Document number of Planned cost booked on Project system

Hi All,
I have a requirement wherein i need to find out the document number of the cost booked in Project and WBSE. Like for eg in Report S_ALR_87013532, there is planned cost.
also in the same report S_ALR_87013532, we have OVERALL VALUES and TOTAL OF YEARS. What is the difference between the two ?

Overall is derived from the Overall values planned for the project (at the overall level) - look at config of your planning profile - transaction OPSB.
Total of Annual is the sum of the all annual values planned for the project.
To get the document number, you will need to go to the line items. To go there, select the WBS element or whichever level you want to drill down to and then goto menu Goto -> Line items. You will be given a list of line items available (actual, plan, etc...). Once you get in there, you should be able to select the "Document number" field from the available fields or click on the "Document" item to view the posting document.

    Hi,
    I have created a project using Assembly processing with strategy 85. The planned cost of the project per month is say Rs 50,000/- The duration of the project/ internal activity is for 6 Months. The scenario is the planned cost is fixed for each month.i.e Rs 50,000/-. I have maintained 'Plan Price for the period' in the costing variant to get planned cost equally distributed over 6 months. But the report shows (S_ALR_87013532) the planned cost is divided over 6 months (Rs 8,333/- for each month)
    Could any one help me in resolving the issue.

    Kindly check in the Costing Tab of the Workcenter which u are referring in the Network Activity.
    In the Costing u need to maintain the valid Controlling area , Cost center , Act.type.Int.Processing (Key identifying the activity type used in other types of internal processing in costing like networks) and Formula key for costing (Key which refers to the formula used to determine costs per activity type).
    Unless these are not maintained cannot get the Actual costs(not planned).
    Based on the hours (planned) mentioned in the workcenter , work to be confirmed(CJ20N/CN25/Cn27) to convert the planned hours into costs.

  • Report Painter Drilldown on Cost Element for Project Systems

    I am currently working on a report for Project Systems. I am trying to copy the functionality of the Internal Order summary (60I2-001) into report group 6P3. I was able to copy the whole layout and also the values of 6oI2-001 into a copy of 6PP4-001 but when I double click on "Balance" it is bringin up the ALV report that 6PP4-001 is using. I would like to call another report which looks like 6LS0-001 but contains Project System info made in report painter when I double click on Balance. Is this possible? Please let me know how.

    See my replies below.
    1 a & B: You are planning Qty on NWA and capturing costs - labor & Equipment on NWA elements.
    When  you are having elaborated to NWA-Element level, split your total work on each NWA-element and post labor cost. Thus you will have planned Vs actual costs at one place.
    coming to equipment cost - are you capturing using PO through GR?.
    2.a : Option1- create a separate WBS elements for materials and plan cost at WBS level. That value would be your total planned cost of material procurement as estimated. Under this WBS elements create NWAs and assign the materials. With this set up you can assign material and procure so that will have actual costs coming from GR.
    Option 2: Create a one General Cost activity and assign the total planned cost of material on this NWA.
    When you assign the material components, diligently you have to reduce the equivalent amount from the general costs activity. Also note that on component screen, you have to check box "Cost relevant" so that material cost will add to Cost NWA. Let the different materials  have their own valuation class and have default CEs accordingly. that would not be big issue.
    Please discuss with your MM team to get more information. Also my suggestion is to leave blank CE field in configuration.
    The option2 is very cumbersome and high risk but one have to be very cautious to reduce the value from Cost NWA in order to sustain the planned material costs whenever they added.
    3. I have answered the relevance of Cost relevance check box in above.

  • Cost plannin in Project Systems

    Hello SAP PS Gurus,
    I am working on implementing SAP project systems for the client
    that I am currently with.
    I am having problems in cost planning for my WBS elemented related activity. for example when i confirm an activity my actuals are getting updated in the actuals column whereas my planned isnt getting updated even though i have done my planning through KP26 and also through CJR2. please advice what is the right way to do planning or assign costs for activities.
    i dont know if i am missing something.

  • Change Table Fields in "Costing" in with Project System (PPM 5.0)

    Dear Gurus;
    I need to know, how can I change fields in "Costing" with Project System (Project Management in tab name "Accounting").
    The integration works well, but I need to view the values of: Actual, Plan and Commitment.
    In the Standard way, just only can see the Plan (with the colum "Costs").
    Please, help.

    Hi Mariano
    The particular screen you are referring to will only show the planning on Easy Cost Planning due to the labour costs and revenues planned on the cProject.  You can use the services&deatil on the assignment - click on the WBS assigned to get the detailed list of services for the assigned WBS element.  You can then click on Detail Data to get detailed data on the assigned WBS element.  If you want a report with all the data, best use the BW cubes for that to combine cP and PS data.

