Workflow - workitem forwarding

Hello,
Any idea what is the reason for upgraded ECC 6.0 system the following error:
user XXXXX is not a dialog user: it is not possible to forward
Message Class: WL No. 263
whenever I tried to forward wokitem from one user to another; I chekced XXXXX user in SU01 and he is a dialog user.
hint: the forward works fine for some users ...

Hi Waleed,
Please check with workflow consultants, whether all customized workflow tasks with TR upgraded(or migrated) to ECC.
If any customized workflow tasks associated with this item is missing in ECC, then it will through this error.
Please let me know if any queries.

    Below are the query  details:
    Module:  HR
    Area:      Workflow
    Process: Hiring
    There is an workflow in HR module that is triggered when an hiring action is run against an candidate.
    There are two or three maximum approvers  which is based on the position to which the candidate is hired.
    Issue:
    During the hiring process some times the workitem is getting triggered to two users at once.
    One is the actual approver who should receive the workitem in his UWL and other is the user of our service center who is no where involved in the approval process.
    Analysis Done:
    We checked the workflow log and found that the actual approver's ID is getting displayed under agent and workflow is complete. But the other user's ID is no where shown in the log but he has received an workitem in his UWL that makes the issue still confusing.
    Awaiting for experts suggestions.

    You say that 'the workitem is getting triggered to two users at once' - do you mean that there are two workflow instances that are being kicked off at the same time when the hiring action is performed? Or is it that the workflow is generating two tasks that go to these different users?
    Ans : There is a single task attached to the activity.
    Is this a custom workflow?
    Ans : Yes.
    Are you certain that the erroneous task is only going to the user in the service center, or is it perhaps going to everybody (marked as a general task)?
    Ans : The task is marked as general but the workitem is received by only one user of the service center at a time.
             As this issue has taken place 4 times in the past year all the 4 receiver were different belonging to different position.

    1. Did you try to check the SPRO settings with respect to Hiring Process ,is there any where based on the position does workflow is forwarding the workitem to the other user.
    2. Check the other user Roles and in the Org Structure where he is located , there could be a possibility of wrong position holding.
    Ans : We checked the org structure, but org structure of both the centers are different and independent there is no linkage    between the two.
    *3. IF you are using custom workflow then check if any standard workflow is also getting triggered. Check *
    Ans : Yes this is a custom workflow, but no other Standard workflow is being called.
    4. Check in the SWEHR3 is any custom entries maintained.
    Ans : No, entries are maintained in SWEHR3.
    Additional Info :
    The task that triggers the workitem has an send mail step before it.
    The send mail activity is to notify receiver that there is an workitem lying in the UWL.This mail is received by the actual user and not by the other one.The next step is the task that creates workitem which gets triggered totwo different IDs.
    This scenarios mostly has come up when the number of approver is 1. If the approver is more than 1 the  workflow runs fine without  deviating the workitem to any worng user.

  • Workitem forwarding

    Hi All,
    I searched threads regarding workitem forwarding, but cldnt get one related to my issue.
    This WF is related to archiving invoice.
    On scanning of invoice, WF triggers, sends workitem to AP,
    AP executes workitem, screen is in edit mode. Due to some discrepancey, AP routes it to User1.
    User1 receives workitem, executes it, now the same screen shd b in display mode with just 2 fields enabled.
    My question is,
    is there such a standard WF available similar to my case?
    can a workitem forwarded from one user which was on edit mode, changed to display mode with just 2 fields enabled for the next user ?

    Hi Aditya,
    There is no such workflow to satisfy your requirement. But I did the same thing in my workflow.
    There is one field wi_forw_by into the table SWWWIHEAD, if you forward the workitem to another user then this field will be X. Based on this flag you can disable or enable the screen fields which you want.

    I have tried deadline monitoring, but I need to capture the level in which the RFQ is in order to escalate.
    Can someone let me know how to proceed further.

    As you said we have to use deadline monitoring here.
    For this case use 'Requested Start'. From your i came to know this workitem should be a dialog workitem, so the workflow will wait for the time what you have specified in the requested start and when it is reached it places the workitem in the corresponding recipient inbox.

  • How to receive/execute workflow workitems in MS outlook

    Hi,
    I was told that it is possible to receive/execute workflow workitems in MS outlook or other supported mail clients (not SAP INBOX).   I have tried to research (SDN, OSS) and so far just found documentations to set up workflow notification to MS outlook.  Nothing about receive/execute workflow workitems.  I'd like to be able to set this up without buying a third-party vendor product.  I would really appreciate it if someone could give me some guidance on where to find some helpful documentations or some brief description how to configure this.

    I've heard it could be possible with the SOAP adapter. I never used it but I found these links in SAP Help:

    This should allow you to approve without direct access to SAP.
    If you want to execute with direct access to SAP you can use program RSWUWFML2 which allows you to send mails with executable attachments. But the user needs sapgui installed on his pc, and be able to reach the SAP system.

  • Workflow Workitem approval from Handled Device.

