Worklow 2013 locking a custom list

In a SharePoint 2013 workflow I have a custom list where I am having users submit to the workflow. Once the user submits the custom list to the workflow 2013, I do not want users to be able to make changes to the custom list. I basically want to 'lock' the
custom list so the user cannot make changes. I do not want to disable buttons unless I need to since I am using the auto generated buttons submitted by SharePoint.
I am going to use 'declare a record (mark a record)' and not the app model to raise security levels. I am not picking the app model since you will not know who actually changed the record if most of the code that I need to execute would be in the app
model or impersonate step.
Thus can you tell me the following:
1. Am I correct about the app model or impersonate? If not, can you tell me what facts I am incorrect about?
2. Can you tell me how to 'declare a record (mark a record)'? Basically I am on my own test SharePoint 2013 website and I am thinking of activating this feature.

#1. The App Step runs with the app permission which has full control by trusting the workflow and the Impersonationstep runs the actions inside the step as the user who authored the workflow.
When elevating permissions for a workflow isrequired, then we can consider to use app models and impersonation step.
For your issue, you just want to make the users not be able to edit the items, then you can use declare as a record instead of changing the permissions of the users.
#2. To be able to use Declare as a record function, we need to enable In Place Records Management feature in Site Collection Features.
Go to Site settings page of the root site > Site collection features.
After that, we need to go to the List settings page and then click Record declaration settings and select Always allow the manual declaration or records. Then we can use that feature.

    In an InfoPath custom list form 2013, I have setup a group of test users with 'view' access to my test SharePoint website. These users are able to enter data in a custom list.
    When the user looks at the data that they originally entered by accessing the data from the sharepoint website, the InfoPath Form looks like the form is read only. However if the user clicks the auto generated edit buttons on the top of the form, they are

    Basically I would like a way for the user to not be able to change the original data in the custom list.
    Is there a way that I can accomplish this goal like:

    In InfoPath Designer go to File, Info, Form Options.
    In the Web Browser category uncheck Show InfoPath Commands in Ribbon or Toolbar.

  • SharePoint 2013 names for custom lists

    I have the following to mention about changing the name of a custom list for SharePoint 2013.
    1. In my test SharePoint area the person that is our 'admin' for SharePoint, went to the 'recent' area of my test area in quick launch and changed the name of my Custom list. The features like email messages did not work at the point.
    2. I then went to list settings on the test website, and changed the name of the custom list to match the name my 'SharePoint' admin changed the name to. I reran my test workflow, and the features started to work again like the email messages.
    **Note: Myself and the SharePoint 'admin' person at my company have only worked with sharepoint 2013 for 3 weeks.
    Thus can  you tell me relationship of changing the name of the custom list in the 'quick launch' area versus changing the name is the list settings? Do both areas need the values changed?

    Your observation is currect
    Quick Launch name change actually change name in navigation item (site settings -> navigation) which don't change anything on actual list. That is just a "text to display"
    If you change actual list name from settings it should impact Quick Launch if "Display this survey on the Quick Launch?" Set as Yes from list general settings

  • InfoPath 2013 custom list being locked versus lowering permission levels

    In an InfoPath 2013 custom list, I do not want the user to be able to make changes to the custom list once it has been submitted to the workflow 2013.
    The way I see to meet this goal is either lower the security level of the user to 'read only'. The other option is to lock the custom list record by using the mark a record (a declare a record) Feature.   
    Thus can you tell me what the better option is why you chose that solution?  Would you also tell me what the better user experience is? Basically there would be no selection like 'edit' or 'delete' when the option is not available.

  • SharePoint 2013 users only see custom list and document lists that they uniquely created

    In my first SharePoint 2013 project, I want to create a view where users can only see their own files that they generated. I think I know how to create this view when the list is associated with the 'Documents; folder. However I have created several custom
    lists where I can only see these items when I am on the navigation pane to the right and the unique custom lists are listed under 'recent'.
    Let me know if you can answer any of the following questions:
    1. When on the main SharePoint website, can lists be displayed in other locations than what I just listed? If so, where would I see these other lists?
    2. I would like to include the custom lists that are located in the 'recent' navigation pane as a view that only I can use. This would be based upon userid. If this is possible,  how would you combine the lists lists in the same view? If this is not possible,
    how would you set a view just for the lists listed under the 'recent' section?
    3. The content approval solution under versioning settings of a library to restrict the documents to only ones that the user created (and also Approver rights).  Then if they create a new view they still won't see the documents that were not created by
    them. What about custom lists that are not in the documents area but are in the 'recent' area? Would this restrict users to see only items that they created?
    4. Item level Permissions in advance settings solve this problem for the list in the document area and the custom list in the recent area? If so, how would you setup these values?

