Create a CUP request with no roles

Hello
Is there a a way to create a CUP request only with free text and not with assigned roles? we are trying to find a way to configure that with no luck.
Since the end user does not know which roles he needs the customer asks that he will fill in his request in the free text space
(with the relevant mandatory fields that are in the initial screen)  and the first approver will add the relevant roles based on the text that the user entered in the system.

  Thats correct, there is no feature to force the approver to select roles prior to approval of the request.
In my case we were using default roles so every request created would have minimum set of default roles available in it. Apart from that, we forced the request to go through the Functional Lead stage who would be responsible to check if correct roles have been assigned to the request by the Functional Executive in the previous stage. Also, since the Functional Lead stage used the approver determinator as Role (role owner defined for roles), if there was no role attached by functional executive in previous stage, he/she would not be able to approve the request without any role as it would not be able to find the approver for the next stage and thus the system will throw error.
We also used the organizational process procedures to educate the functional excutive about their responsibilities of attaching roles to the request. So i would say that combination of factors worked for us in this scenario.

    Hi,
    We assign roles to users in production only through CUP requests.. We use GRC 5.3
    Here we have a case where we need to assign one role to  60 users in production(each user may have different  roles assigned in the back end) . I can raise one CUP request for all users using " multi-user" option in Copy request . But when we want to make a risk analysis , it will not show risks at user level as each user had different roles and may get different risks by adding new role.
    Instead it will give risks if any for only that new role which want to assign. Our manager is not accepting as this is not giving complete picture of risks for each user when we add new role.
    Please suggest me if there is any other way where I can make a risk analysis for each user when I created a CUP request for multiple users.
    Or the only solution is to create 60 CUP requests ?? this would be too manual

    thanks for the reply, you are right as per the audit .But suppose if it is for 200 users ,creating 200 CUP requests will be impractical right.
    there should be some solution for this , because there will be many situations practically where we have to assign roles to N number of users.
    Is this possible in GRC 10 ? any idea ?

  • Error when creating a travel request with Advance amount

    Hi Gurus,
    When I create a travel request with an Advance amount and try to save the same, the system throws up an error msg : "Trip country does not exist in the system (T005).
    However, it allows me to create the travel request without this error if i dont enter any advance amount in the travel request.
    I checked the tables V_T706L and V_T706O and found my trip county to be existing.

    The following are the prerequisites for transferring trip costs to accounting.  In other words when you try to create and save a travel request with advance you are involving accounting entries and therefore the following needed to be checked:
    1.Travel Management and Accounting are both at Release 4.5A. If at least one of the systems
    has a release level lower than 4.5A, follow the instructions in Customizing for ALE.
    2. For payment to be effected, vendor accounts must exist in Accounting for the respective
    personnel numbers.
    3. The following Accounting tables must be replicated in the Travel Management System using
    Customizing transports:
      Company Codes (T001)
      Countries (T005)
      Input Tax Codes (T007A, T007S)
      Document Types (T003)
    4. The transfer of settlement results
    More relevant in your case would be the point 3. Countries(T005) not defined in TM.

    Hi,
    Goto RSA1 and then Transport Connection -> In SAP Transports select Object Types-> Query Elements -> Then select Query->Give Technical name of the query and then select for transfer. In the right side you can choose the components which you wanted to transport.

  • Configuring ISR Scenario SRK1 (Create Cost Center Request) with Adobe forms

    Hello,
    I am trying to configure the ISR scenario SRK1 (Create Cost Center Request) with Adobe Interactive Forms.
    However when I am trying to generate the form, it is giving an error TR015(Object can only be created in SAP package)
    Apparently by default it tries to create form Adobe form ISR_FORM_SRK1.
    Even if I change that name to ZISR_FORM_SRK1, it tries to create interface ISR_IF_SRK1 which is in SAP's namespace and I cannot generate the form. I cannot seem to be able to force SAP to use a different Interface name. The field for the interface is greyed out and is not picked up
    Am I missing any step or is there any fix to this problem?

