Migration of open GR, IR

Hi Folks,
I have to upload open GR and IRs into new system from SAP legacy system. I am new to MM so please let me know how to accomplish this task.

Hi,
You will have to extract all your open POs and classify them into cases. I remember, we had 13 cases in total.
Like GR done IR not done, IR done GR not done, Partial Grs and IRs, GR and IR complete but payment not done and many more.
Then you will have to define a separate migration strategy for each and then migrate them. I would suggest you to have a session with your business team regarding this.
We had used a BAPI_PO_CREATE1 and RFC call to read data from legacy and create the PO in the new system.

    If you are checking for CREATE option then Sales Doc Type
    For more Info goto SWO1 transaction -> BUS2032 --> DIsplay --> Execute --> There SELECT the method which you want to perform... There you can fine the MANDATORY parameters also....
    Or in DISPLAY mode PLACE Cursor on the Required Method and CLick the PARAMETERS button on toolbar...
    That will show the MANDATORY parameters...

    Hi all,
    does anyone ever use an upload program for Open Sales Order I'm in the Data Migration ,we are migarting with in the sap for the change in the currency to USD so i want to migrate the open sales order with sap with the sme schedule line means no change in the schedule line it should have the same confirmed date and quantity after migration to new comp code , reatp should not happen

    unfortunatelly I am getting a little frustrated here. I am trying to import orders from text-files. The import of the headers works fine, but the items are not imported at all.
    I suspect that I got something wrong in my text files, but I do not know, what it is.
    Typical line from headers.txt:
    1234     1     23456     1000 ... (i.e. ID, STYPE, EBELN, BUKRS ...)
    Typical lines from items.txt:
    1234     2     00010     100-430 ... (i.e. ID, STYPE, EBELP, EMATN ...)
    1234     2     00020     100-431 ...
    Any ideas about what I did wrong?

    You can BAPI "BAPI_REQUIREMENT_CREATE" for PR creation from data.
    BAPI_PO_CREATE for PO creation.

    what i understand is you are already having some TR on which work is gng on and now you want to add.
    no problem
    in your CTS+ when you create a TR just merge the old TR into this
    or
    you can also you the Copy objects
    in SE09
    this is very common technique use by developers so just ask them to check in se09.

    the standard way of migrating open orders is by using a plain text file. OPs with or without GR can be migrated.

  • Data Migration for Open Purchase Order

    Hi, All,
    Is there anyone know how to Count the volume for Open Purchase Order. What's the normal strategy for the Data Migration and Cut-over stage?
    My client want to know how many Open Purchase Order in the legacy system and then determine manual or automatic data migration. If manual, how to do? If automatic, how to do? Because all materials and vendors, plants are different number. How to track? How to find out to match between new and old?

    Sounds a bit early to be making decisions about the realization phase.  It doesn't sound like you have finished the Blueprinting phase yet, much less the testing phase.
    Anyhow, in my experience I typically use LSMW (Legacy system migration workbench) to load MM master data (material masters), Inventory (WIP, RM, FG, etc) Purchasing Master data (Vendors, Purchase Info Records, Source Lists, Quota Arrangements), and Purchasing transactional documents (POs, PurReqs, Scheduling Agreements, etc).  Depending on the complexity and volume of data, it  may be necessary to write custom programs to load the data.  You will find this out during your requirements gathering.
    It is uncommon but possible to load all of these data manually.  I have never run across a client that wants to pay a consultant's hourly rate to sit at a terminal to peck away loading master data, so if the client intends to have his own users enter the data manually, the project manager should make provision that there will be qualified TRAINED client employees available for this data entry.  I did help with a portion of a conversion once manually; of Sales Credits, but there were only about 30 SD docs to load.   I did this the evening before go-live day, while I was waiting for some of my LSMW projects to complete in the background.
    A good opportunity to 'practice' your data loads is right after you have completed your development and customization, and you have gotten the approval from the client to proceed from the pilot build to the full test environment.  Once you have moved your workbench and customization into the client's test environment, but before integration testing, you can mass load all, or a substantial portion of your conversion data into the qual system.  You can treat it like a dry run for go-live, and fine tune your processes, as well as your LSMW projects.
    Yes, it is good practice to generate comparisons between legacy and SAP even if the client doesn't ask for it. For Purchase orders on the SAP side, you could use any of the standard SAP Purchasing reports, such as ME2W, ME2M, ME2C, ME2L, ME2N.  If these reports do not meet the requirements of the client, you could write a query to display the loaded data, or have an ABAPer write a custom report.
    You didn't ask, but you should also do comparisons of ALL loaded data - including master data.
    It sounds like you are implying that the client wants YOU to extract the legacy data.  For an SAP consultant, this is not very realistic (unless the legacy system is another SAP system).  Most of us do not understand the workings of the myriad legacy systems.  The client is usually expected to produce one or more legacy system technical experts for you to liase with.  You normally negotiate with the technical expert about every facet of of the data migration.  In addition, you will liase with business users, who will help you and the implementation team to logically validate that the final solution (turnkey SAP production system, fully loaded with data) will meet the client's business needs.
    Finally, you mentioned how do you track the mapping of master data between legacy and SAP.  There are many ways to do this.  I normally try to get the legacy person do the conversion on his end, eg, when he gives you the load file, you would like to have already translated the master data and inserted the SAP relevant values into the file.  If this is not possible, I usually use MS Access databases to maintain a master map, and I perform the mapping on a PC.  If your data package is small, you can probably get by using MS Excel or similar.

