Account Document Cancellation

Dear Gurus
I want to cancel an accounting documents of a sales invoices.
I want to do this activity without canceling Sales invoice, because sales invoices are already sent to customers, so i cant change sales invoice no.

Dear Friend,
You can reverse the Accounting Document thru T-code FB08.
But if your Invoice values are incorrect & you have already sent it to Customer, then why not issue Debit note or Credit notes?
There is also a option of Invoice Correct request...

    Are you sure its VK11???? I guess for the cancellation if billing document its VF11......
    Try to do the manual release to accounitng....by going to VF02 and pressing the Green Flag button after entering the cancellation document number. Or Else Try to reverse the posting with FB08.

  • Unable to cancel Billing due to cleared accounting document for Free Goods

    I have a case as described below:
    I.                    SALES ORDER CREATION
    Transaction VA01 à Sales order is created for the following details:
    1.       Material Normal  (TAN) : 100 CAR
    2.       Free Goods (TANN) : 10 CAR
    II.                  Subsequent processing of sales order 
    a.       Delivery(1) and Billing (1) creation for the SO with the following details :
    Material Normal (TAN) : 100 CAR
    Free Goods (TANN) : 5 CAR
    Status of accounting document after releasing billing document to Accounting: Not cleared
                    Accounting Journal:
                    A/R                                                                     xxxx
                    Sales discount                                                     xxxx
                                    General Domestic Sales                                        xxxx
                                    VAT u2013 Out(TAX)                                                    xxxx
    b.      Delivery (2) and Billing (2) is then being made for the leftover item of the Sales Order:
    Free Goods (TANN) = 5 CAR  
    Status of Accounting document after releasing billing document to Accounting: CLEARED
    Accounting Journal
    Dr. Sales Discount                                        xxxx
                            Cr. General Domestic Sales                  xxxx
    III.                Reversal of Billing (2) needs to be done
    Activities conducted:
    a.       Go to VF11 and enter Billing (2) document number
    b.      Execute!
    System response:
    Error Log:
    1)      Data inconsistency during processing of document xxxxxxx
    2)      The Billing Document xxxxxxx  is already cleared
    From the error found, we tried to reverse the cleared accounting document by using t-code FBRA:  
    System response:
    Document xxxxxx IS NOT  a clearing document
    Question:
    We have to reverse the clearing document first in order to cancel the related billing document but we keep finding this error, do Anyone have any advice to solve this issue?
    We have simulated similar transaction in IDES and no problem is found, is there any specific setting in customizing that can allow cancellation of billing document regardless of its accounting document status (Cleared or Not Cleared) ?

    It answers my question, I found the copying requirement using routine 029 was defined in the cancellation document section of the Billing type to be cancelled
    After removing, the billing document can be cancelled

  • Accounting Document not posted for Cancelled Invoice -error in FI interface

    Hi,
    When I create a billing document then an accounting document gets created automatically in the background and then when I cancel the billing document no accounting document gets generated and the field Posting Status in header Detail of Billing document updated as "Errors in Financials Interface.
    I tried to release it for Posting via VFX3 but failed due to below error message in Log:
    "Incorrect doc.no.: 4900000005. Select document number between 3000000000 and 3099999999"
    I have checked the Number range assignments to the Invoice type and Accounting type.
    The number range is same for both Invoice type (Y0F2) and Cancelled Invoice type (Y0S1).
    The Accounting document type (RV) is also same for both the cases. But it is working fine for Y0F2 (Acounting document generated and cleared automatically). But not working fine for Cancelled Invoice (Y0S1).
    Can anybody please help me find out a solution to the issue.

