Hi,
Here is our scenario.
We create sales order for very large Roofing jobs. Sales order will have 1 or 2 Items. However, each item has Billing plan with multiple entries like Down payment Inv, Partial Inv and Final Inv. We want to create Pro-Forma Invoice so we can just send Invoice to customer, with no effect on our AR side. I created Sales order with 2 Items. When I created Pro-Forma Invoice using VF01, it created 2 Invoices for 2 Items. My question is, Is it possible to create Pro-Forma Invoice for just 1 Item AND within 1 Item, Partial Amount. If so, How ?

Hi,
It looks you need to create a routine in tranx VOFM with the logic to select one item and partial value.
Then assign this routine in the billing document copy control - item level.

    Excise Invoice is created based on Proforma Invoice or
    Invoice (based on configuration, it can also be Delivery).
    The Process Flow will be as under:
    Process 1:
    Sales Order (VA01 / VA02 / VA03) --> Delivery (VL10A / VL10C
    / VL01N / VL02N ? VL03N / VL04) --> PGI (VL02N) --> Proforma
    Invoice (VF01 / VF02 / VF03) --> Excise Invoice (J1IIN)
    Process 2:
    Sales Order (VA01 / VA02 / VA03) --> Delivery (VL10A / VL10C
    / VL01N / VL02N ? VL03N / VL04) --> PGI (VL02N) --> Invoice
    (VF01 / VF02 / VF03) --> Excise Invoice (J1IIN)

  • How to do Payment against Proforma invoice with excise duty?

    Hi all
    I am using SAP B1 9.0
    I have a scenario like, I want to make a proforma invoice partially/fully for the customer order(sales order) with excise duty and I will receive payment against this invoice.
    I tried to use AR down payment request , thus I can create proforma invoice for partially/fully and I can do incoming payment also, but the problem is I can't use Excise duty(CENVAT) in down payment document. Is there a way or work around for my issue?

    Hi,
    In standard SAP B1, we can't select Excise tax code in Down payment request document and it will not allow also
    Find below the workaround solution:
    1. When you are raising Down payment request, enter DPM value including Excise Duty. i.e. If the base value is 1000 and Excise duty 120, enter 1120 in DPM value, the percentage will become 112%. In case of partial also calculate partial excise duty and add in base value and enter in DPM value.
    2. Based on Down payment request book the incoming payment
    3. Adjust Down payment request in final AR Invoice it will get adjusted in total value.
    Note: The Excise duties will book at the time of OEI booking (as per legal req). We can't book the excise at the time of Down payment.

    Please check split analysis while creating the proforma invoice which will indicate the possible differences in the line items which leads to splitting of billing documents. Any way, please check for Payer,billing due date ,currency,payment terms and item category and look for any differences.

    Hi Kamlesh,
    No, it's not possible. You can only remove payment block code in MRBR.
    You might be able to respond to requirement by manipulating payment block and payment terms in FB02.
    If it's inadequate, it will require a custom development.

    Whenever we create proforma invoice related to sales order, the system will copy every thing from sales order and same thing will be reflecting in proforma Invoice. If I want to create a proforma Invoice only for partial, can I do it.  Because we dont have any option to change the billing qty in vf01 or vf02. Is it possible to  change the qty in proforma invoice.

    Hello Friend,
    If you want to have Pro forma Invoice with partial quanties then you need to have Billing Plan assigned to your Sales Order.
    But if the Proforma invoice with respect to Delivery then you can change the quantity for the same if in the order for the relevant item category if you maintain for Relevance for billing as K (Delivery-related invoices for partial quantity).
    Then in billing you can manually go and change the quantity.

  • Problem with pricing condition type in case of proforma invoicing

    the problem is related to a pricing condition type in case of proforma invoice where the details are as follows -
    Name of Condition Type - ZADC - Add 10% on Cost                                         Access seq.   Z038 Diff

    Cond. class -  A Discount or surcharge
    Calculat.type -  A Percentage
    Cond.category - Blank
    Manual entries      D Not possible to process manually

    Quantity Conversion - Checked
    This condition type has been kept as statistical in the pricing procedure. Still in the proforma invoice the condition type is not getting reflected automatically , whenever I am updating with " carry out new pricing " option the condition type is getting populated.In case of other commercial invoices this very condition type is getting populated automatically without any updates.Along with this point to be noted is that the Condition type in which the actual costi is captured has been kept active.
    What more needs to be configured or what are the changes to be done to populate the condition type automatically as statistical during the time of proforma invoicing?

