while creating a task we find
1. Agents
2.Agent Assignment(Task properties)
what is the difference b/w these 2 things...
like what i know about agents or agent assignment is ,
that particular agent is responsible 2 do that task.

  • Changes in Customizing for agent assignment do not transport well

    Hi,
    We have made changes in some tasks regarding agent assignment (we select the option 'General Task' in the Attributes button). This generates a Customizing request.
    After releasing these 2 requests (Customizing and Workbench), we transport them from Development to Test. But when checking the new workflow in Test, the Customizing modifications regarding agent assignment do not occur.
    We have tried the two possible sequences of transporting the requests: first Customizing and then Workbench, then the other way, with same results.
    Is there any specific order that should be followed to correctly transport Customizing and Workbench requests?

    Our wf doesn´t use organizational structure, but checking the transport logs as you suggested (that´s what I should've done first!), has shown an error of type 12 in the last Customizing requests we have sent.
    The log error's header says
    'Method execution 08.09.2006 16:01:39   (12) Canceled',
    Going to the details,
    'Execution of programs after import (XPRA)'
    'Ended with return code:  ===> 12 <==='
    There is also one Workbench request with the same type of error.

        I am having two doubts.I am new to workflow.Thai is my first development.
    1. In one activity i am using one method inside that FM that convert the report to PDF and sent it to  user for approval using FM SO_NEW_DOCUMENT_ATT_SEND_API1 .For every level i am using this activity to sent the file to user in that level,my doubt is how to assign the agent to RECEIVER_list in FM SO_NEW_DOCUMENT_ATT_SEND_API1 Dynamically for every level.
    Give me some idea ,.
    2.In sent mail step i want to sent a mail to 5 person ,i dont know how to sent.
    Urgent help me out .Give me some idea ,
    give me some related document  or line for agent assignment

    I have faced the same problem in my previous project. Let me explain how i did.
    If a employee creates "SALARY ADVANCE" it has to go to 7(MAX) levels of approval based upon the amount that the employee is asking for and based upon the employee subgroup.
    I have created a FM in which i am checking this condition and i have created table (to hold the approvers). When i call this FM inside the method, it will create a multi-line container and the import parameter is the employees SAP user id and the Amount what he is asking for.
    Get the approvers from HRP1001 based upon the selection crietria.
    You can use this too.

  • In a Real time project what would be the agent assignment attribute setting

    Dear Experts,
    I have never worked on a workflow project. I have been only practising workflow on a IDES system. I would like to know in a real live production system what settings do we use when we define the agent assignment at the task level? Do we set the attribute as GENERAL TASK always?
    To be more specific as in the task attributes we have many options like
    GENERAL TASK
    GENERAL FORWARDING ALLOWED,
    GENERAL FORWARDING NOT ALLOWED AND
    FORWARDING NOT ALLOWED.
    From the first three options which is most generally used in a real time projects?
    AND
    is it necessary to always set the attribute as GENERAL TASK before transporting the workflow definition to other systems from the development system?
    appreciate your help on the same.

    Hello Learner,
    It depends on the requirement, but in most of the cases we assign the task as general task.
    To have some more information on the various attributes,
    ·        General task
    If you define a task as a general task, all users can execute the task. This is useful if the task is used in a workflow and you only want to define the recipients in the step definition. A recipient can forward associated work items to all users.
    Work items whose tasks are defined as general tasks and for which no responsible agents or default rules are defined are offered to all users of the SAP System for execution in their Business Workplaces.
    ·        General forwarding allowed
    A work item that represents a task with this property can be forwarded by one of its recipients to all users, even if they are not possible agents of the task.
    ·        General forwarding not allowed
    A work item that represents a task with this property can be forwarded by one of its recipients only to the possible agents of the task.
    ·        Forwarding not allowed
    A work item that represents a task with this property cannot be forwarded by one of its recipients.

  • Agent Assignment Doesn't work For Some Users

    Hi all,
    In OOCU_RESP there are four agents in a responsibility. But only one (say A) of the four gets tasks in Inbox. The other three (say B, C, D) get nothing.
    I removed A from the responsibility and B, C, D still get nothing. In SWIA the log shows no agent assigned. But in SWI2_DIAG there is no error info.
    In OOCU_RESP, Simulate rule resolution, i can get all 4 agents assigned.
    I feel like there is something wrong with B, C, D's SAP account settings. But I have no clue what it can be. Advise please!

    Please check the Agent Assignment settings of the task used for sending the WI to the users. Is the task set to General task or specific agents are listed there?
    PFTC->Supply the Task-> Additional Data -> Agent Assignment
    Also, check if these agents are listed in Excluded agents in the Workflow Step.

    In transaction PFTC_CHG I'm trying to Delete Agent Assignment (Shift + F2), the screen simply refreshes and the action is not performed - the user is not deleted from the Demo Workflows parent folder? I'm not sure how to change or remove this entry? Authorisations check out fine.

    I have problem in Workflow agent assignment...
    In agent assignment at Task (MM Invoices Parked/Posted) level, I have assigned a position(Account Payable)to AC Role...
    Under this position, there are 8 users....
    In the Workflow process,At this task level the work item is going to only one person inbox not all these 8 users...

    Hi Thirupathi,
    There are a couple of things you can try:
    - Agent assignment gets buffered in HR, normally refreshed at midnight. Use txn SWU_OBUF to refresh them manually.
    - Are all agents also possible agents of the task or is the task defined as a general task?
    - (just adding the obvious) make sure your task is in status READY, else it would have been reserved by someone.

