Backend invoice replicated to SRM for approval

Hello all,
classic scenario, R/3 4.7, SRM 4.0
would like to check if it is possible to enter invoice in the backend, replicate it to SRM where should be checked and approved and than sent to payment via backend?
Main problem is that all company invoices are entered in one hub via scanning into the backend R/3 system so it is not possible to separate which invoices are for SRM and which are for R/3. Requirement is that everything should be entered fist in the backend system.
We are prepared to change scenario if necessary.

    I think this could not be explained in one post.
    We are using the same above scenario for transferring PS or PM requisition to SRM for approval only.
    Lot of conditions are set.
    1.     Landscape
    2.     Process -
    3. Criteria for transferring and approving PReq’s in SRM should be defined in ECC
    for example - The criteria which PReq’s should be transferred to SRM should be defined in a local customizing table XXXXX with the field purchasing organisation, plan account assignment type and update date of PReq.
    4.   1st approver selection criteria should be setup in the ECC
    5.     When creating or updating a PReq item a workflow event will be triggered to start the transfer workflow. The trigger is implemented in the PM and PS BADI workorder_update while saving the PM order or the PS network order. The same event cancels an eventually transfer workflow which just transfers a previous version of the PReq, or waits for the approval result of a previous version.
    6.     The Release Strategy has to be maintained in the productive systems. Only the release codes will be defined and distributed centrally. The name of the Release Strategy can be chosen locally. It’s very important that a release strategy fits to the values of the purchase requisitions that come from SRM and that go to SRM. It doesn’t matter which release strategy. If no existing release strategy fits to the values of the purchase requisitions a classification of the new release strategies is necessary. Otherwise no classification for the new release strategies is needed.
    7.     Also need to do MM specific customization , PI related and SRM related.

    I am creating an invoice in SRM & I can see that invoice created successfully in ECC with some invoice number. I need that ECC Invoice Number in SRM again. Please tell me how to achieve this.

    I am creating invoice through XI. I am picking up a xml file, thru file adapter, & creating an invoice using a standard proxy. It is creating invoice succeesfully in backend but in the SRM web browser its status is approved. It should be 'posted in backend, with the invoice number in ECC populated in a field 'Number in <RFC DEST>. However, when I create it manually, it is giving me the ECC invoice number. Please let me know if anybody has worked on this scenario.

  • Non PO invoices sent for Approval - getting error message - Tax Jurisdictio

    Our clients have just upgraded from SAP 4.6C to ECC 6.0 and when the Non -PO invoices are sent for approval the user is getting the below error message.
    'Specify a tax jurisdiction key' - Message no. F5566

  • Can we post Confirmations in SRM for all Backend PO's?

    Hello Friends,
    I have a query on Confirmations. Can we use SRM system to post GR's for all backend PO's..Which means my PurReq and PO's ,both are created in ECC only. I am not using SRM for cart creation...but i want to do Confirmations for these Backend PO's in SRM system..Is this possible? If yes, what are the limitaitons.
    Appreciate if anyone can throw some light on this..

    Hi folks,
    I would strongly say "YES" because i have tested that scenario in my system and it works.
    My point is (Irrespective of technical scenario) GR/SE is based on IDoc's and BAPI's. so irrespective of whether you create shopping carts or requirements you can still post confirmation as long as you know the PO's that were created in ECC.
    In Krishna's business scenario, he wish (though SAP SRM won't list the PO which are created in R/3) to have the PO displayed for the requester and requester would select the PO to do confirmation which would defenitely require some development interface to ECC. but posting of GR is SAP SRM standard and for that i don't think you need a "PRIOR" SRM documents.
    FYI... Login as purchaser, use "Confirm Goods/Service Centrally" to create GR's.
    Though it is contradictory to other friend i would say "YES" since i saw it in my landscape. i have also provided solution for someother client(Classical scenario) who wish to supress the ECC PO's in SRM. for that i have applied seperate solution for it.
    it is something like a "Royal flush" on my hand hence i am betting on it.
    Krishna, Once you start the implementation you will see the standard solution working for you.

