Monetary criteria for manager approval in Expense

Hello,
I read in the peoplebooks about approval routing lists that I could use them e.g. in case I use HR Supervisor for all expenses but I need supplemental approver for expenses higher then 500 USD.
I would very much like to be able to do so but I can't find out how? I cannot select any monetary criteria for the approval type HR Supervisor... so i don't understand how I can ask for additional approval if the amount of the expense is higher then a certain value... It only seems to work for other approval types...

  • CUP 5.3 SP8 - Escalation process for manager approval stage

    Hello,
    We have our basic workflow configured that when a request is created by a user, the first stage it goes to is their Manager for approval.
    We are running into the scenario; what if a Manager forgets to approve or isn't available or is out of office and can't approve the request? We think we want to setup escalation of some sort but are unsure how to go about it.
    The escalation options that we have are:
    No Escalation
    Forward to Next Stage
    Forward to Alternate Approver
    Forward to Admin
    Intially, we felt that "Forward to Next Stage" would suffice because Security Admins is our next stage. If the alloted time passed for Managers to approve the request, escalation would move the request to our Security Admins. However, "Forward to Next Stage" is essentially an Approval, meaning Security Admins will get the email saying the request was Approved, not the email saying the request was Escalated. This will cause confusion with our Security Admins; they won't know that the request was in fact escalated because they got an approval email.
    We want Security Admins to ultimately get the authority in this instance so they can see that a Manager did not review in time, or is out of office so they can forward the request to a different manager.
    Keep in mind, I do understand we can have the Manager setup approval delegation. This doesn't help us however if the manager forgets to set his approver delegator when he leaves the office or really is in the office but is unavailable due to various reasons.
    I'm curious about the option "Forward to Alternate Approver." - who is the alternate approver for managers? Is it always the delegate? Is it possible that the alternate approver is the next level up on the HR heirarchy?
    Let me know if I need to clarify my issue.

    We have 2 approvers for each role. We defined in the Role Approver Stage that it be routed to the alternate approver should the main approver not respond in the next 3 days (via Forward to Alternate Approver). Bear in mind, once it is escalated to the alternate approver, the main approver will not be able to view/approve the request anymore. If the alternate approver does not approve/reject the request, the request will be left as is.
    In our case, we have used the functionality in CUP to pre-define the alternate approver rather than in your case, you would want to only escalate it as and when your Security Admin decides to. I believe if your Security Admin staff has admin rights in CUP, they are able to forward it to another approver via the Administrator tab. Else you can create a new stage to foward to your admin staff if it is not action upon.

  • Expense Report Stuck Pending Manager Approval

    1. This expense is not listed so it can be withdrawn.
    2. The manager did not respond to approve the expense report and it timed out.
    3. Expense is still active. (AP Standard Expense Report Process)
    4. Expense report #-1 (AME Request Approval Process) has completed.
    5. Three days after submission someone completed a Receipts Aborted Process.
    Does anyone have any ideas how to get this report listed where it can be withdrawn and deleted?

    Isn't it available from that specific user iExpenses User HomePage? What is the current status of expense report? Query the expense report from the Audit Resp and check the status.

  • Skiping initial selection criteria screen of HR report for Manager Desktop

    Dear All,
    The reports are configured using a custom scenario (Z Scenario) for Manager Desktop and used over the Portal through MSS. I have a requirement where for only one report (named Expired Qualifications) the initial selection criteria screen which comes when accessed through portal needs to be disabled or skipped and directly the transaction S_AHR_61015536 for this report needs to be called.
    Please provide the inputs if it can be done and how for one report only.

    Dear Sen,
    I have checked the thread suggested by you but the report here is not independent transaction integrated using iView. It is a part of Scenario which makes the reports available to the managers. It uses MSS Standard iView "Reports" and "Selection Criteria". Both iViews are in one page as delivered by SAP. The reports iView displays all the reports configured in the scenario for Manager Desktop and Selection Criteria iView is launched first in the portal content area when the report ( "Expired Qualifications") link is clicked from the Reports iView.

  • Time/LEave approval in Business Package for Manager Self-Service 60.1

    Hi all,
    Currently implementing ESS MSS on 4.7 system with EP 6.0 SP19.
    The BP we plan to use is Business Package for Manager Self-Service 60.1.
    My basic question is, we approve leave requests in BP for my SAP ERP (2004s) in the Universal worklist. How do we do the same in  Business Package for Manager Self-Service 60.1. There i sno mention on time approval and leave requests approval in the MSS standard documentation ( or probably i missed it).
    Any inputs in this regards are highly appreciated.

    in mySAP we had the opition to lauunch the applications in web dynpro. like launch leave approval in web dynpro. do we have this kind of optiion where the manager can approve the work item on the portal application or will it call a transaction based iview to open the work item in the R/3

  • MSS Time Approval - multiple (different) selection options for manager?

