Explination of integrating Groupware and Activities in CRM

I am about to implement Groupware to my CRM 4.0 system, but I have some question first that doesnt come so clear out of the installation / how-to manuals.
How is the scenario when creating a new Activity in CRM to the Calendar in Outlook? Does the calander gets updated as well? and reverse from Calendar to Activity?
And if a Business Partner receives a mail.. or sends a mail. How is this integrated to the sap object? Does it gets attached as an attatchments ? Or is it another way to see all the mails on a Business Partner?
If someone have tried this, please write me back!

After reading thoose two notes, I see that
1) E-Mail integration is not supported by this solution
2) Activities can be synchronized both ways
I was hoping Groupware could support e-mail, by making a link of a Business Partner and to all the mails that has been received and accepted :/
Any suggestion of how to make that integration?

  • Performance of BAPI's to create Leads and Activities in CRM

    Hi,
    I'm using the BAPI's BAPI_LEAD_CREATEMULTI and BAPI_ACTIVITYCRM_CREATEMULTI to create Leads and Activities.
    The scenario is:
    1) The input file has 3 types of records coming in
    (a) Leads only
    (b) Activities only (Prospect Lead activities)
    (c) LEad + Activity (rescheduled activities)
    2) Depending on the type of record, I'm required to create the relevant order and if required link the lead and activity (scenario - C)(using the FM CRM_DOC_FLOW_MAINTAIN_OW).
    3) In addition to this, I'm also required to link campaign elements to both Leads and Activities (done within the BAPI's BAPI_LEAD_CREATEMULTI and BAPI_ACTIVITYCRM_CREATEMULTI in the doc_flow structure).
    ISSUE:
    The issue that I am facing is that it is taking a lot of time to create these. I'm basically running a custom conversion program for LEads and Activities. The rate is almost 6-8 secs for each record, and we have about 500,000 records to be converted.
    Also, I'm having to use the following function modules after the creation of Leads and Activities:
    1) CRM_MA_ACT_SAVE - to set the status of the activity to OPEN or IN PROGRESS. This is being done after the creation of an activity because the BAPI BAPI_ACTIVITYCRM_CREATEMULTI seems to always default the status to OPEN.
    2) CRM_ORDER_CHANGE_STATUS - to set the status of the LEad to OPEN or IN PROGRESS. This is being done after the creation of an activity because the BAPI BAPI_LEAD_CREATEMULTI seems to always default the status to OPEN.
    3) BAPI_LEAD_ATT_CHANGE - to set the STATUS SINCE field for a Lead. This is being done because I'm unable to set the STATUS_SINCE field using the BAPI BAPI_LEAD_CREATEMULTI.
    The logic being used within the code is to process a batch of records (500/1000 records - value is an input selection parameter) from the input file in one go, and then commit all of them after their creation. After this, the next batch of records is again processed and committed.
    We've also tried to create LEads and Activities record by record and not in batches... but the performance still remains the same.
    I'm not sure what is slowing down the process. If whether it is all the commits, or if it is the additional use of the FM's to change the 'status' and 'Stauts-since' values after having committed the leads and activities.
    When we look at the LEads and Activities that are created, everything looks fine. It is only that the performance is really slow.

    In order to improve the performance you could use several processes. Just start you conversion-program with several variants at the same time.
    Last time I converted 80.000 contracts it took me 6 hours with 5 processes.

  • Groupware and CRM 5.0

    Is anyone using groupware/mapbox with their CRM on System i? From what I can see it runs only on Windows, Unix or Linux. Is that correct? I'm trying to figure out the pieces we need to have in place to integrate Lotus Notes (DWA) calendaring with CRM 5.0.

    Hello Craig,
    mapbox is mentioned as a Java component in the redbook "An Overview of Installing SAP Applications on System i Models" - http://www.redbooks.ibm.com/redpapers/pdfs/redp4189.pdf. Since it is Java-based, it should be platform-independent anyway.
    Lotus Notes is also available on System i. IBM is selling a special System i Edition just for it.
    Regarding the integration between CRM and Groupware, Note 938591 and 908579 might be what you are looking for.

  • How to read outlook mailbox and create corresponding e-mail activities in CRM

    On premises CRM 2013 SP1:
    current configuration for incoming and outgoing:
    all of the users in our organization use Microsoft Dynamics CRM for Outlook as the incoming
    and The E-mail Router is used to send outgoing e-mail that users create in Microsoft Dynamics CRM.
    my requirement:
    We have a mailbox that sits on outlook 2013.
    Requirement is to read all email messages reaching this mailbox and then create corresponding e-mail activities in CRM.
    what are the possible solutions for this?

    Create a Queue in CRM with the same email address as that Exchange mailbox.
    Set that Queue's incoming mail option to "Email router".
    Go to the Email Router, confirm that your incoming settings work, then load the CRM settings.  You should see that Queue as an incoming option. 
    Validate and publish the Email Router settings with the updated Queue.
    That will let CRM receive mail on that Exchange mailbox.   And if that mailbox is for a CRM user and not a generic mailbox, change the CRM settings on their User account instead of a Queue.

  • Outlook Integration Tool - 'Send and Add to CRM' button missing

    Hey Folks,
    We have an interesting issue with the Outlook 2003 - SP3. On some of our machines the button 'Send and Add to CRM' does not appear with you hit 'New Email'. The tool is installed and the 'Add to CRM' button is there as expected.
    If we install the tool (downloaded from an R16 environment) is still does not appear? Any ideas? Seems strange that some machines with the same version of Outlook have it and others don't?

