Project Allocations

This may be pretty straight forward for you guys. In my company they want to true up project with GL every month. To be more specific, Projects should equal GL by Department and Account balance every month. For example, if the total labor cost from Projects is less than the balance in GL, the delta needs to be allocated to all projects. This is not just Labor, it is for every account in GL from Manufacturing cost, T&E to Operational Expenses.
My questions
1. Do companies try to allocate every expense to projects to 100%. Does it make sense to do this ?
2. If we have to do it, I feel it would give me more flexibility if I import those cost as standard transaction interface ( through PA_TRANSACTION_INTERFACE_ALL) than using the Allocation Extension, sicne we have many rules ( about 30) and the allocation method is complex and I don't know if Allocation extension is flexible enough. Any recommendations ?

There are companies who try to absorb 100% of the indirect cost and allocate those to projects.
You could try using project allocations.
Since you haven't described the complexity of the rules, it is hard to say if allocation would work for you.

    there are several options, why a user can't do time recording, e.g.
    No staffing in project
    No role/resource-task assignment
    No authority
    Status management (e.g. closed tasks or not-released tasks)
    Since you have no access to production system and you want to check these points, try the following:
    For correct staffing and role/resource-task assignment look at the tables DPR_BUPA_LINK and DPR_ENTITY_LINK. The table DPR_BUPA_LINK contains the linkage between role and business partner. Here you can also find the field PARTICIPANT_GUID that corresponds to the BUPA GUID in table BUT000.
    In Table DPR_ENTITY_LINK you have the linkage of the PARTICIPAN_GUID to the task GUID (ENTITY_GUID = GUID of tasks; ENTITY_TYPE = 'TTO' for tasks).
    So you can check if there is correct linkage of BUPA.
    For checking authorities you can look at tables ACO_USER (Authorities defined on tab 'user'), ACO_USER_GROUP (Authorities definied on tab 'usergroup'; here you also need ACO_GROUP_USER for checking users in usergroup), ACO_HR_OBJECT (Authorities definied on tab 'org.unit'); ACO_ROLE (Authorities defined on tab 'role'). Inside these tables you have e.g. the GUIDS for the tasks an the values (like admin, write, no_auth, read, financials, etc...)
    For checking status management of tasks (e.g. not released or closed) simply check the table DPR_TASK for the field 'PROC_STATUS_OWN'. It shows you, if a task is closed or not-released or cancelled (00, 20, 21, 40, 41), The value has to be 10 or 11 for time recording (if integrated with CATS and accounting).

  • Project allocation in FB60

    Hi Friends,
    is it possible to allocate amounts in FB60 to a PSP-Element.
    Of course there is a field but can I post it to the accounts?

    Hi Jimbob,
    Do you want to post vendor invoices with respect to a WBS element? In FB60 you can do that.Specify the WBS number in the "WBS account assignment " Field.
    After you post, this line item will be visible in CJI3.

  • Question on Allocations in Oracle Projects

    Hello All ,
    Please let me know how to transfer amount on one task to another within the same project using Project allocations.
    If there are Multiple Projects present in the system how do we map that cost from a project goes into another task on the same Project . How do we establish a one to one relationship between the source and targets in this case?

    You should set up an Allocation Rule for each pair of project and tasks you want to transfer costs between.
    Navigate to Project Costing > Allocations > Allocation Rules.
    A) On the setup form enter a name to the allocation rule, Select Basis Method as Target % and spread Evenly.
    Enter the expenditure organization, exepnditure type class and expenditure type for the EI resulting in the allocation run. Save.
    B) Now open the Sources form - Under the Project Sources section select the amount type (raw or total burdened cost), then enter the first line of the source - there you list the projectt and task being the source. Save.
    C) Open the Targets form. On the first line enter the project number (same as above), and the task number which you want to be the receiving task. On the % column enter 100%. Save.
    D) At last go to the Offset form. There you may choose the offset method and the offset transaction attributes. Save.

