Documenet reviews using Acrobat

I am trying to introduce the comcept of pdf reviews to replace the current paper based document review system we have in place.
The reviewers are not necessarily on the same network as we are and there isn’t a comments server setup anywhere.
I am sending the review requests as email requests, however, some of the recipients get the “Send Comments” option on the commenting tool bar and some don’t.
I am using Acrobat 8 Pro to generate the PDF and the recipients have a mixture of Acrobat Reader 8 and 9.
When I generate the pdf from the Word document I set the option for "Enable for Commenting" and I don't understand why some get the option to return the comments and some don't.
Any help is most welcome

The option of using Acrobat.com for the "Comments server" is not possible at this time, as the company I contract for is not keen to have their documents exist outside their network. The exception to that of course is when they send these document to their clients or contractors for review. At present they still use a paper based system and I am trying to introduce and show them the benefits of electronic reviews.
I am using Acrobat 8 Pro
The steps I took are as follows:
1. From within Word 2003; Convert to PDF and send for review

2. Follow the Wizard and enter the email recipients
The results were as follows:
Users of Adobe Reader 9.4.1 did not receive the "Send Comments" option.
Users of Adobe Reader 9.3.3 did receive the "Send Comments" option but it looked like the screen dump below, rather than a button on the Comments and review Toolbar.

Users of Adobe Reader 8.2.3 did receive the "Send Comments" option as a button on the Comments and review Toolbar.
I also tried using the "Convert to Adobe PDF and Email" option for the user of Adobe reader 9.4.1 with the same result. When I tried to customise his Comments toolbar the dialog showed as follows, with the message "*Only available when document rights are enabled":

  • Document Message Bar does´t shown up in shared review using Acrobat 9 Standard

    A "send for shared review" pdf file is stored on a network folder using
    Acrobat 8/9 Pro/Std. The file is shared review enabled and is storred correctly.
    If the file is opened by Acrobat 9 Standard the yellow
    Document Message Bar (DMB)does not show up.
    Opening using Acrobat 8/9 Standard or Pro works fine and presents the DMB,
    only Acrobat 9 Std fails.
    Doing a review without the Document Message Bar is clumsy, so
    any help is very welcome.

  • Mac using Acrobat Pro v9 can't connect to shared review hosted on Sharepoint server.

    A person at our company has a Mac with Acrobat Pro v9 and can't connect to our shared review hosted on a Sharepoint server. The shared review is initiated from a PC using Acrobat Pro X.
    They can access/login to the Sharepoint server via Safari on the same computer both inside the company and from outside.
    They used to have it working just fine for months, then suddenly (recently) it stopped working and it just keeps saying that it can't connect.
    When trying to connect, Acrobat doesn't ask for credentials. I've tried hunting down where those credentials are stored to try and delete them to force it to ask again, but no luck there either.
    I also have a Mac (but I'm running Acrobat Pro XI and now DC) and I can access the same shared review that doesn't work for them. And I can't seem to break it for me (as an effort to figure out their problem).
    Any helpful guidance on how to get things back on track would be greatly appreciated. My head hurts from beating it against my desk. :-|

  • Does the Shared Review Feature Work Using Acrobat X Pro with Win7/Office 7?

    I see there is a new version of Acrobat. We recently upgraded to AA9 but found it didn't support Windows 7/Office 2010. Shared review didn't work.
    I checked out the specs and FAQs for AAX but am not clear if it does or does not support Shared Review running on Win7 using Office 2010. It says you can create PDFs using Office 2010 but is vague about the Shared Review feature.
    We won't invest in yet another upgrade if AAX doesn't support Shared Review. Can someone let me know if it does or does not support the feature?

    I downloaded the trial version of Acrobat X Pro to test the features that should now be supported with Win7-64bit, particularly the Shared Review. X still does not suppor this unless there some configuration I am totally missing.
    I tested sending out a doc as an email attachment for shared review and Acrobat X still does not recognize MS-Outlook as my default mail client, thus the feature doesn't work. This is the exact same thing that happened in Acrobat 9 - I get to the step where I add email addresses for the review and - boom - Acrobat tells me there is no default email client. I double and triple checked and MS-Outlook is definitely the default mail program on my machine. So Acrobat is still not recognizing it.
    So, does this feature NOT in fact work yet with Windows 7 64-bit or is there a special step I am missing?
    I tried and checked the following:
    - Uninstalled Acrobat 9 and then installed the FULL trial version of Acrobat X Pro, rebooted and so on.
    - Checked that MS-Outlook is my default mail client.
    - Tried entering the email address manually into the To: field for the Shared Review and that didn't work.

