WS20000040 Approve Trip

Hi ,
I am using the workflow WS20000040 for approving trips. As per the help documentation, this can be customized to be a two step or a single step approval workflow. I have activated the two step approval workflow.
As per our business requirements, we need to eliminate the step 404 Check trip of & so that the approval directly goes to the superior as defined in the Standard SAP one step workflow.
Can any one let me know how to override step 404 Check trip of & of the workflow so that it becomes a one step approval workflow

Hi,
Select that step in swdd, write click on it and select cut block or delete. It will give pop-up of nodes to be deleted, check it carefully and then delete it.
Hope you have copies the standard workflow, if not then first copy it into customize workflow and then delete that step.

  • Approval trip and advance payment

    Hi experts,
    I want to know if there is any standard way for making the approval trips and the advance payments. I don't have any idea about TM module, so I need help because I have to make a report making if Standard sap do or not this.
    I've found in this forums and through internet that for approval trips I need to check the transaction PRAP or the transaction TRIP, is this correct?

    And thanks for your answer, the specific requirements are, know if there is any standard way to approve the travel request, I've found that I can do this with PRAP transaction and TRIP transaction is that correct?
    The second requirement is know if there is any  standard way for travel advances with bank transfer, I think I can do this with PR03 transaction, is correct?
    And the third requirement, is know if there is anyway for sending the planification and the reservations for the trip to the travel agency, something like an email, or similar, Is it possible to do?

    The example was for an approver role ONLY
    You need to separate things : one role for approval, one role for creation. And users who can do both will have both roles
    Is there a way to make it so that the user can create a new travel request and, after another person has approved, the same user that created the travel request can't edit this travel request approved?

  • Customizing Work flow approve trip (WS20000040)

    When the trip expenses are submited, If the approver didn’t take any action(approve/reject) for 5 days (period of time can be changed for testing), Workflow notification should be issued to the next level approver. How and where the 5 day rule will be defined.
    Is it possible to define 5 day rule as a parameter and create a tranaction so that business can change the number of days as company policy changes. If doable can you suggest the possible options?

    I assume you are referring to step 000416 in the workflow. If you doube click on the step and then you can select the tab, LATEST START or LATEST END. In here you can set up an expression for the deadline you want. You can set a receiver of message when the deadline was missed.

    We have upgraded from 4.6C to ECC6.00.
    We use Travel Management, and the payment happens through AP.
    Trips are approved through WF approval.
    Once Approved Status gets changed from --   Trip Completed .to be settled ====Trip Approved.to be settled.
    Once after this there is a Mass Settlement that is run through Program RPRTEC00 -Transaction PREC.
    So that status changed from -
    Trip Approved to be settled =====Trip Approved Settled.
    But this is not working in ECC 6.00 version, but this working in 4.6C.
    This is working when i run a test run it is picking all Trips in PREC.But when i run an actual run it is not picking the trips to settle.
    Is there is any thing that need to be done after ECC upgrade.?

  • Approve Trip Workflow

    I have a couple of questions:
    When the manager receives a notification in the UWL to Approve a 'Trip' he has several options.
    Display Form and Need to correct trip facts has arisen.
    1. How do I remove the 'Display Form'?
    2. If I want to correct the Trip and click on the Need to correct trip facts has arisen button nothing happens.  How do I correct the Trip?
    To resolve point 2. to do I need to use BADi TRIP_WEB_CHECK?

  • Can we restrict or disabale approve trip request while creating expense .

    we are using EHP4 and ECC6 . My client has a requirement ,the scenario is as follows
    "Using ESS an employee creates a travel request  and then get approvels from their managers , it is working fine . But when employee creates an expense report against the trip number then at this stage system allowing to change the trip data as well .
    My question is can we restrict or disable the trip request data so that user can not make changes .
    Please reply it ASAP , as it is an urgent query.

    For this, below the Approval User Decision step, Create a Send Mail and pass the email id of the creator. So once approved the creator will be informed by the email.

