Trip Number

Dear All,
When trying to create a trip using FM (FITP_CREATE_TRIP_FROM_REQUEST), the trip number is not getting created sequentially, it is getting jumbled, eg 1, 5, 8,17, its skipping few numbers in between.
when i try to create it directly from TP04,  it is getting created properly. (1,2,3,4)
kindly show some light.

Hi Sera,
In travel expenses trip number ranges will be created according to the personnel areas. You have to maintain number ranges for the personnel areas. Probably you have assigned same trip number ranges for multiple personnel areas.

  • Can I use the same trip number for several travelers?

    Hi everybody.
    This is my question... We need (in travel expenses) to use any field in order to group (add) several trips made for several travelers (in same dates).
    Expl: several travelers made the same trip (with different receipts and costs). We need to create a "supra-level" group (which could help our user to summarize, authorize, etc).
    I have made some tests changing the trip number assignment (in trip schema) to external one. The system seems not to have any problem if I assign the same trip number to several travelers (please, could you tell me if this is correct?).
    I´m not sure this could be the best solution, because I have one question... If I have travel request and travel expenses... can I assign external range numbers to the travel request? (how can I do it?).
    Please, could you tell me something about this? (if this is not correct, could you tell me if it´s possible to create a new field to do this?)

    Hi,
    As mentionned in an earlier response, you cannot assign the same trip number to multiple employees.
    If you are looking to group together similar claims based on the type of travel which was done, you can always use any of the following fields which can be made 'available' on the entry screen.  That is the 'Activity Type' or the 'Trip Type Specific' or the 'Trip Type Enterprise'.  By creating categories of types of travel, you can then use these values as selection parameters in your reports to isolate specific costs related to specific activities.
    For example, you know that many employees will be traveling for a specific conference and you want to be able to report on the total cost of that conference, you could create an Activity Type and ask employees to complete the field with the appropriate value when completing the claim.  Then you could create a report on that Activity Type only.
    Another option would be to use Internal Orders.  Create an internal order, have the employees assign their costs to the IO and then run a CO - IO report.
    Depending on how 'permanent' your employee groupings are, you could also use some fields on Infotype 17 to assign different employees to different employee groupings.  These employee grouping values are also available as selection parameters in the reports and can allow you to isolate groupings of individuals. 
    It all depends where you want to create the grouping....

  • Set up Trip Number by Company Code, not Personnel Area

    Hi Gurus,
    I'm implementing Travel Management Module and I am totally new.
    There are more than 400 Personnel Areas in the system so I'm just wondering whether it is possible to set up trip number rage by Company Code rather than Personnel Areas.
    Anyone encounter this, and how did you get around?
    I've heard that user exit MP56TFEX can be used, but how? - (Please note that I'm totally new to user-exit)

  • Error while reading trip trip number from screen memory

    I am experiencing the following:
    1.When I create a Travel Request with Travel Advance and save the report, I receive no error.
    2.I update the request with an estimated cost and save the request, I receive no error.
    3.I update the request with u2018Request accommodation/transportation (Outbound flight, Return Flight, Hotel and Car rental) and save the report , I receive an error u2018Error while reading trip <trip number> from screen memoryu2019
    4.I remove the estimated cost and save the request, I get an information u2018Personnel number 00075271 could not be locked after the Commit Worku2019
    5.When I look at the Cluster table (BELEG) using PRTE, I discover that it stored the Flight expense type with the estimated cost entered in Step 2, even when I delete all the flight from the request.
    Note: All the expense types are configured as 'Estimated cost, No Reimbursement to Employee'
    Please help

  • One trip number for several trips

    We want to use travel management to pay the mileage to our customer engineers who visit customer sites daily. We need to input only date, time and miles covered. I tried to use travel calendar for that but the only problem is that each line (for a day) is assigned a separate trip number while we want ONE trip number for like 20 days data. Is it possible.

    In travel calander it will create seperate trips for each day.If you wish to create only one trip  no. against various trips you may create direct in TRIP /PR05 transaction, with the range of start date and end date of your trip.
    Then add Mileage additional receipt for each day, it will create single trip against all your receipts.

  • Change BarCode from Trip number to Pernr and Trip Number

    Hi Gurus,
    My client wants the Expense report bar code to be changed from Trip number to Personnel number and Trip number. The technical team has been able to merge the two entries, but the report displays only 10 characters. They are unable to extend the field length to 18 characters. Can this be resolved through configuration?

  • Trip Number gets disappeared after clicking the UWL work item

    Hi All,
    When i click on work item in UWL to make a decision on it, a pop up gets opened trip form(there is error on trip formu201D Error while initiating travel form") . When i close this popup & return to UWL , trip number of that item gets disappeared.
    Similarly when i launch UWL , some trip numbers do not appeared.

  • Trip Number ranges

    Hi,
    Can anyone help me in how to set trip number ranges without Personnel area assignment. Basically i would like to assign first in first out and not to restrict ranges for particular personnel area.

