Budgeting at the time of material procurement.

Dear friends,
Any one  can guide me how to handle budgetary control to procure inventory? At the time of inventory procure system has to check for availiablity. If I'm using internal order or project the material will go into consumtion accounts. stock postion will be zero.
As per accounting standard I have to show the materials in inventory balance till I issue for consumption. Please guide me with some suitbale functionality where my procurement will raise commitment and also check for the avialiability of budget at p.o. level.

You will be able to define budget for your inventory and control it during procurement process.

  • No New Batch number creation at the time of Material Transfer Movement(309)

    We are upgarding from 4.6C to ECC6.0. We have an issue in regards with the material movement type 309. At the time of creating the material tranfer using the same material as issuer and receiver, the same plant and storage location ( this process is used by the business to diferentiate batches).
    In 4.6C a new batch number is created automatically when 309 movement is posted; stock and characteristics transfered are allocated at the new batch created automatically.
    The same case in ECC6.0 does not create a new batch as done in 4.6C. We have looked for any SAP note or forum discussion without success.
    If anybody has an answer for this issue, let us know.

    As a matter of fact these configuration has been checked before, additionally we compare configuration at 4.6C and ECC6.0 and it is the same but the new batch creation (for this specific case) is working at 4.6C, not at ECC6.0.

    While creating a Material Master Division isn't coimg .
    Only Sales Org & Distribution Channel is coming,What is the Reason??
    Am I missing something??

    Please note that "Division" is not an organisational unit when creating Material master as in the case of Customer Master.
    That is why you dont get to see Division as a paramater while creating Material master. Every material can only belong to one division.
    The following are the organisational units that work as a paramater while creating the material master -
    Sales org, Distr channel, Plant, Storage location.
    and according to the material type and industrial sector you select in the initial screen determine the material master views.
    you only select a division once you get into the screens of material master as every material has to belong to a division.

  • GR/IR Posting at the time of Service Procurement

    Dear SAP Friends,
    I am working on the issue of Shipment & Shipment Costing.
    In that scenario their is process of Service Procurement for Fright Charges paid to Transport Vendor.
    Now in that case while making the Shipment Document system automatically creates the Service Entry Sheet in the Background with respect to Service PO created (Manually) for the same transport vendor.
    We have maintained valuation class no.3225 for Freight Services & material group no. 960  for Services.
    Also in Logistic Execution -
    > Transportation -
    > Shipment Cost -
    > Shipment Cost Document -
    > Shipment Cost Types and Item Categories (T_56). In this we have maintained valuation class 3225 with respect to Item Category/Automatic Proposal(Posting)/Valuation Class - 3225.
    Also in OBYC - WRX (GR/IR Clearing) i have maintained Valuation Class - 3225 with required GL - 14820000.
    But when we check the accounting entries for Service Entry Sheet systems does not pick the GL account with respect to valuation class maintained in OBYC - WRX. Instead system was picking the G/L account for which Valuation Class not maintained.
    Our requirement is we want different G/L account for GI/IR clearing in the Shipment Process. We have also made the configuration for the same.

    Hi,
    It is of the standard functionality of SAP that in case of WRX Transaction/Event Key for Service PO, the blank valuation class will be applied.  The valuation class will only be used for this particular transaction/event key WRX in case of material.

    I have a differnet Issue.
    I am using a std. LSMW to create the materials.
    But now using same LSMW i have to maintain Inspection types(ART-RMQAM) for the materials to be created.
    How this can be done.
    This filed is not found in any structures like BGR....to  BMMH8
    Can I create such a structure ??

    Some need the hard answer: it is not possible in one go.
    It is an embedded functionality in material master like classification, but it is not stored in a material master table.

  • Budget Consumption at the time of payment to vendor instead of booking expense

    Hi,
    as per my understanding In funds management budget is consumed at the time of booking invoice to vendor. that means that when expense id debited and vendor is credited budget against the commitment item entered or derived in expense line item will be consumed once its been saved. our requirement is to consume the budget at the time of payment to the vendor payment. let say that we have allocated a budget of 5000$ for traveling expense now when we actually book an invoice in the system for this expense system will hit the budget right away but let say i would like to hit this budget at the time when the payment is being made to the vendor. in this case i would like to map this commitment item with the outgoing bank account. the issue is we don't mention any const center in bank line so that system read the combination of cost center and cost element and derive the relevant fund fund center and commitment item. is there a way to handle this?

    You have to select update profile, which works with payment budget. Secondly, you have to define the settings for payment transfer in OF29 transaction. You should consult the following notes, in order to secure smooth payment transfer procedure:

  • Budget Error at the time of Release of Purchase order

    Hi,
    We are using former budgeting and getting budget payment budget exceeding error at the time of releasing a carry forward PO.
    PO has been successfully carried forward to next year and we are not making any changes in the PO. While releasing the same via ME28, system is giving budget exceeding error.

    The root cause of the issue is incorrect updation of taxes value in EKPO table for that PO, which causes the system to consume less budget at the time of saving of PO.
    Now while releasing the PO, system is checking for whole tax amount and sufficient budget is not available in the budget address.

  • Not checking the budget for internal order at the time Travel Request creat

    Hi All,
    I have two issues.
    (1) We activated travel managment in our system for public sector germany. In that case we need to create trip directly from PR05 instead of TRIP. I created budget for internal order but its not controlling and checking budget at the time of creation of the trip. We activated fund management also but i need control at internal order level. Please guide me.
    (2) While creating trip in PR05 what ever expenses mentioned in Trip it's committing and also i am able to see in fund management commitments report. We extracted reports based on COSP table. This commitment is not updating in this table. Please guide me which table is showing link between internal order and fund management account assignment objects.

