Make Outlook's "mark for follow up" become a shared task by default

Hello,
My overall goal here is to improve our team's workflow. Right now, it's WAY easier to maintain an excel document that we access through Excel Online (so we can simultaneously edit if we need to) than it is to try to share tasks via Outlook's Tasks list.
We're using Outlook 2013 and Exchange Online. Basically I'd like to have tasks and everything shared between myself and my team. However, if we have to go through the rigmarole of sharing a task via email and accepting the task, then we'll just stick with
the Excel spreadsheet, because it's much faster.
I'd especially like the ability to take an email, mark it for follow up, and have our whole team receive it as a to do list / task item.
I have concerns about using a shared mailbox, because we get all our emails in to our personal mailbox. We'd have to tell a lot of clients and partners to switch to emailing the shared mailbox and that would be a challenge.

Given the bug with shared hyperlinks (see https://forums.adobe.com/message/6408902#6408902), I too would like to turn off shared hyperlink destination as the default. Anyone found a way to do this?

  • Outlook 2013 patch of November 12, 2013 makes Outlook repeatedly prompt for credentials

    Hi,
    Since November 12 Tuesday patch day my Outlook 2013 would repeatedly prompt me for credentials on one of my Exchange account. I reported this to our help desk in charge of mail services and they couldn't explain how this can happen as my mailbox was configured
    correctly using Auto Discovery. Deleting and recreating my Outlook profile did not help as didn't further tips found on the net. I could confirm my correct credentials 10 times in a row and the window wouldn't stop popping up immediately again. If I clicked
    cancel, the prompts would reappear after a couple of minutes. This can be hugely disruptive to one's productivity.
    Since I realized all had been fine since that massive roll out of updates, I began to wonder which update exactly may have caused it. My plan was to uninstall updates of that day one by one and to narrow down the culprit.
    My first shot was successful:
    Security Update of Microsoft Outlook 2013 (KB2837618) 32-Bit edition
    When uninstalling this one, another update is removed automatically:
    Update for Microsoft Office 2013 (KB2837643) 32-Bit edition
    That was it. Once these guys were removed, there was finally peace again. But beware! If you have automatic Windows Updates enabled, they are quietly streamed back to your computer in a matter of minutes and the infernal prompts start again. Hence, you basically
    have to turn automatic updates off and then make sure these get not installed again in future.
    At least until Microsoft provides a patch for the patch.
    As a sidenote, I should mention that this problem only occurs for one of my 3 Exchange accounts, all with different companies (none is a Microsoft Cloud-based one). So perhaps it is the interaction of that new update AND some faulty server-side settings that
    are at the root of the problem, really. As I'm no sys admin, I wouldn't know how to figure it out but leave the clues given here to the experts. Very ironically, I never encountered any problems with any of my Exchange accounts on any of my Mac or iOS clients.
    EDIT: In the bugfix description ttp://support.microsoft.com/kb/2837618 they list under known issues: "After this update is applied, you may experience issues with S/MIME certificate verification in Microsoft Outlook. This issue is caused because the update
    disables remote intermediate certificate fetching in Outlook." And then they give you a registry hack to apply at your own risk. I do not know how to decipher this, do "issues with S/MIME certificate verification" give rise to the infinite loop
    of credential prompts?

    With the MS update rollout of 14 January 2014, the new patch to remove manually to maintain normal functionality and not have the above repeated credential prompts is: KB2850061 (Update for Microsoft Outlook 2013), http://support.microsoft.com/kb/2850061
    Otherwise, since that day, the prompts kept reappearing on my computer.

