E-Recruitment Maintain Substitute

Hi Expert,
We are implementing E-Recruitment, and i having trouble to find out how the Maintain Substitute works in MSS.
When manager A maintain the substitute to manager B for substitute the creation of requisition, i could not find where a dropdown or any function to create requisition on behalf of manager A. Is it suppose there will be a drop down in Hiring Manger in the Requisition Forms.
Is this correct way?

If manager B is then the substitute of manager A who is allowed to create requisitions, then he/she is able to create them via the 'normal create requisition request' service but now also for positions and support groups assigned to manager A.

  • Transfer authorisation while maintaining substitute

    Hi All,
    I have a requirement for substitutes in PO approval workflow.
    Sceanario is:
    If approver is on leave, substitute should approve the PO, however, substitute do not have authorisation to approve it.
    Is there any way through which we can transfer role to approve PO when substitution is made active.
    Can we use Substitution profile here? e.g. create a profile with authorisation to Approve PO and attach that profile when creating substitution.
    Any other way to achieve this would be helpful.

    Hi,
    There is no connection between WF substitution profile and the user authorizations,
    so no authorizations are added to a substituting user.
    However, you can change the WF so the approver will approve the PO in a decision task,
    but a background task (for example PurchaseOrder.Release of object BUS2012)
    will perform the actual approval.
    The background task uses the WF-BATCH user and passes all authority checks.
    The substitution will be for the decision task and will require no auth as well,
    so the substituting user can approve the PO.
    You should, if you use this way, check the return of the release task to make sure there are no errors (PO locked for example).

  • SBWP Maintaining Multiple Substitutes

    Hi
    I am trying to set up a manager in SBWP to be able to view the unobxes of a number of his staff.
    I have managed to get it wokring using the maintain substitutes process using the passive substitution method. When I did this for the first user it worked as I expected. When the manager logged onto his inbox he could see his own inbox at the top and then at the bottom there was separate inbox for the user call "Office Substitution - John Smith"
    However, now I wanted to add another user to his inbox. I go thru exactly the same process. When I go to the adopt substituon area it brings up the second user as an option as well as the first. I select both as I want to see both. However, when I look at this inbox it doesnt show the second person I tried to add. It still only has the first person showing there.
    I have tried "unadopting" the first one then adopting the second but still only the first one shows.
    Is this actually possible to view mulitple users inboxes in there at the same time? Or am I doing something wrong
    Please help!

    I don't know what system you are on (I am on ECC 6 and SRM 5) as I have never seen an inbox where the user also sees the inbox of the person they are substituting for, but...
    If you are doing user-to-user substitution, you can directly maintain table HRUS_D2 - this is completely acceptable to SAP.  Then you can make entries into this table, first the 'from' user, then the 'to' user, then begin and end dates.  Although, of course, if wishes were horses then the manager would maintain her own substitutes!
    If you are using positional substitution, then this may explain the scenario you describe - but I would be interested in hearing back from you to see how you have made out.

    The substitute maintained by the manager is the one who assume his responsibility in E-rec when he is absence.
    The E-recruiting manager role can do two things:
      --> Create Requisitions
      --> Maintain Substitutes

  • Send mail notification on creation of substitute through SBWP.

    Hi All
    We create substitution for a person through SAP Mailbox. Settings>>Workflow settings>>Maintain substitute. This maintains the table HRUS_D2.
    How can we send a notification mail to the concerned people (the person who has been created as the substitute) immediately? Is there a user exit for the same where we can call our FM which sends out the mail.

  • Substitute to be set

    Hi All,
    Our client has a requirement for approval of travel expenses.
    The employee's manager approves the travel request which is raised by the employee.
    1.Just in case an employee's manager is absent, the provision for a substitution should be explored.
    2. The system should also send the expense report to the approver's approver just in case no action is taken in 3 days time within submission of the expenses.
    Could you kindly help me out regarding how we can go about doing the above two points.
    Apologies if already there is an existing thread that gives the answer for this....but would like to get your inputs on this as I am relatively new to SAP and SDN.

    1. You want a substitute of your suppossed agent.
    Here you dont have to do anything. This can be achieved through configuration.
    Say, The actual agent is "A". But he will be on leave for one week. Now "A" work will be done by somebody, say "B" for that one week. Right ?
    Solution -> Go to SBWP of "A".
    Menu bar -> Settings -> Workflow Settings -> Maintain Substitute.
    Here "A" can maintain the substitute "B" for a time interval.
    It will work.
    2. Within 3 days if no action is taken, then you want to escalate the Workitem to the approver's manager. Right?
    Solution -> Search for Deadline Monitoring in the Forum.
    Still then if you don't find any solution, then i will help you.

