Visibility of purchase order costs in sales order

We are a make-to-order sales and manufacturing organisation. Most of our products are manufactured in-house but some are procured externally. Where we manufacture products in-house we are able to see the costs in the EK02 condition type within the sales order. However, where we procure the product externally this is not the case. What is the best solution for making these costs visible as we unable to measure margin without them?

As per my view   If you use EK01 condition type, the result of unit costing is issued to the first position on the conditions screen for the item. The value can be used as a basis for price determination. 
and EK02 is only for  statistical purpose
The parts which you are procuring externally's Cost will come from MM side.

    I am new to SRM world and struggling with below issue.
    When we are attaching documents in shopping carts then those documents are not visible in back end purchase orders. Problem here is that this scenario is running fine on our productions system but not on quality system. So  I assume that there is no problem with code (BADIs implemented). If this would have been code then this problem would have been on Production also.
    When I go to purchase orders attachment tab then I am able to see the document name there but when I go to Originals Tab then I am not able to see actual document (PDF).
    What could be wrong with configurations here?? DC10, 20 and 30 configurations are same on Quality and production.
    Please advise on this.

  • Project Commitment Cost not visible for Purchase Orders with Item Categry Q

    Hello All
    I have a problem. My project commitment cost is not visible for PO's with Item Category Q. I assume that as the stock can be issued against any WBS elements I might not be able to see the cost against a single WBS element. But the cost should get recorded against the project right? If so where can I see it?

  • Sales order - automatic creation of purchase requisition - cost assignment

    Hi
    When the sales order is released, we have an automatic creation of Purchase requisation. We have given "internal order" as the cost obect in the sales order. But when the system has created automatic purchase requisition, it has not picked internal order. What could be the reason?

  • Cost analysis through Purchase Order created from Sales Order

    Hi Experts,
    This is the scenario: There is an Item No. which is not stocked in warehouse and is purchased only when customers ask for it. The cost of the sales order line having this item is calculated by the Purchase Order line on which the item is there. (The PO have items for other Sales Orders as well. And, Sales Orders have multiple item types) The Sales Order have the PO no. against it and Purchase Order has SO no. against the line. This is all done using MS Access and Sage Accounts. Lots of free typing and manual cost analysis involved.
    I have gathered from this forum that we can create Purchase Order from the Sales Order. The Document No. information can be pulled from one another using Formatted Search. Can we do the accounting and cost analysis as well?
    Please let me know if I have not made myself clear.

