DMS and Filenet

Hi! All,
We have a requirement at work which is to create PO attachments at the PO Item level.  I'm new to DMS and I've read that DMS can be integrated with Filenet via SAP Archivelink and we already made several config changes in Archivelink and DMS.  Here are my questions:
1) I noticed that business documents can be attached via "Services for Object" in the DMS txn (CV01N and CV02N).  Id this the proper way?  Also, the document is always in ALF format.  How can this be changed to DOC or XLS?
2) Any ideas on how to attach a document to PO item level using DMS and Filenet?

Acsap is used to connect the filnet, this is the filenet component for SAP - you have to pay it extra.

    Christoph already answered that question in regard to document info records.
    Regarding documents from OAWD, your question is a bit surprising. The main idea of OAWD is to trigger a workflow for linking an external document to a SAP object (document in FB03 or whatever). This is done via ArchiveLink, so all documents linked via OAWD will appear in transactions like MIGO or FB03. Once more, please refer to the documentation:

  • Document in Easy DMS and SAP DMS is lock cannot be accessed

    Hello Guru,
    Document in Easy DMS and SAP DMS is lock cannot be accessed. when check in Easy DMS the document 123 excel file is not accessible cannot be open, it has an icon on pencil with red circle sign.
    when check in SAP GUi, the padlock is unlock, file cannot be open as well with error (File C:\EasyDMS\SAP_400\PRE1234567890 could not be accessed.
    how can we fixed this and unlock the document excel so that we can open it. Please advise. Thanks

    based on your description it seems to me that this original file is currently checked out for editing. So maybe another user is
    editing this file and so you cannot access it.
    If no other user edits the file you can try to use the function 'Exit Edit mode' in the context menu of EasyDMS. This will checkin the file again and restore the last checked in version.

    I will be thankful to you if anyone can help me with the following query.
    In SAP-DMS, we have got a reporting transaction CV04n which has got a facility to search for 'Text Search Within Original'. There is neat procedure if one wants to configure this feature for SAP-DMS. The procedure is as under
    (Re: Document text search in cv04n with TREX)
    1) Transaction: SRMO
    Install TREX search engine, and create RFC destination to connect to
    TREX.
    2) Transaction: SKPR06
    Check the flag to Document Area "DMS" to utilize this document area for
    document search.
    3) Transaction: SE38
    Run the report program "RSTIRIDX_REINDEX" to create Index.
    Also, run the report program "RSTIRIDX" to create Index as well.
    4) SPRO IMG customizing; (Create MIME Types)
    Cross-Application Components > Document Management System > General
    Data > Settings for Storage Systems > Create MIME types for full
    text search, Enter MIME type such as "application/msword",
    "application/pdf".
    5) Then, test retrieval document search using
    Transaction: SKPR07.
    Enter Document Class "DMS_PCD1", Language "EN", Document Class "DMS",
    and try "TEST search".
    We know from Karsten's SDN post (What is really 'SAP Netweaver Enterprise Search' ) that this feature is possible with NW Enterprise Search 7.2

    Our query is as under
    Does SAP NW Enterprise Search 7.2 ; which has got its own integrated TREX engine needs assistance from TREX engine from our landscape to make this feature work. This is important becuase then we have to have two different set ups.
    A set up for SAP NW Enterprise Search 7.2 which is a separately licensed product.
    A set up for TREX engine which is part of NetWeaver  licence.

    The answer is:
    No, you will not need the local PLM TREX anymore, as soon as you have installed SAP NWES 7.2 and pointed your PLM there instead of the local TREX.
    And, I repeat, your local search functionality inside PLM will still work anyway.