    I would also check to see if the OEI Add-In is present and selected within Outlook. You may need to reselect it. If it is already selected you may need to manually register (they need to be present) the OEI DLL Files:

  • Outlook integration - Email inbox transfer to CRM

    Hello,
    We are able to view the client email inbox using the web interface, and when we select an email to click the "Transfer to CRM" link, there is no response although I can see that data is being updated in CRM via a SQL trace.
    Can someone explain what is supposed to happen when we transfer the email to CRM?  How can I retrieve the email from CRM?  I couldn't find any useful documentation on how this functionality is supposed to be used in CRM 2007.

    Hi Sreenath.
    When you are in WebUI click on Email inbox workcenter and click on Transfer to CRM. Now go to Activities and click on search activities and in category  select emails and click search and you will see the email which you have transfered this is the way you find emails which came from Outlook or Lotus notes which ever you integrated. And you assign an account, Contact and can also reference to an activity such as campaign, appointment or tasks etc etc. That is the use of the email.If you want to reply to this email you can reply it only from here but not from email inbox.

    When I create an new Org. Model in 5.0 there were no Business Partner created and assigned. CRM 4.0 automatically created an BP with Role Organisation. Any idea? Thanks

    Into Master data->Bussines partner->Integration Business partner-Organizational managment, there set up follow parameters:
    HRALX     OPROL     BUP004     Business Partner Role (Organizational Unit).
    ORGEH     PROLE     BUP004     Role of organizational unit in business partner
    Try with both parameters, it is if you activate HR-CRM integration.

  • New Field value not displayed in "My own activities" of CRM 5.0 Own tab

    Hi.
    I have a scenario where in we have added a new field to "My open activities" in CRM 5.0 Own tab.
    However the value of the field for various transactions is getting displayed only for one particular user and not for all the users.
    what may be the reason for this?!!!!!!
    The only user who is getting the output properly, the user ID of his was replication based on similar roles to check whether it was issue related with roles. But the output was not obtained even with the replicated user ID.
    Hence the output continues to come only for one particular user in all the systems.
    Kindly request to provide some inputs / suggestions at the earliest.

    Hi,
    A message defines how the message that the user receives is structured. The message template contains a URL to a BSP application (Business Server Page). This creates the messages. You can define separate BSP applications and specify them in the message template (see also: Changing the Message Layout).
    When you assign a message template to a category, you can define your own message template for each level of granularity and delivery type (see also: Granularity of Messages). You can also use the same message template for different levels of granularity and delivery types.
    Activities
    1. To define your own message template, navigate to the Message Template screen:
    a. In the toolbar, choose New Entries.
    b. Enter the name of a message template.
    c. Specify the relative URL for the required BSP application and the handler class.
    2. On the Assigned Message Template screen, assign the message template to the required category.
    You can assign your own message template for each delivery type and level of granularity.
    a. In the Customer Namespace column, enter either Z or Y.
    b. Select your message template.
    The specified message template overrides the standard message template shipped by SAP.

  • Integrating ECC business workflow into CRM

    What is the best approach for integrating (or not) ECC business workflow into CRM?
    For example, lets say you have an elaborate custom workflow built in ECC for blocked sales orders which triggers a workitem to the CSR user ID into the SAP SBWP inbox.
    But now you are implementing CRM and your customer service reps want to "live" in CRM.
    So you want them to be aware that they have a blocked order assigned to them in ECC SBWP inbox.
    Whats the solution?
    Do they have to toggle over and login to ECC, so they have to "work" 2 inboxes?
    Is there some solution existing in SAP between these 2 systems that synchs the workflows, such that you can open and process and complete the workflow inside CRM?
    Do you have to write some custom "notification" that sends CRM a message letting them know ECC has something?
    We have order management in ECC, CRM only being used for service notifications and customer interactions, but CSRs envision "one cockpit" or one inbox for all their to-dos.
    We do not use Portals, so the integrated inbox is not an option.

    I have a similar requirement where i need to trigger a workflow in SAP CRM and i need the approval request to flow to ECC as my approvers work only in ECC and never in CRM !
    Is this integration a valid scenario ? and can we configure this ?

    Forecasting at DP & CRM are altogether at different entities.  CRM involves webbased data transfer mechanism tool whereas DP is database/livecache driven tool.
    In CRM, you dont get optimised solution of forecasting out of it whereas in DP you can get as much as
    optimised solution & flexibility as per your requirements.
    DP is majorly a forecasting tool where in huge statistical method functionalities are embedded in
    whereas CRM is majorly a transactional tool wherein it involves gathering of forecast data and executing it.
    Typically, CRM will be integrated with DP containing GATP environment & ECC so that DP will plan for forecast data, ECC system drives sales order data & GATP calls for availability check and finally
    the forecast execution& transactions will be controlled by CRM

    I have downloaded latest one already.
    For this  i am following below step to install
    Go to transaction SE80 and choose 'BSP Application'.
    Search for 'CRMCMP_GW_WC'.
    Go to the folder MIMEs and right click on the 'setup.exe' (or setup.msi, if you are using the old series).
    Choose the option 'Upload/Download' and then 'Upload and Replace'.
    In the pop-up choose the path to latest setup.exe file.
    But its running long time.

    Also we have the client console on the laptop, but it looks very basic. My understanding is that it's supposed to be able to download sales details before going on the road, is that correct, or have I misunderstood something?.