  • Marking outgoing emails for follow-up

    Hi,
    A lot of the email I send out are messages I need to follow up on at a later stage. Right now, my approach is to review my outbox every week and then read every message I sent to catch up on any developments (yay for 'organize by conversation') and either archive if case closed or follow up. It's a bit tedious and requires me to read a lot of messages I shouldn't have to. It also means that in some cases I am sitting with somebody in my team and I'll miss an opportunity to check on status because I haven't added the issue to my 'to do' app yet.
    What I'm looking for is this ...
    While I'm composing a new message or writing a response to an existing message, I want to be able to mark this message for follow-up.
    Here is what I've done so far ...
    I know I can mark a message with a flag after it has been sent. But those are a significant number of added clicks and not a very elegant solution.
    Same goes for tools like MailHub, which let me mark emails after they have been sent.
    I've considered writing a script that gets triggered upon email send, popping up a dialog asking to flag the message or not. With Mail Act-On, I can run scripts that way. Better, but could get rather annoying quite quickly.
    I've found MailTags, but it slows down Mail and the horrid user interface makes my eyes hurt.
    And while the keynote showing off Mavericks had me hoping the tags would be in Mail too, I installed the beta and it seems there is no tag support included in Mail. I guess one can hope it will get added before final release, but I am thinking it will not be.
    I'm sure I'm not the only person who faces this situation.
    Any recommendations?

    I have a message that says something will happen on a specific date. I would like to mark that message for follow up, hopefully telling TB the specific date that I need to follow up. I know that Outlook has flags. Does TB have something similar?

    It's very complicated and not very user friendly to mark an email for follow up, because you need to decide at what point in the future you want to be reminded. When that day arrives and you're not ready to reply yet, you will have to go through each follow up email again and repeat those steps to re-mark them for a later date. And that is really annoying. Or am I missing something here?
    Can't I just simply mark my emails, like, star them in order to review them later and to be able to have a look at them from time to time, just like it is possible in other applications or in your browser?
    I have noticed that there is an option to star an email within a Gmail account, but I'm not quite convinced that they sync both ways properly anyway. Also, that feature doesn't come with all email services. For example, how would I star an email in my AOL account?
    I understand that BlackBerry is not based on IMAP and therefore has its limitations, however, it would be nice if there was another solution for this, or an explanation at least. It's simply impossible to go through hundreds and thousands of emails in order to find a flagged email.
    It's already a pain that the emails themselves won't sync (read/unread) with your desktop and other devices, but do you have any advice or workaround to improve the synchronization of flagging or starring?
    I have been using BlackBerrys for many years now, and I really still enjoy them, but the fact that it isn't based on IMAP is a big downside and no longer up to date. Times really have changed.

I thought changing the "day ends" option would do the trick and also change the default time for the reminder, unfortunately it isn't.   • Group Policy for Outlook Option: "Mark Messages as expired after this many days"

    In Outlook, there is a option where you can have Outlook "Mark Messages as expired after this many days".  If you enable this option, you fill in a number of days when Outlook will mark the message as expired.  The default is 180 days.
    The option is located under FILE -> Options -> Mail -> Send Messages.
    Does anyone know how to enable this setting via Group Policy? I can't find it.

    Office 2010 Administrative Templates loaded? If so, we can find the GPO setting under:
    Administrative Templates > Microsoft Outlook 2010 > Outlook Options > Preferences > E-mail Options > Advanced E-mail Options
    Double click "When sending a message" setting, select Enable bullet. Now, you can specify the "Messages expire after (days):" option.

  • How to "undo" a photo that is marked for deletion

    Hi,
    two more little question for the publishing service:
    When I delete a photo from a published collection it becomes part of "Deleted Photos to Remove" (until I haven't pressed the publish button). But how can I remove the photo from this section again (call it "undo")? E.g. for that case that the user has noticed that the photo shall not be removed...
    Another question is: there is the method "deletePhotosFromPublishedCollection". Now for example the webservice returns an error e.g. that the image could not be removed from the server. That's fine, but in this case I also wouldn't remove the image from my publication service and would like to stop that
    deletePhotosFromPublishedCollection function without calling the "deletedCallback( photoId )".
    So is there a way to end the deletePhotosFromPublishedCollection function without any action (and/or excpetion)?