  • Difference in storage method for DMS and Services for Object

    Hi-
    Our R/3 version is: 4.7 Enterprise.
    In most (if not all) of the transactions users execute, there is a feature where they can attach a file using "Services for Object" from their PC to the associated record (i.e. material master, purchase orders, service notifications, etc.) 
    What I would like to know is where the document is stored.  From what I found on help.sap.com it says that it is a link from the user's PC.  But I would guess it is storing a copy of the file as a blob on the R/3 server somewhere.  Is this true?  Or is there a risk if the user's harddrive dies, that the file is no longer available for viewing? 
    I am trying to determine the difference between using the Services for Object feature vs. DMS and setting up an object link for the specific object type (i.e. material).

    I found the following about Services for Objects: 
    Business Workplace
    The documents that were appended to an object using Create attachment and Create note are stored in the Business Workplace. There, for example, you can make settings for where the documents should be stored (R/3 System or Web Server) and which document classes may be loaded in the SAP System (for example DOC, but not EXE).
    Sending is also carried out internally using the Business Workplace. Messages are created that contain a link to the object as an attachment. By double-clicking on the attachment, the users can call the default method of the object. This is normally the display method.

    I am in the process of setting up SAPu2019s content server (DMS) and would really appreciate some insights as what version I should be installing.
    We are currently running ECC 5.0 (640).
    I am also interested in utilizing the Easy DMS functionality and would also really appreciate some insight on that as well (version etc).

    Hi Iqbal,
    unfortunately I'm not a Content Server expert. From DMS point of view I would recommend you to use always the latest Content Server patch level (see SAP note 514500). For the decision on the content server I would recommend you to contact your local consulting organisation which will support you in finding the right content server for your business requirements.
    Regarding EasyDMS and the version you should use I can provide you the following suggestion. General there are currently three versions of EasyDMS which are 6.0, 7.0 and 7.1.
    If you would like to run EasyDMS on Windows 7 PCs too, then you have to use version 7.1 because only this version supports Windows 7. Otherwise I would recommend you to run the latest patch level of verison 7.0

  • Using a single Content server for DMS and also for Archive link documents

    Hi,
    We have Planned for a single content server for managing the documents in DMS, parallelly as DMS Standard SAP objects are not available for all SAP transactions, i have proposed for making use of SAP Archivelink funtionality to maintain the documentations where Std SAP DMS does not provide a Solution.
    so here the question is
    can a single content server be used as a content repository for Both DMS and archivelink,
    can any one having done this pls state if it is possible to create different or Many Content repositories for DMS, Archive link in the same server,
    is this a virtual creation or can we assign each repository a specific storage space which it should not exceed.

    -- Through the ArchiveLink docuemnt Management interface, an SAP sytem can use various content servers as storage media. similarly, one contnent server can be used by multiple SAP systems.
    -- A Content server always has a single database assigned to it. A database can therefore be used by only one content server.
    -- A databse is split into as many repositories as necessary. The design of the repository is mapped in the SAP system.A repository contains documents.
    Depending on your requirements,(if u have limited documents or with low requirements)  you can use the same content server for both DMS and Archivelink.
    The number of documents stored on the content server is limited only by the size of the database.
    Its better to have an external content server for archiving purpose, if your database size is increasing. Since the archiving systems storage is not dependent on the database.

  • SAP Landscape for ECC,EP,BW,XI, DMS and TREX

    Hi all,
    I am in the role of SAP Basis Consultant for an IT organisation. One of their client require to install SAP ECC ( FI-CO,MM,PS,HR,REM,PM), EP, BW, XI, DMS and TREX. Their plan is to use ECC 6.0 ( Netweaver 7.0 SR2) with EP 7.0 and all others are latest version. The Dev setup in WIndows-Oracle and production will be AIX-Oralce. In the Dev setup, install all the components in separate servers and in production it is to be combined as follows ERP+ SRM(later) in one server, EPXI in another server, BW in one server and DMSTREX in last one.
    Here my doubt is, this installation plan will have any issue?.
    Second, the data export from DEV ( windowsoracle) Production ( unix-AIXoracle) will have any issue?
    Please reply with details. As the project is in the planning phase.