    As it turns out the, setting Item-Level Permissions in a library is fully supported with PowerShell!
    The PowerShell commands for changing this are very simple:
    $web = Get-SPWeb http://YourSite/
    $list = $web.Lists[“Your Document Library Name”]
    $list.ReadSecurity = 2
    $list.Update()
    $web.Dispose()
    Note the 3rd line which is where you determine the value for this setting using the following values:
    1 = “Read all items”
    2 = “Read items that were created by the user”
    If you wish to modify the values for Create and Edit access instead, replace .ReadSecurity with .WriteSecurity with
    the following values:
    1 = “Create and edit All items”
    2 = “Create items and edit items that were created by the user”
    4 = “None”
    For example:
    $web = Get-SPWeb http://YourSite/
    $list = $web.Lists[“Your Document Library Name”]
    $list.WriteSecurity = 2
    $list.Update()
    $web.Dispose()

  • SharePoint 2013 witing code to work with a custom list

    I am asking this question since I am new to working with SharePoint 2013, but I have programming experience working with C#.net and VB.NET.
    I have a workflow 2013 that is accessed by a custom list (and updated by Infopath 2013). Once a user has submitted the custom list to the workflow 2013, there will be the 'proper' authorized person in the company that will approve or reject the request.
    Once the user has submitted the request, I do not want them to be able to update the list any more. I want the user to only have 'view' access.
    In workflow 2010, I see that there is the impersonate step that would change the permisisons for me. However I would prefer not to use an older version of the workflow.
    Thus can you show me and/or point me to links that will do the following:
    1. What .net code could I  use that will change the permissions on the custom list I mentioned above. The code can be in either C#.net or VB.net?
    2. If I am able to use the .net code, would you show me how to 'wire together' the .net code with the 2013 workflow? I do know that I would use Visual Studio.net 2012 to write the code. Would you explain, draw a picture, and/or point me to a url that will explain
    to me where to place the .net code so it is connected to the workflow 2013?

    I am going have a large volume of users (about 300 to 500) from my company creating these requests. So you are saying that I should create a subfolder of each request.
    Thus I have the following additional questions:
    1. If I move the requests to subfolders, how will the users be able to able to find their requests when placed into a different subfolder? I have views setup for the users, would I adjust the view for each user? Can you show me in workflow how to move
    the requests to another subfolder?
    2. It sounds like a need a subfolder for each request is that correct? If not, do I move all requests to one subfolder?
    3. Would you show me how you recommend that I change the permissions on the subfolder(s)?

  • Infopath 2013 - Values are not appearing in a drop down field referencing site column which uses lookup in custom list

    I have a master custom list that has a set of site columns. For each site column there is a lookup to a custom list with reference data. When I edit the list in data entry view all values in drop down fields work fine, but when I customize the form for
    the master list, no data appears in the drop down fields. I can change the data binding on the form so it references the the correct data and when I preview the form it works. But when I publish it, no data is available in these drop down fields.

    According to your description, I try to reproduce your scenario but the lookup field works fine.
    When we customize the form for the  list  in the InfoPath 2013 , it is by design that the Drop-Down List Box control cannot  display its value.
    For troubleshooting your issue, please take steps as below:
    Go to lookup List Box on your form in  InfoPath 2013 , right click it and choose “Drop-Down List Properties” from the bottom of your field menu.
    Make Sure you select “Get choices from an external data source” and correct Data source.
    Make Sure the Xpath  of Entries is “d:SharePointListItem_RW” under the dataFields.

  • How to have digital signature in a Sharepoint 2013 custom list form created in InfoPath 2013?

    I have a requirement that they want a form in SP13 that would allow Mobile mode.  Supervisor then can sign off the form in mobile mode.  Because Document Library form doesn't have Mobile client support so I decided to create this as a custom List
    form.  Now I'm finding out that when I right click on the section on the form to enable e-signature, there is no such option.   I appreciate it if someone can give me some suggestion on how to have a form that has both Mobile mode and e-signature
    support in SP13.
    I also noticed that the people picker doesn't work in Mobile mode.  Is that so or is there something-else I need to configure?

    According to your description, my understanding is that you want to create an InfoPath form which supports Mobile mode and e-signature in SharePoint 2013.
    Per my knowledge, the browser-based forms cannot support signature in Mobile device.

  • Get the Version history of a sharepoint 2013 Custom List item

    Hi All,
    I am having doubt to retrieve the field version information with the comments.
    For this field i am done like this
    1.Creating a custom list
    2.And enable versioning for the list
    3.And add a field with field type 'Multiple Lines of Text' and in the Addition Column Settings section 'select yes radio button option in 'Append changes to the Existing text'.
    4.If we done like this the changes to the list item are available outside of field control.
    Can any one help me regarding this field to get the all the versions of list item along with modified data.