    I concur with Faraz, it is better if you use procurement document facility in doing back to back transaction from SO to PO.
    However, in your case, I'm afraid you can't analyze the gross profit and recording the accounting related activity as your request using standard SAP B1 function.
    As for gross profit case:
    Since you're actually using workaround in order to evade all hassles in maintaining all item master data related to this case, you create just one item code called S1 right?
    SO DocEntry - SO Line # - Item Code - Item Name - Quantity - Price
    1001 - 0 - S1 - Table - 2 - 100
    1001 - 1 - S1 - Chair - 8 - 25
    1001 - 2 - S1 - Cloth - 3 - 10
    PO # - PO Line # - PO BaseEntry (SO DocEntry)  - PO BaseLine (SO Line #) - Item Code - Item Name - Quantity - Price
    2001 - 0 - 1001 - 0 - S1 - 2 - 100
    2001 - 1 - 1001 - 1 - S1 - 8 - 25
    2001 - 2 - 1001 - 2 - S1 - 3 - 10
    Note that standard B1 gross profit calculation is that system will compare selling price for each item with item cost / certain price list of each respective item. However, in your case, you put all item as a single item master. Thus, system couldn't compare Table to Table, Chair to Chair, Cloth to Cloth since the item cost for these 3 items will be the same, the price list for these 3 items will also be the same since it is actually only one master data. Of course you could update the gross profit calculation manually for each SO, but to be honest it seems rather weird to do this manually.
    So, in order to simulate the gross profit calculation, you need to create a custom query and comparing PO line no with SO line no.
    As far as accounting related recording concern, I'm afraid you can't do it
    1. SO 1 : Item Table - Selling price 130 ; Item Chair - Selling price 30
    2. PO 1 (linked to SO 1) : Item Table - Purchase price 100 ; Item Chair - Purchase price 25
    3. SO 2 : Item Table - Selling price 150 ; Item Chair - Selling price 40
    4. PO 2 (linked to SO 2) : Item Table - Purchase price 110 ; Item Chair - Purchase price 30
    Correct me if I'm wrong, you want to record accounting wise that CoGS of Delivery based on SO 1 is 100 for Table and 25 for Chair, isn't it? No matter what costing method you use, you can't achieve this.
    If you use moving average, system will average both Table and Chair cost price, since it is actually one item master data. Even if you distinguish each item as a master data, system will average the cost price for Table and Cloth by the time GR for PO 1 and PO 2 occurred.
    Example (order by sequence of event):
    1. GR based on PO 1 - Table - Purchase price = 100, therefore Item cost = 100
    2. GR based on PO 2 - Table - Purchase price = 110, therefore Item cost = 105 (considering quantity only one for both PO)
    3. Delivery based on SO 1 - Table - CoGS incurred will be 105, not 100
    To certain extent, same thing could be said with FIFO costing method
    1. GR based on PO 1 - Table - Purchase price = 100 (qty 1)
    2. GR based on PO 2 - Table - Purchase price = 110 (qty 1)
    3. Delivery based on SO 1 - Table - CoGS incurred will be 100 (qty 1)
    4. Delivery based on SO 2 - Table - CoGS incurred will be 110 (qty 1)
    At first glance, it seems right since the CoGS for SO 1 is 100, tied up with purchase price for PO 1. And CoGS for SO 2 is 110, tied up with purchase price for PO 2. But we're using assumption here, we're assuming the sequence of Goods Receipt of PO and Delivery of SO occurred in the very same sequence as the issuance of SO and PO.
    1. GR based on PO 1 - Table - Purchase price = 100 (qty 1)
    2. GR based on PO 2 - Table - Purchase price = 110 (qty 1)
    3. Delivery based on SO 2 - Table - CoGS incurred will be 100 (qty 1)
    4. Delivery based on SO 1 - Table - CoGS incurred will be 110 (qty 1)
    If above scenario / sequence that happened, you will get the wrong figure of gross profit since the Delivery of SO 2 will take the item cost based on GR of PO 1. Since we're actually talking about real life business process, who can guarantee that above scenario wouldn't happen? It is possible that you send goods to customer who ordered late in real life, too much possibility that it is better for you to mitigate such result.
    My suggestion would be that you record the accounting transaction based on standard business process, no need to really capture the actual cost and actual gross profit for certain SO and PO. Too complicated, and the software itself doesn't cater this kind of requirement. Best thing you could do only create custom query for gross profit simulation calculation, but for very accurate accounting recording, IMO you should forget it. Hope this help.

  • Assigning Manual Cost/Profit Center in Sales/Purchase Order

    I don't really know how to describe my problem, so I will instead describe my situation of what I need to do.
    We have all our G/L accounts associated with Cost elements with no Cost/Profit centers set as default.  The cost elements represent our services (ex: internet sale, hardware sale, software sale) and our cost/profit centers represent our employees.  My question is how/where do I assign a cost/profit center manually when creating the sales/purchase order?  Basically I would preferably like to assign the cost/profit center based on the corresponding sales person to the sales order.  For the purchase order we are acting as a middle man between vendor and customer, so how would we assign a manual cost/profit center that pertains to us?
    If you have a good solution to this, please provide detailed steps or instructions with t-codes and walkthroughs as I have very little knowledge about how the cost/profit centers work.  I do understand sales/purchase orders though.

    There is a transaction code OKB9 for automatic assignment of Cost Element, Cost Center, Profit Center for a Company Code. There you have to assign the Cost Center and Profit Center combination to a particular cost element.

  • VPRS Costs From Purchase Order Account Assignment To Sales Order

    Hi,
    If i assign a purchase order costs to a sales order using the account assignment category C or E, can the purchase order costs be passed on to VPRS condition type of the sales order?
    This is different from third party order processing. I know for third party order processing the VPRS costs can be passed from the purchase order, but my above scenario is different from third party order function whereby i create a purchase order and a sales order separately and then link them using the account assignment category of the purchase order and need to know if the VPRS cost can be updated from the purchase order.

    I never tried this, but looks like similar to third party scenario only. You can just test the scenario to understand the system behavior. For details on how the VPRS is calculated by the system, you can refer OSS Note 372772 - How is the cost determined?

