Upload of Expenses and Revenues in Trail Balance

Hi,
We are in the cutover phase now and how we ulpoad the expense sand revenues in trail balance becz my client is insisting on this and while I doing the same the system is asking the cost object for the same how we will give this which does not exist in legacy.
What is the best practice on the revenues and expenses upload in SAP.
Can we use SAP cost centers and upload or we can use dummy cost centers for this purpose and block later on ?

Hi Siva,
This is because you have created some of the P&L accounts as cost elements. These GLs will mandatorily ask for a cost object while posting/uploading.
If you have created cost centers in SAP and if you can identify the line items with a particular cost center, then you can upload the GL line items along with the cost center.
If you cannot identify the cost centers for the line items at this point, upload them with a dummy cost center and later apportion them.
If one GL would have to be bifurcated between say two cost centers, then you should have two line items in your upload file, each one with the respective cost centers.

    Hi Ashish
    You can use report S_PL0_86000030 - G/L Account Balances (New)  for the period wise report.
    You can select as Mani mention P&L account statement type as X in dynamic selection and give the period for which you require the balance.
    The report will give you the three balances
    Opening
    Till previous period
    for the period

  • Assessments expenses and revenues / orders and wbs elements

    Hello gurus,
    I have created two different structures:
    - Statistical WBS Elements for allocating all the planing data.
    - Internal Orders assigned to the WBS Elements for allocating all the actual data (expenses and reveues: item category of cost elements is 1).
    The issue is that periodically i need to distribute these things:
    - Plan data from one Statistical WBS element to others Statistical WBS elements. As the WBS Elements are statstical i really do not know how i can distribute those plan costs, i mean, how i can create the assessment cycle? which steps i must follow up? which transactions allow me to do this?
    - Actual data from internal orders to others internal orders. Exactly the same questions that in the paragraph before... The problem here is that i know how to create assessment cycles using cost centres as senders, but the transaction (KSV5, KSU5) do not allow me put order as a sender

    Plan data for Statistical wbs elements are not eligible for assesments/distributions and settlements.
    In actuals , orders can be set as senders and receivers. Use trans KCAU to customize yur assesments.

    Hi,
    I think what you are looking for is moving the trial balance from legacy system to SAP. You need to use GL fast entry to upload the closing balances of GL Accounts to SAP. However, if the number of Accounts are more you need to use a BDC program to upload the balances.
    Please note that you need to create dummy data conversion accounts say 4 (Assets, Liabilities, Expenses and Revenues) to post the corresponding debit / credit values. Also note that once all the values are uploaded the sum of the data conversion dummy accounts balance should be ZERO and those GL Accounts should be blocked.
    In case of GL Open Items / Vendor Open items / Customer Open Item / Asset balances, separate BDC Program / LSMW should be used. In this case each of the line item need to be uploaded to set off in future.

    At present i have coded one report which produces debits and credits ie Trail Balance by property..... but the requirement now they are asking is that i want to display the output of the Trail balance by Financial Statement item the where the data is to be taken from the transaction ob58 and i want to use f00b (Financial Statement Version B of 2000) for this...
    Please help me out if any one knows regarding this how this can be done....

    I applied FSE2 to the Role for my Control Team to update and change the FSV.
    Not sure about that note.
    We find a transaction in the IMG, add it to a role and test before moving it to Production.  Not all IMG activites have transactions....

  • Initial Trail balance uploading

    Hi Abhiskek,
    there are 2 possibilities:
    1.) Import all transactions since the beginning of the fiscal year.
    2.) If your customer works with subperiods thathe closes off, import all transactions since the last period end closing & start with opening balances.
    Using method 1 you will be able to run financial reports based on all accounting movements where you can trace quite easily which document the transaction was based on. This would be the cleanest way of doing it. You could use the DTW to import all documents & manual JEs.
    If the data volume does not allow this, import only open documents & use opening balances for everything else.

    Hi,
    Now you are getting differences of balances for p/l accounts or balance sheet accounts.
    For P/L accounts at every year balance carryforward to Profit and loss account. But you check the balances through T.code FBL3N you will get cummumlative balance. So better check the balance with T.code FAGLB03.
    If the problem with balance sheet then just test carryforward balances to new fiscal year once again in test run so that you will come to know if there is any difference in value.

  • New GL implemented, problems in F.01 and trail balance report and balance carry forward.

    Dear Friends,
    One of the my client recently implemented New GL in the Dev system, and getting posted the documents. now we are facing the many problems in the Dev system.
    1. F.01 Financial statement report not generating for the year 2008 to till 2014 fiscal years.
    2. the same in trail balance also not generating data form the year 2008 to till 2014 fiscal years.
    3.system is asking the carry forward the balances form the 2008 to till, when we try to carry forward the 2008 year amount only forwarding for the all the fiscal year, not adding the other balances.
    i went through some forums and i did the some analysis on this, after implementing new GL the table GLT0 was desble, data was not updated in the GLT0 all the data has been moved to FAGLFLEXT table. later i activated the table GLT0 and able to storing the data both the tables.
    now i want to see the all my privious year report in the DEV system. all the data is there in the tables expect GLT0. how can i recover reports as well as how can i do the carry forward balances?
    even still i have not carry forward for the 2014 balances, those balances also not there in the reports? but data is there in the table.
    Please help me on this.

