I saw in another post that cash advances from Discover are not recorded as a cash advance on your Discover account, rather listed as just a purchase. Anyone know if this is true? I use my Wells Fargo Visa as my overdraft protection for my checking acount and 14 months ago I used that service. When applying for a CLI that was the reason used for the denial - that I had a cash advance in the last 18 months. I don't know if I could even use a credit card not issued by Wells Fargo as overdraft protection. To sum up: 1) are cash advances not seen as cash advances, but rather just a purchase, by Discover2) are cash advances always looked upon negatively (obv Wells Fargo Visa views them this way or it would not be used as a reason to deny a CLI)3) if the answer to question #2 is yes, would I even want to use Discover as overdraft protection for a Wells Fargo checking account, would Discover see it in a bad way4) since an overdraft is not reported on your credit report, yes the balance is, but I don't believe anyone could determine if a cahs advance was made just by looking at my CR - when I apply for a mortgage could this be identified?

I use my BOFA credit card as overdraft protection for my BOFA account but I normally pay if off before the statement cuts. The overdraft transfers are considered cash advance in this case but it hasnt stopped me from getting a CLI. Regarding Wells Fargo's reason for denial being due to a cash advance I have never heard that.

I used a credit card to make my monthly car loan payment at my credit union thinking I was showing good use, however, I did not realize that it was not a credit card charge. It was my ignorance on credit at the time for not realizing that it mattered how they did it at the credit union counter. With regard to the overdraft protection, I had multiple accounts with multiple institutions, checking and saving, that I don't really need but were set up when I first opened the accounts. I had an auto-transfer set up to take X amount of dollars out of one account and deposit it into another. I then changed the account that my salary is auto-deposited into thus leaving nothing in the account that the transfer was supposed to come from.  Time came for the auto-transfer and nothing was there so overdraft protection was used. Happened once which then kicked me into closing all these extra accounts I don't need - but the damage was done. How much damage, how long it would affect me, and who could see it I did not know thus the reason for my post.

    6)     Clear the vendor invoice booking (of $80) against the cash advance issue of the employee (using t code f-44)

    a)     How do I record a cash advance to an employee in SAP? ( $100)
    b)     How do I record the balance return against this cash advance? ($20)

    You need to create your EMPLOYEE also as a vendor in SAP system first.
    1) First issue a cash advance of $100 from FI side to an employee.
    PK29A Debit Employee vendor $ 100....
    PK50   Credit Petty Cash $100
    2) Employee uses that $100 and do a purchase behalf of the company amounted to $80.
    No Documents at this stage
    3) Employee submits the goods and the bills of the vendor with the balance $20 back to the company.
    PK40   Petty Cash   $20
    PK39A Employee Vendor $20
    4) Now raise a PR and then a PO for the real vendor with PO value $80.
    ME51N & ME21N
    5) Do the Goods receive and then the MIRO
    MIGO & MIRO for the above created PO
    6) Clear the vendor invoice booking (of $80) against the cash advance issue of the employee (using t code f-44)
    Clear thru F-44 of Employee Vendor bal of $80 with real vendor bal $80

    How are *Credit Card*--Cash Advances handled? Can employees add that to their Expense report?
    Example: If the employee takes a $100 cash advance and reconciles the transaction in SAP Expense, we are expected to pay
    Credit Card Provider $100.
    However, how does the employee account for underutilizing that $100 (e.g. $20 remaining in their pocket).
    Does the individual create and link the $80 of expenses to that $100 cash advance and receive a $20 debit to their employee vendor?
    Also, we know that currently there is no MCC Code Mapping in the system for Cash Advance.
    Is there a work around this.

    I had a customer which had this situation. We solved this issue with a BAdI implementation in ERP.
    The traveler adds this withdrawal as a normal expense item which is assigned to special account alias code. The BAdI implementation recongnizes this alias code and removes the expenses and charges this costs to the employee.
    Example:
    Withdrawal        100 USD
    Taxi                     80 USD
    Bus                        5 USD
    Unused                15 USD
    Standard posting to FI:
    Taxi Costs                           80,00
    Bus Costs                            5,00
    Withdrawal                          100,00
    Employee Vendor                                85,00

    No Padmaja, Down payments made can be checked against budget using PS module
    you specify a cost element in IMG to be used in the case of down payments and this is used to update PS module

    When I am trying to clear 2 vendor line items, the system is showing the following error
    "Posting key 37 does not permit specification of a special G/L indicator".
    I had created the first line item by FBCJ, cash advance to vendor with spl. gl indicator and the second line item by FB60 (normal exp invoice) and i m trying to clear both these line items by Tcode F-44. Its not allowing me to post it....How can this be done can anyone guide me on this issue.?

    In that select posting key 37 and put the tick in Special GL Indicator

The advance is paid out to the employee and the payment is debited the vendor account. The actual trip expenses is debited a cost account and credit the vendor account. If the trip expenses is lower than the travel expense advance, there will be a debet post on the vendor balance. This way of handling the surplus of cash advance makes it more difficult to analyze and settle the surplus of the employee.
    The customer wants to follow up the cash advance by special g/l indicator. I have search for how to make this field available in the tables of Travel management where You define the assigment to symbolic accounts in Travel management to accounts in Financial accounting.
    There is a procedure called HRV trip costs posting Advances which would enable this.
    How do You activate this procedure in the IMG?

    Hi,
    The procedure HRV is not suppported by SAP anymore. It was supported up to release 4.6C but removed as it was invcorrect. There is a modification however.

    As I understand from the linked information, standard SAP does not include the use of special g/l indicators regarding cash advance in Travel Expenses/travel Management. The procedure HRV is not anymore valid for this purpose. Right?
    The feature TRVCT, is that a BADI?

    1. Spl GL indicator cannot be used in FBCJ.If cash advance has to be given then it can be treated as normal payment to vendor w/o spl gl indicator. ie select your vendor payment business transaction which will post the accounting entry Vendor Dr. to Cash Cr.
    Employee vendor will get debit to his account in rare case and hence debits, in this case, in employee vendor account could be construed as advances.
    2. If client insists that advances to employees should be identified only with spl gl, then you can create a new business transaction whereby you can transfer the balance to say, travel advance clearing account.Accounting entry would be Travel advance clearing A/c Dr. and Cash Cr. From this account you can make advance payment to vendor using spl gl in transaction F-48. Accounting entry would be Vendor with Spl Gl Dr. to Travel Advance clearing. As a control mechanism you should always ensure zero balance in travel advance clearing account. This is only a work around and not a standard solution.