  • Automatic project creation from sales order

    Hi,
    I am creating project from the sales order. I have all necessary configuration and maintained master data.
    But during the creation of the project, I am getting 2 errors
    1. I have to maintain network start date (maintained forward scheduling in customization) and systems prompts for availability check
    2. After maintaining start date and confirming the ATP check, when I try to save the sales order, I get error like "Create Network: Project Allocation" where in I can see 2 standard projects, one SAP standard project and another which I created by copying this standard, against which there are 2 black fields for project definition. and below 3 options. COPY, ALLOCATE WBS ELEM and CREATE.
    If cancel this, system asks ' Copy project allocation in the network?' if i say yes then i cant leave the above window and if i say no then new window pops up asking me for WBS element acc assgn and billing WBS elem.
    Does anybody aware of this issue?

    If you want to have availability check on sales order then customize accordingly using OVZ9 & OVZ0. if you don't want availability check then you remove that customization with reference requirement class.
    If you don't want have availability check in project with reference to network type, which I hope has been maintained in the system right now, you can skip that.
    Secondly, your business requires where stock to be release (Sale order/ Project). For the same, kindly check in OVZG what has been maintained for special stock and for account assignment cat.
    If you want to have through sale order, kindly use sale order stock.
    Third, check in CN08, which all values has been defaulted with respect material number, generally if you want to run project through sale order and then header assigned network type is used.
    I hope it would be helpful in resolving the issue.

    Hi Amol,
    It could be a MTS scenario with PS integration. If you have projects in construction sort of, then you need to have a PS in your system implemented. You can follow the normal procurement cycle with focus on PS and project allocation of materials.

  • Common Cost - Asset allocation

    Please help with the following:
    Our requirement is:
    1) We have common costs assigned at the task level.
    2) Our assets are assigned to tasks
    3) Assets for the project are placed into service at various dates.
    4) When common cost is allocated at the time of asset creation, it should only allocate part of the common cost that goes into service. For assets that do not go into service, common cost should be available for allocation in future.
    I tried to work with Asset Allocation client extension. It does not allow me to leave any common cost unassigned after partially assigning the common cost to the assets that are placed in service. How do we leave some of the common cost unassigned for assets that will be placed in service in future.
    What can we do to achieve the desired objective.

    You may consider Projects allocations.
    You could allocate the cost incurred at the common task to the various task of the project. The cost allocation will offset the common cost task.
    Any assets in other tasks that is placed in service will absorb the common cost you already allocated to that asset task.
    Allocated costs in other assets task will remain in CIP until you capitalize the next assets of the other tasks.

  • Projects to General Ledger integration

    Does anyone have any experience creating GL journals from PA project allocations? We want to run allocations in projects and have the results go to the GL, based on PA accounting rules.

    Can you be a little more specific on what you are trying to do.
    I have experience in intergrating project accounting to the general ledger in a data warehouse using discoverer to show the results.
    The solution I developed for my compnay is to ensure all entries from all sub-ledgers including manual journal entries are moved to the data warehouse tables have project information based on PA autoaccounting rules.
    The company I work for was interested in viewing reports that cubed cost centers (dept's.) to projects and to translate all entries (not just account balances) to USD for thier foriegn set of books. So, projects can be seen company wide in USD at lowest entry level. The solution I gave them solved the problem and they are able to view reports and evaluate costs by cost centers and projects on an enterprise wide application.

  • CRM to R/3-PS Replication.

    Hi all,
    I'm using cProjects for creation of the projects allocation of resources(staffing) to the projects in CRM and it'll be replicated to R/3-PS. I'm getting an error message saying that projects and wbs already exists for some of the projects. I know how to debug the replication. but i've two questions here.
    1) I've the rfcuser created as a system user if i change this to dialog user will it affect any other communication settings or what are the consideration that i've to look prior changing this to dialog user.
    2) when i look at the information thru smw01 and selected the bdoc type CRM_CPRJ_MBDOC and selected project with the ext data and i'm able to see the projects which is not replicating has the participant task type as STATUS but normally it'll be CREATE, UPDATE, DELETE. will there be anything in this?

    Antony, to answer your first question, your RFC-user should be set-up as system user and NOT as dialog user. Reason for is security related, you can log-on with a Dialog user not with a System user.
    Second question is more complicated. Where there any existing projects already in your R/3 backend system causing the error message? Second the 'Status' in the BDoc that you see, isn't that caused by an empty field value? Tiest.