  • Project plan cost

    We are working with Project system and we trigger project from Sales order.
    We are using Assembly order for this purpose.
    When we are looking at plan cost of the project, cost is directly picked up from the material instead of referring to WBS BOM and production lot cost estimate.
    When we are creating project manually cost is picked up correctly from the WBS BOM.
    Do we need to do any special setting for cost when we are triggering project from the sales order??

    I think you might be using the Sales document as cost object in your configuration. For your requirement, you should use the Project as the cost object. Please check the account assignment category in the requirements class. It should be D (projects).

  • Use of Official Document number in VAT Books for Italy

    Dear All,
    I would like to share with you a big doubt I have regarding the use of Official Document Number in the VAT Books. This is a requirement for an Italian client.
    According to my clients requierement they would like to manage 5 different VAT Books:
    1. Sale book (for all finished products sold in Italy, EU and outside EU)
    2. Sale book for sundry sales (CAPEX, services, other goods ...)
    3. Purchase book (for all the goods bought in Italy and out-side EU and for all the services bought in Italy)
    4. EU purchase book (for all the goods and services bought from EU suppliers and for all the services bought from not EU suppliers)
    5. EU sale (reverse charge) book (with the same numbers and amounts of the purchase book number 4)
    For every VAT Book they want the Officil Document number to be displayed. Not only that, they want the Official Document Number to end in 1 (XXXXXXX1) at the start of every natural Year for EVERY VAT Book, and have sequential numbering with no gaps.
    My intention is to use: RFKKITVATM. This is a specific VAT report for Italian Companies. The report selects documents that contain regular VAT and that have been assigned an Official Document number (ODN). You run this report to generate such a list for the current month. It selects documents with an ODN based on the invoice or credit memo posting date. You can create as many layout-variants (one per VAT Book??).
    My question is: The VAT Books are based on different VAT Codes. How can we have every single VAT Book to start with an Official Document number ending in 1? The number range will be Document type dependant and not VAT Code dependant.
    As per my knowledger, To use Official Document Numbering (ODN) in Italy we have to make a number of settings:
    - Activate ODN
    - Specify which document types the system is to assign official document numbers to.
    - Assign installation-specific function modules to events
    - Define Number ranges
    Have you faced up a similar requirement? Is this a legal requierement or is my client mixing up with another legal requierement related to this subject:  To print a sequential number and the fiscal year on each page of the reportu2019s output list. The System starts the numbering automatically at 1, as it does for each subsequent year.

    Am facing an issue when implementing the ODN solution for Italy. I cannot replicate the ODN in field BKPF-XBLNR_ALT when posting Invoice via MIRO.
    1. I have Defined a Document Class per VAT Book
    2. I have Assign a Document Class to Document Types (in my example Document Type "RE" to Document class "43". And select "Generate Official Document Number, with date control".
    3. I have mantained Number ranges
    4. I have Assign the Number ranges to Document Class.
    5. In order to transfer the ODN from Billing docs to Accounting docs I have entered the Document Type "RV" at Billing Document Type level.
    It all works as expected except for the Accounting documents coming from Logistic Invoice verification - MIRO transaction. Document Type "RE" is used for posting but my field BKPF-XBLNR on Accounting document remains blank.
    Is there any additional step am missing?

  • Exclude Planned Costs - Define Tolerance Limit - Budget Control

    Hi,
    We are trying to customize our system in order to exclude the planned costs of the project of the budget availability control.
    Example: If once I have budgeted and released the project I add a component to the project I do not want to any error message to appear. Error should only appear once I generated the Purchase Requisition for an amount superior to the WBSE budget.
    We have been trying with the customizing point "Define Tolerance Limit", trying with different combination of the Activities Groups but we haven't succeed.
    Has anybody tried this before? Could anybody give me a hint?

    The moment you save the project (after making changes to your project, say, adding new component), system will check against the budget (since AVAC is already active).
    We are trying to customize our system in order to exclude the planned costs of the project of the budget availability control.
    We have been trying with the customizing point "Define Tolerance Limit", trying with different combination of the Activities Groups but we haven't succeed.
    This is not possible.
    As an alternative, what you can do it, before adding the new component to the project activity, you need to update your budget (suppliment) with the expected cost of the componet you are adding. This way, you can avoid this error.