    Shared review using server acrobat.com works fine. However, when using Sharepoint as server the testing fails and it is not possible to finnish the set up of the shared review.
    This is pictured in(bild1.jpg.) As the return code is Status: undefined it is not possible to proceed.
    However, when looking into the sharepoint site a file called com.adobe.acrobat.sharepoint has been created as shown in attachment2 (bild2.jpg)
    When this file is opened it contains the following text written by acrobat; Testing Writeablility
    It seems like the test has been done sucessfully but that Acrobat is not able to read/understand that.
    My Acrobat 9 is swedish version but the 'Testing Writeablility' is in english regardless of if I create a Sharepoint site in swedish or english.
    Please help me out.

    The login names of the sharepoint server is not controlled by my organisation. Sharepoint is hosted.
    At the time initiating the review when Sharepoint is presenting possible locations (shared documents libraries) for the review then I need to login
    using credentials very much diffrent from the windows credentials.
    They are of course also diffrent from the identity that Acrobat itself is carrying from the acrobat.com?
    This situation is the same for for the reviewers that has no problem.

    PS do you have a suspicion that windows credentials or Acrobat credentials are thrown automatically at Sharepoint although I have logged in
    at the time of finding possible review location.

  • Using Acrobat PDFMaker Bookmark Options

    I am using Windows (7 64-bit) and Word 2007 (SP2 MSO). I am using Acrobat 9 Pro (9.4.1) to convert a Word document to PDF. The bookmarks created in the PDF document are for all Word Heading styles (H1, H2, H3, H4, H5). However, on the Bookmarks tab of the Adobe PDF Maker, I only selected 3 heading styles (H1, H2, H3) for bookmarks. The Convert Word Bookmarks check box is NOT selected.
    This is a very basic PDF feature, so I am puzzled as to why it is not working for me. Any suggestions for settings I should review in Adobe Acrobat? Microsoft Word 2007? Windows 7? Are there certain features I should have selected when I installed Adobe Acrobat after my system was upgraded to Windows 7/Office 2007?
    Over the past 6+ months, I have researched a lot of sources and I have been unable to find a solution to my problem. (I do not want to make any manual changes to my Word styles (i.e., changing the Outline Level of styles - which I can't do because I am having issues with default Word heading styles.))

  • API for Shared Review in Acrobat SDK

    Hi,
    I would like to implement the functionality for Shared Review programmatically.
    Right now we need to open each pdf file select Comments -> Send for Shared Review in Acrobat Professional and follow the steps in wizard.
    I am looking at achieving the above steps programmatically so that I need not open each pdf individually and run through the wizard. For this, is there any API available either in Acrobat 8.1 or 9.0 SDK which I can make use of and build an automatic service.
    A swift response is appreciated.

  • Shared review using internal server

    Hello - I am using Acrobat 9 Pro on Mac OS X Version 10.6.8, and experiencing difficulties with shared review PDFs, a tool that I have used frequently in the past with our internal servers.
    I don't believe it's an issue with our server, as the other designer who uses shared PDFs is working with the same system and software, and  hasn't experienced any difficulty with creating and viewing comments on shared PDFs.
    Some of the errors I've been receiving are:
    "Acrobat cannot connect to the Review Server"
    "Could not get new comments. One or more files are missing on the server."
    Is there a preference somewhere for shared review PDFs, & server preferences for Acrobat, that I should check?

    Can you find any additional information in the Acrobat Tracker?

  • Shared Reviews in Acrobat 9 Never End if File Kept Open

    It appears that an Acrobat Pro 9 shared review does not really end until everyone has closed the document, even if the deadline has already passed.
    Here are the details:
    1. Using Acrobat 9 Pro I created a shared review that is hosted on a local network share
    2. I select to email each participant a copy of the PDF as an attachement
    3. Each participant is using Acrobat 9 pro
    4. As the initiator I can either set a deadline or use the end review now option
    5. Participants are notified the review has ended and are told to publish their comments (in the bar on top)
    6. Participants press the publish button, their comments are published, and the Publish button greys out
    7. If the participants keep the document open, they can just make any other comment or markup and the Publish button enables again. They can publish the new comments. This will happen as long as they keep the document open - minutes or even hours after the review has ended.
    8. As the initiator, if I close the document and reopen it, I automatically see all comments, even those made after the review has ended
    9. The only way a participant is stopped from commenting is if they close the document and reopen it. At this point they can no longer publish any comments.
    So it appears every participant MUST close the document in Acrobat - something that is very hard to guarentee.

    You would need to first set some javascript globals from your VBA code and then call your menu item.

  • Can't add additional reviewers to a review using review tracker

    I'm using Acrobat 3D 8.1.7 in Windows XP.
    We love the shared review, but have found this tool to be a bit balky.  Reviewers are able to add their comments and I am able to retrieve them and the server status is fine while I am retrieving comments. However, when I click on Review Tracker and get the window that displays the updated reviews, reviews I've sent, etc., it always shows the server status as not currently connected.  Under Review Servers, it always shows the red button which indicates that I'm not connected, but if that's true, how am I able to get my comments from the reviewers?
    When I select a pdf from this page, I am given the option to email all reviewers or add reviewers.  The email all reviewers works fine, but I'm unable to add a reviewer.  When I click it, I get an e-mail with either a link to the shared review or a pdf as an attachment.  There is a prepopulated message in the body of the e-mail.  However, it just doesn't send, but hangs.
    Can you help me figure this out?

