RE: Archiving Mailboxes

I was fiddling around with my ISP's email settings (investigating IMAP and stuff) when I suddenly discovered that my Mail messages had appearently doubled. The most recent ones had been downloaded again so it now looks like I have over a thousand messages going back to around late 2007.
Rather than sort through dleting all the duplicates I decided that, as a lot of my messages are now several years old, I would make an archive of my mailbox on my external HDD (twin 1TB WD MyBook configured as RAID 1).
Am I correct in thinking that I may now delete all the older stuff from my Inbox and just keep the recent stuff?

I assume from what you describe that your account is POP, correct? then after you archive your mailbox then yes, you can delete the stuff from the inbox. if you need it back just import the archive into Mail.

    You can use classifications but there is no auto feature to archive like that on web apps.

    We are in the phase where we Will enable Online Archive for all the users.
    We see that the default Archiving Quota is set up for 50 GB. We have found this powershell command on MsTechnet forum
    Get-Mailbox -resultsize unlimited | where {$_.ArchiveDatabase -ne $null} | set-mailbox -ArchiveQuota 7GB -ArchiveWarningQuota 6GB
    which I guess it will set up the ArchiveQuota to 7GB to all the users, true?
    The question is if this command will work only for those users who currently have archiving enabled or it Will also work for those users which we are planing to enable archiving in the future?
    The idea is that everyone would not have 50GB by default and this should be a default value also for those who currently do not have archiving enabled.

    Hi there.
    I don't quite get it.
    I have created "for example" a database called: STH ARCHIVE.
    Then if I take look on properties of this database this is how it's shown:
    And now here comes the "tricky part" which is a little bit odd to me.
    I have enabled archive on my mailbox and selected this STH ARCHIVE DB to hold this archive mailbox.
    Then I have manually ran ManagedFolderAssistant for my account: Start-ManagedFolderAssistant -Identity "my-email-address"
    And after I have greped the size of my mailbox:
    Get-Mailbox | Get-MailboxStatistics -Archive | Sort totalitemsize -desc | ft displayname,totalitemsize, itemcount >C:\report-archive-database-mailboxes.txt
    And get the result:
    Personal Archive - MYUSERNAME
    TotalItemSize: 4.071 GB (4,371,586,689 bytes)  
    ItemCount: 55227
    So now I don't understand how I was able to go thru that sizes which are in the upper print screen of archive DB properties?

  • Dedicated Archive mailbox databases generate excessive whitespace

    Our company has several mailbox databases that are dedicated to arhive mailboxes.  I just joined the company a month ago and found one database that was about 500 GB with about 300 GB of whitespace!  So, I created a new DB and moved all the archive
    mailboxes, and removed the original DB.  at the time there was minimal whitespace.  Today, the DB is in much the same condition.  what makes this so odd is that there are less that 30 mailboxes on database!  Further, it seems
    as though these DBs are also generating way too many transaction logs and causing management to become concerned about drive space and DBs dismounting.   Bottom line:  how can I determine what is causing the excess whitespace to be generated?

  • "Archive - 'mailbox name'"

    I have noticed that all mail in the mail app after updating to OS X Mavericks is being labeled as "Archive - 'mailbox name'" instead of the inbox or other applicable mailbox that it actually resides in.
    Before I realized this I thought these were old deleted items that were just pulled into the wrong folder so I did a mass delete. Needless to say I shouldn't have done that becuase it is an issue with the way the mail app is handling the emails and I have lost all of my emails in all of my accounts, even if they were in active folders within the native mail program (i.e. gmail, etc.)
    The mail app is useless at this point because all mail is dumping into the 'inbox' folders and not email that is just in the 'inbox'.

    The issue you are describing was resolved in an Outlook Hotfix package a year ago. See

    It has since been included in one of the public Outlook updates, so if you install the latest Outlook patches, it will solve your problem.

