Trex is not indexing Outlook messages .msg
Hi Everybody,
Does anyone know why TREX is not indexing .msg (Outlook mail) files?

In portal (SysAdm > SysConf > KM > CM > Utilities > MIME Types) I've added this settings:
Name "msg"
Default Extension ""
Extension "msg"
Locale ""
MIME Type "application/vnd.ms-outlook"
Resource Bundle File ""
Resource Key ""
In <disk_drive>:\usr\sap\trex_<instance_number>\TREXValidMimeType.ini, I've added the following rows:
application/vnd.ms-outlook
message/rfc822
Now TREX is indexing .msg outlook files!

TREX is not indexing certain excel-files correctly. I get a "no message found error" (14047) Trex: Preparation failed: index operation by certain excel files - but not by all. I found out what they have in common: some have filters activated and some have a lot of columns or rows.
Is there any way to avoid these errors and index them correctly?

Now this one is a bit strange. We have created an index on a file system repository that contains a number of different types of files including plain text, MS-Word, Excel and Acrobat PDFs. The queue now has a red status showing a sizeable number of documents failed the preparation, but a few are ready to be transmitted.
We found that none of the MS-Word, Excel and Acrobat documents passed the preparation stage. Anything that passes preparation is either a directory or a plain text file, though this is not consistent either since a number of files that did not pass preparation where als plain text files.
What gives? Am I missing something here? Any hints would be very much appreciated.Hello Wolfgang,
we faced exactly the same problem. To be more precisely, documents with more than 10kb were not indexed. The reason for this is, that doc´s smaller than 10kb are automatically transmitted to TREX by the crawler. For documents bigger than 10kb the crawlers only transmit the URI and then the TREX fetches them by itself.
The URL´s that are sent to TREX are normally built by the URL generator using the host entry. If you have a clustered landscape this might not work, because the Firewall, Load-Balancers, WebServers, or external authentication Systems might cause problems when they are directly called by TREX via the normal portal URL.
In this case you must specify the name of a specific server (e.g. http://server.com:50000) as Alternative Host in the URL Generator Service. But be careful with that setting. A wrong setting might crash your system (happened on our productive layer unfortunately).
If you use SSL for the communication between TREX and portal it even gets more complicated. Fortunately I did not have to deal with that.
Thus, if you have clustered system, be sure that the communication TREX to Portal can take place without problems. Take a look at the trace files of the TREX preprocessor, this should give you a hint on this.

TREX does not index all documents fro document class SOLARGNSRC
Hi all,
I've setup a connection between a TREX server (which is also used by a portal system) and Solution Manager. I've gone through the settings in SAP Note 750623 and I was able to create a index, the queue and even bypass the basic authentication in the preprocessing for document class SOLARGNSRC
According to everything I've read, this should be enough to be able to index all documents in Solution Manager and find them with Full Tex Search. But this doesn't work. From the 50.000 documents in de class (35.000 English and 15.000 German) only 6300 documents are passed to TREX. Most of them are German HTML links to help.sap.com. I can see in the trace files that the URL's to some documents in the content server are passed to TREX. I can open dthe document using the links but I cannot find the documents using the full text search which I think means that nothing was really indexed.
Questions:
1. Has anyone been able to succesfully index Solution Manager documents for full text search purposes?
2. Why are only 10% of the documents passed to TREX? Is there a specific setting for this?
3. Why does TREX use the Content Server HTTP links to index the documents and not the RFC connection?

Return Code? Interesting, I don't get an return code when I trigger the Index/Deindex. I just see the hourglass for about 5 minutes (when I run it in the foreground) and after that its back to the way it was. No messages. Nothing appears in the application logs as far as I can see.
The program RSTIRIDX is scheduled in the background and runs every hour minutes for about 10 seconds without an error.
TREX Version 7.00.39.00
Five languages actived, including German and English. In SKPR07 under Indexed documents I can see that 300 German and 6000 English documents have status indexed.
No proxy server. Systems sit within the same network segment

Spotlight not indexing outlook 2011 files
I've found several articles on Outlook 2011 search not working and it pointing to issues with spotlight. I tried all the proposed fixes including the changes listed here http://support.microsoft.com/kb/2473212. Nothing seems to be working though these are all geared towards Lion 10.7. Also, in spotlight on 10.8 I don't see a mail messages, I see Mail and Chats but it has a mail.app logo next to it which I'm assuming is looking at a different directory. How can remediate this problem? Not having search functionality is not acceptable. Please help.