    The error message F5151 refers to the number range of the FI document.
    Please have a look at the note 1259505: FAQ: New cancellation procedure in SD, which covers this issue in detail.
    Question 5:
    Q5. What is the FI document type, generated by the cancellation ?
    In the old cancellation procedure, the FI document type is always
    determined in SD, and passed to FI (the same when a normal invoice  -
    not a cancellation -  is transferred to accounting).
    In transaction VOFA there is the field 'Document type' (TVFK-BLART).
    If this field is filled, then the FI document will have the document
    type maintained here.
    If TVFK-BLART is empty, then the FI document will get the default
    document type 'RV'.
    If the new cancellation procedure is performed, the FI document type is
    always determined in FI, based on the document type of the FI document
    to be reversed.
    In transaction OBA7 the FI document type has assigned the field 'Reverse
    document type' (T003-STBLA).
    If it is filled, then the FI cancellation document will get the document
    type maintained here.
    If T003-STBLA is empty, then the FI document cancellation will get the
    same document type as the cancelled FI document.
    Notice that an unexpected FI document type can cause the error message
    F5 151.
    Example:
    F2 invoice 90000001 was released, creating an accounting document with
    document type 'RV'.
    This F2 invoice is reversed by the S1 billing document 70000001.
    In customizing of SD there is:
    Billing Type    Document Type
    F2              RV
    S1
    In customizing of FI there is:
    Document Type    Number range   Reverse Document Type
    RV               00             AB
    AB               01             AB
    The FI number ranges (object RF_BELEG) are:
    No  From number    To number   Ext
    00  0090000000     0099999999  X
    01  0100000000     0199999999
    Different situations can occur, due to these customizing settings of the
    FI document type, caused by the type of cancellation.
    If the new cancellation is used:
    The FI document type 'RV' has 'Reverse Document Type' = 'AB'.
    Document type 'AB' has number range '01' set as internal.
    So the FI document will have its own number included in
    100000000-199999999.
    There is no issue.
    If the old cancellation is used:
    The cancellation billing type S1 has no 'Document type' maintained, so
    the FI document will get document type 'RV'. It has number range '00',
    set as external number range.
    So the FI document should get the same number of S1 billing document.
    But the S1 billing document has number 70000001, not included in the
    interval of number range '01'.
    This will cause error F5 151.

    Use T.Code: MIR5
    Enter Company Code and then come to "Origin & Status" and in Entry Type select Check box of "cancellation" and then exeucte.
    You will have report of  all Invoice's are cancelled in T.Code MR8M.

    In my report i want to fetch accounting document number as per date(posting date) entered by user.
    If suppose posting of particular doc(200000001) has been done on date 22.10.2008 and it is reversed(200000002) on 29.10.2008 and if user enter date in selection criteria 22.10.2008 200000001 document number should occur and if user enter 29.10.2008 200000002 document number should occur.

  • Reverse Accounting Docu without cancelling invoice

    Hi All,
      The basic requirement is to generate a billing document and accounting document with different numbers. For example i have generated a billing doc no 118608, where my accounting doc will also be 118608.
      Requirement is to get a different number for accounting doc. We dont have the access to change the configuration settings. Is there any way to reverse the accounting documnet without cancelling the invoice.

  • Cancelling Credit memo not reverse the accounting document

    We are facing pecular problem in production system when we Cancel the sales credit memo system is not genarating the reversal accounting document and it's genarating the entry same way credit memo.
    When we do the credit memo it's passing accounting entry in the following way.
    Posting key 11 with customer (credit entry)
    Posting key 40 with revenue (debit entry)
    Posting key 40 with tax (debit entry)
    When we cancel the credit memo system is not passing the reversal entry and once again it's passing the same entry.
    Posting key 11 with customer (credit entry)
    Posting key 40 with revenue (debit entry)
    Posting key 40 with tax (debit entry)
    Could you some body explain me what is the problem

    As I said earlier, once the accounting document is generated, the respective amounts will flow in debit / credit entry of the document flow.
    Once you cancel the billing document, for this cancelled billing, one more accounting document will be generated and with this, the above entries would be vice versa.  That is debit entries get credited and credit entries get debited and you cannot hide this from SAP

    In Billing type defination, VOFA, if the document type is left blank, then system by default picks up RV.
    Please check your billing document type and check if document type is left blank, this could be a reason why system picks up RV instead of AB.
    If you want system to pick up AB then in Cancellation billing type document, enter document type as AB, this should work.

  • Cancellation document does not generate Accounting document

        I am facing an issue that when a Billing document is getting cancelled through workflow ,the billing document does not generate a accounting document .I tried debugging the issue to check it but could not find the root cause of the issue.
    In the code we are using 'BAPI_BILLINGDOC_CANCEL1 to cancel the billing document.
        How to find that the accounting documents are getting  generated from the corresponding billing documents correctly.

    First of all, are you able to create S1 type cancellation document after you call the BAPI? If you are not even able to generate the cancel document, perhaps you are missing committing the BAPI after calling it by using BAPT_TRANSACTION_COMMIT.
    Also are you able to create cancellation and accounting document by calling the BAPI through a test ABAP program? First check it out before using it in your workflow.