  • Billing for partial amount

    Hi Friends,
    I need to do billing for partial amount where the quantity is only 1. As I know the solution for this is activating billing plans and giving the required % in Sale order. But I dont know what will be my % of billing until the time of billing. So I want to do billing for only part of the amount and should be able to do 2nd billing again for the balance amount and for the same 1 qty.
    Is this possible? If so how?

    Hi Kumar,
                      You can try this way. Create this item as a value item in the sales order.Copy the item category "WKN" and rename it , but in the billing relevance maintain as "I" and If item is relevant for delivery , maintain that indicator and assign the billing plan to the item category. Now once you are in the sales order, system will propose the value as "0" to be billed on a particulat date. Once you are at billing, you will be knowing how much you have to bill the customer, now you come back to the sales order and change the value in the billing plan. And in item category(VOV7) MAINTAIN Completion rule as"E", So the item will be completed only when you fully invoice the customer or if you dont want that maintain item is complete at first reference. Kindly please let me know If you need any more information on this.

  • Billing block on order with proforma invoice

    Hi,
    In our process, we take on new customers who need a pro forma invoice to pay us but often the final amount varies from what was initially expected. There is no delivery and the Proforma will create from the order. However, we will correct the order with the final quantity (service time) once the customer visit ends. e.g. an order was $100 and the pro forma invoice was sent for $100. it turns out the final service was for 150 - the customer at the moment pays only 100 but will pay the rest when we send the bill. Once the service is complete the order is corrected to 150. The volume is high so we have billing jobs running to create the invoices from the orders.
    Exploring 2 options:
    1. To make the correction, we want an automatic billing block put on the order once a proforma is generated. When the order is corrected subsequently, we will remove the block too. If it can't be done automatically, then 2 below:
    2. One can't generate the pro-forma if there is no billing block on the order. This is to prevent the person responsible to print it if he/she forgets to put the block
    Either of the 2 scenarios will work for us. Is there any user exit which can do this?

    If you are handling these orders with a different order type, then just default the order with a billing block"Review pending" using OVV3, don't assign this block for the Proforma invoice, but assign it to the regular invoice using OVV4 .
             Then you can always make sure that a billing block exists on the order before the proforma invoice gets printed.
    Option 2.  If you are not using specific order type for the process.
      In this case think about assigning the billing block for the orders that are being placed by the new customers, try to figure out a logic to identify the new customers..
    On the whole, <b> If possible</b> I feel its better to assign the default order block rather than creating a new program to assign the BILLING BLOCKS for all the orders that have Proforma Invoices printed and run this program in Background every day or twice a day  when ever required..

  • Requirement of invoice list in case of a proforma invoice generation.

    Dear Experts,
    I have a case where the customer is indulged with the export sales & he had delivered the excisable goods to his customer (or we can also consider it under STO as one of the above case) & wants to arise a proforma invoice in context to this transaction with the delivery document being taken as the reference document in the billing screen VF01; where, as I have already mentioned that the PGI has been done. Now the problem is this that the billing document is not getting generated with an information log that, '_The invoice list cannot be determined_'. Now I am not able to understand that why this is happening? This was the delivery related with a single line item.
    I went for changing the billing relevance field at VOV7 from 'A' to 'J' & even tried by changing the copying requirement from '010' to '311' at VTFL, from LF to F8 (as this is normally followed during the issue of free samples & subseqyent free of charge deliveries); but was not able to get the required output.
    What to do? Kindly assist.

    1) The document flow is like this that between the two plants for e.g. 1000 & 1100 under the same company code  the stock transfer needs to take place.
    2) Plant 1000 is devoid of the required amount of stock, hence it raised an enquiry for the aforesaid amount of stock with plant 1100
    3) Plant 1100 confirmed the availability of stock
    4) Plant 1000 raised a purchase order with plant 1100
    5) Plant 1100 raised the sales order for the required quantity of stock with plant 1000, & has done the PGI under delivery.
    6) Now the plant 1100 wants to raise one proforma invoice with respect to the delivery of goods being done to the corresponding plant 1000 & one commercial invoice for the payments to be made.
    7) The processing from raising the purchase order to the delivery of the goods to the respective plant has already being performed.
    8) At the moment of creating the proforma invoice with billing type F8, the system is throwing an error message that it is not able to generate the billing document because of the reason that the invoice list date cannot be determined.
    or else in the other way, in simple manner what needs to be done when simply the billing document is not getting generated in context to a delivery document because of the reason that the invoice list date could not be determined. Does this have to do anything with the POD time frame or the pricing conditions being defined under the pricing procedure which has not been followed upon while processing the sales order?

