DRQ:Credit Note not based on invoice should transfer reference number to JE

according to SAP business one system behavior, only those credit notes that based on invoices are able to transfer customer/vendor reference no. field value to reference 2 field in journal entry. I would like to propose to enable AP credit note that is not based on invoice to transfer reference number field to JE as well.

Even if it is possible, you would be better split the amount to individual credit note.  I have no idea why you need to split line in one credit note.

            I have Posted A/P Invoice With Vendor XXX, Vendor Reference number is 111. I should be able to post another A/P Invoice using the same Vendor Reference number-111 but Vendor is YYY.
        But I should not be able to post same vendor reference number - 111 in two A/P invoices where the vendor is same. (Say Vendor is XXX).
            How do I satisfy these two conditions??????

    SAP Business one will not allow you to to have the same reference number even if it is for another supplier.
    This is known SAP validation.

    Vendor Invoice entered in SAP.

    We are thinking SAP will not allow/generate invoice with same Reference number. How can we restrict from entering Vendor invoices with Same Reference Number from same Vendor.

  • Ref2 on JE not populated for Credit Memos not based on another document

    Description of requirements: (Please provide a detailed description)
    When the Setting in System Initialization\Document Settings \General tab\
    Document Remarks Include is set to BP Reference Number, the Ref2 field on the Journal Entry for the document is populated with the BP Reference from the document. This is true for all documents, regardless of whether or not the document is based on another document, EXCEPT for AR and AP Credit Memos. In the case of Credit Memos, if the Credit Memo isnu2019t based on another document, the BP Reference isnu2019t written to the Ref2 field on itu2019s Journal Entry.  Our customers have complained that this makes it very difficult for them to do their reconciliations as the Ref2 is blank on the reconciliations screen for these Credit Memos.  If the Ref2 field were populated in the same manner as other documents, the Ref2 Field would contain the same BP Reference as the invoice(s) it should be reconciled with.  We have been asked to request that this functionality be added in a future patch, as it would greatly simplify the customeru2019s reconciliation and save them a great deal of time and effort.
    Business needs: (Please describe the impact on your business, if the functionality is not realized)
    It is very difficult to reconcile our Credit Memos with the correct documents, as there is no reference available on the screen to connect them to the other documents. This requires a great deal of time researching which Credit Memo(s) should be reconciled with which Invoice(s).

  • Credit Memo not applied to Invoice

    One of our customers has had this scenario several times recently:
    1. An A/R Invoice is created for 100.00
    2. An A/R Credit memo is based on the invoice for 100.00 
    3. The Credit Memo is added.
    4. The Credit Memo is closed, but the invoice remains open.
    5. Both the invoice and credit memo appear as unreconciled transactions.
    6. The user attempts to reconcile the two documents.
    7. The invoice is then closed, but the credit memo becomes open and has a balance of -100.00
    The problem occurs at step 4 - why would the documents not be reconciled, and why is the invoice open while the credit memo is closed?  Nothing works right from that point on.
    The system is 2007A PL42.
    Any suggestions would be welcome.  Thank you.

    An upgrade might stop it from occurring, I don't recall seeing this for a while. 2007A goes out of maintenance at the end of this year.

  • Delivery free of charge Invoice should not Post to accounting

    As per Client's specific Business process , till now ZERO value Invoice(Delivery Free of charge) is created (This is not SAP Standard).
    No accounting document is generated because of ZERO value of Invoice.
    Only COPA Document is generated.
    ZERO value invoice is generated because of all Pricing Conditions are Statistical in Pricing Procedure.
    Now , Requirement is to create Invoice with Values & also Print values in Invoice, without posting it to accounting.
    The simplest way to do it to remove Statistical check from all Pricing conditions , Values will start Printing.
    But in this case ,Invoice getting started posted to accounting.
    Q:- Please let me know the simplest way to create Invoice (Delivery Free of Charge) with values but on the same time , it should not post to accounting only COPA should be generated.

    Hi,
    Free of charge Deliveries are basically of 2 types.
    1. When you send Promotinal materials for display purpose, Physician samples in pharma industry etc.
    Those materials do not have any commercial values, they are send free-of-charge.
    We process those materials with Order Type FD (Free-of-charge Delivery).
    2. Another case, when suppose you had sent 10 units of some material (commercially valued materials) for which customer has already paid the money to you.
    After that suppose customer has found that 2 units are damaged or defective for which he has returned the 2 units to you.
    Here, you have 2 options to compensate the customer, either you will issue a Credit Memo or you will replace with fresh units for those 2 returned units.
    If, you will replace 2 fresh units to the customer, then it is called "Subsequent Delivery Free-of -chrge".
    The Order Type used for the above is "SDF".
    In this case, even though the material is a commercially valued material but we send it as free-of-charge as Customer has already has paid for it.
    In both the above case, may it be "Free-of-charge Delivery (FD)" or "Subsequent Free-of-charge Delivery (SDF)", both the transactions are not relevant for Billing.
    You can check the same in Sales document Item category KLN and KLX, both are not relevant for Billing. That means you can not create a commercial Invoice for those transactions.
    In the above case, if required we create Proforma Invoice with reference to the Delivery document.
    Proforma Invoice is a dummy Invoice and  not posted to Accounting.
    So, in your case you can create a Proforma Invoice.

  • Excise invoice should not get created without PGI

    Hi,
    I have a scenario where the billing document is being generated by the customer without PGI after creation of outbound delivery for exports. (This is as per customer's requirement - Copy control maintained in VTFL for the same - copying requirements 11 )
    This creates a situation - excise invoice can be created without PGI - which creates problems for customer. This should not happen.
    Customer wants a check during the excise invoice creation - excise invoice should not get created if PGI has not been done.
    Kindly advise as to how this can be done.

