Conditional formatting: greatest and lowest values in a column?

I have a column of data, with about 30 rows of values. Is it possible to setup conditional formatting so that Numbers highlights the top three highest values and the lowest three values in the column?

How's this:
1. Create the second table for the large and small formulas. I did one column, you should be able to copy it to the rest of them.
2. Create the conditional format for the first data cell in the first row of your data table (go to the cell inspector and choose "show rules" to get to the conditional formatting pane).
3. Select the cell, Copy Style, select all the other data cells in the row and Paste Style to copy that conditional format to the other columns. At this point, the conditional format in the other columns will be incorrect (they will all refer to the large/small values for the first column), you'll have to modify each manually so they refer to the correct cells in the "large/small" table.
4. Copy Style and Paste Style each of those conditional formats to the rest of the cells in each column.
One caveat: You may get more than three smallest/largest values highlighted under certain conditions. For instance if you have four 1's and "1" is your smallest value, all four would get highlighted. If you have two 1's and two 2's, and they are your smallest values all four would get highlighted. If you have 1,2,3,3 and they are your smallest values you would also get four highlighted. Similar case for the largest values. It doesn't appearthat this would be a problem for your data.

    1) do you have the new office 2008 for mac beta (is it out?), how close is it to the new features in Office 2007 for windows, if you do?

  • Conditional Formatting - Bold the smallest value.

    I have a row of cells with time in them. How can I make the cell with the lowest value - bold?

    As an example,
    If column B is a list of dates&times and cell C2 = MIN(B)
    then the format for all the cells in column B is
    "if equal to 'cell C2' then Bold"
    Whoops, sorry, you said row, not column. Same idea, though.
    If row 2 is a list of dates&times and cell B3=MIN(2:2)
    then the format for the cells in row 2 is
    "if equal to 'cell B3' then Bold"
    Note that there is no "time", it is date and time. If today you enter "2:00" and tomorrow you enter "1:00", the 2:00 is the earlier time. This is because it is tagged with the date you entered it, unless you specify a different date. If this will be a problem for you, you will have to create a separate row that strips the date off of it with =TIMEVALUE(2:2). This will allow you to get the minimum. I'll have to take a few minutes to figure out how to do the rest.

  • Entire row conditional formatting based on cell value

    What is the best way to apply conditional formatting to an entire row based on the value of one of the columns on that row? For example, I just want to highlight the entire row (make it red color) if the value of one of the columns is greater than 0. The method described in the past discussions is just way to difficult to apply in real life scenarios. I think it should work without any tricks as it's just a very basic functionality of spreadsheets.

    The other idea is to make a second table, which has a single column and is as wide as the first table.  This second table will reference the value in the first table which indicates how to shade and is formatted with conditional formatting.  The second table is slid behind the first, AND the first is made transparent.
    - Bottom table refers to original (top) table
    bottom table contains conditional formatting as:
    Now make the original table transparent by selecting the table and changing the background fill to none.
    Now send the second table to the back by selecting the table then the menu item "Arrange > Send to Back"
    Now slide the second table under the original

    Not directly. The conditional formatting doesn't allow any types of formulas, only comparisons to specific cells. Create a cell somewhere that uses the MAX or MIN function to determine the highest/lowest number in your column or row. Then your conditional format will be "if equal to" that cell.

    There are many ways to call attention to a value that needs to be emphasized because of its relationship to other values. What you decide to do will be influenced by how particular you are about the end result vs. the trouble that you will have to go through to achieve it. When other cells need to reference a cell that may be either text or numeric, you can use the TRIM function, or other text functions, to remove interfering characters. Here's an example, where you can see the last row multiplying the previous, manipulated row, by 2.
    Also, all the cells are formatted as Currency, with to ill effect. In the example I left the cells with the conditional format in default alignment so you could see the added space character against the left margin of the cell.
    I think the easiest way to call attention to a cell is to add an adjacent row of column with a conditional expression that 'lights-up' when there is an alarm condition.

    Hi, If you have column A and column B , and for example you want the values of column A to get formatted if the the correspoding value of column B less than a specific value. You just go to Criteria -> Get to Column A -> Column Properties -> Conditional Format -> Add Condition -> Choose your Column B , and then make sure the condition is " Less than the value you want"
    Now, In case you want the values of your column A to be formatted if they are less to the corresponding value of colum B, Well, I don't think it is natively integrated, but still, here is an idea :
    You drag again your column B , so that in Criteria -> Selected Columns , you'll have the columns A - B - B , then, you go to the newely added B Column -> Edit Formula and modify the formula to be ColumnA Minus ColumnB.
    Then go back in selected columns to your A Column -> Column Properties -> Conditional Format -> Add Condition -> Choose now the new column ( ColumnA Minus ColumnB ), and then make sure the condition is " Less than the value *0* "
    You can later, go and hide the colum A Minus B from Edit View in Results.

    There is a need to find the least value of the values in a calculated key figure in the columns
    In rows I have structure and 6 structure elements. The structure elements are 0plant restricted with one plant each.
    Plant / Period Spend / Period Volume / $/case / Best of Best
    1000 / 1000     /   20 / 50 /20
    2000 / 2000 / 100 /20/20
    3000/ 3000/ 70 / 50 /43 /20
    The column $/case is a calculated key figure and I need the best of best column to contain the lowest value of the $/Case column
    This Best of Best column needs to be used in another calculated key figure.
    Anyone who has solution will be awarded with SDN points.