    Hello,
    In SAP users will use handled device to approve SAP Workflow Workitems. Below are my questions.
    1. Is this possible with SAP Technology or we have to make use of some other application out of SAP.
    2. Is there any specific setting or configuration in SAP to enable users to approve workflow from Handled Device.
    3. Can link to SAP workitem be send in mail to  handled device and workitems can be opened from handled device.
    Any links or PDFs related to Handled Workflow Development / COnfiguration is much appriciated.

    Hi,
    You will not be able to execute SAP work items in Blackberry or Iphone because of their technological restrictions. You have to develop BSP application and certain necessary customizing, SWNCONFIG, SCOT etc, have to be done.

  • Custom SRM workflow: task forwarded to last change author when approving.

    Hi experts.
    We encountered this strange behaviour when approving a Purchase Order, previously rejected.
    More precisely: the PO is created by user A, user B rejects it, user C approves it, then the same workitem sent to C is forwarded to B instead of being routed to user D through the flow. I do not want this to happen.
    Is there a way I can modify/customize this?

    Short answer: Yes.
    Longer answer: only you know which workflow template you are using. Is it a standard SAP template? If so, which one? Is it your own custom workflow? If so, you have to explain it if we are going to be able to provide any help.
    I won't be surprised if your response is that you are using the standard workflow that you customize with release procedures. But I can't know that, so please (everyone) be specific and informative when you ask questions. The readers here may all have some workflow knowledge, but most of us are not very good at reading other people's minds.
    PS: Version information can also be quite significant. In some cases there are big differences between e.g. R/3 4.6C and ECC 6.0.
    If you have used the release procedure customizing it could be your customizing that causes the behaviour you have observed. Please give some more information about your current setup.

  • Workflow -Auto forward for next level for decision with object (PR)

    Dear All,
    I am working on PR release through workflow, with three level release codes. I need your help in setting:-
    Example:
    In case PR received through workflow at 1st level for release code Z1, and if he could not able to release it within 5 Min, PR/task should be automatically forwarded to next 2nd level for release code Z2.
    And in case 2nd level do not release within 10 Min, PR/task should be farwarded to 3rd level for decision
    etc etc
    It is some thing with lastet End, Request Start, Latest Start & Request End , but could not able to understand how to work with them in case of above situation.
    Any tips/link/document would be great for me?

    When I am trying to forward workflow item using SWIA , I am getting the message like " WS is not a valid object type for a task".
    It's in statuts "STARTED" and AGENT is "SAP WORKFLOW".
    How can I forward this item to user as workflow administrator.

    Please follow the below steps........
    1. If you have the workflow instance number
    Oepn table SWWWIHEAD through tcode se11/se12/se16
    Enter the instance number in field TOP_WI_ID and execute.
    You will find there are multiple woritem there.
    Get the workitem whrere WI_TYPE is 'W'.
    That is the dialog workitem of that workflow. ( There may be the multiple dialog workitem as per the workflow design )
    Now forward the dialog workitem through SWIA
    2. If you hav woritem number which is not wokflow instance number
    Open table SWWWIHEAD through tcode se11/se12/se16
    Enter the instance number in field WI_ID and execute.
    You will get the worklow instance number in field TOP_WI_ID.
    Now get the top wokitem id adn open table SWWWIHEAD through tcode se11/se12/se16
    Enter the instance number in field TOP_WI_ID and execute.
    You will find there are multiple woritem there.
    Get the workitem whrere WI_TYPE is 'W'.
    That is the dialog workitem of that workflow. ( There may be the multiple dialog workitem as per the workflow design )
    Now forward the dialog workitem through SWIA

    Hello Kiran,
    if the user <i>is</i> alread on vacation, the administrator can use the transaction SWIA to forward the workitem. You can select by the workflow task TS... by workitem id.
    To find out, which workitems the user currently has in his inbox, please consult the database table SWWUSERWI.
    For the future, each involved person of the workflow should maintain a "substitute" (Workplace>Settings>Workflow-->Maintain Subs.) and active this setting before his vacation.

                           Thanks for your suggestion and it works well. I never thought changing a personal setting in our own workflow inbox will enable multiple forwarding for a Workflow Administrator role. This is not the way its should be enabled...   this seems like a workaround. what you think?

  • Workitem forwarding issue

    Some of the end user in PRD is unable to forward his pending leave request (WI) to their manager, instead of workitem going
    to their manager's inbox it goes to their own inbox. When I checked in the workflow log the error message shows "User ABCD is not a dialog user: Not possible to forward". But user ABCD ( To whom it has to be forwarded) is a dialog user (checked in SU01d). User is forwarding the workitem through a custom service that uses FM :SAP_WAPI_FORWARD_WORKITEM. But when we ( support team) forward the workitem by using same FM, we are able to forward it.
    It seems the issue is related to missing authorization but unable to find out what authorization is missing. No result  in
    su53.

    SAP_WAPI_FORWARD_WORKITEM is RFC Funtion module.
    Henace they are facing issue in forwarding.
    But at the same time..if you are trying to forward..its like a normal FM.
    so please check the RFC destination...