    Two options are there
    -  in your existing routine itself, you can specify the control in such a way that unless the preceding document is PGId
    -  apply excise user exits like J_1I7_USEREXIT_EXCISE_BEF_SAVE to achieve the requirement.

  • Excise Invoice should not get created without J1ID data for all material

    Dear All,
    We  have a requirement that excise invoice should not get generated unless chapter ID data is maintained for all the materials in the invoice.( when there is more than one item and chapter id is not maintained for all the items)
    At present excise invoice is getting generated for single item which has chapter ID maintained and  the items without chapter ID data are left out from the excise invoice. This results in an incorrect invoice.
    We want to ensure that excise invoice is not created, unless all the items in the billing document have chapter ID maintained.
    Kindly advise as to how this can be done.

  • Issue in creating Credit Note for road carrier invoice from SAP TM system

    Dear All,
    I am facing issue in creating Credit Note for road carrier invoice from SAP TM system.
    The following steps I have performed:
    1)  
    1)    1) Create Freight order with Amount 20,100
    2)     2) Create Freight Settlement Doc and send it to ECC. Hence PO and SES will be created in ECC with Amount 20,100
    3)     3) Invoice verification (MIRO) done w.r.t. FO in ECC with Amount 20,100 and following entries posted :
    Carrier A/c - 20,100Cr
    GR/IR A/c – 20,100 Dr
    4)    4) Created Credit Note in SAP TM against freight order with Amount 1,010 and transfer it to SAP ECC.
    5)    5)  By this a new PO and SES was created with negative values (with amount 1,010) in SAP ECC
    6)    6)  In transaction MIRO, Credit Memo was created against the freight order.
    7)    7)  By this it is showing value 21,110 by adding the line items of Original Purchase Order and Credit Note Purchase Order as 20,100 and 1,010 respectively.
    8)    8)  By posting this following are the accounting entries which is not correct:
    Carrier A/c – 21,110 Dr
    GR/IR – 20,100 Cr
    GR/IR – 1,010 Cr
    9)    9)  In report FBL1N which is showing the remaining liability of value 1,010(21,100 – 20,100) instead of 19,090 (20,100-1,010=19,090) for the carrier.
    Please suggest how to resolve the issue and get the correct accounting for credit memo?

  • Invoice  should not print for perticular customer

    Dear Friends
    My client need that it has some customer (not all) to whom it does not required to give any print out of invoice.
    In output condition record we have maintain output type for PY.
    Now perticular customer telling that he doest not required any invoice that is mutual understanding between customer and business. customer pay on the basis of  telephonice conversation and business want to save paper.
    In that case what I will do for that perticualr sold to party who has 10 payer and sold to party dont want any invoice should transmit to his payer nor to him.
    In that case what I should do for this perticular customer

    Hi,
    Printing of invoices can be avoided by not maintaining the communication parameters . Create output condition records for each billing type for the customer  and assign medium as 6(EDI) and do not maintain the communication parameters for this.
    We have not assigned the output type of invoices to medium 6(EDI). i.e No processing routines and forms are assigned for medium6 for the invoice output type in NACE transaction.

    I would like to know if is there any possibility to display invoice print (PDF) in sales order (Credit/Debit note) as attachment.
    Issue:  Customer raise the credit note with the reference of invoice, sometimes user don't explain the reason for credit and don't attach any reference document in sales order(credit request).
    Customer requirement: Customer want to display reference invoice print (PDF)in sales order(Credit request) for validator so validator can cross check with invoice and validate the credit note.
    Could you suggest the best solution?

  • Credit exposure not correct in SAP

    Hello,
    My company has over 3.2 million accounts in our system and we are coming across the issue of credit exposure not being accurate for customers which is causing credit checks that should not be necessary. It look likes what is happening is that once the open sales order is invoiced the amount is staying locked in the exposure and then it is also added into receivables which is essentially doubling the exposure from what it should be. Is there any configuration changes that we can use to correct this?? With the high volume of customers and transactions on a daily basis this issue is causing a lot of extra work and customer issues. Your assistance is appreciated.

    It happens that LIS is not correctly updated by SAP and that the credit exposure is incorect.
    Have a look at the program RVKRED07. You may have to play with the parameters to find the correct combination for the update.

    You may consider also setting up a daily batch job ...
    In fact you have 2 progams given by SAP
    RVKRED88, it calls RVKRED07 in test mode
    RVKRED77, it calls RVKRED07 in real mode

  • Which iDOC Type for Credit/Debit notes generated from SD Module ?

    Hi,
    We are implementing an EDI Solution for SD Invoices which would involve sending EDIFACT Messages generated out of mapping the SAP iDOC TYPE INVOIC02 to the EDIFACT fields.
    We also have to send Credit and Debit Notes generated from SAP in the SD Module in the same path. We are currently planning on using INVOIC02 for doing this.
    My Question: Is this the proper approach ? We don't want to use the Credit / Debit advises in FI-GL to post to Credits to Customer Account.
    Is there any other iDOC Type or message type that we should be using for SD Credit/Debit Notes ?

  • Credit note not writing internal recon

    Hi all,
    Normally when a AR CN is created (based on AR IN) there is also a Internal Reconciliation created similtaneously. I have now come accross a transaction where the the CN was based on the IN, but no Internal Reconciliation was written. Because of this the applied amount on the CN is not accurate.

    Any ideas on how to fix it?

    Was this a fully based Credit Note or partial?
    Is the balance due on the credit note document equal to that of the corresponding journal entry?
    Also check the following notes:
    1258628 - Credit Memo is 'open' but is fully based on Invoice
    1301233 - Default value of the total field in based Credit document
    1307388 - Incorrect status of Invoice after Copy To Credit Memo
    If none of the notes answers let us know.
