RoboHelp - Smart Index Wizard

We are trying to use the Smart Index wizard to creage a
Keyword for a Topic (K-Keyword for a topic). Some of our keywords
are 4 digit numerics. (example - 0103) The wizard is not
recognizing them. The wizard will recognize 5K13. Does anyone know
of a patch or a setting that we can apply?

    Are you using RoboHelp for Word or RoboHelp HTTML? Assuming
    RoboHelp HTML, have you tried looking at the Tools menu?
    If you are using RoboHelp for Word, I'll have to defer to

  • Run Smart Index Wizard more than once?

    Afternoon all,
    RH8 generating WebHelp.
    Quick question on how the Smart Index Wizard works. I've run it once, made no changes to any topic, ran it again and got many more entries added to the Index.
    So, should one run the Smart Index Wizard multiple times? Until it says no more entries found?
    Is it adding entries the second time based on the existing Index entries it's already created?

    Thanks for the reply. I'm rapidly coming to the same conclusion about the Smart Index Wizard. It looks like, if "Find New And Existing Index Keywords" is selected, the wizard will add keywords based on topic content AND existing index entries. This would explain why the wizard finds new words each time it's run.
    My multiple runs of the wizard on my small project resulted in 6448 entries added the first time, 4191 the second, 154 the thrid and 69 entries added the fourth. Seems like it picks up nearly every word and phrase outside of the ignore list.
    A lot of what the wizard puts out is clearly useless. The wizard is also not as useful as it could be since it filters on topic Status and not CBT. Howver, I've saved off the .hhk file as I do like to peruse it for words I've missed and suggested phrases. It's also good to give you a veiw of just how many places a word or phrase is being used - helps me to see how common it is and whehter I want to include it or not.

    RE: RH7 - Spell Checker and the Smart Index Wizard looking in all folders instead of just TOC topics?
    While running the Spell Checker and the Smart Index Wizard I am getting the impression they are looking in *all* the folders under the Project Files folder, and not just the topics I have chosen to insert into my TOC. Is this true? If so, is it possible to set RH so that it only looks in TOC topics?

    Thanks for your reply. Yes, the pop-up topics are in the same
    folders as the other topics and I am choosing "Any Status" (right
    now all of the topics in the project are the same status anyway).
    What's even stranger is that after I posted my original
    message, I found that it picked up about five of my 100 or so
    pop-up topics, yet ignored the rest. I cannot find ANYTHING about
    these included topics that differs from the ignored topics.
    Bizarre.
    Since I need to move forward ASAP, I am now going through
    each pop-up topic individually and using the Smart Index option on
    the Topic Properties Index tab. It works just fine; is just
    time-consuming, but actually may end up saving me time on the Index
    in the long-run, since I can define which keywords Robo adds to
    each topic on the front-end (not have to prune out worthless
    entries later).
    My guess is that this issue may have to do with the
    conversion of the files from RH 5 to RH 6. It shouldn't - all of
    the pop-up topics were added after I converted to RH 6, but I've
    noticed odd things can happen when you bring a project into a newer
    version of the program.

  • Error while running multiple Smart Publishing Wizards

    Sorry this is so long....
    When I run multiple publishing wizards (two separate source
    folders to two separate destination folders) I get an error stating
    "The process cannot access the file because it is being used by
    another process." The file is not identified and the result varies.
    I have seen the following because of this error:
    1. The first publishing job completes OK but the second
    wizard has to be restarted.
    2. The first job resets back to the dialog where you click
    Finish to start it and the second continues OK.
    3. The first job resets and the second job errors when it
    gets to the end of the copy.
    I have been just running them one at a time but am now
    maintaining 80+ sites supported by 3 project files and it doesn't
    matter if the Wizards are publishing from different projects. I get
    the same problem if just clicking publish from the Build dialog in
    the RH project. Basically any time two publish jobs are running
    they crash each other.
    I've started to use batch files with xcopy statements to move
    the sites from my C: to the Web server (mapped drive on the
    network). I haven't seen any problems with this approach and I can
    launch as many jobs as I want.
    I would welcome any advice or conjecture as to resolving the
    Wizard problem and any concerns with using the xcopy?

    I also get the problem if from teh same project I generate
    say 4 SSLs then kick off four Smart Publishing Wizards to publish
    each. You can't do this by clicking Publish from the generate
    dialog because RH dedicates itself to the task. So I use the Smart
    Publishing Wizard from the Toolbox.
    I did set up the xcopy to only copy changed files using /D
    parameter. It works well and I was going to write a manager to
    allow me to kick off common groupings of copies with one click and
    a little monitoring app to watch it and let me know when complete.
    Before I did all that I just wanted to see if the wizard
    behavior is normal or if I have a problem that can be
    corrected.

