Duplicate Document number in Document Draft while sending for Approval

Hello Experts,
In Purchase order when we create document and send for approval ... if in a single day we create 25-30 Purchase orders, system assign same number lets say: 120011 to all the 30 documents created in a single day.
is there a way we can give unique number to all the PO drafts being created and sending for approval ... ?

Hi Shazad,
The document number that you refer to works as follows. If you go into Purchase Orders, it will say that the next purchase order number (OPCH.DocNum) will be for example 345. When you're done capturing the information and go to File > Save as draft, the same screen appears again and you can add another draft.
Seeing that the first draft didn't actually create a purchase order, but only a draft, the next available number is allocated. The next available purchase order number is still 345.Only you add a actual purchase order will the number be changed again.
Internally in the SAP database, the DocEntry field of the draft contains the actual draft internal number. You can view this number if you open the drafts. Draft No is unique, but document number isn't and doesn't matter until the actual document is added.

    Good afternoon.
    If you are trying to run a report for a particular cost center (or range of cost centers) and have the report show the GL document number and document type, try transaction KSB1.  You can update the line layout to show these fields.
    If you are trying to run a report for a GL account and have the report show the cost center, run FAGLL03. You can update the line layout to include cost center.

    We are implementing Public Sector Budgeting module. When we create an worksheet and try to submit for the approval the submit worksheet is disabled.
    and if any one can differentiate wat is the difference between global worksheet and local worksheet.
    Some more doubts are
    - Is The approvals will go to notifiers available in budget group or review group notifiers
    - In worksheet line items cannot be visible. Even in parameter set i ve entered the line items..?
    Since this is an rare module which was implemented in metalink we can find less number of documents.
    Can any one can provide process document, BR 100, TE40 likewise..

  • STS: Why manager can still send for approval?

    Hi Folks,
    Could you kindly help me on this matter ?
    Why on the STS, I'm working on it now, the manager (the position is highest) stll can send for approval ? In my opinion, he should only be able to approve / reject.
    If I check under that user ID, it has authorization for: R_STS_PT, R_STS_SUP, R_STS_CUST. Is it caused by this ?

  • In Ap invoice grid is showing no value when send for approval

    Dear Experts,
    There are 3-4 purchase invoice send for approval when it is open by approving authority the detail grid i.e. where the item details are shown is blank only gross total and net total in footer is showing value and header values.
    This all four invoices are of same vendor, invoices punch after those invoice are showing proper values.
    what could be the reason ?

  • Validation at "Save and Send for approval" in Create Expense Report

    Hello gurus,
    I have an issue where in at Create Expense report we have two options:
    1. Save
    2. Save and Send for Approval.
    When this trip is SAVED and SEND FOR APPROVAL the validation should trigger and error message should appear if expense type XXXX is used in any of the line item of the trip.
    I have been told that this can be done by  user exit at the backend level. But, at the frontend we will have to make some changes as well.
    I know WD JAVA, but a little short on knowledge in WD ABAP.
    Could you please help me by telling me as to how to do a validation in this scenario or even if its necessary to do it ?? I mean, is it possible that the backend validation will hold true if someone will create a expense report from the frontend as well ??

  • Payment document should be grossed up while sending payment file to bank

    Hi All Gurus
    I have a critical requirement which iam mentioning as below
    After the payment run system is generating the payment document as per business area wise for each vendor properly,
    and the same file has to be sent to the concerned bank and my client requires that , while sending the file to tha bank the payment documents should be only Vendor wise but not by the business area wise,
    since it is very expensive to the organization, if the payment documents are send by business area wise will be charged more comparing to the single document per vendor
    Can any body please suggest me what changes has to be made in configuration or Program as an earliest

    Yes Robert you are right,
    If you select the tick box the SAP system will generate a seperate line as per business area.
    But business requirement is :
    User wants both, after executing the APP,payament document should be generated in seperate lines for all the involvesd business areas, where as in DME file it must summerize the value of a particular Vendor,

  • Insering Material document number which is created while posting MBGMCR02

    Hello Friends ,
    i have a requiremnt to insert the material document(mblnr) which is created while by  posting  the MBGMCR02 inbound idoc for
    post goods issue .the requirement is to insert the MBLNR at weo5/we02 at status records.
    message type MBGMCR .
    For example the system will show the status message as 53 if idoc is created successfully and below that the 'message : BAPI EXECUTED SUCCESSFULLY its showing , instead of this message i wanted to show the new MBLNR number there .'

