Roundtripping text between Indesign and Word?

I'm not exactly sure which forum this belongs on, so I'll start here.
Our company does a lot of repurposing. We pickup recipes from a magazine and publish them in a book, or vice-versa. Our current system of picking up this content is inefficient and requires the text to be restyled every time it gets picked up. We're trying to implement a workflow that will retain the styling and eliminate duplication, but I'm encountering a couple problems:
1) When pasting text from InDesign into a word doc, it retains the styles UNLESS those styles are pre-defined in word. For example, if the word template has a pre-defined style called Recipe - head and you paste text that has that style, the text will no longer have that style applied after pasting; it will be set to Normal.
2) I can use InCopy to pickup the text and then export to RTF, but the text comes into Word with all the formatting applied (sizes, fonts, colors, etc.). This makes it very hard for the editors to read when they're reviewing the copy and making changes.
So my questions are these:
1) Is there a way to map styles from InDesign to Word? I'd like to set up the word doc to have all the styles names without the formatting so it's easier to read. OR,
2) Is there a way to strip out all text formatting EXCEPT the style names themselves? We want it to retain the style names so we can map them to the InDesign styles when we import the text.
If anyone has dealt with these issues, I would really appreciate the help. My searching thus far has yielded little in the way of results.
Thanks in advance,
Matthew

Because I have very few translators who can work in ID, I use a workflow like this all the time. If you're handy with VBA, you can write a script that
will go through all of the styles in your exported RTF and replace the formatting in the InDesign styles with something much simpler. For example, I'll change all serif styles to TNR and all sans styles to Arial, because I can assume that my less technically competent translators who panic when asked to install a font would at least have those two fonts installed. I can change the paragraph indents and spacing to something much simpler than what is in the ID doc with a single click. When I place that translated RTF back into InDesign, I can replace the translator's, ah, "formatting choices" with the original style definitions, so I can simply Clear Overrides and get something pretty close to the original formatting, only requiring minor cleanup.
If you're not handy with VBA, and yet expect to use Word as an integral part of your workflow, I suggest that you get busy studying.
Edit: Actually, tagged text is a pretty good idea, if you're willing to do some post-processing. The kind of editor who insists on unstyled text in Word is unlikely to be willing to edit tagged text in a raw text editor (or to use TagEditor or some other tool intended for manipulating tagged text).

  • Copying text from emails and Word into a GoLive 9 webpage

    Most of my web work involves copying and pasting text from emails and/or Word onto a page created in GoLive and uploading it to the web. In the past this has never been a problem with previous versions of GoLive. Now with GoLive 9, I constantly get extra characters appearing such as "" where almost every space is located between sentences. Foreign characters often appear as strange symbols whereas they copied over perfectly (French and German-type accents etc) before.
    When I copy something I now have to go to a menu item [type/HTML/paragraph format] to turn "paragraph" off which helps get rid of the extra formatting not wanted (often everything appears in a large bold font, even though it wasn't like this in the original document). Also until I turn off "paragraph" I am unable to align any of the text as it has a mind of its own, regardless of what the webpage is specifying, (ie left alignment, centred etc).
    Is there any way to copy and paste text without having to editor and reformat it - just as one used to do in all previous versions of GoLive?

    That is an interesting idea but is still really a lot of unnecessary mucking around when GoLive 9 should do all this automatically with no fuss at all. I have been using GL since its early PageMill days and never had this problem before.
    I understand what you mean by using a blank page - I might give it a try.
    I found CS2 was getting slower and slower on my PowerPC. I now have an Intel iMac. Sometimes I would go to open a GL file and I could make a cup of tea waiting for it to open (admittedly it was a large file with lots of table cells and photos). Now I can open the same file in a few seconds using GL9. I looked up the Adobe support for 10.5 and it was listed as having issues which wouldn't be resolved. Photoshop Elements 4 was listed the same yet I had had no problems with it. A friend had huge problems with InDesign when he changed to 10.5. I guess it varies from computer to computer.
    Only yesterday my GL9 refused to open and thanks to these forums, we found out that yesterday's Opera browser update was the culprit. Having had such quick success using these forums I thought I would give this annoying copying problem a try and see if there was some setting I could change or something I could do to correct the fault.

  • Difference between InDesign and Photoshop PDFs for printing?

    Hi, rather new to the whole printing business, forgive me.
    I have both InDesign and Photoshop, but I am better versed in Photoshop. Is there a significant difference between the capabilities for saving a PDF for print between the two? Also, would someone else be able to tell which program I made the PDF with?
    Thanks in advance.

    Like most operations, one tool or the other is more appropriate according to the makeup of the task. It's not just about which PDF is somehow "better," (there are many ways to produce PDF's, and the quality of output isn't necessarily directly dependent upon the originating application), but rather which tool is the correct one for the job.
    For instance, a movie poster can certainly be done completely in Photoshop to good effect. But, if I was laying out the pages of a textbook, where images and longer passages of paragraph-based text were to be mixed, the typographical and document assembly capabilities of InDesign would be indispensible. That's just an example. The very essence of art and design is learning and devising ways to use the available tools alone and in combination to produce a particular result, effect, or solution.