  • RoboHelp Glossary, Index, and TOC Features

    I looked at some online training that had a really nice glossary feature.  I'm trying to figure out if Robohelp is what I need to accomplish something like this since it claims to have such great glossary, Index, and TOC features.  However,  I can't find a demo developed in Robohelp showing what these features are capable of.  Does anyone know of any demonstrations that I could view to see if this is what I'm looking for before I purchase?

    No, I actually don't have anything yet.  I considered downloading the trial version, but I didn't want to spend the time to learn the software if it didn't have what I needed. 
    I see from your site that it is what I'm looking, and thank you so much for sending me that link.  Now I know, buying RoboHelp and learning it won't be a waste of time and money.

    It's not clear whether you already use RoboHelp or have installed the trial version as part of your evaluation. Assuming you have, each release of RoboHelp comes with sample projects to help explore features. For example, Adobe RoboHelp 8 comes with a project called Web Graphics.

    You will notice the Glossary is visible in two ways. First, as a Glossary button which shows in the Navigation pane. Second is in the form or expanding hotspots within topic text. You can see some examples if you go to the topic "News from Thailand and Greece" Click on the maroon color words "Anemonefish" and "Clownfish" and you will see how the Glossary hotspots show or hide as you click on them.

  • Index wizard. Is it worth it?

    Hello,
    RH 8x generating a CHM
    I am about to manually index my moderately large help system. Sadly, I find the exercise completely mind-numbing and I'm looking for a way out.
    I am loathe to use the Index wizard because in the past I believe there was no going back once you had run the wizard. That is, index entries generated through the wizard stayed unless they were manually deleted. I'm also unsure what the results will be.
    So, can anyone sell me on the benefits of the wizard these days? In brief, how does it work? I understand excluding words, but how does Senor Wizard work otherwise?

    Whoa there! You are looking for an "easy way out" with indexing? With indexing there is rarely a grey area. You either have a good index or a bad one and believe you me it is well worth the time and effort of having a good one. I know indexes are not used as much as they once were but they are still widely used. As for the Index Wizard use it if you:
    Want a really bad index.
    Spend time correcting what the wizard finds.
    My personal opinion is that manual indexing is the only way to go. Yes it takes time and yes it can be mind numbingly boring (although personally I don't find it so) but it is worth it in the end. People write books on how to index so the easy way is rarely the best way. We always factor in time for indexing into any help project.

    Hi, i am having problems using smart publishing wizard.
    Basically i am publishing my entire sample project to new
    location to remote file location.
    Its starts publishing but after reaching about half way it
    sends error message
    " Publishing has been aborted. A sharing violation accessing
    ../../filename.cpd "
    Has anyone got this problems. please help me to resolve it.

    From what I'm seeing here, you are publishing source files.
    Normally one is only worried about publishing WebHelp output files.

  • RoboHelp Contents & Index menu item

    Using RoboHelp 11, I click on Help\Contents & Index in the RoboHelp IDE and I am sent the "Adobe Communities" site. I sign in and search for RoboHelp and get no results. I scroll down and find the Forums link so here I am. Is there no actual online help for RoboHelp? Kind of mind boggling since this software is for creating online help!

    Using that link, I get taken to http://help.adobe.com/en_US/robohelp/robohtml/index.html which looks like this. If you use Search you may get taken to other resources if you don't tick This Reference Only.

  • Can anyone tell me what the Wizard is doing when I run the Index Wizard?

    I am running RH8, Windows 7 and generating WebHelp.
    The Wizard seems to be picking up the names of topics and making them keywords. Some of my topic names have no spaces in them and that’s the way they come into the Index. So, I assume I have to name all of my topics so that they come into the index correctly. Is that right?
    I also seem to be getting HTML terms in my index. Some of it looks like formatting. What is happening there?
    When the index is created by the wizard and I look at the Index pod I see the index keywords on the top of the pod. Some of the topics are in bold and some are not. The ones in bold do not have an entry in the bottom of the pod in the Topics for: area. These do not display when the help is generated. The unbolded items have an entry in the bottom of the pod in the Topics for: area. These items display when the project is generated. So, what’s happening here? Why are some topics bold and others not?
    If you can point me to some Index info I’d be grateful. Yes, I wish I could take a class but that’s not likely to happen in this economy.
    But this forum has the best people. I’d be dead without it.

    Well, we can't as we don't know what you consider as "more than enough". The built is quite heavy (like it can be 800mb) then it needs to be extracted to be installed before everything unneeded gets deleted...

  • RoboHelp 8 crashes when I click the index

    This was happening in one particular project. I spent two hours on the phone with Adobe Support, but they couldn't figure it out. We assumed the index got corrupted somehow, so I recreated the project and created a brand new index. It worked fine yesterday, but when I opened the project this morning and clicked the index, RoboHelp crashed again. I tried it multiple times and RoboHelp crashes each time. I tried it on both of my systems, Windows Vista and Windows XP. Can anyone help me please?

