what is the difference between shipping notification and inbound delivery in confirmations tab of POs?

IT is nothing but the ASN from Vendor maintained in PO ,
Inbound delivery is done by using VL31n Transaction after receving an update from Vendor about the shipping details of material,Quantity,date etc.
You can specify the deadline for receipt of confirmations for each confirmation category in Customizing for Purchasing (Confirmations, Set up confirmation control under Confirmation sequence.)
You can specify in Customizing that you wish to see the following in the monitoring list, for example:
- Which order acknowledgments have still not been received a certain number of days after the PO date
- Which shipping notifications have still not been received a certain number of days before the delivery date

    I am sorry. I misunderstood your requirement. Please ignore my earlier post on this.
    But do consider the below option :
    You can get both Purchase Order as well as Inbound Delivery details in LIPS.
    LIPS-VGBEL = Reference Document ( In this case it would be PO )

    Hi dear,
    Inbound delivery is one confirmation used to indicate the expected goods receipts in advance, so that the related process partners like warehouse personnel , planning personnel can utilise this data for initiation of actions and planning. Also , we can make this confirmation relevant to Planning in the customisation, to enhance the performance.
    In general , we need confirmations only as a kind of assurance/information , in absence of the goods.
    But if the goods are received physically , obviously we do not need any confirmations , we would perform the goods receipt .
    When working with Inbound delivery , the goods receipt is done with respect to specific inbound delivery( though not compulsary to do so) , so that the integration done in the system works to the advantage of the users.

    I am a abaper working in MM Module and came across this post  from bijay kumar:
    The Inbound process comprises all the steps of an external procurement process that occur when the goods are received. The process is: Purchase order --> Goods Receipt, it is a follow-on activity to a purchase order. You can use VL31N transaction to create Inbound delivery & the process starts when the goods are staged at the vendoru2019s shipping point, and it ends when the ship-to party makes an acquisition posting for the goods. The goods receipt process for inbound deliveries is an essential part of the supply chain. This process includes the steps after creation of the purchase order: notification, the inbound delivery, subsequent putaway of goods, and the goods receipt posting of the ordered goods.
    Can some explain to me help me with a pointer to some docs which explain P.O >> Inbound Delivery >> shipment notification/ create shipment >> goods receipt.. in detail.

  • Automatic GR by Third Party delivery throug shipping notification?

    What is the best scenario if the third party vendor sends goods directly to the end customer? The vendor can send me a shipping notification. Can I post automatically (only for third party and direct delivery to end customer) a GR when I receive an shipping notification?

    We have a similar requirement that I am designing a solution for.
    Here is what I am doing-
    Sales Order is created with item category TAS.
    The item category I get in the PReq is Third Party
    The account Assignment category will drive whether you can process GR or not.
    (you may change or create new account assignment category in spro>materials management>purchasing>Account assignment>Maintain Account Assignment Categories) If you want Goods Receipt to be processed, account assignment category C could also work). Which one you would like to use can be decided and then assigned to Schedule Line category for third party you use. This assignment is done in SD config in schedule line category.
    About your other concern on how do you know about readiness of delivery @ vendor for you to pickup and deliver to customer -
    Use confirmation control key in the purchasing. Use the one that allows you create a shipping notification (Inbound Delivery). If you want, use EDI from vendor so that when vendor informs you via inbound delivery, your system tracks the readiness of the delivery at vendor's premises. You may complete GR(now it becomes optional because your very purpose of processing GR is addressed by shipping notification). In 3rd party processing, Delivery Note is not required for the Sales Order because you physically won't deliver to customer.

  • Link between Inbound delivery and Billing

    Hi Experts,
    I am new to MM.
    It appears to me that inbound delivery is linked to Billing or the other way round.
    Can I know how are the 2 processes related?
    Can i say a billing doc can require the inbound delivery doc as the reference document at point of creating the billing doc?
    If so, inbound is about receiving goods delivered as a result of purchase order sent out to vendor.
    So, when creating a billing doc, does it mean the company is billing someone when he is the one who has purchased something?
    So, you can see that i am confused.
    Please advise. Thank you.