    Hi Sankar,
    The work item is sent to the position, so If the position is empty then it will go to no one (well... that's what happens on 4.6C - unfortunately, no warnings or errors are produced to indicate this work item is without an agent).
    Note: If the "Position" doesn't Exist on the runtime environment - then your Workflow Will go into Error when "establishing the agent".
    However... run tx. SWI2_ADM1 to get a list of "Work Items Without Agents" and... Your Work item is there... And you can reserve the work item and forward it to an agent
    To resolve this:
    Check your "Agent Assignment" on that dialog task...
    You can specify the "Possible Agents", so that the work item will be sent to the "Position" and all "Possible Agents" (not 100% ideal - but will ensure that an Agent is found). Make sure it's Not a General Task to do this.
    Alternatives:
    You might want to reconsider applying a "position" directly to a task in the workflow. Instead, try using "Roles" - it gives you more flexibility in runtime.

  • Agent Assignment in PFTC vs SWDD

    Can someone explain the difference between maintaining the Agent assignment in PFTC (Additional Data -> Agent Assignment->Maintain->Crate Agent asignment) vs assignning Agents to the task in SWDD.
    My undertanding is that PFTC agent assignment is the Possible agents and SWDD is the actual agents. Is this correct?

         Agents assignment in PFTC is the possible agents and that in SWDD is Responsible agents. The actual agents would be the intersection of Possible and Responsible agents.
    Eg:
    A, B & G Reponsible for Company Code DE10
    C & D Reponsible for Company Code DE20
    E & F Reponsible for Company Code  DE30
    A, B, C, D, E, F (G is not maintained for instance) are possible agents I maintain for the task as we might use this task for any company code.
    For a workflow instance related to company code DE10,  I would maintain A, B & G as the responsible agents as they are the only who are supposed to work for DE10.
    Now the actual agents who can execute the task would be only A & B.
    G is not one of it because Though G is a reponsibel agent, He is not in the possible agents list.

    As per my understanding we maintain Agent assignment at WF template level to provide security to WF task level so that the possible agents maintained there are only authorized for that task,
    and if we maintain it as general task then every one is able to execute it.
    But my concern is wht will happen if we wont do agent assignment at WF level and also not make it general task.

    Hi Dev,
    If you do not maintain the agent assignment at WF task level ( for the task which are not general task ), those users will not receive any work item.
    For example user XXX is determined by some rule but he will not receive  the work item until user XXX maintained at WF task level.

  • PO release - Wrong agent assignment issue

    Hello friends,
    i have a strange issue with PO release strategy . A particular PO has been assigned to release group EG and release code F2 .
    But F2 has no agent assignment defined . However , The PO approval is going for another agent belonging to release code F1 . there are no user exist or BADI defined .
    Please assist me what could be the issue ?  i do not have debug access and the data is not consistent on test system .

    If it is the standard one then rule 20000027 is used for agent determination.

  • Multiline Processing and Agent Assignment

    I have a multiline container element that I am using in a subflow.  I want the subflow to execute for each line in the multiline container.
    The objects in the multiline element are, in fact, the agent ids.  I am not sure of how to identify a single entry in the container in the sub flow to set the agent.
    I am using this basic syntax for the expression in the agent assignment:
    multilineContainerElement(index).
    Is there a way to bind a single line of the mutliline element to a single instance in the activity ---> subworkflow binding?

    you can achieve ur purpose by inserting Loop(until) into the workflow
    till the execution take place for each and every id loop will continue ,more over for binding the multiline element you can bind the same with comaptible container in the workflow.
    can u provide some details what is the nature of that multiline container that you have created ,i mean what u have given for the data structure.
    and whats the purpose of using that multilione element thats a local or a global container and as fara as i think u r trying to send some mail or notification to the agent id u r retrieveing from ur container,is it or else.
    its pretty simple probs if u give some details it will be sorted out easily

    1) I have assigned a workflow(sub workflow) in a activity step in main workflow and assigned workflow task no ws99900258 in that step.i have tried to assign agents as general task.
    i couldn't do it.its showing that please place the cursor..some thing.

    2) in another workflow i am facing the problem is "mandatory import element(workflow container object(z_plm_sbc) is not explicitly provided".

    1. Open the workflow ws99900258 in tcode PFTC,
         Menu options -- > additional data-->agent assignment --> maintain --> select your workflow (this is where you are missing)
         click on "atttributes' buttone..
         Make it as general.
    2. In your workflow some of the elements are mandatory,  pass the required value into that element.
    This is you have to mention in the Binding ..

      Is there a way to maintain harcoded agents(not a general task..but putting in a user's name) on the tasks in the SAP production system without going to Change mode.
    I know we can do it for the Workflow templates in Dispaly mode but for the tasks, it wouldn't let us do without being in Change mode.

    Hi Rachana,
    The agent assignment of a task is a PD infotype and therefore the question is do you have the authorisation do maintain in production?
    From what you have described, the short answer appears to be no.  But a longer answer is that, with sufficient access, you can open a workitem in change mode and forward to a new agent after using the Replace Manually option.
    Another option would be to go in throught the diagnosis tolls (SWUD) and use the option test environment.  You will see the steps of your workflow at the bottom of the page.  If there is a red football shaped object - this is agent assignment - you can click to maintain the assignments.
    A better question is why maintain by user ID here as it is a pain to maintain.