    Yes you can create Proforma invoice for the delivery after PGI even that delivery is relevant for POD.
    You can accompany a proforma invoice while sending the goods to the ship-to party.

    Hello,
    Yes, we can do this in SAP Standard.
    Infact this is the process normally followed in many industries, specially where advance payment is required.
    You can create a Proforma Invoice from Delivery Document before PGI & then create actual Invoice after doing PGI.
    For Proforma Invoice before PGI you have to do the following setting:
    IMG - Sales and Distribution - Billing - Billing Documents - Maintain Copying Control For Billing Documents - Copying control: Delivery document to billing document
    Here select your Delivery & Billing Type & at Header Level in Copying requirements insert routine 11 - Head.dlv-rel.w/o GI.
    No other setting is required for Delivery to actual Invoice.

  • Delivery note cancellation in case of proforma invoice

    Hi SAP Gurus
    I am in a typical automotive industry project where stock transfer takes place from factory to Sales Depo. In thsi case we generate STO orders - delivery note-- PGI-  Proforma invoice--- Excise invoice .
    Now as no accounting documents are generated in the proforma invoice cancellation of proforma invoice is not possible.So it happens that user reverse the PGI and cancels the delivery note.
    In many cases he/she remebers to reverse/cancel  the corresponding excise invoice generated but there are frequent cases as well where delivery note is reversed and cancelled without reversing/cancelling the corresponding Excise Invoice. 
    So i require
    1. Either the corresponding excise invoice gets cancelled at the time of cancellation/reversal of  delivery   note.
    2. If i could create an error message and validation check that restricts and informs user that a corresponding Excise invoice exists or excise invoice still open .
    Please help me out.

    You can very well control this issue via BADI  LE_SHP_DELIVERY_PROC  where you can see various "Methods" in which you can also see "DELIVERY_DELETION".
    Tell this requirement to your ABAPer who can very well complete the task by using the above method.

    I have a below scenario
    This is regarding Intercompany scenario for export sales , Normally when we do export sales we have SAP Standard billing types ( Proforma F8 delivery related and F5 Order Related ) sometimes at the request of the client when they need a proforma invoice even before the delivery happens for an item with item category ( TAN) , SAP does allow us to create Proforma as they are std settings already maintained in SAP between OR and F5 and Item cat TAN
    Now when it comes to Intercompany scenarios export sales processing , if we need to have delivery related proforma invoice its possible by implementing the Snote - 445763 and for order related invoices we have note 833115.
    Now i would like to know from experts if a requirement for creating a proforma invoice for IC export sales referring to sales order for item cat TAN how can we map this as i understand TAN is delivery relevant , but what i am pointing is a replica of OR-F5 ( for delivery item cat TAN ) for intercomoany scenarios
    i have gone through certain posts but i got information on order related IC proforma and Delivery related IC Proforma
    But i need it specific to creating a Proforma Invoice for intercompany billing IV with a deliver item cat TAN , how to achieve this and what setting and precautions to be taken in copy control and configuration

    Thanks for your mail, well yes as you mentioned above correctly for OR and TAN we do have SAP Standard settings  wherein we can create proforma invoice F5
    But my requirement is similar to the above requirement if we have scenario for Proforma Invoice ( Intercompany ) wherein for sales order having a delivery relevant item , I need system to create a Intercompany Proforma Invoice referencing to Sales Order
    Intercompany invoice ( Proforma ) referencing sales order delivery relevant item
    Please let me know how can we map the above

    When I am trying to create ZF5 document with transaction code VF01 I am getting the following error,
    No billing document is generated and processing status is Incorrect
    What is the reason?

    Proforma Invoice is created either with reference to the Sales order or with reference to the Delivery doc.
    If it is created from sales order, it is order related Proforma invoice will call(F5) and if it is from delivery, it is called delivery related Proforma invoice (F8).
    I do not think, you will be able to create a Proforma Invoice with reference to the Quotation.Quotation is still an information & not yet agreed by the customer
    Moeover ,If you will go to the Item categoryin Quotation (AGN) , transaction code VOV7, you will find it is not relevant for Billing.
    So, I think it is not possible.
