E-Mail notification in Change Request by approval

Hello out there,
I'm trying for days to set up an automatic e-mail notfication for  my change request transaction by workflow.
My aim is to trigger an email notification by saving after setting the approved activity.
I tried it with following  workflow conditions:
E.g. by setting schedule condition on status "validation - E0014"  and start condition on status "release for approval - E0012" everything works fine.
So I think the problem is the status "approved  - E0004" ... maybe 'cause it isn't set by actions like the other statuses?
Any ideas?

P.S.: Solution Manager CHARM is driving me to insanity ...

Problem is solved.
The conditions were alright ... the problem was that change manager and requester (both test users) got the same e-mail address so nothing happened.
After changing requester's mail everything works fine.

    I am facing problem with the automatic mail notification in service desk configuration.
    When i create a support desk message in the satellite system, the message appears in crn_dno_monitor in solution manager. When i change the status of the message from new to in process, i get a mail only with the subject line "MESSAGE IN PROCESS STATUS' and the pdf attachement (sapscript) is missing. I have checked all the configurations in SPPFCADM but i am not able to figure out the problem. Please help me out of this problem.

    Hi,
    there is a SAP Note with a tutor for send_mail via action. See Note 691303 and the attached .zip-file.
    It shows step by step how to set it up and is a very good tutorial. You'll need additional (free) software to let it run.

    @Sowmya: what content does the mail have? None? There is a possibility in SolMan where you can choose whether you want the content as a .PDF-Attachment (which, in my eyes, isn't that sparkling) or as regular mail text.
    It is located in TA SCOT. Double klick on "SMTP", then klick on "Internet" and there choose in the Drop Down Menu of Sapscript. When you have trouble, look at my [screenshot|http://home.arcor.de/dirk.malas/solman/Mail_TXT_PDF.JPG].

  • Confirmation of Support notification and Change request.

    Hi Guru's,
    In my clinets landscape we are using ChaRM for Change requests and Urgent correction. We have two situation here to handle.
    1. I (Change Manager) should only be able to confirm a support notification if all the dependent/subsequent change requests have been confirmed
    2. I (Change Manger) should only be able to confirm a change request if all the dependent/subsequent urgent corrections have been confirmed.

    Hi,
    you can customize that your change request will automatically get a new status if the linked urgent correction reached a specific satus.
    You can then do the same with support message and change request. This will lead to a chain where your support message is confirmed automatically if your urgent correction is confirmed.

    I have my CUP working in such a way that role owners are able to go to their Inbox in UI>My Home . However I would like to send E-mail into their Inbox . Right now we are getting the e-mail only at the end of the request when the request is completed.
    What should be configured in MSMP ?  Following notification events defined for Process ID Access Request Approval Workflow
    Notification Event : END_OF_REQUEST Template ID : GRAC_AR_SUBMIT Recipient ID: Requestor
    For the stage Config ID GRAC_ROLEOWNER notification settings are :
    Not .Event : NEW_WORK_ITEM  Template ID : GRAC_AR_NEW_WORK_ITEM Recipient ID : Current Approvers .
    What else do I have to do .

    Hi,
    You will need to make sure that the submission and new work item notifications are activated in MSMP at the various stages and also make sure that the approvers are marked for both approval and notification at the agent assignments.
    I would also check to make sure that their emaill addresses are maintained correctly in the GRC system (the data sources will not pick up the approver email addresses automatically).

  • Mail notification at value placed at approver field in Additional tab

    Hi SAP Gurus,
    in the business  based on the document (DIR ) we are creating there will be specific person responsible for approving the document.
    so we have created a characteristic values in additional tab field, having the list of names / values of approvers,
    so while creating the DIR the user will select the relevant approver who is suppose to approve the document, here the requirement is based on the characteristic field value in DIR,
    that particular person should get a Mail asking him to  approve the document.
    how to go about this, can standard work flow solve this requirement, or should we have to go for development in Workflow to meet this requirement, will the value at additional tab act as a triggering point for Mail generation to specific user? i have not worked with Work flow.
    please explain in detail the steps to meet this requirement.