    Hi,
    Need not to confuse about inbound delivery, it is just a shipping document only.
    It is normaly used when you do STO process. because without a delivery challan you can't shift any things from one place to another place. So this Inbound delivery doc is accepted as delivery challan by the government.
    In STO process, receiving plant will raise the billing document because both plants are within a client only and receiving plant will add shipping cost, loading & unloading cost, etc on the net price of the product to sell to customer. that's why, here receiving plant creating the billing doc.
    But if you are consider that the Inbound delivery is created by a vendor with reference to your PO then the billing document will be created by the supplier (Vendor) only.

  • Link between Inbound Delivery and Sales Order for Third Party

    Greetings Gurus,
    My client is using a third party business model in a retail setting that fulfills sales order via purchase req --> PO --> Inbound delivery with GR posting --> customer billing document created through batch based on the delviery quantity ('G' in item billing relavence) --> vendor invoice reciept happens subsquently.
    My question is this, is there an inexpensive (performance wise) way to link the customer billing and the inbound delivery?
    Since the inbound is not in the doc flow i don't think VBFA will suffice. I think the best route would be via schedule line back up, but i have yet to find a link.
    There are process implications for this link for reporting and customer service which are a critical to the business. Point will be rewarded for sound advice.

    Through the document flow VBFA you can capture the PO number and the link for what you have asked can be found from table EKBE. check out for field BELNR.

    Now ;
    1) I have to upload these HU's into Inbound delivery(VL32N) and
    2) Pack these HU's with the material in the Delivery.
    Please suggest any Function module which can perform hese steps. Also If possible please provide any example.

  • Cancellation of Invoice, Material doc, Inbound delivery and TO

    Hi
    I have run the following business ME21N->VL31N->LT03(TO)->LT12(TO confirmation)->Material doc is created->MIRO.
    Now i want to reverse the whole process. I have cancelled the Invoice then cancelled the Material document (MIGO), after the material document is cancelled a TR(LB11) is created, then i have created a TO from the TR created(LT04) ->TO confirmation. After this the quants are reversed from the bin to the GR area external reciepts.(nullifying with the first TO)
    My question here is how to post the stock again i.e. from where should i start ? When i am trying to create TO wrt VL32n its not happening because the status showing as completed and is it possible to cancel the inbound delivery created, If yes how to do that.
    The reason for this scenario is that the customer for some reason entered incorrect values and want to cancel the documents created.Everything should be cancelled except PO

    Scenario 1
    While creating the customer master my client forget to give the account assignment group in the billing tab of the sales area data. Because of this it did not hit the proper G/L Account. Automatically it went to some other accounts.
    My question is weather we want to cancel only the invoice or we want to reverse the delivery
    If your GL accounts will be determined based on the customer account assignment group and material account assginment group combination then you can enter manually in Billing document (if accounting document is not created), No need to reverse the invoice and delivery.
    Second Scenario 2
    My client taken the invoice without calculating the TAX and the same also released to accounts.
    Now he wants to Add the TAX
    You can cancel the previous invoice and create new invoice with taxes.

    Actually we have an interface with our supplier system, where they post the Goods issue in their system, then we will receive an inbound delivery idoc "DESADV" from the supplier.
    and my vendor can provide their batch number to us only when their goods issue is posted.
    In this case, we would like the inbound delivery idoc to include this vendor batch number, so when we perform the goods receipt reference with Inbound delivery will have the vendor batch number automatically.

    I have the same kind of requirement, for me i am having PO number and i need to get the inbound delivery number from SAP for that PO and substitute the PO number with that inbound delivery document number and create a IDOC. i have copied the FM into 'ZIDOC_INPUT_MBGMCR'  and wrote a code to get the inbound delivery document number and done the mapping to the item segment PO field also. IDOC is geting created but that PO number only is displaying in the IDOC, so please suggest me how to change the PO field value in the idoc segments and create a idoc.

  • Vendor returns with delivery and shipping

    i'm doing vendor returns with delivery. made the necessary settings;
    1) flagging vendor as returns in Vendor master
    2) creating customer master record and assigning to vendor, maintaining Shippping condition in shipping tab page of customer master
    3) maintaing Sorg, DC, DV and Sorg, DC, -PLANT combination
    4) maintaing shippoing point. assigning shipping point - shipping condition combination for the plant.
    5) shipping data for material master maintained as well
    despite this, while doing vendor returns with deliveries, system still pops up the following error message, "shipping data not maintained", message no, "ME 393"
    any help in this regard would be greatly appreciated

    no shiping tab page in PO. If shipping data determined by system, shipping page appears in the PO. Since, no shipping data could be determined, sysytem throws up the above error message. I've maintained all the possible info that had to be maintained.