    The table approved has more than 10million records and the query is taking a huge time.
    The query first tries to restrict the search to only valid entities and cc (already indexed and working fine).
    The cardinality of allocations, projects is around 1000, entity is 3000, and cc is around 50,000, reference number = 2000, financialyear = 4
    Please suggest which index would be best to use on these columns given that there will no updations but frequent insertions.
    If nothing else works than I will need to change it to pre aggregated data for overnight run .

  • ORA-27102: out of memory SVR4 Error: 22: Invalid argument

    Hi all,
    I'm doing an install of a Solaris 10.2, Oracle 10.2 system. During the Create Database phase, I am getting;
    ORA-27102: out of memory SVR4 Error: 22: Invalid argument
    Doing some research, and reading through the details here:

    I think my issue is my SHM parameters, reinforced by the repeated entry in the Oracle Alert log:
    +WARNING: EINVAL creating segment of size 0x0000000085000000+*
    +fix shm parameters in /etc/system or equivalent+*
    when the create fails.
    I am not familar with Solaris' new project mechanism, although from what I have read, it seems to be set up properly.
    Here are my server details:

    Memory size: 8192 Megabytes

    During the course of troubleshooting, I have:
    1 - Increased the amount of SHM allocated in the project. I have tried 16GB, 8 GB, 10 GB, 11GB etc, to no effect, so I reset it to 10GB (as seen above) and focused my efforts elsewhere.
    2. SHARED_POOL_SIZE - I have decreased this by roughly 75% from the original value, again to no effect.
    3. PGA and SGA sizes - I have increased these from the original values by an increment of 25%
    Following the advice from the referenced blog (which does a good job of explaining the logic behind the actions) I have determined that the Alert log error message is telling me that it is lacking

    (Hex conversion value, which I think I need to read as 2GB, not 100% sure)
    I've increased my project allocation, and the PGA sizes, did I just not do it enough?
    Any advice?

  • Regarding output in a report

    The report five tables of PS modules.PROJ,PRPS,HRP1001
    ZPRACTICE and ZLEAVE
    i have the selextion screen with project,STart date and end date
    and practice.
    I want to get the report o/p in such a mannner that
    1.Based on Project allocated with these date range selected I have to get o/p with all fields
    2.similarly with practice allocated with date range.
    These are All tables of PS and HR

    There must be a practiceid in your Proj table.
    u can make join proj-pspid field and Hrp1001-objid.
    HRP1001 all the allocations regarding a project-pspid gets stored.
    And in Zleave table u must have all the leaves taken by company employees with startdate and enddate.
    Do join on Proj-pspid with Hrp1001-objid and get all the projects and corresponding persons allocated in the respective project and respective ZPractice field in proj table.
    once you get both these you can then check in Zleave for the dates u have selected you can check employees in selected dates allocated in the project.

  • Combine material posting with KANBAN withdrawal quantity

    Is it possible to combine the material postings with the KANBAN trigger quantity / withdrawal quantity-input?
    Such that if a goods issue posting is done the system in parallel considers the quantity similar as entered manually via PK22. I am looking for a solution that sets automatically the KANBAN to empty as soon as a stock quantity is reduced to a limit (trigger quantity / safety stock).
    We can not use the MRP-settings/-functionalitiy for those materials.

    it depends on how MIGO is done. Is the transaction with statistical project allocation or does it also regard project stocks. This usually is triggered by the movement type of MIGO.

  • Forms Personalization: FRM-41017- Cannot set UPDATE ALLOWED attribute error

    Hey All,
    I have a requirement in Projects > Allocation > Allocation Rules which needs a few mandatory columns to be greyed out.
    I think that the form is not getting query-able because of the “FRM-41017- Cannot set UPDATE ALLOWED attribute of non-enabled item RULE.OFFSET_METHOD” error when we open the form.
    I was trying to set the required property to false for personalization’s done on mandatory columns and see if that can work in suppressing that error. But it did not.
    Can anyone help me by telling how to avoid this and make the form query-able?