    Hi,
    From the config it picks the formscenario(SRK1) and prefixes the same for adobe form.
    I think the best option would be to copy the Stnadard form scenario to ZSRK1 and proceed. This copy can be done from the config 'Manage Form Scenarios' under this select the option 'Copy form scenario'. This copies the entire config from SRK1 to ZSRK1.

    Can anyone explain why some of our CUP users will see this CUP button in the CUP Request and others will not? Are they missing a UME "ACTION"?
    The button works fine, but it only shows up for some users and not others.

    For Approvers , the button "Existing Roles /Groups" will be visible only when the following "stage" level setting is set
    Change Request Content = Yes
    Add Role =Yes .

    The price is controlled for any item category with the help of the Item Category setting (VOV7 tcode) that is, the field Pricing under Business Data section.
    Select the option X in the Pricing field.
    Now for your case, the setting will be greyed out. as it is a text item....
    To make it for entering any option ....then change the option to A in the Item Type field.

  • CUP 5.3 SP8 - Requests with several roles that have different approvers

    Here is a simplified version of a scenario we are testing in CUP:
    A Request to add 2 roles to a user is created.
    Role 1 has Role Approver1 only
    Role 2 has Role Approver 2 only
    When Role Approver1 logs into CUP to approve Role 1, he still sees Role 2 listed in the screen, even though he does not have authority to approve it. Same thing happens for for Role Approver2. My issue is - I thought CUP would only show the role that that Role Approver needed to approve. I didn't think it would should all roles that require approval.
    I feel I have the stage configured correctly. Role Approvers can only approve at the Role Level; When Role Approver1 approves his Role, everything works great and CUP returns a message saying something along the lines of "Role Approved;  Request pending approval from other approvers." - just like we want it to.
    Again, my concern is that when an Approver sees the screen that shows the role they need to review, it also shows all other roles that need to be reviewed. This may become confusing to role approvers; they might think they are approving all roles when really they are only approving the one in which they are the approver.
    Any info or ideas on how I could solve my issue? Let me know if I need to clarify further.

    However, I'm not clarifying my issue well enough.
    I fully realize the workflow process we have setup. My issue is with the screens themselves, the screens that Role Approvers see when they login to CUP to approve a role. For example, tf a Request has 5 Roles in it with 5 different Role Approvers (1 Role Approver per Role), when they login to CUP, they should only see the one role in which they can Approve. In our case, the CUP screen shows all 5, even though they are only actually approving one of those 5. It is very confusing for Role Approvers. To them, it looks like they are Approving all 5 roles, when in reality, they are not and cannot.
    Does this need to be submitted as an enhancement or is this functionality available in configuration?

  • Creating multiple CUP initiators with the same role (sharing roles)

    Has anyone built a CUP workflow where roles are shared across different workflows/paths/initiators?
    We have a situation where the users have several roles that are in multiple SAP applications and they want the requests for these roles to go down different workflows based on which application they were requested for.
    For example, if role A is requested for application X1, the request should go down workflow A1.  But if the role is requested for application Z1, the request should go down workflow B1 instead.
    I've tried using two initiators that have both role and application (role A AND application X1, role A AND application Z1).  This works fine as long as only one application/role is put in per request.  It sends it down the appropriate workflow, A1 or B1, based on the application and role.
    However, if I try to build a request with two entries, one for each role/application combination, I get that "multiple initiators" error message.
    I guess technically multiple initiators are found for the request overall, but each role/application has it's own path.  It should break this request into two parallel requests, one for each path.

    P.S.  We are on GRC 5.3 SP 11.2.

    So we've run into two CUP restrictions:
    1.  If you want to allow a request to have entries that can split into multiple parallel workflows, you have to use the role names in your initiators.
    2.  If you use role names in your initiators, you can't have the same role name in more than one initiators.
    So basically you can't share roles across workflows, which is what I have been trying to do.
    Is any of this documented some where?  Would have saved me several weeks worth of work.

