Budget Cycle Approval

Hi Everyone,
i have a problem in maintaining planning unit hierarchy, (By the way am working on hyperion planning Version 11.1.2.2)
here is my situation,
i have 2 users who will use the same entity while budgeting there forms in budget scenario, and from what i know that if you promote an entity to another user it will be closed on the whole application for all the users in that scenario and none can enter data in it anymore
is there any way to to specfic that entity on the form level or on the user level
like if a "user A" promote "entity A" in budget scenario it will be closed for him but not "user B". or is this situation not possible on hyperion planning yet

In Planning 11.1.2 version, you can set up approval path with
Scenario, Version, Entity and one secondary dimension.
In your case, I suggest you turn on the secondary dimension with Account.
And group your account members to 2 "folders" (parents)
i.e. assets forms contain assest relative members under "A01" and liabilities forms contain liability relative members under "A02";
then in approval, your Account dimension can selected "A01" and "A02" as your planning units.
You can submit them separately.

    Hi,
    I have a requirement from client where they want to configure a schedule manager for budget cycle and link it to a transaction code.So whenever a user logs into the schedule manager he gets an update as to when he has to update the budget.This is more of calendar( timelines guidence) requirement.They do not want the system to update the budget cycle automatically.
    The idea is to ensure that user has the authority to maintain budget cycle at the same time the timelines are maintained by system.
    Can this be done through schedule manager ? if yes can some hep me with config.
    If no, then is there any other alternative to this.

    Please note that I want the Schedule manager for following activites.
    GL PLANNING: GP12N, GLPLUP, GP12NA
    DBC planning via KE13N, KEPM, KE30
    STRUCTURE COST PLANNING VIA KP06.
    The client wants to maintain the calendar for this planning processes and track their status as well.
    Please let me know as to how can this be configured.

    if I understand correctly, you just need for a particular object a tooltip to be showed.
    There is no such functionality hence you used the trick of using a hyperlink, which if clicked generates undesired behavior.
    Hyperlinks don't allow themselves to be disabled, therefore if you are using that workaround you must cope with that.
    I would suggest to create an Idea at [https://ideas.sap.com] for having in the properties of an object a tooltip, then post the link to the idea here and other users will vote if they like the idea.

  • Use of 'Cost Budget - Needs Approval' Budget Type? Change of Status?

    Hi Experts
    Could you please explain me whats the use of budget type 'Cost Budget - Needs Approval' ? And is it possible to use workflow to change this to 'Approved Cost Budget' after due approval?
    Requirement is to create a initial draft budget which is yet to be approved, so at this time the budget type required is 'Cost Budget - Needs Approval'. Once this is submitted for approval and approved theh this should be shown as 'Approved Cost Budget'.
    Please let me know if this is achievable and how?

    Hi,
    Budget types are mainly used to classify your Project budgets, there can be different types of budgets for your project cost and Project Bill. The Cost Budget type is designed in such a way to keep a track of your expenses with some pre-estimation of your Project expenditures.
    Whatever you create initially, This can be treated as Initial draft budget, once after the manager approves the budget then the status changes to "baselined" there is a field to enter the description, where you can give the case as Intial draft budget or Approved draft budget or you can use the Version name for the case, "Version 0" is the Intial draft budget and "Version 1" is the approved cost budget.
    but functionally, for one project cost budget there cannot be two different budget types.

  • Budget Journal Approval Workflow

    I am trying to use the seeded Journal Approval workflow for budget journals. I know that this workflow works by journal batch - that is, each batch is sent into a different workflow approval process.
    Now, my users create budget journals that hit different periods, and each of these journals is being created as a different batch. However, I need these journals to go into one single approval, not one approval for each batch. Is there any way to do this?

    You need to make sure you read the documentation provided by the GL team on this workflow to make sure the changes you make to the workflow are allowable. Also make sure you read the section on Oracle Support Policy for Predefined Workflows, Events, and Subscriptions in the Workflow Guide.
    Technically speaking, you could have a master approval workflow, which is run, and when complete after all approvals have gone through, issues a complete activity command to the individual journal batch workflows to complete them.

  • Post budget document from approved pre-posted budget document workflow

    Hi,
    We are using budget version "0" for AVC Check and "1" for provision budget used for sending further approvals.
    I am uploading provisional budget i.e Pre-posted budget with version "1"  and sending  two levels for approvals by using SAP Standard workflow.
    If pre-posted budget document approved by 2 levels, what is impact on budget posted document?
                       a) Will Pre-posted approved document be convert into Actual budget document with Version "0" (or)
                       b) Will Pre-posted document remain same by updating status with "approved", there by User again needs to post actual budget document with Version "0" by using "FMBB"

    The Pre-posted document will remain the same i.e.approved version 1. In order to create version 0 you can copy from version to version.

  • Budget Approval Workflow

    Hi,
    We have requirement for budget approval request for portfolio item. I guess we dont have any standard workflow for budget approval. Please suggest if anyone has worked on similar requirement. Also I want to know if SAP recommends any non workflow based solution for such requirement.

    Hi Shrikant,
    In this scenario, you can only enter the values manually after offline approval or you need to develop a z-webdynpro component and attach those details to financial information of portfolio items.
    In case of SAP PS/internal order, the budget planning & approval has a control over business transactions like PR/PO commitments since the planning is done over cost collectors. In portfolio management, no cost collectors, so no budget planning provided. And the information in items are there to enable decision making.

