What if the Approver is the Initiator?

Hi All,
When we define a workflow in CUP or ERM, what do we do when one of the approvers itself initiates request? As I understand the initiator cannot be the approver. So then tomorrow there is the following situation
Worflow for New Role Creation:
Stage 1: Initiator
Stage2: Manager(approver 1)
Stage 3: Role Owner ( Approver 2)
Stage 4: Security Admin
if one of the role owner initiates a request for creation of new role how will the workflow work?

  The wording should be requestor not initiator. But if the approver is the requestor then the approver still needs to approve the request when it gets routed to them for approval.

    All "reject" does is send a process code. Your workflow then determines how to handle it based on that code. As for your fields getting "washed out", are you sure you are handing them off correctly? For example, if you are going from one form scenario to another, you have to "map" that passing of fields. If within the same form scenario, I would say either (1) your workflow is set up wrong and you are losing integrity of your process object or (2) your not seeing what you think you are seeing. You can check this in CASE Mgmt and see what is happening all along your process. and as Kevin said...I would not go making all of your fields "special".....that is used for something quite different...I rarely, if ever, need or even try to make any fields "special".....it's just extra work that buys you nothing much usually overall. Hope this helps.

  • Vendor name is deleted after the approver changes the product category.

    We have implemented workflow WS14000044(Completion by Purchaser) and
    WS14500015(Item-Based Main WF).
    At workflow WS14500015 level, when the approver changes the product
    category, the vendor name is deleted.The previous validation allows the
    PO creation , But the PO is created without vendor.
    Furthermore under transaction process purchase orders 'BBP_POC' the
    purchaser can not access in change mode to the vendor field in order to
    add a vendor.
    How can we give access in change mode to the vendor field for purchaser in transaction 'BBP_POC' ?

    For above error Table /TMWFLOW/REP_DATA_FLOWwas refreshed as well but still the same error.

    If you are in Test System, you can use function module AA_AFABER_DELETE to totally delete the depreciation area (tcode SE37, specify chart of depreciation and depreciation area), After that recreate your depreciation area and run AFBN. But before you do that, have you created a retirement transaction type that limits the posting on your new depreciation area? If not create one.

  • PO creator not getting mails if the approver rejects the same

    Hi Friends,
    We have an issue in SRM PO approval workflows, our requirement is that the creator should get a mail notification if the PO is rejected by the approver. This is not happening, while in case of shopping cart the creator is getting the mail if rejected.
    On little investigation we have found that the workflow via business object attributes is looking at a table 'BBPC_WF_MAILSEND' and sending mail if there is corresponding entry. For shopping cart there is one entry and the fields for sending mails to created, approver etc are checked.
    We could not figure out where to maintain this table, can some body throw light please.

  • The approval of the single step SRM workflow : WS10000129 ????

           I am using single step SRM approval workflow :WS10000129 for shopping cart creation, After creation , the work flow is getting triggered and The Problem is becuase of Agent (in workflow log, it is saying that , Agent determination for step '000000023' failed ).
    I activiated all the subworkflows also.Customization ie..General Task is maintained also.
    I feel,  it is failing to reach a agent ..plz Help me regarding the Issue to go to an agent .
    How do we customize the agent for Particular task.

    Hi Balaji,
    In addition to disha's remarks also look at the following poibnts which may help you in resolving the issue.
    Check in SWDD txn. (Work Flow builder) check whether the agent assignment is proper or not for one step approval work flow.You can manually assign the agent there if required.
    Also check whether the person approving the shopping cart has been made as the Head of the department or not  in the Org. Structure using PPOMA_BBP txn.Please make the person approving the cart as Head of the department.
    Please verify the above points and run a cycle and let us know about the outcome.

  • To get the approver and Verifier details

    Hi Experts,
    I am working on the Travel and expenses module. We are having 2 workflows. One is for the Travel Request and the other is for Travel Expenses.
    The employee raises a TR and it gets approved. After it is approved, the employee goes and submit the expenses. It goes to the verifier who after approving the same goes to the approver. The approver approves the TE.
    The person who approves the TR and who approves the TE can be different. In the existing application, we are not able to get in the DB tables as to who the approver of TR and TE is as the value is overwritten in the DB table.
    Now they want to develop a report program which shud tell us as to who is the approver of TR , the approver of TE and who is the Verifier. This report program is run at the end of the month.
    I have been told that we can get teh data from the work items and display the same in the report. There will be work item ID's created in SWI1 and we can use them to get the details for the same.
    Could you please guide me as to what the approach and the DB tables would be to get the data of the same. In essence, i would like to know as to the workflow tables through which I can get the data.
    First of all, i would like to know if this approach would be feasible......as along with these fields there are many other fields that are to be displayed in the report.....
    Is it possible to use the work item details and the SAP workflow tables to get the data? Will it be possible to get the data from the work item .....i would like to know as to how we can query on the work item data to get the relevant approvers and verifiers.....pls note that the report wud be run at the month end to get all the data pertaining to the Travel and Expenses.

