Sales Order -- Purchase Req -- Purchase Order ..... Sales Document flow??

Hi Guys,
We have a process where we proccure few parts externally. When a sales order is created in our system based on the item category config we are able to create a purchase requition automatically. This Preq is further used to create a PO based on which the purchasing group proccures the part from the vendor.
We are trying to identify if there is a way to find out a way if we can relate the PO number created in the sales document flow? Currently we are not able to view the PO number in the sales document flow. We are trying to identify if this is possible and if yes what needs to ne configuered to enable PO number linking in sales document flow?
Any pointers?

Hi Bikash,
The PO field which u r referring to on the VA01 screen is the PO number against which a SO is created. This PO number is the customers PO number. My requirement is i need to store the Intercompany PO number which is the PO number created to procure the part externally from the vendor. So its the vendor PO number and not the customer PO number.
Secondly if i try to misuse any other field to store this PO number it dosent make sense as it would not show up in the document flow screen so it would be of no use to us. We want to enable it the std way and i am sure SAP has provided some way to do it.
I check the OSS notes and found some interesting tips working on that hopefully should be able to resolve it.

    New Issue with Sales order document flow:
    When linking from a sales order in document flow, we were reviewing why the description information varied.  In looking at different values, we clicked on a new item within document flow that allows you to like to ‘Service Documents’.   This is new in 6.0, or it was previously deactivated in 4.6C.  If you link from a sales order to a service document, in ECC 6.0, you will get a short dump because the document flow is so great (viewing order #any in VA03 and use document flow and then select the service documents button    as seen on the screen below
    A Short dump will occur in program SAPLDOCUMENT_FLOW_ALV.
    Here in ECC 6.0 is how it looks from sales order 9806:
    Documents created from 2004 through 2007 are coming up as linked to this sales order and that is incorrect.  There is some type of linkage issue.  In the 4.6 C environments, the ‘service documents’ link is not visible from document flow.
    Can any body functional / technical Help on this urgent???

    Hi Sanjay,
    Go to the order VA03 --> Environment --> status overview. The exact status of the header and item can be found here. You may have chances to know why the status is being processed.
    Also 
    Check whether you have checked 'document flow update' field at item level in copy control
    Check your settings for completion rule in item category
    If it is due to incorrect status message, run report SDVBUK00. That might fix the error. It is recommended to run this first in test mode.

  • Prevent Hourly Employees from Ordering Non-stocked Materials and Creating Purchase Reqs in Work Order

    Our SAP plant maintenance system is configured to create a purchase req when a non-stocked material is ordered. We would like to prevent hourly employees from creating a purchase req or ordering non-stocked materials. Only supervisors should be able to order non-stocked materials and create a purchase req. Is there a way to do this via config or system enhancement?

    Clearly there will be 2 ways if not more. One is the Authorization object route and another is Enhancement route. I'm not going to touch the former one. So let's expect answers from other members for that. For the later one, we need to know the answer for the question below:
    'Can we distinguish the hourly employees from regular employees by the user-Id or some other means? If yes, how ?'
    Once we know this, we need to use some user-exit or enhancement spot of the program SAPLCOIH to capture the event of 'N' in the ItemCategory field of Components tab by such UserIds and trigger an error message.  (Suitable user-exit is not striking my mind, so this might go the implicit enhancement way of Order program SAPLCOIH ).

  • Deleted sales order remains in document flow

    Hello!
    The problem:
    We had sales order with reference to a contract. We deleted the sales order (it doesn't appear in VBAK anymore), but, the sales order still appears in VBFA (if we see the document flow for the contract, the sales order still appears there as archived!!!)
    I deleted  the sales order in a regular way via VA02.
    I heared that there is a function module or another solution to fix the document flow.
    I also saw a solution for this kind of problem for delivery (SAP note 74513).