  • Invoice cancellation leading to creation of accounting document with partial items

    Hi All,
    I faced an issue wherein there is an invoice created for items delivered (tangible goods as per the delivery document ) and services rendered ( intangible items).
    After doing an RTA for the invoice , when I cancel this invoice , the cancelled invoice document is created. But , the accounting document created wrt the cancelled document has only the items for the delivered items and not the services rendered. Why is this discrepancy in the accounting document when the complete billing document (having both delivered items and services ) is cancelled ?

    Hi,
    The original accounting document did have all the items as in the billing document. Even the cancellation invoice document created after cancelling the billing document also had all the line items. Surprisingly, the accounting document created wrt the cancelled invoice document did have only the delivery items(tangible goods) and not the services rendered.
    Please revert with more inputs.

    I have cancelled F2 billing document with cancel billing type S1. But for that cancel billign doc S1 is still in open status only and it is not creating accounting document..
    I tried to release to accounting but it is showing error like " Document type is not defined"..

    I am sure you might be aware of this but just to reiterate
    When you cancel documents in Logistics Invoice Verification, the document line items are not automatically cleared in Financial Accounting. We recommend that you periodically clear such items (using daily background jobs, for example).

    When I cancel a billing document,  the corresponding accounting document in AR should be cleared automatically.
    I have some cases that when I cancel the billing document,  the system responds with msg. " Automatic clearing of the billing document and cancellation is not possible because line item updating has been deactivated, for example"

    I've just send a message to SAP on issue related with yours.
    And now I've received SAP's answer as following:
    As of Release 4.6, there is a new cancellation function in R/3, by meansof which the system automatically clears (among other things) the     
    accounting documents for the original document and the cancellation     
    document in FI. If the new procedure does not work, the system uses the     
    old cancellation as a default, automatic clearing is not carried out.     
    In such cases, please clear the accounting document manually.     
    In your cases, I think the new cancellation procedure sometimes cannot     
    be performed somehow.     
    Here are some known reasons from SD side:     
    1. the cancellation is an item cancellation (see note 400000).     
    2. the billing document has one or more items relevant for revenue     
    recognition (field VBRP-RRREL not blank)     
    3. the billing document is a down payment request     
    4. the field RULE_NEW_CANCEL is set to 'A' (see note 339928).     
    If at least one these conditions occurs, the system performs the old     
    cancellation procedure (in this case it does not give message VF208 as     
    the new cancellation procedure will not be tried at all).     
    Besides, the note 309208 contains a list of other possible causes from     
    FI/CO side.     
    Please check the notes for detailed information, I hope they     
    may help you.

  • Accounting document not cleared when billing document is cancelled.

    In ECC 6.0 when we cancel a billing document through vf11 in vfo3 we find the status as accounting document not cleared.
    The general process is manually going to f-23 and clear customer line items of that invoice. After doing this the status become accounting documet is cleared.
    My requirement is how to cancel the billing document without getting this message (accounting document not cleared) and not clearing the customer line items manually.
    Can it be done through user exit/enhancement or by copying requirement vofm.
    Please suggest.

    They directly want the accounting document to
       be cleared when billing document is cancelled.
    Though you can achieve this with the help of ABAPer, why dont you consider having a Posting block for your billing type so that as and when the billing documents are generated, you can release it via VFX3 in bulk or VF02 for individual billing document release to FI.
    In order to achieve this, go to VOFA, select your billing type and execute.  There you can see a field "Posting block" where maintain a tick there and save.  With this control, first of all, you can ensure that before releasing F2 billing documents to FI, it is not cancelled.

  • Down payment cancellation leads to blank accounting document

    Friends, my issue is such.  A cancelled down payment request (S1) billing document is generated without error.  If you look at the corresponding accounting document it is totally blank - no lines.  The customer account still shows the original postings (no reversal is posted).  However SD thinks it is cancelled and will not allow another vf11 of the original DP request.
    I am unsure if an issue with SD or FI-CA.
    This happens only very infrequently and I cannot reproduce the issue in test but it has been seen in production occassionally.
    We have only found one note that looked relevant at all but it is not the solution to the issue.
    Please advise if ever seen a blank accounting document related to a s1 SD doc for a down payment request.

    What does this mean? You can use S1 cancellation document for down payment cancellation without any issue on certain times and occasionally happening? If so, then check any user exit (Enhancements SDVFX002-3-4-6) is causing this in the SD-FI interface.