  • Duplicate Messages In Archive Mailbox

    We are running Exchange 2010 sp1 rollup 8.
    Hub Transport, CAS, Mailbox, UM running on same server.
    We have recently started testing archiving.
    We created a test archive database and enabled archiving for a group of test users, pointing the archive mailboxes to the archive database.
    The mailboxes have a retention policy with three tags in it which are as follows.
    1. Tag Type: "All other folders in the mailbox"
        Age Limit: 180
        Action: "Move To Archive"
    2. Tag Type: "Sent Items"
        Age Limit: 180
        Action: "Move To Archive"
    3. Tag Type: "Inbox"
        Age Limit: 180
        Action: "Move To Limit"
    The policy appears to be working, but we are seeing duplicates of all messages in the archive mailboxes.

  • Outlook 2013 cached mode "mail to keep offline" - does this setting affect archive mailbox or Office 365 hosted archive mailbox?

    I have an Exchange 2013 Hybrid environment with Exchange 2007 in coexistance mode as well as Office 365. We are hosting the majority of our Exchange accounts on-premise (migrating them from 2007), and most (soon to be ALL) Archive mailboxes in Office 365.
    I have through Group policy set the policy "Select Cached Exchange Mode sync settings for new profiles" to 6 months. This works fine for the contents of the regular mailbox, but the setting is NOT being set at all for the Online Archive mailbox,
    whether or not it is hosted on-premise or in Office 365. Is this the expected behavior?
    Another question: Is it possible to have the regular mailbox in cached mode and the archive in Online mode or vice versa?

    The key to your questions is: Archive mailboxes are online only, they cannot be cached for offline viewing, so you can keep your regular mailboxes offline(In Cached Exchange Mode) or Online, but cannot switch Archive mailboxes to Offline.
    The whole idea of the archive mailbox is to keep your "online" mailbox with recent / important mails small and accessible on and offline. The archive mailbox is intended to store older / less important emails which are not neccessary to access immediately.
    One important reason of archive mailbox is to prevent the growth of offline files.

  • Problems with archive mailbox in Outlook, with exchange 2010+2013 co-existence

    We have an Exchange 2010 environment plus one Exchange 2013 MBX server meant for archive mailbox purpose. (We are going to upgrade to 2013 but with over 20.000 mailboxes it will take som time. Therefore we need to co-exist with primary mbx on 2010 and archive
    mbx on 2013 for some time.)
    My primary mailbox is on a 2010 MBX server, and I have today given myself an archive mbx on 2013 MBX server.
    When I use OWA, both my primary mailbox and my archive shows up and everything works 100% fine!
    But when I try Outlook 2010 or Outlook 2013, only my primary mailbox works. The archive mailbox shows up, but generates an error when accessing it:
    "The set of folders cannot be opened. Microsoft Exchange is not available. Either there are network problems or the Exchange server is down for maintenance"
    Anyone who knows about this issue? Would we nice to know why it works in OWA but not in Outlook.

  • Exchange 2010 SP2 : Move calander entries and Task items from Archive mailbox to current active mailbox.

    Hi,
    After upgrade the exchange 2010 SP1 to SP2, all users calendar and task items entries also moved to archive mailbox from user's active mailboxes.
    We like to move 90 days older emails to archive mailbox but not calendar & task items to be moved.
    Any solution to move back those older archive calendar and task items to active mailbox users and also any settings to stop further to move calendar & task items to archive mailbox in SP2?

    Exchange 2010 SP2 RU4 added support for Calendar and Task Retiontion polices. For more information about that see the below blog post which also includes a workaround if you don't what these folders to be processed by MRM.

    Current senario:
    Migrating to Exchange 2013 CU3 from lotus Domino
    in lotus domino the customer is having huge archive files(nfs file size is around 30 GB, like wise users are having multiple archive file with same size.)
    Requirement is all these file need to migrated to exchange 2013 CU3. whcih we are taking care by using thrid party tool.
    My concern is exchang e2013 support for huge mailbox size. if so what maximum size supported for online mailbox and archive mailbox.
    can I assign multiple archive mailbox to users.

    The key decision is that the content in the primary mailbox is synchronized with the client when in cached mode, while the content in the archive is not.  So I'd want to keep the primary mailbox populated with the content the user needs on a daily basis,
    and put the rest in the archive.  Unfortunately, that answer is not a number, and it isn't the same for all users.
    Each user can have zero or one archive mailboxes, not multiple.