    For material document there is a corresponding accounting document number generated.However this is not the rule in all cases.
    Where is the link between the two(Material Document & Accounting Document) ?

    STEP 1
    SAP query way to extract your information.
    Create an infoset SQ02 with a single table MKPF. (include key fields in the field group)
    Step 2
    From Extras
    Create an additional field called zawkey (like bkpf-belnr) which will concatenate the MM document number MKPF-MBLNR and MKPF_MJAHR. The sequencing shall be number 1.
    You may use this code below and paste also (this needs authorization as well)
    data: zzawkey like bkpf-awkey.
    clear: zawkey, zzawkey.
    concatenate mkpf-mblnr mkpf-mjahr into zzawkey.
    zawkey = zzawkey.
    Add another field called ACCDOCNO (accounting documnet number) with sequencing number 2 with following code.
    data: zaccdocno like bkpf-belnr..
    clear: zaccdocno, accdocno.
    select belnr from bkpf into zaccdocno where
      bukrs = ccode and
      GJAHR = MKPF-MJAHR and
      awkey = zawkey.
    endselect.
    accdocno = zaccdocno.
    Step 3
    Include the additional fields  into the field group.
    Step 4
    Click on the selection tab and create a parameter called ccode with a description Company Code and  against
    LIKE    BKPF-BUKRS 
    Extras  OBLIGATORY 
    Step 5
    Click on the selection tab and create a seelction criteria pdate with a description Posting Date for the field MKPF-BUDAT
    Extras  OBLIGATORY 
    Step 6
    Save, Generate and assign the infoset to a user group.
    Step 6
    Create a SQ01 query under the usergroup with all the fields in the infoset. and Execute. Enter a company code and one date of a working day where you expect material transactions.
    The result will be all the material documents and their corresponding accounting documents, if available. If you want to see only those material document that do not have corrsponding accounting documnet, then while you are in the selection screen say accounting document number is not equal to blank.

    i have a problem i.e. how to display cash document no in document posted in FI. for example we have posted cash payment of conveyance incurred through FBCJ and took the receipt print out. at this time system generate cash doc. with some internal number and when we post this it create FI document whose number is different.
    now we want a report either through standard T code or at table report which display both number with detail of expense detail.

    Hi Rajesh,
    If I have understood your requirement correctly, you are looking for Internal Document No. of Cash Journal in the posted FI Document.
    For this go to table BKPF, enter your FI Document No, with Company code and Fiscal Year and check the field "AWKEY" Reference Key field.. You will get the Internal Document No. of Cash Journal here concatenated with cash Journal and Company code.
    If you want something in addition to this.. try to link the TCJ* tables to get that.