    Hi all
    I am setting up MSS Time Approval delegation in ERP2005 without workflow, leave request, nor portal development environment set up.
    In this case, the customer needs to have multiple selection options for who to approve:
    1. The manager's direct reports (standard functionality)
    2. All subordinates, all levels down
    3. Delegate's (manager or non-manager) view of a particular (other) manager's direct reports
    3b. This might extend to a set of different delegation selections
    4. Add or remove certain individuals
    Now, getting 3. and 4. to work was simple using the BAdI (I think the enhancement spot is named APPR_CUST), method ...-edit_selection, but I am having difficulties with 2. and 3b. Now I am thinking along these lines, and I would greatly appreciate your input:
    A. It seems that the MSS "Approve working time" app only loads the data selection at the entry into this screen (INIT command from portal), using the start perspective determined for example by the IMG for defining the approval profile <-> view. My debugging suggests that the view change from the drop down menu (CHANGE_PERSPECTIVE command) only picks a different way to present the same data set.
    Could anybody please confirm or contradict this conclusion?
    B. Is it possible to present the entire "Approve working time" section in MSS in multiple different copies so that they would all generate an INIT command? Or is it possible to copy and modify the entire MSS tab, resulting in an ESS tab, one MSS, one "D"SS, one "A"SS (well, not suggesting that the top manager is one, but you get the drift...) and so on?
    If either of this were possible, it would be simple to make two modifications, one at the beginning of the FM called by the portal and one at the FM that returns the start perspective.
    So far I have been trying to catch and alter the CHANGE_PERSPECTIVE command into an INIT in the back end, but the Time Approval functionality is a bit too complex for me to feel entirely comfortable with this approach.

    We too are using MSS for time approval of time entered via ESS.  We are on ECC 6.0 for the backend (no enhancement packs, at least not yet), currently sp stack 10 with hrsp 24, and EP 7.0 with stack 10 for the ESS/MSS business packages.  We are using the standard MSS UWL functionality for the approval, so it is workflow-based in my understanding.
    In other parts of MSS, the managers can see a few levels deep in the organization structure, based upon the definition we gave for their structural profiles.  For instance, in the team calendar/overview, or other team information, they have a choice for multiple levels or only direct reports.  However, in the time approval application, only direct reports are shown, so if a manager goes on vacation, at present the only way to cover time approvals for that manager's employees appears to be to temporarily assign a new 'chief' to that org unit, so HR involvement becomes necessary.  The manager doesn't have any method for delegating the approval or other MSS authorities.  We were hoping that by allowing multiple levels in the structural profile, such approvals would "roll up" to the next level, i.e. the manager's supervisor, so the next level manager could act as a backup to his/her managers on vacation.  That doesn't work, however.
    We have heard that a delegation feature for MSS will be available in an upcoming release, but I haven't found any information regarding whether that requires an upgrade, an enhancement pack, a later service pack level, or what or when that functionality will be available.  Does anyone know anything about that?

  • GRC AC V10 - one approval step for manager and role owner

    I have one, perhaps easy, question. Where is it possible to maintain the solution of one approval step for manager and roleowner, if both are unique.
    E.g.:
    simple approval workflow: manager stage afterwards roleowner stage afterwards auto-provisioning
    So if the request is routed to the manager and the manager is also the roleowner of the requested authorization role (same UserID). The user has to approve one and the same request twice.
    Is it possible in V.10 to change the config that the user has only to approve the request once? And then to decide on which relevant stage settings are valid for this process.

    Hi Alexa,
    We have had a similar questions raised in a project. In an ideal world, a single "Sign-off approval" would be a great functionality where the same user has to approve the same consecutive stages, but the reason for different stages would entail that the responsibilities entailed per stage differ, e.g. Line Manager would just check the over request, and the role owner etc may be reviewing the elegibility of a specifc role etc.
    If it is likely to be the same person reviewing the 2 consecutive stages, maybe a single stage workflow would be sufficient to cover this scenario.
    I think the logic you are trying to configure in the workflow is possible but will require alot of work with knowing how to create a clever custom workflow with BRF+ or the actual WF stuff in SAP itself.

  • Approve button missing for managers to approve trave & expenses

    Hello all,
       Our production system is running ESS/MSS. Last couple days, some of the users have been reporting that they are not able to approve the expense reports because they do not see "Approve" button, instead, they are seeing "Assign to me" button.
    Could anybody please suggest what could be happening?