      As your business is more bothered about the report generation at the end of every month  about who is approver's of TR and TE then as soon as the work item is executed why you do not try to update a custom table with all the travel related details and the approver's. you can achieve this by making use of Program exits..I think this is more reliable way to handle your requirement and there will not be any  kind of ambiguity in getting the information regarding the approver's
    I seriously suggest you to make use of the Program exits technique in the workflow. So that you can access all the travel specific information and store it in a Z table.

  • The approver does not show in the approval preview after saving sh. cart

    Hi ,
    I would appreciate if anyone can reply me for fixing the problem.
    Problem: The approver does not show in the approval preview after the shopping cart is saved, however before saving the shopping cart it shows the approver in the approval preview. We are using two workflows: WS10000060 – Auto approval and WS10000276- 1 level spending limit approval.
    Details of the problem:
    The following steps specify the problem in detail , it is applicable for both the workflows “WS10000060 – Auto approval and WS10000276- 1 level spending limit approval.”
    1.     Shopping created
    2.     The approval preview shows the approver ( please see #1 in the attached document) before saving the shopping cart.
    3.     Shopping cart is saved.
    4.     After saving , Check status transaction shows the shopping cart in status “awaiting approval”
    5.     The section approval shows “ No workflow started , application error occurred”
    6.     T.Code SWI1 shows the workitem created for the shopping cart but in error.
    7.     The work item container does not show any agents
    I would appreciate it anyone can reply as to how to fix it ASAP.

    Hi Disha,
    I have synchronised through SWU_OBUF several times since yesterday , but still at the same place.
    In the workflow customising - The only red entry which I have is for check entries from HR control tables under Mainiatin definition env. and Mainiatin guded procedure for gateway under guided procedure (new in SRM 5.0) .The verification workflow works fine . Also I think these entries will not impact the workflow functionalhese were red even in my earlier system .
    SLG1 shows all green entries and there are no entries in RZ20.
    I have specified task TS10008126 as general task as I want anyone who is identified by SLAapprover should be able to process the workitem and as per documentation I can specify this task as standard task.
    What should I do.. , anything am I missing .

  • Approver for the application role not working out

    Hi,
    I have created a role with type application and Approver A, then created a business role with the Approver B and included application role into the business role.
    When i assign this business role to a user the only request for approval goes to Approver B and after approval the both application and business roles are assigned. Strangely it seem to skip the Approver A. I did even remove the approver in business role, leaving only approver in application role, still same result - it skips Approver A.
    I'm using IDM 8.0.0.1, any ideas why it would skip the approver in the included role?

    Thanks for the quick reply. I've tried optional with approval and here is what I found.
    It seems I need a combination of the two. My end goal is to have a second level approval, one group would be responsible for approving the business role and the system owners would be responsible for approving the nested application roles. When a user requests the business role, they must have approvals for the business role and all of the nested application roles for their request to be completed.
    If the app. roles are required, the workflow automatically incorporate the nested appl. roles in the request but does not require approval for them. If they are conditional with approval, the user would have to submit a second request to get all of the nested application roles. It looks like I need a combination of the two, required with approval.
    I need it to behave like it does when you have a role with approver that includes resources with an approver. The role and resources must all be approved before the request can be completed successfully.
    I'm trying to see if this is possible through the GUI before I customize the workflow.

  • Chaging description by the approver causes worng behaviour of workflow

    When approver makes changes to the SC "descritption" of SC and approves the SC is routed back to requistioner for accept/reject changes as well as appear in inbox the first approver for his approval.
    Error reporoduction
    Create a SC, single item, non-catalog,via “Describe requirement” functionality.
    The SC is sent to the first approver determined, for approval.
    The approver makes changes to ‘Description’ of SC and saves the changes(i.e. saving is  equivalent to approve here)
    The SC is routed back to requisitioner as well as seen in the first approver inbox for approval agian.
    As per the normal flow if the item are rejected the workflow  goes to requistioner for  approve/reject changes only(as the value of the SC changes), but here changing the desc causes the undesired bahaviour.
    I am using  WS14000133 workflow(n step dynamic workflow).

    I don't understand what has security level of the workflow got to do with the issue?
    But still can you please let me know as how to set the security level of the workflow?
    The approver  when  rejects one of the line items straight away, without making any changes,  the workflow routes back to the requisitioner for accept changes or withdraw  the SC. In this case the workflow works fine.
    But when the same approver goes and changes the line item say desc or the
    G/L account the workflow routes to the requaisitoner for approval fo the cahnegs as well as appear in the inbox of the first approver 
    In both the cases the approver is the same , hence the security level could not be the  reason.
    Do you think that the changes to the worflow items ( as in desc. changes or G/l chages) needs to be handled by the BADI ?  Directly appoval or rejection of the line items are handled by the standard SAP code, hance no issues occur here.
    The Workflow is WS14000133.