  • Infopath to design WYSIWYG Custom List Views on 2013

    We are migrating to SPO 2013.  Playing with InfoPath 2013.
    I know it's dieing, but InfoPath has always frustrated me.  Some much potential yet so out of touch with what users seem to need IMO.  Far from user friendly enough to let users maintain their own forms too IMO.
    But really my biggest gripe with SharePoint in general is that it misses the mark with Custom lists and Views.
    Why doesn't SharePoint and/or InfoPath address the need for more flexibility and Design options in the Custom List View. My users are constantly looking to build View pages that to reflect paper forms they use to have.  They always seem to
    have to settle for the way the list view looks.  InfoPath does not seem to address Read Only Views of List Data ??
    - No List Mode (View vs Edit)
    - No Label control
    - Field Names do not display unless you hover over the control. 
    - No WYSIWYG drag and drop designer - only grid cells.
    - No easy or clear way to get URL Query string values
    - No way to build complex expression fields, say I want to build a URL Link using some list field data and the ID from the URL query string on the form? Possible?
    - Better/easier way to join and bind in multiple Lists and multiple data sources?
    One other challenge we have is that SSRS can't be integrated into SPO and is being dropped from Azure.  The SSRS designer is leaps and bounds better than InfoPaths IMO.
    Considering SPO 2013, might there be another product or IDE coming in (maybe FoSL) that will address all of these? How about Visio, Excel, PDF

    A little of both :)   ... But am very interested in hearing about practical development options.  But the catch is that we are waiting to see if something shows up that will enable users to build these views without development.
    I have been seeing new Apps show up on the o365 store that look promising, but none of them are quite there yet IMO ...  like Ninetex forms, Lightning Data Viewer, BlackCompass Data Viewer, List Designer, OData query Builder.  We've
    actually demoed every single one of them.
    We have also been playing with oData Connections from Excel and Visio web Access Web parts.  We can't get Data connections to refresh from Excel apparently unless we buy Power BI and we are still trying to figure out Visio on SPO.
    I know we can create a SharePoint 2013 App that binds in SPO List data and use .NET controls to arrange them on a page.  But that would put a developer and a deployment process in front of that View.  We can also use SSRS and create a one row report
    - but SPO does not support integrated SSRS and we would have to authenticate  on-Prem SSRS against  ADFS which we have not yet configured here.

    Hi,
    According to your description, my understanding is “find an item” search box in a custom list not work in your environment.
    As search box and “find an item” search box in your home page are working, so the search service application is working.
    Do you have any customzation to the particular custom list ?
    If No, I suggest you can full crawl the data in Central Administration ->Manage Service Application->” Search Service Application”-> Manage Content Sources” to test if it works. 
    Also, please check if you have set "Allow items from this list to appear in search results" in list settings->Advanced Setting to true

  • List teamplate (template created on migrated custom list from SP 2010 to 2013) not appearing in Add an app section in SP 2013

    We have migrated from SP 2010 to SP 2013. When we are trying to create list template from the migrated OOB custom list. List template successfully created but it is not appearing in Add an app section in SP 2013.

    Please make sure you have activated "Team Collaboration Lists" feature under Site Features. Also check if the template in the list template gallery is published.

    when using the SharePoint ODATA or REST APIs each list and site would have a different endpoint URL. Some example URLs are below:
    REST API:
    https://test.sharepoint.com/sites/pwa/Project01Test/_api/Web/Lists/getByTitle('ProjectNotes')/Items
    https://test.sharepoint.com/sites/pwa/Project01Test/_api/Web/Lists/getByTitle('Risks')/Items
    ODATA SVC:

    The down site is that in Excel you cant dynamically update the connection URL so would have to add all of these in manually and create the data models - I guess this is ok if you don't have many projects and don't create many new projects. In code such as
    JavaScript it is easy and you can build up the URL dynamically using variables like below:
    projSiteUrl + "/_api/Web/Lists/getByTitle('ProjectNotes')/Items"
     The options to explore to see if you have make this dynamic and get the data you want are:

    InfoPath blows up with an error message saying "Invalid form template"...
    No, I do not have any added data connections in the form.
    No, I have not added any fields or done any modifications of any kind to the form.
    I am doing exactly these steps:
    Open SPD
    Create a New Custom List
    Open List in SPD
    Click "Design Forms in InfoPath" (Item)
    Form opens in InfoPath 2013
    Click Publish (or Quick Publish...doesn't matter)
    See error message
    This wasn't a problem in my environment liiike, a week ago..? The only thing that's different is that I installed some security patches on the servers this morning...

    Also you can try to check if there are more useful ULS logs related to InfoPath issue according to the time of this error "Invalid form template" occured, it could help troubleshoot the issue.

    We can add the "JS Link Property" in the “WebPart” node in the custom list form page through SharePoint designer 2013.
    Here is an example for your reference:

    Noticed that, we should not lose the 'xmlns="http://schemas.microsoft.com/WebPart/v2/ListForm' attribute.