  • Result of agent resolution does not agree with agents of task

    Hello Experts,
       I am trying to configure a workflow for Employee Travel expense, the Business object am using is BUS2089 for event CREATED.
      And am configuring workflow task WS20000040 (Approve trip). and in the work flow builder I am assigning User as an Agent and fixing it to a user say "USER1" for Task 404 (Check trip facts) and for Task 416 (Approve trip facts) again am assigning User as an Agent and fixing it to user say "USER2"
    Now when the Trip is saved using PR05, this work flow is triggerred - which is what i want and it sends work item to USER1,  now when USER1 says Trip facts are consistent the work item should go to USER2 but here it is failing and the log says "Agent determination for step 0000000416 failed" and details say "Result of agent resolution does not agree with agents of task" which is  SWF_RUN 544
    Can you guys help me by telling where am going wrong.  Am i missing some configuration somewhere.
    I have changed the Task properties - Attributes i have changed the task as a General Task,(i did it by navigating through Control Tab of the task)

        I made the task as a general task and i see a gree light adjacent to it, but still it doesn't work.
    the way i made it as a general task is as follows:
    1. in the navigation area - select task 416
    2. In the right hand side, on Control Tab in Task properties, click on the Red button and maintain Agent assignment
    3. In Agent Assignment change attributes to General Task - instead of General Forwarding allowed.
    save and activate, and generate runtime version
    Is this correct or any other way?

  • Using Rule 168, SWX_GET_MANAGER and Chief Position

    We have enabled standard SAP Travel Workflow WS20000040 - Approve Trip.   We are not currently using OM relationships A002 (Reports Line to) or B002 (Is Line Supervisor of).   We currently identify the Line Manager of the employee using the Chief Position designation A 012 and would like to use this for Trip approvals in lieu of building all of these additional relationships.
    Rule 168 is bound to the workflow.  According to the documentation associated with the rule, it seems that the rule should work with either the A002 or A012 relationship.  However, we only seem to be getting a superior identified when relationship A002/B002 exists.  
    Are there additional configuration or parameter settings that we might need to consider to make the manager (agent) determined properly exclusively with the Chief Position assignment?

    What I found through trial and error is that rule 168 does indeed evaluate the A012 relationship by default with no change in the standard evaluation path.  In our testing system, the "Chief" postion was not properly assigned.  Once this was resolved, the workflow works properly.
    As a side note, I also learned that you must have the parameter WFLOW VAPOS set for the rule to properly look up the organizational structure when a position (and chief) are vacant.

  • Travel Expense - Remove Workflow Attachments?

    We have enabled standard SAP Travel Workflow WS20000040 - Approve Trip.  Managers will perform approvals through the Universal Worklist within the SAP Portal.  Each work item is generated with an attachment.  When the attachment is launched via the UWL in the portal, it launches transaction PR05 VIA the SAPWEBGUI.  We do not want the attachment.
    Is there an easy way to remove the attachment associated with this specific work item?  
    I have read some posts that detail how to turn off all attachments in the UWL.   However, I would like to remove the attachment for this workflow item only.

    Thanks for all of the responses and helpful suggestions.
    After researching further, I found several references that recommended using transaction SWFVISU > Object Visualization to suppress the workflow attachment.
    I created an entry based with the following parameters:
    Object Type:  BO BOR Object Type
    Object Type:  BUS2089
    Method Name:  Approve
    Visualization Type:  NONE Object Not Represented
    This did not work. However, we are not on the latest support packs on either the portal or back-end system which I am thinking may be contributing.   We are applying patches in the next week and I will re-test.
    Does anyone have any feedback regarding this and whether the entry I have created is correct (and therefore should work)?