             You can try out by creating a CKF and set the properties for that calculated keyfigure best of best with calculate single value as minimum and also result also minimum, then you can use this ckf in another ckf. if not going to be used globally you can try out by using formulas.

    Per my understanding you have an field which data type may be "float" in the DB, so it have value which format like "2234" and "3562.34" in the same column, now you want to format them differently in the report, right?
    I have tested on my local environement and you can use the expression in the custom format in the Textbox properties to do this:
    Right click the field which you want to add the format and select the "Text Box Properties"
    Select the "Number" on the left pane and using expression below in the Custom format:
    =IIF(Split(Fields!yourfieldname.Value,".").Length=2,"#,###.##",Nothing)
    Or you can just use "#,###.##" in the format.
    Preview you will go the result like below:

    Begin by making Row 6 a Footer Row. You will find that option in the row tab menu that appears when you hover over the 6 tab and click the triangle.
    Then enter this formula in B6:
    =MAX(B)-MIN(B)

  • Navigate from report to dashboard and  pass values between different column

    Hello
    I have a question about navigating from 1 report to a dashboard page while passing the value from column 1 to column 2 in the second report...
    In OBIEE 11G, I create action link on report 1, column 1 and this action link is navigate to BI Content and the destination is a dashboard page, which has column 2 used as dashboard prompt and there are 3 reports all use column 2 to filter. Now the column 2 in the dashboard page is an alias of column 1 from report 1, from user's point of view they are the same, but from OBIEE point of view they are different.
    My action link is able to navigate to dashboard, however, the value in column 1 which I clicked to execute the navigation, does not get passed to column 2 as the dashboard prompt doesn't get this value upon navigation..
    Since I can't put column 1 in dashboard 2 nor can I put column 2 in report 1. Because our data model is done in the way that if I use column 1 or column 2 in both places, it will be circular joins...
    Is there a way around this issue?

    Here is the thing..
    Let's say we have Dimension 1, dimension 2 and fact 1 and fact 2
    In one report, you need to show Dimension 2 and fact 1 so Dimension 2 joins to fact 1.
    In some other cases, you need to shown dimension 1 and fact 2 stuffs, but dimension 1 can't get to fact 2 without going through dimension 2. So Dim 1 --> Dim 2 --> Fact 2
    Then in some other cases, you need to show Dim 1 and Fact 1 reports..
    In means, your model will look at:
    Dim1 --> DIm2 and Dim 1 --> Fact 1 and Dim 2 --> Fact 1.. This is just a simpler version of a much more complex model that I am dealing with now..
    So in this case, you can't just use Dim 1 attributes across the board. For some dashboards, you will have to create alias of Dim 1, call it A1_Dim1, un-join Dim1 with Dim 2 or to fact 1 to avoid circular joins... Then in different reports, you either use columns from Dim 1 or A1_Dim1..
    Now Dim1 and A1_DIM1 are really the same thing, but they are not according to OBIEE...
    So my problem is, in report 1 where Dim1 is used, it can't past values to Dashboard 2 where A1_DIM1 is used as dashboard prompt..
    I want to know if there is a way around this issue

  • Conditional formatting over block structure is not working properly

    Hello there,
    This is on BPC 7.5 NW.
    We have used block structure in one of our reports for Account dimension. i.e. we have used EVRNG function for MemberSet  instead of any other expansion.
    Again in this Block structure we have applied the below conditional formatting for some range.
    The rule is:-
    If the value (which is fetched using EVGET function in this range)
        1. is less than 0.45 then apply Icon1
    Else
      apply
        2.icon2 if values lies in between 0.5 and 1.5
        3.icon3 if value lies between 1.5 and 2.5
        4.icon 5 if value lies between 2.5 and 3.5
    So when the report is expanded, the icons are getting displayed as above conditional formatting only if the number of rows (data range) is less than 1000. If the number of rows exceeds 1000 i.e. then it displays values only not the icons.
    Can anyone please suggest what might have gone wrong here.

    Please find here the screenshot of the conditional formatting used.
    the cell values here are got  by EVGET  function.
    So when the block gets repeated ,if the expansion crosses more than 1000 rows , then we are facing  the issue of getting only values instead of arrows(icons mentioned in the above condition).

  • Is it possible to conditional format more than one cell at a time?

    I'd like to use conditional formatting to compare the value in cell E3 with the valve in cell D3.  Then I'd like to copy the conditional formatting rule I made in cell E3  to cells E4 E5 E6 E7 ETC.  I'd like the E4 to compare to D4. E5 to compare to D5 and so on.  Is there an easy way to do this other than creating the rule for each cell?

    Easier, yes. Instant, no.
    Assuming the only thing that will change in the rule from one cell to the next is the reference to the comparison cell, do this:
    Select all of the cells to be formatted.
    Set the comparison rule to apply to D3.
    At this point all the selected cells in column D will base their conditional formatting on a comparison with the value in E3. The next step is to edit the rules for D4, D5, etc.
    Select cell D4.
    In the rule statement, click on the cell reference E3 to select it, then click on the correct comparison cell for the selected cell (E4 for D4) to replace the reference.
    Repeat with the next cell in column D.

    I am trying to switch from Excel to Numbers and I'm having trouble figuring out the conditional formatting in Numbers. In Excel, cell(s) can be highlighted, font changed, etc based on a function linked to another cells value. That is, cells A1:A4 can be highlighted if cell A5 has a particular value or not. I can't figure out how to do this in Numbers. Is it possible?