    Just create a direct update DSO for collecting the rejected records.
    Use the function module RSDRI_ODSO_MODIFY for populating this DSo from the transformation ABAP coding.
    The direct update DSO will be having the rejected records after execution of the DTP and the correct records will be processed to the target DSO (correct records)

    Hi all, I'm working on an IC scenario where we have to create a Service Request based on: functional location and customer.
    This is the process steps:
    1) search for the functional location (FL) and confirm it
    2) confirm the account of the FL (we have a list of account related to the FL, partner function)
    3) create a service request referring to the FL and the Account confirmed in the prev-step
    My need is to find an automatic way to replicate the FL and the Account prev-confirmed directly into the Service Request, without repeat the search.
    Any suggestions?

    Hi Anubhav, thanks for your replay. Your idea is good, but unfortunately our process is a little different. We have to manage with the FL, that is the central item of the Service Request, and with one of the several partner function of the FL.
    So, first, the Agent has to search the FL and then confirm the right Account between the FL's partner (each time we have to create a service request, the Customer could be one of the FL's partner function). Now, I'm investigating if with a Badi, I can transfer the FL confirmed with the Account Identification, directly into the Service Request.

  • Releasing transport requests with job roles take forever after upgrading to Netweaver 7

    Dear experts,
    Some time ago we've out SAP ECC 5 system to ECC 6. Since then, it takes a very long time to release transport requests containing job roles.
    For example, a request containing 154 job roles (1 template and 153 derived roles) took 4 hours to release in our DEV system. Before the upgrade this only took a couple of minutes.
    Afterwards, the import in our QAS and PRD system don't take longer than normal.
    Apparently this time is taken by the Export phase:

    Hello Nicolas,
    What I understood from your description is that ,it takes very long time to release the job. Once it is released, execution does not take much time.
    To me it seems to be background job/work process issue. Maybe all the background work process are busy to execute current jobs and no free work process available for the jobs which are in the queue. In that case, if possible try to increase number of bg work processes.
    Check for any performance issues during that period. Check if there is any locking issue and jobs are stuck because of that.

    Here is a scenario we are experiencing in CUP 5.3:
    A Request was created to add 2 roles to a user.
    Role 1 has Role Approver A and Role Approver B
    Role 2 has Role Approver X and Approver X 
    In my final approval level when Role Approver A logs into CUP to approve Role 1, he still sees Role 2 listed in the screen, even though he does not have authority to approve it. Same thing happens for Role Approver X.
    My issue is if anyone of the role approvers approves the request, both roles (Role 1 and Role 2) are assigned to the user master.  (Here the system should have said request pending approval from other approvers, but it didnu2019t)
    The additional configuration on my final stage of approval says approval type =  any one approver.
    I figured that I if I change this setting to u201CAll Approversu201D it would work (and it did), but now the request wants to be approved by Role Approver A and Role Approver B for Role 1 and the same goes for Role Approver X and Approver X  for Role 2
    When I do the above change the system tells me that the request is pending approval from other approvers
    Do you have any ideas on how I can solve my issue?  Please let me know if I need to clarify further.

    Jacklyn,
    I guess you want to use the second approver on each role as the secondary approvers (when escalated the request will go to these approvers), but instead you defined both of them as primary approvers, so you need to add both the second aprovers on the roles as secondary approvers instead of primary approver and reroute the request for role owner stage. This should fix your issue.

      I am hoping to solve a problem by interrogating the HR and SAP users tables in the ECC backend, and then in some cases, creating CUP provisioning requests to delimt specific user roles.  I am not aware of any functionality that allows creation of requests other than HR triggers or manual data entry.  (HR triggers do not satisfy our need as we are doing direct provisioning, so we must explicitly specify roles in the request. ) 
    Has anyone done this before?  Any ideas.

    Start with the test option in web service explorer to find out which items you need in the request.
    Roles must still be imported in CUP. You'll need about the exact same configuration in CUP like for manual requests, the web service will basically just fill out the request form.