  • Planned Cost is taken from Actual Cost even through there is Baseline Cost

    Responsibility: Project Super User
    Create Project with fully shared structure
    Enter planned cost for 25000 against Task (Define Project scope in detail) with Financial Element as Resource and baseline the work plan.
    Now enter the actual cost for 15000 against Task (Define Project scope in detail) and system is computing 15000 in Actual Column along with planned cost as 15000 in planned cost column instead of showing 25000 in planned cost column.
    Why system is showing planned cost as 15,000 in planned cost column instead of 25000?
    Please help.

    I'm not sure I understand the steps you were taking.
    Actual costs should be summary of expenditure items. Those could be labor hours entered on time cards, supplier invoices etc. Those are entered on Project Costing, Distribute and summarize there
    I couldn't understand your statement about entering 15000 actual cost on the same page as entering the planned cost for the workplan.

    Hi Swastik,
    Those cost elements (category 31) are used to calculate and store WIP values at the detailed level of so called line IDs.
    Line IDs are groups of cost elements that were posted to production order.
    For example you can calculate and store WIP separately for Raw Materials, Semis, Activities and overhead.
    You can also settle them to different GL Accounts via mapping in txn.OKG8.

  • Using multiple resource cost rates in Project Server 2013

    Greetings,
    We use Project Server 2013 to manage resources that often perform multiple roles within projects and also have different rates between projects. The Standard Rate from the user's profile is somewhat helpful but, as we all know, it carries over to every
    project that the resource is part of.
    I have tried opening Project Professional 2013 and using the additional Cost tabs in the user's information to enter different rates in tabs, B, C, D and E (tab A is the default Standard Rate from Project Server).
    My experience has been that as soon as I close and check in the project file, this data disappears. Next time I open the file the default rate is available but tabs B-E are blank. This behavior does not occur if I open a stand-alone project
    file not connected to Project Server. 
    I realize that Project is not meant to be a financial management tool and has its limitations but I'm looking for suggestions and would appreciate any feedback.

    Dale is right in that an Enterprise Resource can only have its rates (or any details) set by the administrator. Unfortunately you are limited to 5 rates (A-E).
    I have done a macro for a client that reads rates for a resource for a project from a database (or Excel) every time the project is opened. So you see the correct rates and calculated costs.
    These rates get over-written next time you open the project, hence the need for the macro to update rates every time the project is opened.
    Another option in the macro is to zero the rates so a copy can be emailed to clients etc without sensitive rates data.

    When doing PGI against Oubound delivery for a current STO i am getting a Material document number  which is already generated by the system against another STO. How and why it is happening?
    What should I do to avoid such situations in future? Pls guide.

    Let me know which document is displaying in MB03 while trying to see the postings?
    also check weather any number ranges are transported to this client in th middle. If they are transported then existing numbers will be overlapped and this type of problems will come.

  • Billing document number skip

    Dear Sir,
    In some cases Billing document number (VF01) generate, (with reference to delivery number) but at the time create Excise Invoice against same billing document number, system given error "Billing document number does not exit".
    & after that  system will be allowed to create the billing document against same delivery.  please help

    Suitable suggestion has already been given.  May be you can have a look at the following note which may help you.

    Alternatively, you can execute report RFVBER00 which explains on document numbering gaps.  Try this report in development before executing in production client.

  • MIRO document number created

    All,
    I have a PR that was created in USD and adopted to a PO in EUR.  When I attempt to voucher an invoice against the PO in MIRO when I hit save no document number is created.  In MIRO the system is attempting to pay in EUR and have a green light for abalance of $0.oo before I hit save.  Not sure what to look for to resolve this issue. 
    This has worked in the past.  The only thing that changed is the Finance department was deleting exchange rate lines in ob08 ealrier this week.  However today I reset ob08 to reflect what it look like last week.  Please help.

    Hi srinivasan,
    The concept of Distribution comes when you either directly Budget your project Or when you have converted the planned total to the Budget. Both the operations can be done in CJ30.
    When you copy the planned amount to the Budgeted amount in CJ30, the Column “Planned total” is updated.
    When you prepare a Budget, it’s generally “Total up” from the lower level WBS element. Distribution of the Budget is generally Top down.
    Firstly when you allocate the budget in the “Budget” Column, then the same will immediately appear in the “Current Budget” and “Distributable”. This means that the “Distributable” amount is ready to be distributed to lower level WBS elements. You can enter the required amount directly under the Column “Budget” of the corresponding lower level WBS element. Once you do this, the Column “Distributed” of the higher WBS element is updated, by the amount which is “Distributed”.
    The column “Assigned” is updated once you have assigned any cost to the project. (Commitment plus Actual)
    If you are working with Release Function of the Budget ( CJ32), then the Column “ Release” will be updated ( which can be seen in CJ30). In this case, you will be able to use only the released budget and not the Current budget.