    In account assignment dropdown in purchase order, 'sales order' option is available. Will that link sales order to PO ?
    1. Does it mean when material is received, it will be used for assigned to that sales order ?
    2. But some sales order can not be entered in purchase order. Does anybody know why ?

    For third party order, either you can create the material master with item category group as BANS, so the system will automatically pick TAS in the sales order for the material or you can change the item category manually to TAS in the order.
    This will trigger a PR, based on the PR a PO will be generated.

  • Product cost by sales order

    Dear FICO Gurus,
    I come to know that for the above method, production order in company A can be settled to Sales Order item in Company B (with assumption that Company A & Company B are intercompany and assigned to 1 Controlling area.
    My question, under what scenarios that organisations adopt this method of settlement. To me, Company A still needs to report its profitability. Without Purchase Order from Company B to Company A, Company A would not have the revenue to sustain its operation.
    Can anyone share with me, what is the logic for organisation to practice the above mentioned business process.

    It could be a complex MTO scenario and hence the need to track costs on sales order along with revenue.
    Company B - Trade invoice (PR00/PI02)
    Company A - I/C invoice at a predetermined transfer price (PI02/EK02).
    As far profitability, both 'Trade invoice' & 'I/C invoice' are posted to CO-PA for margin reporting.

  • Assign manual cost and profit center for 3rd party purchase order

    When we have a 3rd party purchase order we need to assign OUR cost and profit center to that document.  Here is the scenario:
    We buy a product from a vendor for $10 and then re-sell the product to a customer for $100.  Instead of posting this information to either cost or profit center of the vendor and customer, we need to assign the $10 to our company cost center and the $90 to our company's profit center.  We are basically acting as a middle man for selling a product.
    I am fairly a newbie, so please provide detailed answers if possible.  We create the sales order in VA01 and create the purchase order in ME22N.

    For any accounting entry you need to define a General Ledger Account where the details (Amount) of the transaction will be stored.
    Just by maintaining cost centre will not help in completing any transaction involving accounts. So you need to  maintain G/L account in the controlling area of your company code.
    You can use T Code FS00 to create new G/L account in the chart of accounts.
    In the edit cost element Tab you can give the cost center that you want.

  • Several purchase requsitions from one sales order

    Hi,
    I am using item category TAB to create a purchase requsition from a sales order, this works fine.
    What I really want to do is to create one purchase requsition for each condition type of a special kind from the TAB position in the sales order.
    Another possibility is to create several purchase orders from one purchase requsition, split on the earlier mentioned condition types. In any case, the end result should be several POs from one SO, split on condition types.
    Can this be done in config or do you have a suitable user-exit for me?

    HI,
    The Cost Center Determination settings is in OVF3, the standard works only at the header level though, so it would not work if cost center is needed on the line item.
    For this case I suggest to try from CO view:
    A material is linked to a profit center. From this profit center you can determine a cost center using txn OKB9
    In combination with the material's account assignment field and account determination customizing, an alternate revenue account can be determined for this material. ("Normal" revenue accounts are to be used in combination with CO-PA).
    If this account is a cost element with category type "1" you need the entries in OKB9.

    If you are talking about pricing condition control through authorizations in sales transaction VA01, VA02 etc. - please check SAP Note 105621: Suppressing display of Sales Order Conditions.I would suggest that you search for this auth object and note and work accordingly) and it shall enable you to restrict display to specific conditon type (for example VPRS: cost).
    For this you need to know the pricing procedure and step number relevant to your sales order. Please seek guidance from functional consultant on it.
    Secondly as you want to restrict access on geography you have to use org level controls as applicable along with the above auth object.