    Dear Hagen and Dravik,
    I have made a few discoveries after careful observation of the deletePhotosFromPublishedCollection method:
    1. The method will not be called after you remove a photo from a publishedCollection. The photo will be merely placed under the Photos to remove section of the publishedCollection. The actual invocation of the method will occur after you pressed the publish button. apparently Publish button will do: (1) Remove any photo mark for removal; (2) Publish any photo marked for publication.
    2. After you mistakenly mark a published photos for removal, there is no way to change the status back to published or at least republish. which I think the desired behavior. At least here you should be able to take a last look at the photo and decide your final action as what to do to the photo. I am guessing that this is the buggy behavior Dravik was talking about. Because of the bug, you have to remove the photo from publication and add them again after the whole process ended. If you have a lot of photos and slow Internet, I suggest you decide before you press remove.
    3. Within the method deletePhotosFromPublishedCollection you only have limited information to work with as follows...
    a. publishSettings
    (table) The settings for this publish  service, as specified by the  user in the Publish Manager dialog. Any changes that you make in this  table do not persist beyond the scope of this function call.
    b. arrayOfPhotoIds
    (table) The remote photo IDs that were  declared by this plug-in  when they were published.
    c.  deletedCallback
    (function) This  function must be called for each photo ID as soon  as the deletion is confirmed by the remote service. It takes a single  argument: the photo ID from the arrayOfPhotoIds array.
    I for one would love to know the publishedCollection this function if refering to. It is common sense I guess. A more comprehensive parameters like in the processRenderedPhotos would be more beneficial and give better control to the plugin developer to control plugin behavior during deletion or removal of photos. Especially for cleaning up plugin specific metadata. I have look at numerous plugin that leave their custom metadata uncleaned. Even after I totally remove their plugin from my system.
    That is all for now..
    Just to add... Funny... guess what.. if you mark a photo for removal in published collection.. you can press Ctrl+Z or Menu "Edit"->"Undo" you can reset the remove from collection action... : which the context menu cannot do...hope this help...

  • Flagged for follow up emails in my reminders?

    The new reminders and flagged email system is great BUT I cannot see flagged emails set as reminders in Outlook to appear in my reminders list.  The process is:
    - Email is sent out regarding a quote
    - Flagged for follow up is created via a rule
    - Flagged for follow up email is located in my tasks list in Outlook (Exchange Server)
    - Email is flagged in the inbox of my iphone, but the reminder does not appear in my reminders list.
    Does anyone have a suggestion for this?  I can get the reminder to show up from Outlook if nothing is attached to the reminder.
    This is a gab I would really like to close up, because it will become a pain if I don't.  I essentially want to create list of emailed quotes to follow up on to appear in my reminders on my phone.

    The problem isn't that Apple didn't facilitate this feature, but that they lock any other apps out of creating this feature do to limited access to the iCloud Calendar.  The only way to get around this is to jailbreak.  I shouldn't have to adapt to taking the phone out of my pocket and flipping the switch before and after every meeting; the point of technology is to make life easier.  If Apple truly wants to continue becoming the corporate platform of choice, then these types of changes are not "a waste of time and overhead."
    Yes, third party apps are locked from a considerable amount of interaction with the other apps and Os functions. It is one of the characteristics of the system that makes it relatively safe from malware and other intrusions. A far more important corporate feature than trying to completely dumb proof a phone.

    Tying back the original post to this same topic, almost every corporate environment relies on Exchange server, so the inability to sync the Outlook flags as reminders in iOS is also a glaring absence.  Has no one found a way to solve this?
    I am connecting to Exchange and get my flags with no problem, regardless if they are set on Outlook on the PCor in the iOS mail app. Comms team here  recently polled everyone using Active Sync on mobile devices and found zero instances of issues with this within my company. That's several thousand users globally. Obviously it isn't a universal issue, and very likely has more to do with Exchange deployments than the operating system on the phones and iPads, probably an issue with Active directory, Active Sync or similar Exchange/IIS function. That means Microsoft is going to need to provide some guidance to Exchange server admins to resolve, and past history would indicate that will be very slow in coming.
    In the meantime, there are work arounds such as using dedicated action folders; a third party app that allows settings priority, dues date, etc. within it (Boxer does this); One Note; or applying some basic mail management process (which would be a good idea anyway).

    I often have a bunch of e-mail windows open with items that need to be followed up on. Sometimes I click the Outlook "X" exit button instead of closing an email by accident, and all those mail items are closed. Sure I can open outlook back up, but which
    of my 50 email items from today were the important ones? Arg. 
    How do I make Outlook prompt "Are you sure?" when the exit button is clicked?