    I don't know if that is the case here, but it seems like you cannot add an additional email address if it is already in use with an Apple ID - so in case your daughter uses her address with her Apple ID, that is why you never get a verification email. I had the same problem and after a long time I stumbled across this. Why one cannot simply receive an error message informing about this, is beyond me. Would simplify things a lot. Or, alternately, Apple could add that info when you try to add a new address. Details.

    So I tried generating the same PDFs on two other computers that have Acrobat 9 Pro.  Results were reproduced.  The verdict is:
    - complex PDF files (that is, containing cross-references, tables of contents, and bookmarks) generated by Acrobat 9.x Pro are roughly 2-5x larger than the identical file generated with Acrobat 8.x Pro.
    - different PDF conversion settings make a negligable difference (less than 10% rather than 70-80%).
    - using the "Reduce File Size" or "Optimize PDF" option cuts the file size roughly in half, almost always resulting in a "image downsampling mask" warning message, which requires acknowledgement (that is a problem for batch processing or automation).
    - adding an Acrobat watermark to the file cuts the file size roughly in half.
    - just using Save As to another filename has no effect on file size.
    - generating the PDF in Acrobat 9 with links but no PDF bookmarks still results in the inflated file size.
    - generating the PDF in Acrobat 9 without any links or bookmarks results in approximately the same file size as the Acrobat 8 PDF with full links and bookmarks.
    It appears that Acrobat 9's manner of adding links is what's bloating  the files, and in my case it's probably not related to images or image resolution/print quality.  It's a shame, because Acrobat 9 seems to have made some  improvements to the Review Tracker interface, and a few other bells and  whistles which I haven't really gotten around to exporing yet.  But  unless I find a way to keep my links and the PDF file sizes comparable to what I was  getting with Acrobat 8 Pro, it looks like I'm going to stay with Acrobat 8.

    I'm aware that my 6.0 acrobat is way out of date.  But I thought I created a fillable form a few years ago using it.  But in that case it probably was a PDF going into the process, not a scanned form.  Also, I was using vista at the time and now have win 7/64bit.
    I'll try the OCR routine but your post suggests what I suspected, that I can't get to where I'm going from here.

    As Acrobat 6 went out of support / obsolete many years ago you'll want to be sure the OS is compatible and the scanner software is compatible.
    Use Acrobat's create PDF from scanner feature (review the Help file if needed, the Help PDF was installed when Acrobat 6 was installed).
    So, you'll now have that PDF.
    But, it is not yet a form PDF.
    The scanner output is an image so you have an image / a picture as the PDF page content.
    You may want to use Acrobat's OCR feature to provide a hidden layer of renderable characters.
    Use Acrobat's form tools to build your form. As Acrobat 6 is long ago gone by I don't recall if it had a "form wizard". Check the Help PDF.

  • Intermittent problem with Email Review for Acrobat Standard 9

    We're using the Comment & Mark-up tools in Acrobat to co-ordinate reviews of document deliverables.  In the main we're working with Acrobat 8, however following a PC upgrade a colleague is now on Acrobat 9.  I should be upgrading soon and may have more information of what's exactly happening then if I also get this problem - however from my investigations I can advise the following symptoms which I'm hoping someone may be able to help with.
    The problem is that an email review appears to be successfully set up and is sent via email client, however when the review is completed and email responses are received by the review initiator the 'Merge Comments' dialogue is not available.  So far there doesn't appear to be a pattern to when this problem occurs but the majority of the time the process works smoothly with returned comments merged into the original file. In looking into the problem I can see that the docs that have this problem are not present in the review tracker, even though the review is successfully sent by the originator and the recipients have the 'send comments' button available so some aspects of the review have been successfully been set-up but obviously not all.
    The workaround is to export the comments to a datafile and import to the original file, but this can be a real grind where a large review team is involved.
    Any thoughts on what might be happening or pointers to assist the fault finding will be greatly appreciated.

    We need some more information from you on this.
    1. After initiating the review, do you see a 'Send Comments' button in the  Comment and Markup toolbar?( If you don't see  it then go to Comments > Show  Comment & Markup Toolbar).
    2. Also, could you please provide us with a copy of your Workflows file, for  win-xp it is at the following location
        ...\Documents and Settings\<Username>\Application  Data\Adobe\Acrobat\9.0\Collab.
        Please mail the workflows file in this folder to richaa#adobe.com(replace #  with @,forum rules).
    Also, are you using Acrobat 9 installations that have have been customised for internal distribution. If so, you maye like to verify if any collaborate and/or review functionality has been modified.