Just found a solution to this problem and seems to be working.
Open System preferences.
Select Spotlight
Select Privacy
Open a separate Finder window and select 'Documents'.
Go find 'Microsoft User data'
Then find 'Office 2011 Identities'.
Drag 'Office 2011 Identities' to the other window open "Privacy" amongst the spotlight settings.
What this does is tell spotlight to NOT search in outlook, the very opposite to what you want!
However, you then need to highlight the 'Office 2011 Identities' folder and click the - sign which removes it. Your now telling it you want to INCLUDE this folder for when spotlight searches.
By removing adding and removing it, its a bit like the classic IT solution of switch it off and on again. It forces the spotlight to re index everything and therefore including outlook for when searching using spotlight.
Depending on your outlook file size, it could take hours or even days so be patient. If you run a search for something to do with outlook in 'spotlight' you should see its indexing with a blue progress bar. Its working.
Lastly, incase your wondering why this answer involves spotlight and you just wanted a fix for the outlook search and filters, its because outlook for Mac actually uses spotlight behind the scenes. -

For Encrypted emails, try Shift+Delete and choose Yes.

2. MacB set up not to use iCloud
Test on MacA (my Wifes) used for her work, across iPhone, iMac, MBP
Send invite from Calendar on the Mac to my work address [email protected] and reciever on Outlook 2007 from MacA
gets Name has invited you to <Event Namre> but the attached .ics enty
has name "not supported calendar message.ics"
The attached body coantains a web page screen shot to interact with icloud
In additaion the reply address is [email protected] and an unintelligble email address
This mac has iCloud as the account in Calendar
Test on MacB used for fun - not connected to any work
Send invite from Calendar onthe Mac to my work address [email protected] from MacB
gets Event invitation <Event Name> and the attached .ics enty
works as expected. Accept the invite and it gets put in your Outlook calendar as you would expert

I kind of get why. But is there anyway solve the issue with with MacA.
My wife's invites for her work will not behave correctly to whoever her clients are.
But I want iCloud to sync Calendars - and send invites properly not add all the iCloud functionality over the topYes it is elsewhere, however I have a Vista 32-bit that doesn't work and a Windows/7 64bit that doesn't work. I think it's just generally "bad code" and OBVIOUSLY the person that was supposed to test it didn't. I can't uninstall on my Vista machine because it will break all my Contacts and Calendar sharing too. Therefore, for now, I guess I will just have to give up on sharing pictures until they get it fixed.
Which, BTW, has been an AWFULLY LONG TIME already. I installed v2 over a week ago and Apple hasn't even acknowledged anywhere I've seen that they have an issue.

TREX search is working fine for documents < 10 KB but if i try indexing documents > 10 KB it gives prperation failed error.Please let me know what as to be done so that it indexes document > 10 KB

ShanshankI installed an EP7/TREX SP10 two years ago. All worked fine until I decided to apply windows SP2 and some security patch. My machine is a win2003 x64.
Now EP7 works fine, but TREX in not able to reindex documents > 10kb.
Trex preprocessor trace says:

It seems to me that the portal is not able to pass user name to Trex (User: N/A) and then It is not authorized to retrive the documents.
I tried to change the user of indexmanager service "index_service"; to set the alternative host in url generator service. Nothing changed.

I have installed TREX 6.1 server which is working fine. But when i configure it to a EP 7 for indexing its repositories it is not responding. Can i use a TREX6.1 server for pointing to a EP7 system in the first hand? If yes, why is it not indexing the documents in it? please clarify.

Messaging Server (sharing folder) searching LDAP is not indexed, why?
There's an feature of "sharing a mail folder"
in JMS (Java Messaging Server), whereby
a user could share a folder with another user.
But when a user (uid) is entered into
the "Admission List" box, and the Add button
is pressed, it failed with some error messages

I can see that , unlike the Integration Engine which has about 190000 messages, there were no messages indexed for Adapter Engine, is this expected ?
Am I missing some important configuration / settings.