    The complete requirement is the client needs  to check the values in Characteristics  (the users) with there credentials, just like the funtionality provided in field USER in document Data Tab,
    and he will place the relevant Users (one or many) and the mail has to be triggred to each of the reviewers and the document approvers based on the value placed.
    (here not placing any values in Characteristics and only ging by Work FLow, it  will not give any record in the DIR who are the Approvers or reviewers of that particular Document, so it is required for reporting purpose also)
    so it is two requirement,
    1) search criteria in the values of Characteristics just like that is available in the field USER in document Data Tab (just exactly the same no compromise)
    2) Mails to the users placed in the Characteristics automatically to review, ( which could other wise be done through Document distribution)
    there is still more to share with you all in the class and classification requirements.

  • How to configure mail notification on a folder content change?

    Hello,
    I would like to configure a mail notification whenever a certain folder's content changes. In order to acomplish this I did the following:
    1. Configured new email Channel with the exchange address.
    2. Assigned this channel to the Notificator service.
    3. Subscribed to the requested folder with "Every Event".
    The problem is that I don't receive mail notifications on change. What am I doing wrong or missing here?

    Don't use exchange.... use an SMTP hostname if you have access to one!
    It is a lot easier as all you need is the hostname of the SMTP server without having to worry about authorizations.

  • Better way of Sending E-Mail Notifications -- Workflow or Function Module ?

    Hi All,
    I have an implicit enhancement written in a t-code and based on some conditions I am creating event which inturn will trigger the workflow which inturn send e-mail notification via send mail step.
    My question is:
    Which one of the ways is better in terms of performance or overhead to send an e-mail notification. (There are no Approval processes in the workflow.. Just One Step E-mail Notification).
    1) In the Implicit Enhancement, Trigger an event which inturn will trigger the workflow and e-mail is sent via send mail step.
    2) In the Implicit Enhancement, Send the e-mail notification via standard function modules available... such as
       "SO_OBJECT_SEND", "SO_DOCUMENT_SEND_API1".........
    Would be grateful if someone can post the Advantages and Disadvantages in the above 2 ways of sending e-mail notifications..

    Just to throw in some additional factors, consider exception handling:
    An event-based send mail step is decoupled and thus independent of your application. This means your exception handling is separate. It means you do not need to hold up the transaction if there is a failure. All this depends on how important the mail is. You could of course add validation code to ensure the mail address is valid and send it elsewhere if not.
    Regarding performance, consider how often this happens. If it's an infrequent occurrence then I wouldn't worry about performance. Hundreds or thousands a day is a different story.
    So the answer is:
    Workflow for low-volume scenarios (low performance impact) that are important (better error handling in WF),
    Direct mail for high volume and noncritical
    In between these, use whatever you like
    One more thing to perhaps consider the future. What are the chances of the mail being replaced by a work item in furture? Sometimes it's only by observing a process after go live that you can identify the best solution. e.g. you may decide to replace the mail with a "Please go fix this" work item because you need deadline monitoring

  • Disabling E-Mail notifications

    If I want to disable the E-Mail notifications for e.g. when approval is needed, can I configure this inside the IdM Admin Website or do I have to customize the the workfow?

    Then I get a big error message when creatin a user...
    Can I disable these error messages?

    Hi experts,
    I configured the workflows in CUP and now im trying to configure the email notifications . The CAD's that I've set are:
    1. Request Petitioner
    2. Internal Control
    3. Security
    and the approver determinator for each stage are:
    1. Petitioner
    2. Internal Control
    3. Security
    So, I need to know two thinks:
    1. Could the person who submits a request, send it and approve with a single mouse click?  given that the same person must submit a request and then approve it, would it be possible to perform both actions at once?
    2. I would like to set e-mail notifications to the appropiate role owner, it 's possible? The problem is that we don´t set the role owners like approvers determinator.

    Hi Marta,
    In answer to question #1:  You could possibly achieve this by changing your workflow but I do not think you want to do so.  You would have to guarantee that submission was always done by those that approve the first stage in you workflow.
    Question #2:  I am not sure I understand what you would like to do.  From what you state, I am assuming the Role approvers are stored in the Role file (CUP >> Configuration Tab >> Roles >> Search Roles/Create Roles) and not in a CAD.   Are you looking to personalize the email for each role approver so he/she knows exactly which of his/her roles are in the request to approve from the email notification?

