Emailing a sharepoint list

I want to email my sharepoint announcements list, but i need more than just the title and the body column. I need a picture URL column too. Is there some way to specify in the email that i send what goes to which column.
I have searched around but was unable to find anything.

Sorry for misunderstanding. In that case you need to configure incoming email for that announcement list.
Subject will be Title
email body will be announcement body 
and email attachment will be announcement attachment

    I’m working on building out some automation in SharePoint to address some gaps in a currently manual process, but I’ve run into a snag.
    Right now I have a custom tracking list for a group of users to use for checking the status of their requests. Based on the status, a workflow will kick off notices to the users letting them know where their requests are at. I want to expand upon this by
    building an announcement list to receive emails from users (one of the few list templates that is configurable for this) to manage the growing volume of correspondence they produce. By having a list, I can create a workflow to auto sort, tag/categorize, and
    auto-respond to emails based on tags/categories in ways that Outlook can’t. For the sake of non-repudiation and as evidence that the workflows are working correctly, I want to save copies of the notices SharePoint sends to 3<sup>rd</sup> list as
    an archive. My 3<sup>rd</sup> list was also configured off the announcement list but it is not receiving the emails from the workflow. Since it is using the SharePoint exchange service account, I’m wondering if this a technical limitation that
    cannot be resolved, or if there is a missing configuration we need to do on our end that is preventing this from working?
    Essentially I’m trying to have SharePoint email itself from one list to another. Has anyone tried this or been successful?
    (I prefer lists over libraries in this case because this is going to be moderately large scale data and I won’t have to drill down into documents for info. Lists also open of the possibility for more complex workflows later on should the need arise)

    When we consider that email is simply a communications protocol being leveraged by the workflow, it becomes clear that the problem most likely lies in the email enablement of your Archive list.  If your Archive list is indeed identical to the Requests
    list, then I would take a look at configuration for email on that list as it probably isn't configured correctly.  Additionally, you may wish to double check the email alias you're using in the workflow.  Sending email to the wrong email address
    is just a slip of the keyboard but can result in many hours of debugging.  Ultimately, I would recommend tracking the email through Exchange logs to see if it's received and sent correctly.

  • How to configure incoming email to SharePoint List? Facing problem please help.

    I am beginner in SharePoint 2013 Administration. I am working with Migrated system from MOSS 2007 to sharePoint 2013.
    I am facing issue with SharePoint 2013 List incoming email setting. It was working in MOSS 2007 system.
    I did:
    Whenever I am trying to specify list (incoming) email id and submit it. I am getting following error.
    "Unable to assign this e-mail address to the list, because the address is in use."
    When Users are sending email to list they are getting "Undelivery" notification.
    Please help.

    Hi Rajat,
    There might be below options you can try to resolve the issue.
    1. There is a bug that sometimes causes this issue. If you update the description of the list and try again, it may resolve your problem.
    2. If you have SharePoint setup to create contacts in AD, have you verified there is not a lingering AD contact with the e-mail address? If so, you may need to delete it so the address is available in AD.
    Also please check whether other document library is using the same email id for incoming email setting or not.

  • Taking an Outlook email and auto-filling into Sharepoint List

    I am trying to figure out a way to set up a rule in my outlook that when certain emails come into outlook, it auto populate a partially filled out workflow into Sharepoint 2010. Is this even possible? If so what would be the best way to make this

    From your description, you would like workflow on SharePoint side to be triggered by new coming emails in Outlook(on Exchange side).
    As workaround, you could create inbox rule for receiving messages and forward them to SharePoint list which has incoming email feature configured. Then create workflow and associate it with items in this list.

  • Cannot configure email for an Office365 Sharepoint list

    Hi,
    We are using an Office365 deployment of Project Online and SharePoint sites. There is a lot of information available on how to configure SharePoint lists to receive emails however the only option I have under List Settings | Communications is for RSS Feeds.
    Can anyone tell me if this feature available in Office365 SharePoint?

  • Cannot send email using SharePoint designer 2013 workflow

    I am having a problem which I see many others have also posted about.  However, I don't find that any of their solutions fixes my problem.
    Using SharePoint 2013 on Windows 2008 R2 server.  SQL 2008 R2 on separate server.  Created a pretty simple workflow that calls for an email to be sent.  Created an Infopath form that is published to a SharePoint list.  One of the
    list fields is called "Approver" and is a people lookup field.  The workflow assigns an approver based on certain criteria in the list, and then sends an email to the assigned approver.
    During the testing phase of creating the workflow, I had the email sent to me specifically and I received the emails with no problems.  When I change the email recipient to Current Item:Approver (who is also me), I don't receive the email.  I have
    tried selecting Display Name, Email Address, and Login Name, but none work.  I also tried to send the email to the current item:creator (which was me) by selecting "User who created current item" from the select users dialog.  This also
    doesn't work.  The workflow is shown in a suspended state in the Workflow status screen.
    For informational purposes, I also included the Approver Display Name, the Approver Email Address and the Approver Login Name in the body of the email so that I could see what those fields actually returned as data.  The display name, and email address
    are correct, but the login name returned i:0#.w|domain\login (domain and login were my actual domain and login name).
    I have tried several of the fixes I found online to resolve this, but none have worked. Any help is appreciated.