    As she wrote that in these cases OSS can solve the problem and it happens a lot, we opened an OSS and got an answer:
    OSS answer:
    when you delete an order the corresponding entry in VBFA is not
    deleted. The system is not able to differ between archived and deleted
    orders, so to ensure that the document flow is also showing archived
    documents the entries in VBFA remain. This is also described in
    attached note 390905. When you are sure which entries in VBFA can be
    deleted you can use report SDVBFA00 to delete the entries.
    What we need to do:
    go to SE38 and run report SDVBFA00.
    Sales document is a contract number (preceeding document)
    "Delete" - put X or leave empty.
    The logic is:
    You put the preceeding document and leave the field "Delete" empty.
    The program finds by himself all the sales orders (following documents) that are connected to this contract and are deleted.
    You check that the system suggests to delete the correct sales orders
    Run this report again, but this time put X in "Delete" field and the sales orders will be deleted.
    Apparently there are several reports exist to solve VBFA problems SDVBFA00,SDVBFA01 etc.

  • Purchase Req. Document type during MRP Run

    Dear All,
    My reqmt. is that whenever I take MRP run of external procured items, System should generate Purchase
    Req. for a particular Document type let say ZPE.as I want to control the no. range.
    One thing I fopund was control through OPPR(MRP Group Settings).I have assigned the relevant MRP gp. to materials also,but still after MRP run,system picks up std.(NB) Doc. type for Purchase Req.
    Kindly advise whether Iam missing some settings.

    if you want sytem to create our own type, u can create assigning MRP Group for your material.
    Goto OPPR , Assign your PR Docuemnt type in under "stnd pur order" coloum in External Procurement option in OPPR for your plant/MRP group Combination.
    i hope u already  have created ZPE Pur requsition   doc type

  • Attachment transfer issue from Shopping cart to Purchase req in ECC

    How are you all. Need your expert advise..
    We are trying to achieve functionality where documents which are attached on shopping cart get transfer into Purchase req in ECC (Classic Scenario with SRM 5.0 and ECC 6.0). For this we have done following config / enhancements:
    - Activated BADI "BBP_CREATE_BE_RQ_NEW" in SRM with following code for attachment;
    cs_ctrl_att-BE_DOC_TYPE = 'SRM'.
    cs_ctrl_att-BE_storage_cat = 'DMS_C1_ST'.
    cs_ctrl_att-TRANSFER_ACTIVE = 'X'.
    - Created new document type ECC with t.code DC30 for SRM and assigned the object links for EBAN table.
    After performing above task we are able to see Link of the attachment into Purchase req in ECC with document number (i.e. the one we assigned while defining document type in DC30) but not able to open the document in ECC.
    Could you please let us know if there is any settings which we have missed for actually opening documents in ECC?

    Issue as reported Please let me know why the docs are not uploaded to SRm succesfully .
    I am facing the below weird issue .
    Easy shopping >Shop> eHiring catalog
    Click Transfer to SRM
    Now click on the button ‘Details’ and open the tab ‘Notes and attachments’
    All attchments are names after the 1st attachment and all have the same file type
    Basically you have lost all you attachments here, except 1 (when you click on the link, all links refer to the same document, so not just cosmetic). This is a problem.
    When you order this shopping cart and search for it and open it again, the attachment tab is even completely empty, so now all attachments are lost.
    Something like this, but less severe, happens in the process a bit further.
    - Approve the shopping cart with the applicable approver
    - Log in as Hiring desk:
    Still no original attachments (like job descriptions).
    Now click button ‘responses and awards’
    Click tab ‘Items’ and fill out price ‘40’ euro
    Click notes and attachment tab
    I added 5 attachments
    As can be seen here, the docx becomes an xlsx again, but it looks like it just takes over the 1st file type that was uploaded, it can also be the other way around (xlsx becomes docx) when the 1st uploaded attachment is a document.
    But in this case, when you click on the link, it will open the right file with the right program, so over here it looks like it is just cosmetic.

    Dear Experts,
    I need a help from you. When I selecting document flow for a particular Sales Order then sales order number and invoice numbers not showing complete number. Example, my Sales Order number is 0000006690 but in document flow it is showing 000000669.
    How can I resolve this problem?

    Dear Experts,
    No, I didn't modify anything and not even worked in user exit. For some document type it is showing total 10 digit numbers and only two order type it is showing less.
    Any idea why this is happening?

  • Picking request in document flow

    Hello,
    1 ) When I'am creating an outbound delivery ( with ref to sales order ) and when I see the document flow, there is a document  called "picking request "  which I can see.. I need to know where is this coming from ? Further I cannot display the document.
    2) What is the relevance of picking confirmation indicator (in non WM scenarios ) which  exists at shipping point configuration  . What picking confirmation means !