    After defining the clearing accounts, execute the below programs

  • Difference between Trail Balance and FBL3n

    Hi Alll,
    Is there any solution when FBL3N is not tallying with Trail Balance.  After raising the billing some times the user want to reverse the transactions and later they will do corrections again rasing the billing. 
    I found the difference between becaz of cancelation billing.
    Can u give some idea i will go through ur advices.

    In case of ECC 6.0, Documents are splitted on Profit center level on GL entry level. on this basis FBL3n is a report based on Entry View. There will be several cases that trial , balance sheet will not tally with FBL3n.
    You should use FAGLL03 with will give you Gl line items on GL level with profit center and this will tally all you financial reports.

    I would like to see the Opening balance in the Trial Balance report only for Assets and Liabilities and not for Revenue and Expenses.Though the other details such as Debit,Cumulative balance etc should be seen for all Assets,Liabilities,Revenues and Expenses.Kindly help.

    You can try the option of running the Trail Balance for Assets and Liabilities with the Opening Balance checkbox and the other for revenue and other drawers without checking the Opening Balance.
    Export the values to Excel and consolidate the reports to get the required result(if that is what is needed).

  • MIRO - Unplanned Freight and Labor Tax allocation - Balancing Error

    As of today: When creating LIV invoices, we are not allocating the tax to Unplanned Freight(T3) and Labor(T4). But we have a new request for apportioning and allocating the taxes to unplanned freight and labor.
    we changed the code to pass everything so the tax calculation is done as per the apportioning logic and I am passing all the information to the BAPI  u2018BAPI_INCOMINGINVOICE_CREATEu2019, but it always throws me a balancing error.
    For eg: If we have an invoice with 1 line item
    Total amount u2013 17000
    Line item amount u2013 10000
    Total Tax u2013 1000
    Unplanned Freight u2013 2000
    Unplanned labor u2013 3000
    In todayu2019s scenario, as we donu2019t allocate any taxes for unplanned freight and labor, the total tax is allocated to 1st line item and it calls up sabrix and distributes total tax $1000 for T1 only.
    But when we are trying to allocate the taxes for T3 & T4, $1000 is apportioned to T1, T3 and T4.
    For eg if taxes posted to
    T1 --- 500
    T3 --- 200
    T4 --- 300
    then I am always get a balancing out error of the amount that we posted to T3 and T4, in this case = 500 (200 + 300).
    Any suggestions!

    I have checked the following in my system :
    1) Document Type RE which is being used for MIRO and the classficiation
    the same in of this document type is : Business Transaction 0300 (Vendor Invoice) and Variant
    is 0001 (Standard)
    2) Document Split Method used in our system is 0000000012 and not a Z.......
    3) Document Splitting Rules for the above combination of Vendor Invoice (0300) and Transaction Variant 0001
    Profit Center is not being filled in the line item 001, which is the vendor one.
    I have checked the base item category of 03000 (Vendor) and I found the following in it :
    01000     Balance Sheet Account
    01100     Company Code Clearing
    01300     Cash Discount Clearing
    05100     Taxes on Sales/Purchases
    05200     Withholding Tax
    06000     Material
    07000     Fixed Assets
    20000     Expense
    30000     Revenue
    But you may note that none of the above items are being checked for Automatically Split box.
    Can you please advise further on this issue. Also can you provide your contact number so that I can call you since the issue is very critical in the production system.

  • Trail balance with legacy balances problem

    Need yours input for me on trail balance amounts mismatch with Legacy system.
    My client using the both systems legacy and sap.
    Now client taking the reports from legacy for the legal submissions for this year08-09.
    I have done matching each GL with Legacy GL. Some of them were talied and rest of not talied.
    this includes recon a/c also.
    for the expenses accounts i can make JV postings, but the problem is how to make postings
    to the recon accounts.(customers, vendors etc)
    we are here having a huge transactions and client doesnt want to dig out all each and every.
    client wants to make the JVs differed figure for account heads instead of dig all.
    please let me know the easy way or t.codes to adjust the figures in various accounts for trail balance.

    Hi,
    My sincere advise is not just to go by an easy way..
    Understand where there is a gap and why there is a gap, vendor wise for AP and customer wise in AR..
    Then try posting the difference amounts into these accounts as you have done in the first case..
    This is a little time consuming job but thats the best way. Dont just post the differences as tommorow reconciliation would be a problem.

    Normally, reports S_ALR_87012277 - G/L Account Balances and S_ALR_87012301 - Totals and Balances serve the purpose of outputing trail balance for accounting staff.

    Trial balance and profit and loss account can be drawn atleast at Profit center level or business place through F.01.
    As you have mentioned branch , how have you treated branch ? are they profit centers or business area ?
    Else you can very well use report painter for FAGLFLEXT and draw the details as desired .