    There are two different concepts. I'm bringing here the explanation from Oracle documentation
    When enterprises use top-down budgeting, top management establishes spending limits for each of their organizations. It is generally mandated that the costs for each organization remain within these defined limits. To ensure that costs do not exceed the established amounts, Oracle General Ledger
    allows you to enable budgetary controls and define funding budgets. When top-down budgeting is used and encumbrance accounting is enabled, Oracle Projects now enables you to integrate project budgets with funding budgets. As project cost budgets are approved and baselined, the system generates encumbrance entries to reserve funds in the funding budget for the anticipated project costs.
    You can further control costs by enabling encumbrance accounting. When encumbrance accounting is used, commitment transactions are controlled in addition to actual transactions. Actual transactions are accounted expenditures. Commitment transactions are planned expenditures. Commitment transactions include purchase requisitions, purchase orders, and unaccounted supplier invoices. When commitment transactions are approved, accounting entries are generated to reserve funds in the funding budget. This reservation reduces the available funds for all future transactions.

    Dear Members,
    I am using Oracle R12.1.3 Vision Instance.
    In the Vision Services OU, I have created a cost budget with the below values:-
    Budget Type: Cost Budget - Needs Approval
    Entry Method: Project By GL Period
    Resource List : Expenditure Category
    I have entered the rest of the data and click on submitted and then on baseline button.
    Initially the status shown as In Process and later it showed as Rejected.
    In the workflow I can see the below information:-
    The budget integration was unsuccessful.: 22 Service Center(22Service)
    The log file shows the below information:

  • Issue in approval process in Hyperion Planning

    An Entity has three users in its Planning Unit Approval Hierarchy on "Budget" and "Approved" and also has been approved by third user. The third user who approved re-opens it and selects himself as next owner. Then takes a second step in which that third user delegate it to the user on the second position. Now when second user logs in, he gets that entity read-only on Approved version, but if he goes to First Pass, that is ok and editable as it should also be in the case of Approved version. Can anybody tell me why it is still read-only?

    What version of Planning are you using ? If you can confirm that the second user is the current owner, status is under review (i.e only the current owner can write), and has write access to the cells then he should definitely be able to modify data. Are you sure that your version member "Approved" is not set as read only ? That's often the case with the "final" version of a scenario (I know you said the user can modify it when it's on first pass, I just want to confirm)

  • PO releaser in R3 must be shopping cart approver

    Greetings,
    We have a requirement to configure R3 PO release strategies such that the final budget/finacial approver of the originating shopping cart should be determined as the PO releaser.
    We are using SRM 4 and ERP 2004 backend.
    How can we achieve this?
    Do we need to store and transfer the shopping cart approver login ID in the backend PO in R3?
    In terms of the required R3 release strategy configuration, how would we config the release group so that the shopping cart approver is determined.
    I realise that this question is largely MM, but because PO releaser originates from SRM, i thought its best raised in this forum.

    You can send what you want to R/3.
    But ID & eMail address is not enough, you need the user (SU01) to loggin R/3 and release the PO in R/3.
    That means you need to create SRM requestors also in R/3 to use them in PO release strategy
    (usually requestors don't have a user account in R/3).

  • Project & GL Budget

    Is there any link between GL budget and project budget.

    There are two features of integration between project budget and GL budget.
    There are several setup steps to enable that integration, including configuration of WorkFlow that will generate the GL account code combination for the GL budget based on the project, budget and budget lines.
    Bottom-Up integration allows you to enter budget for your various projects, then send those budget to GL to populate the GL budget. When you submit the project budget for approval the system is updating the GL budget.
    Top-Down integration is based on creating the high level budget in GL. The system is keeping control of that budget usage. Each individual project budget is consuming part of the GL budget. When you enter a specific project budget and submit for approval the system is automatically calling the budgetary control function to verify there are still available funds.

    We have a business requirement for shopping cart approval workflows to be sequenced as follows:
    1. Sanity check
    2. Functional approval
    3. Budget/Financial approval
    4. Buyer completion
    Is it technically possible to build our shopping cart workflows (process) in this manner?
    Can the buyer completion workflow invoke after the budget approval workflow?

    Are you implying that the only way one can a workflow process whereby the Budget approver workflow kicks in before the Buyer completion workflow is to use/activate the n-step shopping cart approval workflow?
    Again this is the sequence we would like to implement for our shopping cart approval process, if possible. Please provide me the workflow technical names for each workflow (i.e WS+++++++++)..I would be very greatful.

    How can we create a Budget using MS Project. First need to create a Budget from MS Project to Workplan then from Workplan to Final Budget under Financials Tab.

    If u ve completely implemented Project management module then go to the respective tab in Workplan and start assigning the resources...hope during implementation rate schedules are defined.....now after u ve deployed the respective resources the calculation wud b done...or if u want to go with microsoft integration...if u had already defined the budget go to oracle projects tab click send to oracle
    then go and financial tab create budged version..and create cost budget ---generate amounts --Go....and your unpublished cost budget version is ready now....
    baseline the budget ...if any workflow approval in process....submit the budget for approval...once approval done automatically budget version ll be published....

  • Versions now available in the Manage Process Option in Planning

    Hi All,
    I am using Hyperion Planning 11.1.1.1.0 and have a planning application.
    While creating the app i selected 12 months as my year distribution.
    I have a version "V1" standard target .. and others "V2" "V3" as Standard Bottom up.
    Now when i try to start the budget cycle by going to File --> Workflow -->Manage Process on the Version Selection I can see V2 and V3 which are standard bottom up but dont see V1 which is Standard Target.
    Is there a way i can get it on the versions drop down..
    If somebody could please suggest ..

    Target version enables data entry even at the parent level which you would typically do to set targets (..I assume the numbers would already have been approved) and the users will plan their data at the bottom levels accordingly.