    Monitoring Vendor Confirmations
    Use
    The confirmation monitoring facility enables you to check whether the expected confirmations
    have been received and whether the delivery quantities and dates are as you requested. The list
    analyses that are available for monitoring purposes provide you at all times with an overview of
    the status of your purchase orders and their influence on materials planning and control.
    Prerequisites
    _ Analyses are only possible for items having a confirmation control key.
    _ You can specify the deadline for receipt of confirmations for each confirmation category in
    Customizing for Purchasing (Confirmations _ Set up confirmation control under Confirmation
    sequence.)
    You can specify in Customizing that you wish to see the following in the monitoring list,
    for example:
    _ Which order acknowledgments have still not been received a certain number of days
    after the PO date
    _ Which shipping notifications have still not been received a certain number of days before

    Activities
    To monitor vendor confirmations, choose <Purchasing document> ___Reporting___Monitor

    Order Acknowledgment Expediters
    Use
    You can send messages to vendors urging them to submit outstanding order acknowledgments.
    You cannot issue such messages with respect to other vendor confirmation categories.
    Prerequisites
    A prerequisite is that the Acknowledgment requirement indicator has been set in each relevant
    PO or scheduling agreement item.
    Activities
    Choose <Purchasing document> _ Messages _ Monitor order acknowledgment.
    If the indicator has been set, the system proceeds as follows when the reminder program is run:
    It checks whether the confirmation control key has been set:
    1. If it has not, it checks whether the acknowledgment number has been entered. If there is
    no such number, a message urging the vendor to submit the overdue acknowledgment is
    issued.
    2. If it has, the sum of the quantities from all previous order acknowledgments is calculated.
    If the result is less than the order quantity, an urging message (expediter) is issued.
    Creating a PO or Outl. Agreement w. Acknowl. Reqt.
    1. Create a purchase order or an outline purchase agreement and maintain the items.
    2. Select the item to be acknowledged by the vendor and enter a confirmation control key in the
    Deadline monitoring area of the item detail screen.
    If the confirmation control key provides for the submission of order acknowledgments by
    the vendor, and you wish to urge the latter to do so in the event that they are still
    outstanding after a certain period of time, set the Acknowledgment requirement indicator.
    3. Save the purchase order.
    If you wish to work exclusively with order acknowledgments (i.e. without using a
    confirmation control key), your only option is to set this indicator. You need not make
    any other entries.
    Monitoring Confirmations
    Monitoring Confirmations in PO or Outline Agreement
    1. Select the item for which you wish to see the accumulated confirmations and choose Item _
    Confirmations _ Lists.
    2. Then branch to one of the following lists:
    – Quantities relevant to MRP
    – Quantities that have been reduced/offset with regard to MRP
    – Cumulative quantities
    A line from a PO delivery schedule covering 100 tons of steel is reduced to zero as a
    result of the relevant order acknowledgment for 100 tons. The subsequent inbound
    delivery of 100 tons in turn reduces the order acknowledgment quantity to zero, and,
    finally, the GR of 100 tons completely offsets the inbound-delivery quantity.
    Monitoring Several POs or Outline Agreements
    1. Choose Purchase order _ Reporting _ Monitor confirmations.
    2. Specify an interval of purchase orders and enter the category of confirmations to be
    monitored (for example, AB for order acknowledgment).
    3. Choose Program _ Execute.
    You obtain a list of all variant quantities and delivery dates.
    Manual Maintenance of Confirmations
    1. Change the purchase order or scheduling agreement.
    2. Select the item for which you wish to enter a confirmation and choose Item _
    Confirmations _ Overview.
    3. On the confirmation overview screen, maintain the confirmation category, date, time-spot,
    and quantity, as well as the confirmation number used by the vendor.
    You can also receive a confirmation with respect to a material with a manufacturer part
    number (MPN). For more on this topic, refer to Manufacturer Part Number (MPN) [Page
    452]).
    If you work exclusively with order acknowledgments (i.e. without using a confirmation
    control key), enter the acknowledgment number on the item detail screen. This
    number can be any identifier customarily used in your enterprise (e.g. the date of the
    order acknowledgment or an external document number).
    If you wish to enter the same number for each item, choose Edit _ Fast change.
    Quantity Checks
    _ If a vendor notifies a quantity that is greater than the still-open notified quantity, the system
    issues a warning message.
    _ If the cumulative quantity from all inbound deliveries relating to a PO item exceeds the order
    quantity (taking the overdelivery tolerance into account), the system issues a warning
    message.
    This warning can also be defined as an error message on a user-specific basis.
    _ If the cumulative notified quantity is less than the quantity already delivered, a warning
    message is issued.
    Depending on your settings in Customizing, an indicator showing whether or not the data in the
    confirmation is used in materials planning is set in column D. If the indicator has not been set, the
    data is for information only.
    In column E, you can see whether the confirmation was entered manually in the PO (1), or
    generated automatically upon entry of a shipping notification using the function Create inbound
    delivery (2).
    Creating Inbound Delivery Against Shipping Notif.
    1. Choose Purchase order _ Inbound delivery _ Create.
    2. On the initial screen, enter the vendor, the delivery date and the PO number. You also have
    the option of entering a transport identification code (e.g. a vehicle registration number). In
    this way, deliveries for several purchase orders can be grouped together.
    If you do not know the PO number, choose Inbound delivery _ Select purchase orders
    and enter selection criteria.
    Choose Program _ Execute.
    You obtain a list of the purchase orders from the specified number interval that contain
    still-open notified quantities.
    Select the relevant purchase orders and choose Adopt selected.
    3. Press ENTER. The overview screen with the suggested quantities appears.
    The default quantity is taken from the PO item. However, you can overwrite this
    suggested quantity and enter a different unit of measure. In order for this to be possible,
    the desired unit must be defined as an alternative unit of measure in the material master
    record with the appropriate conversion factor.
    All quantities (e.g. the notified quantity) are converted into the order unit and recorded in
    the purchase order by the system.
    You have a PO for 100 tons of Steel 1, and the vendor sends you a shipping
    notification for 5 crates. You wish to enter the inbound delivery in the unit of
    measure „crate“. The system checks whether the alternative unit of measure can be
    converted into the order unit. If so, you can save the inbound delivery in the
    alternative unit.
    A batch split can be made in the inbound delivery, which is taken into account in the
    confirmation overview for the purchase order and at the time of goods receipt. If the
    batch split is to be taken into account at the time of goods receipt, the confirmation
    category Inbound delivery must be confirmation-related (GR assignment indicator).
    4. Check the data and make any necessary changes.
    5. Save the document.
    After this, the confirmation overview is updated in the relevant purchase orders.