    The Approve and Reject functions are missing in the context menu
    Reason: The configuration XML file cannot be generated due to the missing RFC destination for the provider connector. The result is that the item type information, for example, available actions, dynamic parameters, visualization parameters, cannot be retrieved from the back end.
    Solution: Refer to SAP note 1133821
    In our environment EP7.0 SP18 , approve and reject buttons missed,after implementing above note,again they appeared.

      Suppose if multiple persons raise workflows like Leave, Travel, Claims, Loan every workflow is different. You cannot have single workflow and single work item. The work item comes to UWL for the approver. In the UWL you can customize the screen put a radio button in the screen such that only approve and reject button. So every wprk item can be just selected with approve and reject radio button on the UWL itself. Finaly update button will update the entier page with the approvals. But this is very very very difficult.
      Think logically Y the approver wants to do mass approval. Suppose the approver receives the leave work item without seeing the leave quota will he approve?. Similiarly for travel without seeing the expense amount will the approver approve the trip.
    UWL is for all the module like Travel, Leave, Claims, Loan etc. Every module the approval screen itslef different. So mass approval is not possible.
    If ESS is implemented only for Leave or Travel or Payroll then its possible. In that case customize the UWL with radio button and after mass approve or rejection finally need to update. But this is absolutly not advisable since every person the data are different.  So mass approval is not advisable.
    I think am logically correct?

  • AP completes audit before status is 'Manager Approved'

    This is regarding the sr 3-3926612411.
    Product version is 11.5.10.2
    Issue

    Customer wants to know is there any way to prevent AP to complete audit if the report status of the expense report is not 'manager approved'?
    The expense report was audited for the first time on May 3 and the expense report was approved by 2 more managers after that and then re-audited again on June 8. However the report was never imported into AP, and we asked the preparer to withdraw and resubmit for approval and the whole approval process has to re-run again and a lot of time is being delayed on the payment to the requestor. It appears that because AP completes audit before manager approval it does not complete the flow properly into AP

  • Fiori Approve Travel Expenses Accept / Reject error

    Hello,
    I have installed the Approve Travel Expenses app and it looks to be working okay appart from the approve / reject buttons.
    I have setup the scenarios using transaction SIMGH.
    These are the only configuration changes i could find i need to make. In the guide for approve travel expenses it mentions to make sure tables SRA008_T_CONFIG and SRA008_T_TASKTYP are maintained and that the Travel Management module is installed and configured.
    I cant find the paths in IMG to check the tables and also don't know how to check that the Travel Management module is installed and configured correctly. I will mention though that the client uses a custom workflow for travel expense approvals which is why I have defined the approval workflow task as TS90100025.
    The error I get in the Fiori app is:

    My colleague pointed out that the task needs a user decision for the app to run and the approve/reject task is set as an activity.
    I will ask the workflow consultants to update the workflow. Ill test the app again and post back here with the results.

    I am implementing travel expense module. We are also implementing ESS and MSS for TE. Workflows are being used to send aprovel request to managers.
    I want to know if some one has implemented a check for self approval. i.e do any one know how to check and restrict self approval?
    If a manager creates a expense claim and it comes on his universal work list because of some wrong work flow or substitution then how can we restrict him from approving?
    Can this be done by authorisations? or by using a badi or user exit?

    You can handle this thing in two ways.....................
    1> We can always check that if the employee and approver are same then ...workflow should not allow person to approve travel expenses.We can use the exculded agents function while specfying our agent in workflow task.
    i.e if travel expense approver is person having sap id
    test01
    and employee who creates trip is also
    test01
    .Then above functionality won't allow person to approve his own trip.
    2. In case of substitutions we have to use badi to restrict this stuff.
    As per standard SAP UWL functionality you can delegate/substitute anyone in Organization. If you want using BADI WF_SUBSTITUTE can restrict user which can come in search for delegation/substitution as per your requirement.
    Please refer SAP Note 977069 - Substitute API: Providing the BAdI WF_SUBSTITUTE.

  • Approve Travel Expenses FIORI Application

    Hi,
    I have a problem in Approve Travel Expenses FIORI Application. The application was configured and implemented as shown in the SAP documentation platform :

    My problem is the application doesn't import any travel expenses that was created in PR05 TCODE. I can approve any expenses in SAP. The Odata message service returned OK code in /IWFND/MAINT_SERVICE. The Employee Master Record Creation was assigned to my s-user. I Have all roles and Manager Statut.
    Should I maintain both tables :
    SRA008_T_CONFIG
    SRA008_T_TASKTYP
    if i won't want  to use a specific work-flow ?
    Should i use a work-flow ?
    Are there any SAP customization to do with my s-user ?
    Any SAP Tcode to create / Approve travel expenses ?
    All packages are updated.

    Your issue is in HR workflow configuration. If workitem is in inbox, Fiori app can read it.
    For SAP Business Workflow troubleshooting, you should look at event trace and workflow log.