    Hello Anil,
    The User Exit Includes MP56TFEX , MP56TFEX_01 and MP56TFEX_02           
    (responsible for the dialog) contain different user exits (form         
    routines) that allow you to set-up the entry screens according to your  
    requirements.                                                                               
    These user exit includes are a special, release-independent,            
    modification. This means you can re-implement this modification after an
    upgrade without having to make any further adjustments.

  • Run id vs trip number

    Dear Experts,
    HOW TO IDENTIFY IN WHICH RUN ID A PARTICULAR TRIP NUMBER WAS POSTED? OR
    REPORT FOR DISPLAYING THE DATA AS , X trip number is posted in Y run id
    Where can we see the posting run id of a trip number which is processed via PRFI?
    I mean if a trip number was posted via PRFI, we will be able to see the run id in PRRW. But PRRW give long list of all run id's.
    Is there a t code / report / table where i can see the run id of a specific trip number?
    Example, in PCALAC table of payroll we can see the run id through which we can search the details via PCP0.
    Also, if possible can anyone tell me what are tables of travel posting similar to PPOIX and PPDIT of payroll please.

  • Deleted Trip Number.

    Hi All,
    We have a requirement. Through ESS, when employee deleted his approved Trip Request, a mail has to be sent to his manager with the deleted Trip number. But as the trip number is deleted we are not able to send that information in the mail.
    Can somebody help me to find the deleted trip number information please.

    NUMBER_RANGE = 'Pass the number range'.
    This is an example on how this will work. Please modify accordingly for your company.

  • Trip Number Range

    Hi,
    In PR10, for Personal Area 'A' we have two trip number ranges : first from 0001 to 0050 which is exhasted fully. And another is from 9000 to 9999.
    Now when user is trying to create trip , the error is coming "Number assignment: Last number has been assigned".
    I am not able to crack as to why system is not picking second number range.
    What should I do ?

    Transaction SNUM or PR10.. you can do this there and close the first range and then create the new range for personnel area, it is the same transaction.
    New personnel area is object RP_PREL and trip is RP_REINR ...for example:
    When a new personnel number is entered, the system determines which number range the control data is assigned to.
    The number range is maintained using transaction PA04. (obj RP_PREL)
    for example, in RP_PREL:
    01 00000001 90000000
    02 90000001 99990000   X
    feature NUMKR:
    NUMKR Infotype 0000 (Actions)
            BUKRS Company Code
                AU01 Country Template AU
                    01
                DE01 Country Template DE
                    02
    so when create a new employee, if the company code is AU01, then it will use internal assignment; while if the company code is DE01, then it will use the external assignment.
    You then need to consider accordingly for travel number range RP_REINR when assigning the personnel area to trip number range.
    Also, whilst it is possible to change the trip range as I mentioned previously, it would be advisable to perhaps start in a
    different trip range eg 1000000 as opposed to changing the existing range as this means there is less potential of trip incurring duplicate number or being assigned to two different personnel.
    If you want to change a number range, you must first set the current current number to initial, then delete the numbe range interval and then create a new interval which is not overlapping with thedeleted one and not overlapping with any existing one!
    One more point to remember:
    You can create this directly in PRD without transporting from QA and in fact note 91212 explains more, You might also want to check the SAP help regarding this

    o  For reasons of data consistency (this is the main reason why number ranges must not be transported automatically!!), you should    generally avoid transporting number ranges and recreate these in  the target system.

  • Substituting Reference field in BKPF with Trip Number

    Hi,
    We have a requirement from our client, where in we are required to suffix the reference number field in BKPF with a letter "A", when the posting document contains the text "Advance" in Vendor Line Item.
    To give a brief idea we are creating Advance from PRRW transaction from travel management and the same gets posted in FI with a document number.
    All Advance posting have "Advance" in the Text field of Vendor line item. So, the requirement is when "Advance" text is present in Line Item the BKPF Reference field should be suffixed with letter "A".
    To fulfill this requirement we had already created User Exit and used the same in substitution in FI however the same is not triggered when documents gets posted from PRRW transaction. So, please let me know, if there is any way to achieve this requirement.

    The transactions from PRRW may not be substituted through FI Substitution. Check if the BTE 702910 can be used in your case as described in SAP OSS Note 588295.

    We can see the trip number on tcode PR05 & PRRW for specifed personnel number.
    Check  PTRV_DOC_HD Transfer Travel -> FI/CO: Header of TRV int. document
                PTRV_HEAD General Trip Data
                PTRV_PERIO Period Data of a Trip & revert back.

    such problem occor when u have not defined the number range
    Set Up Trip Number Ranges
    if the problems remaines after defining number range...keep check all transaction there may two three more numbers ranges has to define..
    this prblem is only due to number ranges not defined by you.
    When we create the number ranges we must be carefull to create the subintervals with two digit numbers. For example:
    01 000000001 19999999999
    02 200000000 2999999999
    If you put:
    1 000000001 19999999999
    2 200000000 2999999999
    Then the error appears.
