PR and Vendor In ME59n, you can also select the PR document type. If you want to select different document types, go for multiple entries and enter the doc types.
When u execute, the system will give the appropriate PRs. Select the required and convert to PO.
But through MRP you cannot create PO directly only Planned orders can be created.