    Please check the below which will help you achieve same document number:
    SAP gives you customizing options to make both document numbers the same. The solution lies in the number range assignment of the MM and FI document. You need to configure the MM document number assignment as internal and external for the FI documents. (FI documents are set up with external-assigned numbering, while the MM document has internal, or system-generated, numbering.) In this case, the MM document number is passed on to the FI document, which means that the number of the FI document is identical to the MM document.
    Because the document number assignment in MM is not company code-specific, in contrast to the FI document, you need to take the following points into consideration before using external document number assignments for FI documents. They have the following effects on your system:
    Continuous number assignments for FI documents are not guaranteed, especially if you have more than one company code.
    The document number ranges in MM and FI have to be the same for all company codes.
    In Release 4.6C, you need to use internal number assignments for revaluation documents, invoice reduction documents, Evaluated Receipt Settlement (ERS) postings, or reversal documents. There are no restrictions as of SAP Enterprise 4.70.
    Use a different number range assignment for FI invoice posting (FB60), because FI invoice postings usually use internal number range assignments and the postings originate in FI, not MM.
    If you use document parking and the number range intervals are fiscal year-dependent, you cannot change the posting date of the document if the fiscal year is different to that determined for the previous posting date. In this case you have to delete the document and re-enter it. There are no restrictions for fiscal year-independent number ranges.
    What do you do if you have already posted thousands of invoices in your system and the numbers are already different? In this case, you need to find unused number range intervals in MM and FI. Since most companies do not change the SAP standard delivered number ranges during the original implementation, number range interval 52 is usually available in MM and FI.
    Now let's look at the detailed customizing steps. With the following customizing steps, you can align the MM and FI document numbers going forward only. No fix is available for invoices already posted in your system, since SAP does not allow the change of document numbers.
    Step 1. Maintain FI document number range. Use transaction OMR4 and go to Number range for document types in FI. Select the company code for which you want to create the new number range interval and click on the change interval button. Insert a new document number range by clicking on the insert interval button on top of the screen. In this example, I created number range interval 52 with the document numbers 5200000000 u2013 5299999999. Don't forget to set the external number range check box (Ext).
    Step 2. Assign FI number range to FI document types. The second step is to assign the number range created in step 1 to the FI document type for invoices. Again use transaction OMR4 and go to Document type. Double-click on the document type, which you are using for LIV invoices. In my example, I used the SAP standard document type RE. In the number range field, assign the new number range interval 52.

  • How to get the final document number?

    How do I retrieve the document number of a document (e.g. delivery note) that is just added?
    Currently, I use the following event listener:
    [B1Listener(BoEventTypes.et_FORM_DATA_ADD, false)]
    in which I retrieve the document number by reading out the text field on the form:
    EditText text = (EditText)form.Items.Item("8").Specific;
    string deliveryNoteNumber = text.Value;
    This works perfect if only one person is adding documents.  But if two persons are posting a document, they both see the same (temporary) document number in the form while entering the data.  The latest person who finalizes his document, will get another number than the one that was displayed in the form (because the first person already used that number).  So, how can I retrieve the number of a document that is just finalized?

    You can use the "ObjectKey" property of the BusinessObjectInfo object returned by the form_data_add.
    Catcth the event with BeforeAction = false - after the add event has successfully happened. Then you will see the ObjectKey property of the BusinessObjectInfo object will have an XML string in it. Inside that XML you can find the DocEntry of the newly added document, you will just need to parse it properly!

    I am trying to enter invoices using miro with two different company codes , one has document number in the header while the other doesnt . Can you please tell me how to bring back the document number in the header.
    The document number option itself is not showing in the header for the other company code.

    We have two company codes X & Y
    If I run MIRO with X Company code its showing the option in the header for entering the external number .
    Whereas in Company code Y , its not showing the option wer as the external number assignment is mandatory for this company code as well .

    I am working on a project where I need to send a URL to the user in his email, the URL contains the document number in it. when the user clicks on that URL a webdynpro application will open with data prepopulated based on the document number, now what I want his how can encrypt the document number in the URL when sending it to the user. so basically the user who gets the URL should not be able to see the document number in the URL.

    Thanks again for the reply and now I am able to encrypt and decrypt my document number... one more question please : will it be possible to chnage the whole URL to some basic message type URL for eg:
    let's say our URL is "http://testdoc/post?mssg" and I want to change this to as "OPEN DOCUMENT" and when user clicks on ""OPEN DOCUMENT" it will still direct to the original destination that is our original URL.
    I have been told that we don;t want to maintain custom table until and unless it's our last choice.