    Third-party order processing (for direct-to-customer delivery/drop shipment) is triggered when a sales order containing a third-party item is created.
    When this occurs, the system automatically generates a purchase requisition item of the category u201Cthird-partyu201D for each delivery schedule line of the sales order item.
    This requisition item is converted into a purchase order (PO) item. Depending on the confirmation control key, the quantities/dates in the sales order are confirmed when the PO is created or an order acknowledgment is maintained.
    If you create a third-party item without referencing a requisition generated from a sales order, this is not third-party order processing in the foregoing sense: a matching-up of the data between the SD sales order and the purchase order cannot be carried out in such cases!
    Sales Order
    In the standard system, the sales order item for the third-party process has the item category TAS (this is found automatically if the item category group BANS has been set in the material master, or it can be changed manually). In the standard system, the schedule line category CS is found for the item category TAS. It is specified in Customizing for the schedule line category CS that a purchase requisition (type NB) with the item category '5' (third-party) and account assignment category 'X' is generated.
    The number of the requisition that is generated can be displayed via the delivery schedule lines in procurement.
    If a PO is generated from this requisition, it can be seen in the document flow for the SD sales order (Environment  Document flow).
    Purchase Requisition
    The requisition is generated via the function module ME_REQUISITION_EXT. An important characteristic is that the field EBAN-ESTKZ (creation indicator) contains a 'V'. If a third-party requisition is created in dialog mode, this field does not contain the indicator u2018Vu2019 u2013 that is to say, this is not a third-party process in the sense defined. A source determination process is carried out at the time of creation. The purchase order units found during this process are adopted! The account assignment, containing the number, item, and schedule line of the sales order, cannot be changed in the requisition. The account assignment is the u2018pointeru2019 between the requisition and the SD order!! Since Release 4.6, the delivery address cannot be changed either. The address of the goods recipient (ship-to party) from the SD order is adopted as the delivery address (caution: this can be located both at header and item level in the SD order).
    There is a requisition item for each delivery schedule line in the sales order!
    Purchase Order
    Purchase order items generated from the above requisitions contain EKPO-STATU = 'V'. The delivery address comes directly from the sales order (see LMEPOF3T MEPO_ITEM_FILL_ADDR) and cannot be changed. Neither can the account assignment be changed; here too it is the 'pointeru2019 between the PO and the sales order. In the standard system, the account assignment category is 'X', with KZVBR = ' '. Since the account assignment is located at item level, you must not convert several third-party requisitions into a single PO item, otherwise the update of the sales order is liable to fail!
    An 'actual' goods receipt does not take place with regard to a third-party item. The 'WEPOS' indicator is not set for the item categories 'S', but can be set manually. The posting of a GR results merely in a value update here. The entry of a vendor invoice can be made dependent on the prior entry of a GR. In the third-party process, this only makes sense if you wish to prevent the customer from receiving an invoice before having received the goods. A goods receipt should be recorded when the vendor reports the outward delivery.
    At the time of saving, the document flow and confirmations are updated in the SD order. If problems should arise on the SD side due to changes (e.g. the customer has been blocked), an error message is issued here first!
    In the case of third-party items generated without reference to a 'third-party requisition', i.e. the item category u2018Su2019 is merely entered manually, there can be no update between SD order and purchase order. Here, for example, the delivery address is not read from the sales order u2013 it must be entered manually (mandatory field).

    Assuming all the basic settings are configured
    Step1: Run T Code VA01 and input the u201Cdocument typeu201D as OR along with your sales area. Then enter your business partner number along with the material number and quantity. Save the order.
    Step2: T Code VA03 input the order number which you have created. Select the line item and (menu bar) Goto u2013 Items u2013 Schedule lines. You will find the u201Cpurchase requisitionu201D for that item just copy the number.
    Note: If you unable to see the u201Cpurchase requ201D in the sales order then make sure you need to change the Item category group of a material in MM02 as BANC in Sales: sales org 2 tab.
    Step3: Run T Code ME21N under the item paste the u201Cpurchase requisitionu201D number generated at sales order level and hit enter that will automatically give all the details, save. You can save the Purchase order.
    This scenario will only help to create purchase order until I know why you want to create a purchase order I canu2019t proceed further.

    Product cost by sales order is useful when  a finished product is manufactured  for a specific customer rather than for the normal make-to-stock inventory. You can use the Product Cost by Sales Order component in the following situations:
    When you are manufacturing in-house with reference to a sales order in complex make-to-order production
    When you are purchasing customer-specific trading goods with reference to a sales order and reselling them to your customers
    When you are providing services whose costs are assigned to a sales order
    When you want to collect the sum of the actual costs incurred for the sales order item on the sales order item (standard cost of goods manufactured of sales plus variances) For detailed information, refer to the sections Valuated Sales Order Stock and Settlement in Product Cost by Order or Period.