    I don't see that it is possible to add CurrentItem:Creator to a list view.  The CurrentItem:CreatedBy returns my name as it should.  However, this does not help with my problem.  I don't want the email to come to me.  I want it to go
    to the CurrentItem:Approver.  This is a specific person who is assigned by the workflow based on various fields in the current item.  The approver is assigned, then an email is sent to the assigned person.
    There is a SharePoint group set up for Approvers.  This is used to assign permissions to the site where this list is created.
    Basically, I can't send an email to any recipient where I am using the current item lookup fields to populate the To: field.  I can only send email if I specifically select a person by name.

    I have an Excel spreadsheet that I get daily and cut and paste into an existing SharePoint list. Is there a way to make that Excel spreadsheet a data source and copy the data to an existing SharePoint list with less manual involvement?
    Tools at my disposal include: SharePoint 2010 Designer, InfoPath, and Access.
    I thought there might be a REST method I could use via InfoPath but I'm not aware of any offhand.
    Goal is to have a method to upload/overwrite an Excel file (stored in a SharePoint library), every day, and then automate the process of copy it to a SharePoint list (actually overwriting the old data in the SharePoint list).
    Any help would be greatly appreciated.

    We can create a console application and use C# code to read the data from the Excel file and using SharePoint .Net Client Object Model to add the data into a SharePoint list, then create a windows job to execute the console application.

  • Upload Excel data to Sharepoint list VIA infopath form

    Hi,
    I'll try to explain the process of what I want to do first.
    1. In Excel
    I have an exceldocument (XLS, XLSX or XLSM) with 4 named columns and a named worksheet saved locally on my computer.
    I want to upload this data into preferably a custom list in sharepoint but it needs to run via a infopath template first.
    2. In Infopath
    The Infopath template will prompt the user to specify values in 2 additional fields.
    After giving input to these fields user may browse for the locally stored excel document and upload the document.
    In the same infopath template a dynamic array should be visible containing 6 columns (4 from excel + 2 from headerlevel of template) and the amount of rows based on the number of rows from excelsheet.
    At the end of template a submit button is found for uploading the entire array into sharepoint custom list.
    Is this possible to do at all?
    NOTE! End user should not have to save the excelsheet as XML file nor do a XML mapping.
    Infopath should, perhaps with help of VBA read excelsheet and transfer data to correct destination in sharepoint on it self.

    You can attach your Excel doucment into InfoPath form and send InfoPath form to a custom web service. Then you can parse the Excel data and combine the Excel data and additional fields into SharePoint list in the customized  web service.

  • Excel VBA to access sharepoint list without permission

    Hi,
    I do find solution to retrieve the SharePoint list from excel VBA but my problem now is on the SharePoint permission to the list.
    I am developing this solution in excel because i don't want the particular user to access the list direct from the portal because the list contains some unique and confidential data. So what i did was created a new view in the portal with selected column
    and i connect to the view from excel. So every time the user want to retrieve the data, he can run macro to refresh the data in the excel.
    When i run the macro it can generate the list because i do have permission but if i run the same macro on the person machine, excel request for username and password because he don't have the permission to the list.
    Are there any work around to allow the user to generate the data in excel without permission to the SharePoint list.

    I've done this before using SQL Server Reporting Services integrated into SharePoint.
    Using SSRS, create the report you want the end user to view. Then create a Report Subscription, emailing the end user (or putting it in a file share/Doc Lib) the report. If they want to run it interactively, you can enable caching on the report, which would
    pull the report from the last time it was scheduled to run (the data would not be 'real time' in this case).

    we have a sharepoint list where all students are present. we wanted to get the data from the list and show it via excel addin (VSTO) (something like save,retrieve buutons) . we have some more business logic which need to be performed before the data is retrieved
    . once data is shown on excel , user modifies it and update/save the record back to sharepoint.

    when any user sends a message using contact us page in SharePoint online.
    1. We are inserting item in Contact Us List . - This is working fine
    for anonymous users also. We have used Office365 anonymous codeplex wsp and it is working fine. Anonymous user is able to insert new record in the Contact Us List.
    2. Once, new record is inserted in Contact Us list, we want to fire email notifying thanks to the user on his email id as well as to our company x person for notification of new inquiry. 
    We tried using Workflow having impersonation step for  anonymous user but it is not working for Anonymous users. Workflow is able to sent the email if someone logged into system but not working for Anonymous user although workflow is getting started
    but not able to send email although used Imperonsation step.
    We are stuck into implementing second step.