  • Notifying a user that an Urgent Change Request has been Approved, or Denied

    Trying to figure out the best way to have an email go back to a user after a Change Request has been updated with either an Approved or Deny
    What we do now is after a user creates an Urgent Change Request, and email goes out to all of our Managers. One of them will reply all to the email with either an [approval] or [deny] in the message body so Service Manager gets the email and acts on
    it and the other Managers know it was acted on.
    Problem is, if the Manager forgets to add in the Change Requester in the email, they don't know it was acted on. I tried using WorkFlows for Change Request to update the Change Requester of an update but there is nothing in there for  Approval or Deny.
    I then resorted to subscriptions but can't figure out how to configure the subscription so that only the Change Requester gets the email. We can configure different email templates based on the whether the change was approved or denied. Just need to figure
    out how to configure the Recipient.

    I've checked the link and found it working. Of course, it works only if the RA is a direct child of work item itself (so for RAs encapsulated in SA or PA it doesn't work).

    It does work even if it is within a PA or SA or even deeper, you "just" have to follow the path to the CR from there. But then you would need a subscription for each RA depending on where it is in the flow. Try to make your users understand that :D

  • ChaRM: mail notification to requester

    Hi!
    I would like to set up an automatic mail notification for requester of the change request (SDCR), when the Change Manager approves or denies them.
    The problem I am currently facing:
    when the fields "Sold-to-Party"and "Requester" have the same partner/user no mail notification will be send.
    Does some one know a workaround to solve this bug?

    Scenario:
    When the Change Manager approves the change request (SDCR) then the requester should get a mail.
    What I have done:
    Creation of action condition "Z_mail_to_requester"
    for action profile "SDCR".
    partner dependent: (00000016 Requester)
    First question:
    When I look into the change request --> Partner I can see that the requester has another number.
    (00000010 Requester)
    Is that a SAP bug?
    Then I defined the schedule condition:
    &Servicevorgang CRM Error.FreeFlag& = X
    and
    &Servicevorgang CRM Error.Userstatus& []  E0004+DCRHEAD*
    My problem: the action will neither scheduled nor executed shen the Change Manager approves and saves the change request.
    Can some one hell me please?!

    I configured Change request mang. in my solution manager server. now i want to create msg notification for all status changes in charm msg flow, like when change request approved by advisory board a automatic mail should generate for change manager.same as we use in service desk for mail notification.for all status changes.
    on approval
    on chane req. creation
    on on every maintenance cycle phase change........
    So please let me know few things which may be used for this activity.
    1. PPF application
    2. Action Profile
    3. Action definition entry
    4. smart form.

  • Email notification to Manager on routine change request

    I am trying to set up a multi review activity template for routine change request. The first Review Activity should notify the creator of the Change Requests Manager so the Manager can review. In the Review Activity, there is a check box for "Line Manager
    Should Review". If I just check this box, will the Manager listed in AD for that user get an email or do I need to create an email subscription?
    If I need the to create an email subscription, the question would now be what do I select for "Related Recipients" keeping in mind this is a Review Activity? Since we don't know who the Manager will be as it depends on the user creating the CR,
    I certainly can't hard code a recipient so I need to user Related Recipients. When I get to this part, I have a laundry list of selections that basically do not make sense to me. Any help here would be appreciated.

    There's really three separate problems here, so i'll address them indivigually: 
    First, you want to automatically add a line manager to a change request. This is the intention of the Line Manager checkbox. when the activity status workflow runs, and that box is checked, it looks at the parent work item, then looks at the created by users
    of that parent work item, and adds that user to the list of reviewers for the activity. The implied permissions (http://blogs.technet.com/b/servicemanager/archive/2014/03/19/improving-ad-connector-performance.aspx,
    this seems to be the only documentation of it) will allow that user to approve. 
    Second, there are no notifications by default, but a common requirement is a notification for all reviewers when their input is required. i have used
    This method to generate these notifications. fortunately, the method Travis details is compatible with the line manager checkbox.  
    Finally, Approvals by emails is a function of
    the Exchange Connector. You can set up keywords to allow people to reply to notifications with directives like [Approved] or [Resolved], and the connector will apply those directives to related connectors. You have to modify the exchange connector to include
    the id in brackets (i.e. "[RA1234]") so it gets related correctly, but using the notification method from above, this should be easy (and
    here is a hint).