    Hi Siby,
    If your client need such a broad installation (SAP ECC ( FI-CO,MM,PS,HR,REM,PM), EP, BW, XI, DMS and TREX), I'm sure that they hired a Senior Project Manager together with a team of senior consultants in each of the areas to look after the implementation. Also i presume they have look into hardware requirements to ensure the landscape will deliver the adecuate performance to the target amount of concurrent users.
    As far as i can see from the 10 lines you wrote, I can't see a QA environment been considered... which I think is a mistake (thats only my own opinion). I can't see any issues having DEV runnning Windows and PRD running AIX (As long that youre confortable working in both environments). About the installation plan is very difficult to tell by your 10 lines but I'll try avoid having two big systems in the same box as ECC and SRM.

    Yes,  you can do that.
    SPRO -> Cross-Application Components -> Document Mangement -> General Data -> Define Data Carrier
    Define data carrier type "external DMS" (e.g. EX) and Define external DMS (e.g. INTERNET)
    SPRO -> Cross-Application Components -> Document Mangement -> General Data -> Define Workstation Application (e.g. URL)
    Define workstation application in network - User the data carrier that you created e.g. EX
    You may use %AUTO% for Applicataion(path and program)
    Now create a DIR -> Create an original file with workstation application URL and path, say, http://www.sap.com and save.  Whenever you double click the original, it should open Internet Explorer (default browser from your machine) and open the URL.
    Carry out required config for the object link to equipment for that document type and you should be able to attach the DIR to equipment.

    This reply may be a little old but someone else may find this helpful. Answers to your questions.
    1. FileNet's Enterprise Content Management (as oppose to Web) is far superior content management when compared to NW Content Management. Below are just a few points.
    - Better version control
    - Ability to create unique document and folder classes
    - Metadata (master data) not limited to SAP standards
    - Document based workflows as opposed to business process workflows
    2. Integration can be achieved via FileNets web service or Java API. FileNet normally recommend FileNet ACSAP (application connector for SAP) but please consider this carefully. It'll only work for basic archivelink integration for some modules of R/3 only. Try it with anything else and you'll hit a wall with FileNet when it comes to support. They won't support it.
    Last tip. There is very little information about ACSAP out there. Don't listen to what your FileNet sales rep tells you. Speak to an ACSAP developer if you can.

    Hi Saleel,
    generally there is no difference between PLM and DMS. Because DMS is a part of the SAP PLM module. If you are talking about DMS this means mostly transaction CV01N, CV02N, CV03N and CV04N. These transactions cover the main functionalities of the SAP Document Management System (DMS).
    However if your R/3 system includes the PLM module then the DMS functionality is also available in the mentioned transactions.

    Approval process is possible for KM Document..
    For Ex; U created one document in KM (Like Company Documents) inside u put some file..
    Click the Context Menu--> Details
    New pop up window only there click the Setting
    IF u have created 3 user like Author, Manager and Employee
    Permission 
      Author    = Read/write
    Manager  = full control
    Employee = Read (EveryOne = Read)
    Service Permission 
    Manager  = full control (Give Full for the Approver User)
    Everyone=  Subscribe
    Approval Process   Enable the Approval Process first
    In Step 1 = Add the Approver as Manager
    Do all the setting for the Document folder(CompanyDocuments)
    Author upload some file and submit that file to approve
    Manager will receive the task in UWL iview. He will approve or reject ..
    Its also possible to connect the DMS connector  to Portal

    Hi Prasad,
    Given the way i understand 'Requirements Management', it's a holistic approach which includes identification, documentation, analysis, prioritization and agreement on requirements and then controlling the changes and communicating it to relevant internal and external stakeholders.
    This is an ongoing process throughout a project.
    In  this perspective, DMS(for handling documentation),c-folders(collaboration,communication wrt ERP objects like docs,BoM et-al),c-projects(colloborative pjt mgmt) and ECM(managing changes) would be an ideal proposition to handle requirements management in Automitive sector effectively. You may explore other solutions for a finer degree of control.