  • NewGL  Migration -  Process  Open items BADI

    We are migrating with   document  splitting, in the  process  document split for open items BADI we  can assign a account assignment  object to enrich the document with the splittign characteristics defined.  Currently  it works for   blank  open item  docuemnts ( meaning if the business area is blank it fills with the right value)  but if the field  already  as values, it throws a validation error, that the field changes are not permitted  Error FAGL_MIG_022.
    Any help on  how to replace the old  values to new values will be appreciated. Its  for Business area and its defined as
    split characterittics  with required  indicator.

    I think It's more of question for business users, coz you can accommodate either way;
    1) Upload balances with original invoice rate, so that at payment correct forex gain/loss will be booked.
    2) Alternatively,Business 'Realize' the forex diff. at the go-live date, and upload the balance in Gain/Loss GL accordingly. Now, all the AR/AP balance are uploaded with the rate maintained at go-live date, and later on SAP will calculate the diff. between the payment date and go-live date. This way also forex is booked correctly in accounts.
    I'd suggest option 2 because it's straight forward. In option 1, you will have to upload the exch.rates for each invoice which could be different.

  • PO upload - migrate the open GR/IR balances

    Hi,
    We are in pre-go-live period and create a strategy for Purchase Order open items.
    We are migarting from SAP 4.6C to ECC 6.0.
    The scenario is:
    a. PO -100 qty, GR 50 Qty, No IR
    b. PO-100 qty, GR 50 qty. IR-25 qty
    c. PO-100 qty, GR 100 qty, No IR
    Client is looking to have purchase order history documents in new system ECC6.0 and post the GR and IR based on PO for 3 way match.
    Could you please explain more how to handle these scenarios.

    First of all, WE are the consultants, we should consult out customers.
    If we are just doing what they are asking for, whithout thinking, then we don't do our job in the right fashion, then we are just replacable technicans.
    When you load history like receipt and issues, then you would have to change the "current quantity" when loading the inventory,  I cant believe that an auditor would like to see this.
    Further you would need to have the very same moving average prices, otherwise you would post the financial history with different values.
    And because you are creating financial posting with GR and IR postings, you would have to change the "current values" on the GL account as well, when you migrate these values.
    this is a bottom less pit.

  • PO Migration - GR Open ,  IR Done

    Dear All,
    We are currently in PO data migration. I have this case where our users didnt clean the PO and we cannot do any transactions anymore from the source system.
    When i migrate the PO, line items with Open GR and IR done were migrated.  IR done was already done in the source system and GR delivery has yet to come so no GR transaction happened. This is PTS (Purchase to Stock).
    How to deal with this in the new system? In the new system, we cannot do IR anymore, right? And how to do the GR without the reference PO.
    Looking forward for your suggestion in this scenario. Thanks a lot in advance

    Aren't you improting the PO lines in the new system?? that is waht your message tells me at least!! When you finish migration, create a GR with Ref to PO and make sure the "final invoice " is checked on all line items. That will make the PO commitment zero in all cases, and then you clear the GR/IR differences manually in the system

  • Migration of Open GR/IR Balance

    Hi,
    We are implementing SAP & we have to migrate open GR/IR balance from legacy system to SAP.
    In legacy system there is no GR/IR account however there is a liability account against which Inventory is booked.
    Let's say we have migrated the balance through GL Balance. If we receive invoice from the vendor for the same value then there is no problem however if the invoice value differs from the liability created then how to handle the same?

    Hi D,
    The usual way is, to reconcile the old GR/IR balance in the old way as much as possible. It means, that the balance is posted to a separate account (not the GR/IR from MM) by open items, which will be understandable for the users (usually through a meaningful Assignment).
    Incoming vendor invoices for these cases may be booked as FI invoices against this account with the same "label" (Assignment etc.) and it is reconciled the same way as any other open-item account (e.g., subtotal items by assignment, automatically clear matching ones and investigate others). Or, perhaps a better way is, to keep running the legacy application for invoice verification for all the old cases (where goods receipt occurred in legacy). Posted invoices should be interfaced to SAP, to the open item account mentioned above. This should be done if the migrated volume is high and you want to keep the invoice verification automated even for the old cases.
    So, in general, the usual approach is to open a separate open item account, make an initial migration of the balance (split by meaningful open items) and then make sure that incoming invoices are labeled in the same way, whether manually or automatically. Users should keep an eye on it and follow up on the items (clearing or investigating). After a few months, there should hopefully be nothing left (although reality is often different) and the account should be blocked against posting. But having open items (by purchase etc., similar to SAP purchase orders and items) is the key to reconciling it.
    I have not yet seen re-creating old purchase orders with goods receipts in SAP, although this is also an option (you just need to offset the migrated goods receipts against a negative movement for initial stock upload to keep everything in balance, but it should work as well - perhaps even better than the above. But it is more complicated for data migration and therefore not as common.)