    I deploying Exchange 2013 CU2 (fully patched) next to our old 2007.
    I have 3 Mailbox-server 2 CAS-servers and 1 Archive-server
    Everything is working ok until I started giving migrated users an archive mailbox.
    It Archive mailbox works OK for the users but when I try to manage (changing Quota for example) it in ECP I get an error:

  • Unable to connect to disconnected archive mailbox

    We are using exchange 2013 CU3 in our environment, When we try to connect to a disconnected mailbox using EAC or powershell it gets succeeds for Primary mailbox however if I try the same way to connect archive mailbox it throws me a error "The legacy
    DN is already in use by following active directory user " Primary mailbox User name". The vaule Legacy DN must be unique to each other
    can anyone help me in this ? Is this a bug in exchange 2013 ?

    You Can do that . Do the Following steps : 
    1)Enable old AD user 
    2)Enable Exchange mailbox for old user (Don't enable Archive Mailbox)
    3)Open Exchange Powershell cmd then :  (This is an example)
         Enable-Mailbox -ArchiveGuid "0a914fb5-78a4-4f54-8a99-55e12dd0d738" -ArchiveDatabase "Archive
    Dtabase name "            -Identity "Anderiasian , Edna"
    4)by this command the archive linked to old user 
    5) after completing , export the archive mailbox to  PST file 
    6)Import PST file to New User Archive-Mailbox ;

  • Rolling In-Place Hold & Archive Mailbox Interaction

    Hello,
    I've been looking at replacing existing Journaling with a combination of Exchange 2013 In-Place Hold and Archive Mailboxes, however I have a theoretical situation I've been having trouble mapping the behaviour for from the documentation available.
    My theoretical configuration would be a Time Based In-Place Hold for all mailboxes for a 7 year period, with Archive Mailboxes for all users with a Retention Policy that moved all messages to the Archive Mailbox after 1 year (note; no Retention Policy to
    force deletion of messages after 7 years).
    In this situation I believe that a message the user reads and takes no further action on would follow the below flow:
    day0: message delivered to inbox
    day365: message moved to Archive Mailbox
    day2555: message available for deletion
    I am however unsure of the behaviour of messages the user has deleted within the first year which are in the Recoverable Items Folder at the point they should be moved to the Archive Mailbox, I would hope for the below flow:
    day0: message delivered to inbox
    day8: user deletes message (moved to Recoverable Items Folder on Primary Mailbox Database)
    day365: message moved to Archive Mailbox (Recoverable Items Folder on Archive Database)
    day2555: message purged from Recoverable Items Folder
    However my concern would be based on the description of In-Place hold that all messages deleted would actually continue to be retained in the Recoverable Items Folder on the primary mailbox database and thus end up causing issues with around the Recoverable
    Items Quota for the database.
    I would be grateful if someone could help me straighten out the logic in this theoretical situation and help me identify if this general idea is a workable replacement for Journaling.

    After taking another look at your first post, it does not appear that you are using iCloud.
    What I can tell you is that Apple changed the way Archive folders are displayed at some point. That Archive folder is part of the main mailbox system just as the Draft mailbox is. You have no option to delete a main mailbox in Mail. If you have archived messages, they should appear in that mailbox. If you archive messages from more than one account, subfolders will appear under the Archive mailbox which will tell you which account the messages are archived in. Even local mailbox messages will appear as an On My Mac sub account.
    Since your picture does not show an arrow next to it indicating a sub account, it would indicate archives from only one account. If you have no messages in it, then it should disappear following the instructions in my first reply until it is need in the future. This will also apply to the Draft mailbox if you have no draft messages in it.
    I understand you said that didn't work for you and you said you have no messages in it. What I do see in your illustration is that you also have an Archive folder under your IMAP account. Is that a folder you created and named Archive?  If messages within that folder are truly archive messages, they should appear in the main Archive mailbox and not under the IMAP account folder. Maybe that folder is somehow interfering with the main Archive mailbox. If you have no messages in that particular folder, try deleting it and then repeat the procedures in my first reply. If you do have messages in it, select them and archive them from Mail. It should move them to the main archive folder. Then you can delete that folder.
    As I said, archived messages should only appear under the main Archive mailbox and not different archive folders under the IMAP account folders.

    If you want to access other's archive mailbox, you need to grant full access permissions to user primary mailbox first, then you can see personal archive from Outlook side.