  • Copying text from InDesign to Word: formatting problems

    Hi all,
    I have copied a large amount of text from an InDesign CS4 document into Word. I am now having formatting problems. The main problem is that where long words run over two lines, they are not appearing as hyphenated, and I am not able to stop them running over two lines. Inserting the cursor at the start of the second part of such a word and deleting simply deletes the preceding letter on the line above, as if there were no line break.
    Any help much appreciated.
    Jon Cope

    Instead of Copy/Paste, try selecting the text and exporting to .rtf (or if you have an active cursor, but no selection, theentire story will be exported). Open the .rtf in Word.

  • Unexplained language change between Mail and Word X

    Apologies if this is the wrong Forum, but I don't think it is really a Mail v2.1 (752/752.2) query and I don't think it is really a Word X Service Pack 1 query - at least as far as I can tell - so OSX seems the best place to start.
    My Mail language setting in Edit > Spelling is set to British English. My Word X default language in Normal(.doc) is English (UK) so why, when I cut text from outgoing an email and paste it into Word X does the language of the pasted text revert to English (US) - if that isn't an oxymoron! :-))
    The Mail language is set via Edit > Spelling and the Word X language is set via my Normal template's default. Is there an OSX or other setting somewhere that I have overlooked - perhaps controlling what the Clipboard uses?
    Thanks.

    I don't think there is really any connection between the OS X system spell checker and the "languages" you set in MS Office. If pasting something into Word doesn't work right, it's most likely a Word problem. You might want to try upgrading your WordX, which was superseded over 2 years ago. Also there's a newsgroup where MS experts hang out who might be able to help:

  • Interaction between InDesign and Flash CS5

    To all the InDesign/Flash users: I have a question for you...
    I've been asked something by a client: He would like to add a Google Analytics on a Flash file to track users. He cannot do it in the HTML ('cause he only creates the .swf file and doesn't have access to the HTML file), so he needs to do it in the .fla file. He has found the ActionScript code to do so, but there's a problem...
    From InDesign, he needs to export as .swf, because he wants to have the Page Curl effect (and I think some other features also) that he looses if he exports to .fla.
    The .swf alone works well. But as soon as we try to import it in Flash (in another .fla), it looses all it's attributes/codes and just import the layout (that keeps moving from page to page)...
    If I open it in a decompiler (SWF Decompiler), it shows me there is some ActionScript code, but even then, if I decompile it and export it as a .fla, when I open I loose all the interactions (like the imported .swf).
    It's the first time I see something like that. What does InDesign do to the .swf file? How can we solve that problem?
    Any help will be welcomed (I'm not a InDesign user...).

    Turn off the editable text option when importing the PSD into Flash to convert them to images. If keeping the text editable is important then you will have to re-create the look using Flash's life effects. It's a completely different thing from PS...

  • Is there any way to disable the setting (?) in version 28.0 that blocks the exchange of text between Firefox and other software?

    Since version 28.0 of Mozilla Firefox, our word prediction software Skippy can no longer interact with Mozilla. It seems like additional security measures were taken to disallow software from picking up what is being typed and sending new text to Firefox. Is there any way to circumvent this or is there an advanced option that can disable this functionality? Or could there be any other cause?

  • Difference in workschedule text between T508A and display in IT0007

    Hi,
    I have made a change in text description for a workschedule in T508A and then transport my change into Test system. But I have now no correspondance between the value in T508A and the value displayed in IT0007 with F4 or when WS selected.
    I have tryied to transport again my entry but this is not solving the problem.
    Does anyone already have this issue ?
    Thanks a lot,

    Greg

    Hi Gregory,
    Please review this thread, your solution is there.
    Re: work Schedule rule Text
    why don't you debug it?
    you can break-point RE508S routines.
    MODULE GET_RTEXT INPUT.
      PERFORM RE508S USING P0007-SCHKZ.
    ENDMODULE.
    alternativlely this is the abap select sentence:
    CHECK T508S-SPRSL NE SY-LANGU
         OR T508S-ZEITY NE T503-ZEITY
         OR T508S-MOFID NE T001P-MOFID
         OR T508S-MOSID NE T001P-MOSID
         OR T508S-SCHKZ NE T508S_SCHKZ.
      SELECT SINGLE * FROM T508S WHERE SPRSL EQ SY-LANGU
                                 AND   ZEITY EQ T503-ZEITY
                                 AND   MOFID EQ T001P-MOFID
                                 AND   MOSID EQ T001P-MOSID
                                 AND   SCHKZ EQ T508S_SCHKZ.
      CHECK SY-SUBRC NE 0.
      CLEAR T508S.
    You probably have corresponding entry with no text (if sy-subrc is 0) or no corresponding entries (if sy-subrc has other value than 0).
    Good luck.
    Cheers.