Else, you have to write the ABAP code for search:

Also, if you have configured correctly cross check the steps below:
The global settings is valid for all components u have selected for indexing. You can use the default value itself.
ther are parameters like
1) Maximum number of messages per package to be transferred to the TREX server
2) Maximum size in KB of message packages transferred to the TREX server
3) Time interval in minutes for the periodic transfer of message packages to the TREX server for indexing
4) Time interval in hours for the periodic reorganization of the index of a component on the TREX server
5) Time period in days for the retention period of messages in the index
6) Time interval in minutes for the periodic processing of the TREX queue
7) Maximum number of entries for processing in the TREX queue
Also ther are filters available. if the filter is empty then all the messages will get indexed and will be available in search,
if u enter any details in filter option, then that particular interface only be indexed and only indexed messages will be available for content base search. The use of filter will improve the performance in case of large message flow and also it will save your hardware resources. but make sure that all required interfaces will be available in filter or other wise will searching you will get confused.
Also, check sap note: 1266924 if everything is fine!

Index attachments in MSG files
I am trying to use Oracle Text to index and search msg files with attachments. For testing purposes, I have set up a table called TEST_DOCUMENTS. The table has two columns - a blob column containing the data to be indexed and a varchar2 column describing the data as follows:
Description - Test 1 - simple email no attachments
Blob - Outlook MSG file.
Description - Test 2 - an email including a PDF attachment
Blob - Outlook MSG file.
Description – Test 3 - an email including a Word attachment
Blob - Outlook MSG file.
Description – Test 4- a PDF document
Blob – Adobe PDF file.
Description – Test 5 - a Word document
Blob – Ms Word Doc file.
When I index the above using the following:
CREATE INDEX TEST_DOCUMENTS_IDX ON TEST_DOCUMENTS
(DATA_BLOB )
INDEXTYPE IS CTXSYS.CONTEXT PARAMETERS ('filter ctxsys.auto_filter');
And search using
Select description
from test_documents
where contains(data_blob,:’search string here’) > 0;
The email attachments are not included in the search, i.e., I can search the content of the emails but not the attachments. Note: Test 4 and Test 5 are the same as the attachments linked to Test 2 and Test 3. These are returned when the appropriate string is entered!
If I drop the index and create it as:
CREATE INDEX TEST_DOCUMENTS_IDX ON TEST_DOCUMENTS
(DATA_BLOB )
INDEXTYPE IS CTXSYS.CONTEXT PARAMETERS ('filter ctxsys.mail_filter');
I can search the email with the word attachment but not the body of the email. Test 2 with PDF attachment is not indexed. Test 4 and Test 5 as expected are not indexed as they are not email documents.
On checking the drmailfl.txt file I can see that the default behavior is as follows:

i.e., only process word attachments. However, if I add application/pdf to the file it makes no difference. The PDF attachment is not indexed.[ Note: each time I make a change I drop and recreate the index..] I even tried setting the behavior to ignore for everything! You would expect it to not index anything but it still indexed the word attachment! I tried shutting down the database and restarting it to see if it made any difference.
The documentation for Oracle 11g does imply that the ‘AUTO_FILTER’ should index the attachments, but I cannot get it to do it. Has anybody successfully indexed emails with PDF or Word attachments using either ‘AUTO_FILTER’ or ‘MAIL_FILTER’?Hi James
Strictly speaking, you can't. The Workflow system has its own mechanism for handling attachments - they are attached via Form Manager's custom "attachment" user interface, rather than being attached "inside" the PDF.
You could get at these attachments, and attach them to your outbound email as regular attachments, rather than embedded within the PDF.
If you have a strong requirement to embed the attachments inside the PDF, there may be something we could do. Please email info-at-avoka.com if you want to discuss further.

TREX doesn't index some PDF documents ...
Hello all,
we have installed EP'04s and TREX ver. 7.00.42.00. It works well except one thing. TREX is not able to index some PDF documents. Most of them is indexed correctly but some documents not. Actually the problematic PDF documents are indexed but their content is not. In search result is displayed message "No document excerpt available" for the documents.
I found SAP Note 622419 that could relate with that but I don't know how can I check:
1. What encoding was used in particular PDF form.
2. What fonts or what font types were used in particular PDF form.
Do you have any idea how to find out these information about a document? Or do you know where could be problem when TREX are able to index content of just some PDF documents?

So now I know the test PDF document use only TrueType fonts. That means its content should be indexable for TREX but it isn't. There is just message "No document excerpt available" for this document in search results.