  • Goods receipt inbound delivery using old goods movement transactions

    Hi! I have a client who is still using the old goods movement transactions in the new ECC system. I would like to confirm whether it is possible at all to receipt inbound delivery (from shipping notification) using any of the old goods movement transactions? I don't seem to be able to find one that work.

  • Shipping notification and PO outstanding qty in ATP check

    Hi all,
    I have the following situation: intercompany purchase order process with confirmation control key (including outbound and inbound delivery). In my ATP check I have included purchase orders and shipping notifications. This has as consequence that after the outbound delivery is created and outstanding quantity remains open in the PO (due to the nature of our business), this will disappear when the PO is received. However, while this qty is open, it could be taken into account as available to promise and it can lead to unreal sales order confirmations.
    Does anyone know if there's a way to eliminate this outstanding qty without changing the PO qty and keeping PO's and shipping notifications in the ATP check.

    Dear KANTH,
    Documents without order number in ATP  are always temporary quantity assignments (TQAs). If the order number was known at the time of running the ATP check, the TQA carries the order number, otherwise it carries e.g. <unknown>. The TQA carries order number <unknown> until either the item is converted or a new ATP check is executed.     
    Please also have a look at the note 488725 mainly points 4.,5. and 8.                                                                               
    You can delete the old assignements with the report /SAPAPO/om_delta_remove_older (via SE38).                              
    Alternatively you can delete the TQA's manually. Use transaction /SAPAPO/AC06., just delete the user and generation date and execute.                                                                               
    The system behaviour should be fine after the deletion of the hanging  TQA's.