  • In Ap invoice grid is showing no value when send for approval

    Dear Experts,
    There are 3-4 purchase invoice send for approval when it is open by approving authority the detail grid i.e. where the item details are shown is blank only gross total and net total in footer is showing value and header values.
    This all four invoices are of same vendor, invoices punch after those invoice are showing proper values.
    what could be the reason ?

  • Urgent - An invoice which has been paid, route for approval again

    Hi All,
    Below is the what I am stuggling to sort.
    Scenario - The invoice 6200382/1 was processed on 6 March 2009. It was approved on 23 March 2009 by Mr. DAVE F VENTURA and Mr. BENOIT M VERHAEGHE. The invoice was paid on 27 March 2009.It appears that the invoice has now again routed for approval, and was rejected on 17 April by Mr. DAVE F VENTURA. The rejection notification (attached) which Norma received, indicates that the invoice was rejected on 15 April 2009. How can an invoice which has been paid, route for approval again, and why is there a difference in the rejected dates as indicated on the approval history and the notification?
    This has happened for the second time. I am unable to give a solution to this problem. Need help urgently.

  • Invoice status in SRM -- Error in process

    Hi,
    I am on SRM6.0 (Extended Classic Scenario) with backend ECC6.0. I have a invoice posted in SRM and went into error while transferring to backend. We reviewed the reason of backend error (it was because of MM period close) and reprocess the IDOC in backend after allowing posting in previous period. IDOC got processed and we can see the backend document link in SRM Invoice now but the status of the invoice is still "Error in process".
    I checked program "BBP_GET_STATUS_2" and "CLEAN_REQREQ_UP" is setup correctly and running sucessful in SRM. Appreciate any help to resolve this issue.

    Check the below 2 reports For a detailed report you may need to contact a BI person or post in the BI forum .
    1. BBP_IV_UPDATE_PAYMENT_STATUS :You can use this report to synchronize the status of invoices in SAP SRM with the status in the back-end system. If an invoice in the back-end system has the status Paid, the status in SAP SRM is adjusted; that is, the status changes from Approved to Paid.
    Note that invoices in SAP SRM with the status Paid cannot be canceled.
    2.BBP_IV_AUTO_COMPLETE: This report checks for XML invoices with the status Waiting for Preceding Document, and whether appropriate documents have been posted in the meantime, and then attempts to post the relevant invoice.
    3. BBP_PD_INV_GETLIST  FM
    4. Use function module BBP_BE_PO_GETHISTORY and pass PO number (I_OBJECT_ID) and logical system (I_LOG_SYSTEM) and E_ITEM_HISTORY table will give you invoice number try BBP_PD_PO_DOC_FLOW with the PO number

    I know confirmations can be deleted in held/ or in approval process when an invoice is not created

    Hi Basu,
    What is the workflow framework that your are using. Is  it application controlled workflow?
    1.     Go to T code BBP_PD and check if the workflow triggered for the shopping cart is in in-Process status. If it is in in-process status copy the header workitem and go to T code SWPC , remove all the values displayed in the selection screen just enter the header work item ID and execute.  If you are able to see any entry after execution select it and click on continue workflow. this will fix your problem.
    2.     Check in transaction SM58 to see if there are any failed entry on the day of shopping cart creation , if there is any entry in failed status please reprocess the LUW.
    hopefully any one of the above steps will fix your issue.

  • SRM Offline Approval Issue

    I am testing Confirmation/shopping cart/Invoice Offlline approval fesibility testing
    I am able to generate wokrflow mail in outlook for Approve or Reject
    in Outlook when I am clicking Approve or Reject it is generating one more response email in outlook with some link in mail
    and when I am clinking on send the email Id which generating at the time of clicking on approve or Reject bouncing back
    Please let me know ..
    1) Do I need to maintain that email Id somewhere in SRM system OR
    2) Some where in SMTP exchage server of Outlook
    I have compared the Production Email Id and it is working fine and my IT team checked that PRD email Id also not maintained in the SMTP server, not sure where we are missing.