    I'm using RH 8.0.2.208
    I have a similiar problem......RH completely freezes when I attempt to create an idex which causes me to ctrl-alt-delete in order to close RH.
    Here's what I've tried, using the Smart Index Wizard:
    --create an index by manually confirming each new keyword (my preferred method)
    --create an index by automatically accepting each new keyword
    --create an index on ONLY one folder (thinking if I can just get ONE indexed, I'm in good shape)
    --deleting the CPD file, and create the index again  (the 3 ways above)
    In the Index Pod:
    --manually added one index keyword (to an empty index, obviously) and saved it. No problem there.
    Each time I attempt to create an index, I can see the keywords being added to the Index pod in the background but then it just freezes some time during the process and nothing is saved.  When I tried to create an index by adding new index keywords automatically, it looks like it went all the way to the end...and froze just as it was finishing (the index completion status green bar was at the very end).
    A year ago,  I was able to create a new index on a different project. Since then, with every new project created, the index has failed and crashed RH.  Size hasn't mattered, the large projects and the super small ones fail.
    The alternative is to send the documentation without an index, but this is really not acceptable.
    Is there anything else I can try?

  • Trouble with CHM Search & Index after Importing Word Document

    I have recently inherited all things RoboHelp at work, but the last person to work with our projects left 6 months ago.  I received a brief overview of how our CHM files were generated from the same word document in RH HTML 7. 
    Currently, I am using RoboHelp HTML 9, but am having trouble with the Index and Search functionality from an imported Word 2003 (.doc) file.  During my import, only a single topic is created and named after the source document.  I believe this may be the root of my problems, but haven't had much luck with a solution. 
    I have stumbled my way through setting after setting, but feel I am missing something obvious.  Any help would be appreciated.

    Background:
    Our source documents have a working TOC and Heading 1-3 structure.  When creating a new project and importing the document, the TOC is imported correctly.  The TOC navigations links seem to function correctly. 
    I have used the Smart Index Wizard to find new keywords from topic titles and topic text.  Unfortunately it seems the import only creates a single topic named after the source word document and therefore associates all keywords with the single topic.  when trying to navigate the index after the CHM is generated, all links simply reference the beginning of the document.
    When using the search feature in the CHM, only a single result is returned for any search words.  This result is always the single topic as described above.  The results link always returns you to the start of the document but does highlight the keyword throughout the document.

    When you import there is an Advanced button in one of the dialogs. Click that and you will be able to Paginate against chosen styles. That will break your document into topics.

  • Robohelp 9: Error when using search terms including the word "not"

    We are moving from Robohelp 7 to Robohelp 9.  We realize that Boolean operators such as NOT are supposed to be working now, but we do have times when we might find ourselves using search terms that include the word "not" on its own.
    The problem that we are finding is that if we search for something like "office not installed", because that phrase is part of a specific error message we might be trying to locate, we are getting the error, "The words you typed is not a valid expression" [sic].
    We have tried making modifications to the Stop Words and Always Ignore words and can't seem to find a solution.  We do need to be able to search using the word "not" as a regular search term.  Even as a Boolean operator (NOT), we are getting the same error.  Searching for "office installed" will get us the result that we want, but we have a team of users who will definitely instinctually search using the word "not" since it's part of the error they are searching for.
    Thoughts?

    First, I don't believe the Always Ignore has anything to do with Searching. That particular list is used when you instruct RoboHelp to build an index using the Smart Index Wizard.
    Actually, something like "Office Not Installed" is a perfect use of the Index. But I'm guessing here that your system doesn't include an index in favor of trawling through the pile of words in the project.
    If you aren't using an index yet, I'd highly suggest you investigate it. In a properly indexed system your users will find what they are looking for infinitely faster and easier than they ever will by using Search.

  • RoboHelp 9 - What does WebHelp Search actually Search

    I am using RoboHelp 9 and can't seem to find out what WebHelp Search actually searches. Will it search Word documents, PowerPoint or PDF documents that are included in the Project files?
    Or does it only search for the keywords that I enter for that topic page that the file is linked to?

    Hi Deb
    A fair question. But we first need to clarify exactly what you mean by Search. I say this because sometimes folks talk about the Index as if it were Search. And indeed, they are two separate things.
    With the Index, the help author specifies specific keywords by either typing them in manually or by asking RoboHelp to assist (by using the Smart Index Wizard) and the experience for the end user is this. They click the Index tab, then begin typing what they are looking for. As they type, a list of keywords is attempted to dynamically match what is being typed. Often, before they completely type the keyword it appears in the list and off they go.
    On the other hand, with Search, the user types the search term in full, then clicks a Go button. At that point the search is performed and candidate files are returned. And yes, typically, Microsoft Word documents, Adobe PDF documents, Microsoft Excel spreadsheets and I believe even Microsoft PowerPoint documents will also be searched.