  • A second modification without approval loses the first one. (9.0.2)

    Hi,
    we are using "Manage with Approval" with Portal 9.0.2.
    I change the text and say o. k. Before the approver sees the notificaction portlet, I change the text again.
    Unfortunately I do not see all my changes of the first time.
    When I am done I issue o. k. again.
    Then the approver sees her notification portlet with both entries.
    Unfortunately she does not see the time and and approves both of them, publishing the older one.
    How can I recall the first change? How can I even see the first change?
    If the approver eventually denied both changes, how am I supposed to see any changes I did?
    What did I do wrong? How should I use the approval process correctly?

    We did not find anything about a double change in the given help document.
    But we thought about check in/check out and tried it out.
    a) We have to grant too many rights to the editor. In addition to "Manage With Approval" and the new "Check out" he would be able to move and delete the item. We do not want her to do this.
    b) The user with "Manage With approval" still sees the edit icon on her screen, though meanwhile some other user checked our item out. She uploads another file and the approver approves it. This is probably a bad configuration or a bug ...
    Does anybody find an answer to a), please?

  • Completion level preceds the approval level

    Dear SAP expert,
    Our company is implementing SRM 7.0 right now and we have a confusion of what SAP means in the documentation for approval with completion level. It mentions, as I quote:
    "If the process schema contains a completion level, it always precedes the approval levels"
    Does it mean that the approver which able to do a completion (having inquire button) cannot be the approver AFTER the approver who can only approve/reject? We exactly have the requirement where ALL the approvers need to approve first, and only after that the purchaser will complete the shopping cart (eg. changing the free text item with a product id), where the purchaser will be the last approver.
    This is to prevent the stigma that purchaser is delaying the process (IF the purchaser is the first approver with completion, then if there is a delay in purchaser it will be blamed on the purchaser).
    Can someone shed the light on this matter?

One thing i notice in the note that you mention that by default if SC is in approval phase and when the creator receive the work item, he can only accept the rejection. I thought that if the SC is rejected the creator will always have the option to revise and restart the approval workflow?     which one is correct? If the SC is rejected and it goes back to the creator, the creator can have the option to not accept the rejection right? By revising the SC and re-start the approval again.

  • Approver Details Not Visible After Changing the Approval Process

    Hi Gurus,
    This expense report belongs to an open approval task when an approval process has ended its validity date.
    After a new approval process is activated, all pending approval tasks experience the issue of approver details not showing.
    In order to reproduce following steps need to be done :
    1. Deactivate the current approval process and activate the new approval process.
    2. When the status of the recently deactivated approval process is "Ended With Open Tasks", go to the "Show Open Approval Tasks" to
    see the open approval tasks.
    3 Check the Cost Assignment area for expense report which is in the open approval tasks.
    3. Approver Details are available.
    4. The approver sees the expense report on his/her approval list.
    Once the approver approves, it doesn't go out of his/her approval list and the expense report is still pending for approval.
    To determine if the expense report has no other pending approval from anyone else, there should be the approver
    details but the issue is it doesn't show up.
    The expense report is also stuck on the approver's approval list even after approving.
    Workaround provided to the Customer:   Recall the ER and submit again for approval.
    But as per customer there should be a background job to refresh the expense report to reflect the approval details.
    And issue should not occur as explained on the point 4.
    Kindly suggest if anything is possible to improve the system behavior.

    Hi Rahul,
    Although we have a workaround, I believe a permanent solution has to be implemented.
    In cases when an expense report has more than one approver (for example there are 4 approvers) and the 3 approvers had already approved, I think it will not be good to recall the expense report and resubmit because the traveler will have to seek for approval again from all the approvers.

In our process if the employee raises the claim request in the portal and the approver rejects the claim request , employee is not able to edit the request in the portal . So please suggest the solution for this .

    Hello Lokesh,
    The edit feature of claims is on the basis of status. Approved & Rejected claim requests cannot be edited. The approver has got the option to edit the claimed amount on basis of the proof attached.
    Hence the approver can edit and then decide to approve or reject. But employees in case of any
    rejection of claims needs to reapply with a new claim.

    For example, PR 10002620
    (1) Browse table CDHDR (Change document header), specify:
    Change doc. Object = BANF
    Object value = PR number (remember to add first 2 zeros) i.e. 0010002620
    Transaction = ME54N (release manually) and/or ME55 (collective release)
    The result showing the user who has run transaction ME54N and/or ME55 for the PR, then user may be the approver of the PR. If multiple records found for a particular PR, it may be approve/reject several times.  You may only extract the latest record.
    (2) Because transaction ME54N can either approver or reject PR, it is necessary to further check table CDPOS (Change document items), specify:
    Change doc. Object = BANF
    Document number = <found in step (1)>
    Table Name = EBAN (Purchase Requisition)
    Field Name = FRGKZ (Release Indicator)
    In the result, if field FRGKZ (Release Indicator) changed from Old value 'X' (blocked) to New value '2' (PO creation allowed), we know that the user found in step (1) is the PR approver.