    Check (with basis team) technical settings for e-mail by means of:
    - OSS note [455140 - Configuration of e-mail, fax, paging or SMS using SMTP|https://websmp130.sap-ag.de/sap%28bD1lbiZjPTAwMQ==%29/bc/bsp/spn/sapnotes/index2.htm?numm=455140],
    - basic settings configuration guide for SAP SRM 7.0 (paragraph 5.7 Technical Settings for E-Mail - page 40). This last document deals with profile partner settings ( RZ10 ), client assignment and SAPconnect administration.
    If all those settings are correct, so problem is due to mail server: basis team will have to check with network/mail server team.

    Hi Experts -
    I have recently raised an incident with SAP about Approval process - the complete message and support reply is as follows - but i believe we need a change in the approval process - if the approval required is only one but you have defined two people (Either or OR) in the approver list - the system should allow the document to be edited if one of the approvers reject it.
    please let me know and i believe we need  a change in design - unless otherwise a solid reason is given to justify the existing design

    When the document is in 'Draft-Pending' Status, the document is not available for editing, because the system considers that it is still in the waiting process. In your case, the manager cannot edit t he document.
    To amend the document, an action is required from the approver either to reject it first. Once rejected, it can be amended and re-sent for approval.
    I have checked our knowledge base and noted that there is an article which describes the approval process. Please refer to the Expert on Phone Wiki Article (March 2009) with title: Why a draft documen t in an approval process cannot be modified by the originator?

    When the header says 'Pending', then it means the document is still within the approval process. Please check the Approval Template and see the number of approvers and the number of approvals require d.
    The number of approvals and approvers may be greater than 1. In this case, the system waits for other approvers to approve or reject the document. Once all the approvers have rejected the document, th en the document will be released and available for editing.

    Thanks for the reply - i tried this and found out the following:
    1 - In the approval templates - we had mentioned number of approvals
    required as '1'.
    2 - in the number of approvers - we had mentioned two users
    Though the template requires only one approvals (Either or OR) the system
    expects both of them to approve or reject -
    Can u please let me why is this behaving like this - or is this is the
    way it is designed ? - if this is the way it is designed - i beleive it
    is wrong - weneed to give a solution to the customer

    Thank you for the information. The behaviour is a current system definition documented as per Note 1321234. I have attached the said Note for your reference. When only 1 approval is required and there are 2 or more persons are allowed to approve the document, the document does not get automatically rejected when 1 person 'rejects' it. The system waits for other approvers to render their decision b ecause a person may still approve or reject the document.

    Hi: The status of the document in the Header says 'Pending' and the status below the document number says 'Suspended' - it is not showing as 'Draft'

    I'm trying to call you but there was no response on your mobile. When the header says 'Pending', then it means the document is still within the approval process. Please check the Approval Template and see the number of approvers and the number of approvals require d. The number of approvals and approvers may be greater than 1. In this case, the system waits for other approvers to approve or reject the document. Once all the approvers have rejected the document, th en the document will be released and available for editing.

    Hi: Thanks for the reply - i tried this and found out the following: 1 - In the approval templates - we had mentioned number of approvals required as '1'. 2 - in the number of approvers - we had mentioned two users Though the template requires only one approvals (Either or OR) the system expects both of them to approve or reject - Can u please let me why is this behaving like this - or is this is the way it is designed ? - if this is the way it is designed - i beleive it is wrong - weneed to give a solution to the customer

    Thank you for the information. The behaviour is a current system definition documented as per Note 1321234. I have attached the said Note for your reference. When only 1 approval is required and there are 2 or more persons are allowed to approve the document, the document does not get automatically rejected when 1 person 'rejects' it. The system waits for other approvers to render their decision because a person may still approve or reject the document.
    The design is not an application error. If you would like to change this design, please post your requirement in our SAP Business One Product  Development Collaboration forum.