    Relevence of Picking Confermation :
    If Picking Confirmation is Checked :  Then you can't do PGI(Post Good Issue) without picking the materials.
    How to Pic the Materials :
    On the Delivery Overview Screen(VLO2N).Under Picking Tab You will find  the field  " pic Quantity".We need to pic the required number goods either from Plant or from warehouse depend on the requirement.
    If you dont have batch number or warehouse ,then  directly enter the quantity in the " pic Quantity" tab.
    After Filling the required quantity in the " pic Quantity" field come back from that screen and select the button "Post Good Issue" which specifies that the number of goods you entered in pic quantity tab are leaving the company.

       I have completed sales cycle,  after completeing the cycle in document flow  delivery document  is not yet processed, and i have created invoice also i.e why it is showing not yet processed in the document flow. is it copy control problem? pls let me know experts

    1. Check Copy controls from Sales order to Delivery and Delivery to Billing document ( VTLA & VTFL)
    2. Check Incompletion Procedure
    3. Check Incompletion Rule
    4. Check Customer Master in customer master Goto Sales Area Data - Shipping Tab - Partial Delivery check which option is there

  • Purchase req. for STO -in Third Party Sales order .

    Hi gurus,
    Is it possible if i create a sales order a purchase requisition should be genarated. the normal third party PR we can not convert in to STO and   account assignment  catagory "M" is coming in PR but  in case  of STO Pur req. that is not require.
    So is it possible ? if yes can any one plz tell me.

    I am trying to copy Sceduline catatogory CS as ZS in this i want item category as ' 7' ( Stock transfer) and pur req as "UB" but it is giving error as
    "Entry B UB does not exist in T161 (check entry)"

  • Sales order delivered and invoiced but purchase req still open?

    Hi all
    I have a process where a sales order triggers the creation of a third party purchase requisition. 
    A PO was created and then deleted because the sales order was filled from a different purchase order where too much had been ordered. 
    The sales order was delivered and invoiced but the original Purchase Req is still open on MD04!
    I can't find anyway to delete the req as it tells me it has to be deleted via the sales order but the sales order appears complete.
    Any ideas??

    Deletion of PR can be done using ME52N
    This is only possible provided that no purchase order have been assigned.  If po has been created, you can only Flag for Deletion.
    To delete the pr, select the line(s) you wish to delete and then click on the dustbin icon.

    You can use 'BAPI_REQUISITION_CREATE' for the purchase requisition creation if through transaction, you use transaction ME51N for creating the purchase requisition.

  • How to copy Customer Sales Order number to Purchase Order for 3rd party sal

    Hi experts,
    We are doing third party sales. So once we create Customer Sales Orders manually via VA01, users also manually create Purchase Req for it.
    We do not automatically create PR from Sales Order, as this is not my clients requirement. So we don't use item category group BANS in the material master.
    In the item level in the PR under the Contact Person tab, the creation indicator shows "V Sales & distribution document". Once PR is created this updates the PR number under the item level Schedule lines in the Sales Order.
    After PR creation, we run a job to create PO's.
    But the new requirement from the client is to automate this PO creation thru EDI.
    Our SAP is 4.6C & the Idoc type we use is ORDERS05 & Message Type is ORDERS. We are using EDIFACT std.
    Once I get the idoc xml file for this PO, I find that my Customer PO number (from the Sales Order) & also the Customer Sales Order number is not copying to the xml output.
    Please advise what needs to be done inorder to have it.

    etc fields are common in both VBBS and VBBE.
    May be you can generate a condition a fetch data using this.

    Hi Folks,
    Could you please guide me on how to create a report of "items purchased" for a particular "sales order". if i am able to include various fields of items purchased, like....quantity, item description, vendor name, item price, etc., it will be very useful.
    This report is required for a client, who assembles machines in a "make to order" scenario, and most of the BOM child items are "purchase items".

    Few things to note:
    Is the PO created from the SO.  Is YES, then you could use the base document ref at the POR1 table.
    OR
    Are the BOM components defined with a default vendor in the Item Master and if YES are the components always purchased from the same vendor.
    I am trying to see how to establish the relationship of the items between the PO and SO.
    Please give me the details and I could guide you further