    In addition, if you are using POP3/IMAP email account, you can try this method:
    Create a new message without an address in the To field and save to Drafts then drag it to the Outbox. Then when you exit Outlook, you will get a warning.

    We have seen our community members ask questions about Outlook keeps prompting for credentials many times. This issue could be caused by numerous reasons. Below is a list of the most common reasons for this problem:
    Outlook is configured to prompt you for credentials
    Incorrect password cached in credential storage
    Required Authentication Settings for outgoing server and incoming server
    Outlook Anywhere is not configured to use NTLM Authentication
    Corrupt Outlook profile
    Slow or unstable network connection
    Antivirus programs
    Shared calendars
    Outlook is configured to prompt you for credentials
    If you are using an Exchange account, there is a setting in your Outlook profile to always prompt for logon credentials. To find the setting, please follow:
    1. In Outlook 213, go to File tab > Info >
    Account Settings > Account Settings…
    2. Highlight your Exchange account and click Change button.
    3. Click on More Settings button.
    4. Select the Security tab.
    5. Under the User Identification, make sure the “Always prompt for logon credentials” option is not selected.
    If you are using other types of email, please make sure you have ticked the option “Remember password”.
    Incorrect credential cached in Credential Manager
    Your Windows system stores user credentials on your computer. If the cached credentials are incorrect, you will be prompted for password. This issue usually happens after the password for your domain user account is changed. Before your password changed,
    you saved your credentials. The stored credentials are not overwritten when Outlook triggers the authentication prompt even if you enable the Remember my credentials option.
    To fix this issue, you need to remove the corrupted credentials, follow these steps:
    Click Start,      click Control Panel, and then click Credential Manager.
     Note If View by is set to Category, click User Accounts first, and then click Credential Manager.
    Locate  the set of credentials that has Outlook in the name.
    Click the name to expand the set of credentials, and then click Remove from Vault.
    Repeat step 3 for any additional sets of credentials that have the word Outlook in the name.
    Required Authentication Settings for outgoing server and incoming server
    Different email provider may need different authentication settings. Please make sure you have set the server settings correctly. You can contact your email provider to gather the information.
    In general, we select the “My outgoing server (SMTP) requires authentication” option and the first bullet “Use same settings as my incoming mail server”.
    In addition, click on the Advanced tab and check if you have enter the correct Server Port Number and select the correct encrypt type. Below is a screenshot for an IMAP account:
    Outlook Anywhere is not configured to use NTLM Authentication
    The Outlook Anywhere feature allows you to access your Exchange account remotely from the Internet when you are working outside your organization's firewall.
    When using Outlook Anywhere to connect to your Exchange server, we need to choose
    the authentication method among Basic Authentication, NTLM Authentication and Negotiate Authentication. The difference among them is the way that the passwords are sent when connecting to the server. With Basic Authentication,
    the password is sent in clear text. Using NTLM Authenticationcan significantly reduce the number of password prompts.
    To check the authentication setting, please go to File > Account Settings > Account Settings,
    select the Exchange account, and then click
    Change. In the Change Account wizard, click
    More Settings, and then click the Connection tab. Click the Exchange Proxy Settings button and now, you can see the settings under
    Proxy authentication settings. Try to change the authentication to

    Slow or unstable network connection

    Corrupt Outlook Profile

    I went through point by point by point, top to bottom, checking and verifying every single item as a possible cause for why my system (Outlook 2013 running on Windows 8.1 and connecting to Exchange 2010) insists on prompting me for my password every single
    time I start Outlook.  None of the solutions worked, my system still prompts me.  I don't even have to supply a password.  When the prompt dialog appears, I just cancel it.  Within a few seconds, the bottom Outlook status bar changes to
    "Need Password" with a key icon to the left.  Then I just click on that message and immediately Outlook connects to Exchange.
    The freaking software is BROKEN!  Period.