  • Outlook - The path specified for the file SharePoint Lists PST is not valid

    Some users are connecting via Citrix XenApp to Microsoft Server 2008 R2 and using Microsoft Office 2010 (14.0.7109.5000) SP2 MSO (14.0.7116.5000) - Microsoft Office Profressional Plus 2010 x86 version for their email.  Microsoft Exchange Server 2010
    SP2 for email.
    They are connected to Microsoft SharePoint 2010 SP2 August 2013 CU, via a SharePoint Calender; they have View permissions to the SharePoint calendar using Classic Mode permissions (Not Claims).  No permissions have / are changing on this SharePoint
    Calendar.  They connect to the SharePoint Calender to Outlook.
    When they open up their Office Outlook client, they receive an error "Outlook Data File" "The path specified for the file \AppData\Local\Microsoft\Outlook\SharePoint Lists.pst is not valid." OK
    They select OK and they get a window popping up with the option to try to find the SharePoint list.  "Create/Open Outlook Data File" (File name: 'SharePoint Lists') Open Cancel.  They select Cancel.
    They are returned to their Outlook client "email." 
    As an I.T. administrator and SharePoint Administrator, I had a remote session with them, using Bomgar software and I Go to File Menu, Account Settings, SharePoint Lists Tab but there is no list there so go to the Data Files tab and see SharePoint Lists listed. 
    Selecting it once, and clicking on Settings... button gives error message similar to the one above about PST not valid.
    STRANGE in that, when you do that!  You can go to Home tab, Calendar (Ctrl+2), and see Other Calendars and now the SharePoint calendar that was supposed to be there before, but was just "empty!"  There was only the Other Calendars
    option but it didn't have any "sub" calendar item.
    A similar issue is when Other Calendars is listed, and has a sub calendar listed, a SharePoint connected calendar.  You click on it and get "Microsoft Outlook" "The set of folders cannot be opened. The path specified for the file c:\Users\USERNAMEHERE\AppData\Local\Microsoft\Outlook\SharePoint
    Lists.pst is not valid."  OK
    Click OK and go through the above steps to get the same result.  After going into Account Settings, Data Files, checking on the Settings... button, and receiving the error message, again mentioned above, and the prompt to Create/Open Outlook Data File,
    thgen I can go back into Account Settings, Data Files, and double click on the SharePoint Lists and instead of an error, the Outlook Data File comes up, with Change Password... Compact Now, Comment, Name, Filename, Format (Outlook Data File) OK Cancel.
    Can go back to the Calendar (Ctrl+2) and Other Calendars, and the SharePoint Calendar "Sub calendar" will appear and operate as normal!  All was done was go into the Account settings and "check" on the "error." 
    Tried to delete the SharePoint Lists and close out and add it and then go back in, and it "worked" for a few days.  I later turned on Logging and for over 24 hours it was on for the user.  The user was not on forever. 
    In the Outlook Logging folder, from the users profile, I found many *.log files, firstrun, OPMLog, ETL files, one of which is 6MB, and some prof_001_outlook....txt files.  I clickedo n the SharePoint Lists.pst.log file 1KB

    They are using a CRM client 2011 (Server is CRM 2011 - on premise) as well as having other connected email accounts - managed accounts, like Accounting or HR, etc.
    What can I look for / provide for you all to assist?  I am almost ready to open a ticket with Microsoft to resolve this as it has been happening for multiple users for multiple weeks.
    When "I" go in, logged on as myself, I do NOT have this problem, however my account is not "old" in that I just logged onto the account domain\matthew.carter, where these users use their accounts day in and day out for weeks / months
    / (some years).

    Unfortunately, what was marked as an "answer" by the moderators isn't really an answer at all to the problem. We are experiencing pretty much an identical issue with a calendar people are adding to Outlook 2010 from SharePoint 2010 within a XenApp
    server (using roaming profiles). However, we have not had the issue occur outside of XenApp yet.

  • Updating a secondary datasource to a Sharepoint list via infopath form rules

    Using SharePoint 2010 and InfoPath 2010 I created a form that prior to submission it gets an integer value from a separate SharePoint list via a secondary datasource.  Just before the rule that submits the form to a document folder via the
    main datasource I increment the integer value and try to write it back to the secondary datasource I got it from.  I know that I have the correct value.  That is, it is reading from the data source the correct integer information and it is incrementing
    it in the form but when it writes the value back to the same column in the same secondary datasource it doesn't give any indication that it didn't work.  But when I look at the list of the secondary data source I see that the integer value is
    not updated.

    You can attach your Excel doucment into InfoPath form and send InfoPath form to a custom web service. Then you can parse the Excel data and combine the Excel data and additional fields into SharePoint list in the customized  web service.