  • Agent Not Found for rule 168 in Travel Management WF WS20000040

    Hi,
    I got a strange error occurring that I can not quite figure out. I am using a copy of a standard delivered SAP Work flow for Trip Approval (WS20000040) that is identical to the SAP delivered workflow except without the expense department tasks (we only need manager approval). I also updated the agent assignment for tasks TS20000131, TS20000139, and TS20000189 to be General Tasks. When an employee creates a trip, the workflow is started properly and goes to the first workflow step which is user decision step 416. It uses rule 168 to determine the manager of the workflow initiator. This works properly. The manager goes to their inbox and executes this workflow step. The trip changed and trip approved buttons work fine, but if the manager chooses the reject button, the form is closed and the workflow stops with an error. The next step down the reject path is an activity step 476 - enter and send message. This runs task TS20000139. The agent assignment also uses rule 168 to determine the manager of the workflow initiator. The same agent should be choosen for both this step and the previous step since the workflow initiator is the same for both and the same rule is being used. The advance with dialog check box is checked in both steps. Both step refer to tasks that are both marked as synchronus object methods and object method with dialog.
    For testing purposes, I changed the agent determination in both workflow steps to be the workflow initiator and ran it. The workflow stopped at the approve trip facts step as expected and when I choose reject trip, I was taken immediately to the create mail task that task TS20000139 runs as it should. I tried creating a trip as the employee and the manager and it work properly in both occasions regardless of which user the trip was created under when just workflow initiator is used for agent determination.
    I ran SWI2_DIAG to look at the errors that occurred when it stopped in error when I used rule 168. According to the error message, the approve trip fact step completed successfully, but the enter and send message step failed with no agent found. Following is the error message:
    Workflow WS90000048 no. 000000277688 activity 0000000476 role 'AC00000168': No agent found
    What I don't understand is that the agent determination for the approve trip facts step which works perfectly uses the same agent determination as the enter and send message step which is terminating with an error. Also when I change both steps to use workflow initiator as the agent, then they both work perfectly.

    I used your suggestion and passed the actual agent from the prior task to the container and then used this value as an expression to determine the agent for the step that was causing me pain. Now the workflow step is continuing properly and automatically bringing up the create message step as expected.

    I tried your idea about creating a copy of the standard delivered workflow and even set it as a general task and I got the same result as with the standard SAP (error with no agent found).

  • Problem in WS20000040

    I am using standard workflow WS20000040 for trip approval. When the manager approves the workflow will change the trip status to 'Approved' using task TS20000130 in background. This status is changing to 'Approved' when manager approves, But when the employee is locked that record the task is not completing.(the workflow logs says its 'in process'). i activated the outcomes (i.e locked by &1 &2 user ..). But it is not following that path (infact it is not completing the task itself).
    I tried to run BUS2089.Approve method by locking the employee and testing it in swo1, in that case its raising the exception, but in workflow it is not! Is anybody have any idea why it is happenning this way? any settings needs to be done ?

    Hi Shrinivas,
    If you want to debug the method, I would say do it like you tested your method before. Go to SWO1 instantiate the object and start the method in debugging. This is ho I usually do it.
    As for your first question, I don't think you can customize this behavior. Why do you want to sent a mail to the administrator? The system will try again if you have the error job running, so no person has to be involved and the desired result is reached. Otherwise you would have to modify standard SAP, both BUS2089 and the workflow. Or the better solution create a subtype for BUS2089 create a Z version of the approve method and create a outcome for the method when the employee is locked. Generate the object and delegate it to BUS2089. Then copy the standard workflow and replace the approval task with a task which calls your zapprove in BUS2089. Then model the outcome as desired.

  • CfTE: Itinerary details in a Trip Request.

    Hello Colleagues,
    There are some requirements to include itinerary segments while creating a trip request itself, for India.
    Question1: An employee should be able to enter his trip details while he/she requests for a trip.
    However, we are already aware about filling additional details when we claim an expenses. Additionally, we want to have the same itinerary segments while creating a trip request.
    As an instance, an employee travels to Delhi via flight and then he boards a bus to Gurgaon. Finally, he takes train to return back to Bangalore.
    In this case, he uses different modes of transports to different locations.
    Can we capture additional destinations travelled in trip request along with different modes of transport?
    Question2: Currently data do not flow from a trip request to an expense report. Can we have most of the data filled when we claim an expense report from a particular trip request? Like, dates of travel, purpose of the trip, etc.
    Kindly assist in achieving the same.

    Hi Divja,
    1) I am not sure on your sequence of process steps, so please be kind and check with your prospect or customer on the detailed flow of data steps. Does he want to have Itineraries to be processed before the Travel Request? Also if this is a new requirement it would be good if your prospect can leverage our idea scale platform as input channel so we can channel all ruequirments thoroughly.
    2) Please create an incident as approved trip request usually pass over trip header data to the Expense Reports.