  • Interaction between Excel and Word OLE

    I am using Office 2007 to write procedures but a problem is apparent only when run on Office 2013.
    A procedure in a workbook that records Sales information runs to transfer data to another workbook that stores Invoice information, and then opens Word to generate a mail merge document from a template (dotm) which has an event procedure (on Open) to merge
    data from the Invoice spreadsheet into a document to produce an invoice.  This procedure works without problem on the Office 2007 (Vista) machine and until recently likewise ran without problem on the Office 2013 (Windows 8.1) machine.  However,
    apparently following an automatic update to the Office 2013 machine, when the Word document is generated the procedure "hangs" at the point of reading the data from the Invoice workbook, and after a longish delay a message is generated along the
    lines of the program awaiting an OLE action.  The only way to stop the whole process is via task manager.
    After much research I have found that on the Office 2013 machine, the mail merge of data from the Invoice workbook will not now work if the Invoice workbook is open, bot works OK if it is closed.
    I have therefore programmatically closed the Invoice workbook, and the procedure now works on the Office 2013 machine (and on the Office 2007 machine).  However, I would like the Invoice workbook to be open when the Word document has been generated.
    I therefore inserted a few seconds wait into the procedure to allow the mail merge to be completed, then tried to reopen the Invoice workbook.  I now get the message that the Invoice workbook is locked for editing, and asking if I want to open a read
    only copy (which I don't).  The Invoice workbook does not appear on the task bar, nor does it appear in task manager.  I have tried code to make it active and I then get "subscript out of range", and I have tried code to make it visible
    and I again get "subscript out of range".  However, if I close down the word documents generated with the data from the Invoice workbook, I can then open it;  presumably the merge process is treated as still being in progress while the
    documents are open, and the Invoice workbook is "released" when the documents are closed.
    Has anyone any advice to offer on how to deal with this problem of not being able to open the Invoice workbook while the mail merge documents are open.  The problem is apparent in both Office 2007 and 2013.

    Hi Caillen
    Thanks for looking at this.  I should explain that I do all my work on an Office 2007 machine for a family member who lives elsewhere, so I don't have direct access to the Office 2013 machine.  However, they are reasonably computer literate and
    report faults accurately.  To deal with your queries:
    1.  Their Office (and Windows) updates are installed automatically.  Basically, their systems are kept up to date.  It is only a guess that an update may have caused the problem, for the procedure worked as expected for some months and no
    other changes have been made.  The problem does not occur on my Office 2007 machine.
    2.  For the initial problem there was no error message initially;  the little circle just kept going round for a minute or so, then a message appeared on the Office 2013 machine saying that Excel was waiting for another program to complete an OLE
    action.  That message no longer appears because I have cured the problem by closing the workbook that is the data source for the mail merge.
    3.  I do indeed mean VBA code by procedure (Sub xxx()).  The code in the Word Template on which the procedure originally hung up was the third line below - i,e, the line starting ActiveDocument.MailMerge.OpenDataSource Name:= _
    Sub ctPrintInvoice()
        ActiveDocument.MailMerge.MainDocumentType = wdFormLetters
        ActiveDocument.MailMerge.OpenDataSource Name:= _
            ThisDocument.Path & "\ColTarInvoices.xlsm", _
            LinkToSource:=True, _
            Revert:=False, _
            Format:=wdOpenFormatAuto, Connection:="DETAILS", _
            SQLStatement:="SELECT * FROM `'Print Invoice$'`", SQLStatement1:=""
    "DETAILS" is a named range within the workbook that is the data source for the mail merge.  "Print Invoice" is the name of the worksheet that holds the data.  This code runs as an event on opening the document, which is done
    automatically within the code in the workbook.  The code in the Sales workbook to open the document is:
        Set objWord = CreateObject("Word.Application")
        If strSourceSheet = "Sales" Then
            Set objctMergeDoc = objWord.Documents.Add(ThisWorkbook.Path & "\ctInvoice1.dotm")
        ElseIf strSourceSheet = "Euro Sales" Then
            Set objctMergeDoc = objWord.Documents.Add(ThisWorkbook.Path & "\ctEuroInvoice1.dotm")
        End If
        objWord.Visible = True
        Set objWord = Nothing
        Set objctMergeDoc = Nothing
    However, the procedure also hung in the same place on the Office 2013 machine if the document was opened manually.
    4.  The code in the Sales workbook to close the Invoice workbook is:
       Workbooks("ColTarInvoices.xlsm").Close
    The code to reopen it is:
       Workbooks.Open (ThisWorkbook.Path & "\ColtarInvoices.xlsm")
    This generates the message that the workbook is locked for editing.  The same message is generated if I try to open the workbook manually while the merged documents are still open.
    (The files are all in the same folder)
    With thanks
    Andy C