    I maintained Budget profile and Tolerance limits. I am getting error only at the time of posting in PRRW.But i need to control at the time of saving the trip. I can use user exit to control. If there is any standard functionality of checking the budget at the time of saving then it should be good.
    For me main problem is i am not able to get report both trip commitments and fund management details. Please inform me in which table internal order and trip commitments are storing.

    Please check the currency for the invoice value. if it is foreign currency then system may be calculating it for currect exchange rate maintained. Please check this.
    In your case availability check for the budget is active at all stages / transcation so system is checking for the budget availability.

    40 Expness A/C Dr .   TO 50 Bank Account.  Here i am not giving any Internal Order & WBS.  Is this case Budget will consume?
    Case 2:
    40 Expness A/C Dr .   TO 50 Bank Account.  Here i am giving any Internal Order & WBS.  Here Budget would consume.
    Here my doubt is how the budget would consume at 1st Case.

  • FM - Budget check at the time of procurement and at the time of Issue

    For a Material there is a budget for a procurement ( Check should happen at the time of procurement and a seperate budget for consumption ( Check should happen at the time of issue).How can I map this in FM- BCS.I am thinking of creating two commitmen items one for Procurement , to be derived thorugh matl grp at the time of PR / PO and  One commitment item for consumption to be derived through consumption GL . Does it work , any comments?

    Yes you are right , I have to make to sure stock budget doesn't get credited.
    If you remember in one of my other threads, i wanted to derive commitment item from Matl grp, it was for this purpose. I will derive commitment through matl group at the time of procurement / GR etc and assign a dummy commitment item to stock a/cs. Where as i will derive a consumption commiment item from consumption GLs.

  • Budget error is not coming  at the time of goods issue

    I am using  warehouse funds center concept. While creating Purchase requisition and Purchase order i am getting budget exceeded error. but  while goods issue i am not getting any budget exceeded error even budget is not available for the respected fund center and commitment item.
    Please let me know how to get the budget exceeded error at the time of goods issue.

    It seems as per your business requirement the budgets are checked up to inventory level only.
    That is to elobarate,
    Suppose you have a fund center X for which the budget is let's say 100,000/- LC.
    The system is configured to check the procurements VIA PR>PO>MIGO-->MIRO only.
    As you have checked budgets at above stages it is not necessary to check at Goods issue to consumption as this will create unnecessary process spokes.
    check for the Inventory GL account and consumptions for any "Dummy" or "Not Budget related commitments are assigned" or in teh derivation strategies.
    If the business needs  you to check the budgets, you need to have the Fund centers for consumption of funds and as well as budget amounts for the same combinations.
    The cycle of Procure to Receive ends at MIGO and the Material what you got is against Inventory which is a balance sheet Items which usually not related to budgets.
    When you want to check budgets on consumption, as far as my opinion is concerned at the PO time it self use Account assignemnt "K". But I feel it is only suggested when you don't have a requirement of Inventory keeping.

  • Automatic creation of Material Master at the time raising the PO !!!

    Hello All,
    I am stuck in a scenario of our client which should be implemented (or mapped) in SAP.
    Scenario: At the time of creating the PO (in there legacy system -in house developed) they can choose the items from the existing master data or/and they can also add a new item (which is not present in the master data records at the time of creating the PO).
    Now as soon as the system realise that a new item is inserted into the PO, it will create that item record automatically in the backend (database) and the master data will be present from there on.
    The items they are dealing with are all fashion accessories and they generate order on the following basis:
    1. Demand of particular item in market.
    2. List of items provided by the vendor.
    3. Based on the requirement in there outlets.
    So for them its very difficult to fix there master data records, as it can be changed daily or monthly as per the market conditions. At the same time every time they order, its almost around 100 different items (some time 80 of them are new) in a single PO so they cannot create 80 records manually each time.
    These items are not consumable material so obviously they are maintaining the stock for them. They are also not going to use IS Retail.
    I am not at all sure how can we map this particular practice in SAP, it would be really appreciated if any one could help me on this problem.

      As you have two different systems one in house developed and another SAP, and the PO creation part starts from Legasy system which creats the PO in SAP, you can do some development as per below
    1:  While Passing the details from legasy to SAP, use two columns in legasy one will contain the Material Code of ECC (for laready exist material ) and another for deescription of material.
    2: In case material is new for which there is no material master in ECC pass only description from legasy systems.
    3:While getting triggred from Legasy to ECC to create the PO, first check whehter all the material code exists or not in ECC.
    4:If some material are not created (only description present) for those material first create the Material Code using BAPI 'BAPI_MATERIAL_SAVEDATA'.
    5: Aftre creation of Material code create the PO using BAPI ' BAPI_PO_CREATE1'.
    6:For the new created material , trnasfre the master record from ECC to Legasy systemso that next time user can see that material in your legasy system.

  • Payment budget is getting updated at the time of Invoice

    I have a peculiar problem in Funds Management. As per the client requirement payment has to made in split i.e. 90% and 10% against the invoice amount raised. But, payment budget is getting updated at the time of invoice itself when i use the profile of 00350.
    It is observed that at the time of payment, the payment budget is not getting updated and updating at the time of invoice creation itself. So, when we developed customised report, we had given payment budget filed to know the current month expenditure. But the problem is as per cleint requiremnt, the payment budget has to update at the time of payment but not at the time of invoice creation.
    Please advice me is there any way to solve this problem.

    This is standard; payment budget is updated during the invoice issue. What is done with the payments is 'payment transfer'; it could be either manual (via FMF0) or automatic - depending on your settings in FM. In your reprots you can define to see only 'cleared' invoices in FM, i.e. those, for which the payment transfer has been completed. However, the availability control will be still performed already on invoice phase.

    As suggested by you i have done automatci payment ransfer in OF29 and made value type 54 as stastical and 57 value type for payments.