    At present this feature is not included, although I believe it may be in 4.0. Many people have provided workarounds for this. None of which I have tried. I cannot find the original thread but here is a solution from a chap called Ruud

    One way to share your saved reports with others is to 'Publish' your report settings to a few intermediate tables in your application and have other users 'Import' your settings from there. The reason for using intermediate tables is so that not all your saved reports need to be 'visible' to other users (only those that you've chosen to publish).
    Basically you have available the following views and package calls that any APEX user can access:-
    - flows_030100.apex_application_pages (all application pages)
    - flows_030100.apex_application_page_ir_rpt (all saved reports - inclusing defaults and all user saved reports)
    - flows_030100.apex_application_page_ir_cond (the associated conditions/filters for above saved reports)
    - wwv_flow_api.create_worksheet_rpt (package procedure that creates a new saved report)
    - wwv_flow_api.create_worksheet_condition (package procedure that creates a condition/filter for above saved report)
    The way I've done it is that I've created 2 tables in my application schema that are straightforward clones of the 2 above views.
    CREATE TABLE user_report_settings AS SELECT * FROM flows_030100.apex_application_page_ir_rpt;
    CREATE TABLE user_report_conditions AS SELECT * FROM flows_030100.apex_application_page_ir_cond;
    ( NB. I deleted any contents that may have come across to make sure we start with a clean slate. )
    These two tables will act as my 'repository'.
    To simplify matters I've also created 2 views that look at the same APEX views.

    I then built 2 screens:-
    1) Publish Report Settings
    This shows 2 report regions:-
    - Region 1 - Shows a list of all your saved reports from V_REPORT_SETTINGS (filtered to only show yours)

    - Region 2 - Shows a list of already published reports in table USER_REPORT_SETTINGS (again filtered for your user)

    The region has a button called DELETE (with associated process) that when pressed will remove the selected
    rows from USER_REPORT_SETTINGS (and USER_REPORT_CONDITIONS).
    NB: P27_REPORT is a "Select List With Submit" to filter the required report page first.
    Table MENU is my application menu table where I store my menu/pages info.
    2) Import Report Settings
    This again shows 2 report regions:-
    - Region 1 - Shows a list of all published reports in table USER_REPORT_SETTINGS (filtered to show only other users saved reports)

    The region has one button called IMPORT that when pressed will import the selected settings.
    It does this by using the 2 above mentioned package procedure to create a new saved report for you
    with the information form the repository. Be careful to match the right column with the right procedure
    parameter and to 'reverse' any DECODEs that the view has.
    - Region 2 - Shows a list of all your saved reports from V_REPORT_SETTINGS (filtered to only show yours)

    This is only needed to give you some feedback as to whether the import succeeded.
    A few proviso's:-
    a) I'm sure there's a better way to do all this but this works for me :-)
    b) This does not work for Computations! I have not found an API call to create computations.
    They will simply not come across into the repository.
    c) If you import the same settings twice I've made it so that the name is suffixed with (2), (3) etc.
    I did not find a way to update existing report settings. You can only create new ones.
    d) Make sure you refer to your saved reports by name, not ID, when matching APEX stored reports and the
    reports in your repository as the ID numbers may change if you re-import an application or if you
    auto-generate your screens/reports (as I do).

    To me this is a bit too much of a hack and I personally wouldn't implement it - it's just an example to show it can be done.
    Also if you look here in the help in APEX Home > Adding Application Components > Creating Reports > Editing Interactive Reports
    ...and go to the last paragraph, you can embed predicates in the URL.

  • Vendor master marked for deletion

    Hi Gurus,
    I have the following issues related to vendor master deletion.
    1. I can  able to create PR, release the PR for the vendor after marked for deletion and also blocked in XK05.
    2. It allows to maintain RFQ for the vendor marked for deletion and also blocked in XK05.
    3. It allows to release PO for the vendor marked for deletion and it blocks only after blocking in XK05
    4. It allows to post GR and IR for the vendor marked for deletion and also in blocked in XK05.

    the deletion indicator is a preparation for archiving.
    However, archiving will check whether the vendor is still in use and must be kept.
    A deletion indicator will with standard customizing not restrict the usage. The user get a warning message and this should him make start thinking.

    Do you have a purchasing organisation. in the requisition? XK05 restricts the order creation, I do not know about any restriction in requistion creation or release.

    This should not be possible if the purchasing block is set according to OSS note 67341

    Thats correct, If the vendor was not blocked at PO creation, then system has to allow the follow on activities, explained in OSS note 129836
    4. It allows to post GR and IR for the vendor marked for deletion and also in blocked in XK05.