  • Defining substitutes in a multi SAP component system landscape

    Hi All,
    I need some help trying to understand and figure out how to best proceed with a recommendation/solution for defining workflow substitutes in a new SAP installation that includes the following components: Netweaver 2004S, EP6,  SRM5 and ERP 2005.
    The client is planning to rollout various ESS, MSS, ERP and SRM workflows throughout the organization and use the UWL for all workflow scenarios.
    Being new to the portal and UWL, I been reading and trying different things with respect to maintaining substitutes in the ERP and SRM systems as well as the UWL.
    I’ve figured out that the UWL substitute processing is not linked to the ERP and SRM functionality. This means that anyone responsible for approvals will need to log into the ERP system and define the required personal substitutes in the Workflow Inbox and then repeat the same process in the SRM Approval tab.
    If the above is the only way to define substitutes, then the process will not be met with open arms for all sorts of reasons.
    As I’m new to these new SAP components, am I missing something? There is a simple solution to defining substitutes in this type of a system landscape or do you need to build something to provide the required/desired single entry point for both systems.
    Also, what do the UWL substitutes provide?

    Hi Jerry,
    Yes the UWL does create substitutes across all connected SAP systems **PROVIDED**:
    1. Each system has all the function modules prefixed SAP_WAPI_SUBSTITUT...
    2. There is a mapping between the portal user and a user id in each of the systems
    3. The user has the relevant authority (auth object S_WF_SUBST) to create/maintain/display substitutes in each of the systems
    If you have the SAP_WAPI_SUBSTITUT... function modules in some systems but not others you should be able to copy them (you'll need some SSCR keys of course to copy them under SAP standard names) and everything should be fine.  I've done this before to a 6.20 NetWeaver system and it worked fine. 
    If its still not working you need to check the support pack notes for EP6 - for instance you do need to be on at least EP6 SP14 patch 2 for all substitution features to work.

    In case of the internal applicant check for the table PB4005 where employee number would be mapped against the applicant number.
    Also for activation between P.A and Recruitment maintain the feature accordingly -  PRELI return value must be *.

  • Specific Workitems should not go to substitutes

    Hi
    We have developed some custom workflow which has some sensitive data.
    If a user has maintained substitutes for himself the sensitive workflow should not be recived by substitutes.
    We have a custom clasification for the tasks. we tried creating a profile & attaching the classification to the profile
    but if the substitutionn profile is ALL the substitutes recieve the work items.
    We have changed the task type from general to forwarding not allowed.
    Any way we can stop substitutes recieveing the specific workitems ?

        it sounds to me that the fact that it is working in development but not testing could be caused by development not being
    configured correctly in some way and you believe it to be working.
       on our system we implemented this scenario but were still open to substitute creators using ALL due to being lazy!  we therefore implemented additional checks.
    eg  a generic decision task in our system uses sap standard transaction SWNWIEX.  we had to create an enhancement
    spot for this to do further authorisation checks to see if the user was really authorised and when they click on the workitem, it blocks them at that point. so, they can see it in their worklist but not execute it

  • Where to see approved VR for Recruiter to proceed further in EHP4 and SP4

    Hi All,
    We had implemeneted E-Rec system ECC 6.0. with EHP2. Now we had upgraded to EHP4. We have 3 levels of approval while creating vacancy requistion (VR). Absolutely there is no change after EHP4 applied and we are able to create VR successfully. But now problem is that where to see approved requisition details under Recruiter to proceed fyrther i.e job posting, candidate shortlisting and alll....
    In EHP2 approved VR was available under recruiter > maintain requisition. But in EHP4, we are not able to see approved VR under recruiter role after all level of approval.
    Are we missing somethins or we are refering wrong place?
    Can anybody guide how to see approved VR details for Recruiter to proceed further?

    Thanks for your response. Actually we have separate system for E-Rec set up because of concurrent employment activation.
    We have developed vacancy requisition (VR) form in PCR and 3 levels of approvals are there which is happening via workflow. After upgrading EHP4, we are able to use same VR form (under MSS), workflow and able to process 3 levels of approval. After approval, VR object (NB) has been created in E-Rec system. Then we need to process under recruiter for job posting and candidate search and all. But we are not able to find approved requisition details under recruiter.
    There are two roles for Recruiter in EHP4 named E-Rec admin and Recruiter.
    1. Can you please guide where exactly we can see approved requisition details under recruiter for job posting,candidate selection and all? Do we need to do something?
    2. After upgrading EHP4, most of the cases we are getting error "You are not authorized to execute this application". Are we doing something wrong? For exa:-
    a) Recruiter > work overview > error
    b) Recruiter > Requisition > Create /create by position/Candidate search > you are not authorized to execute this application occurs
    c)Recruiter > Personal settings > Internal error
    d)E-Recruiting admin > Services > delete registration /delete external candidate > Internal error
    e)E-Recruiting admin > Central system administrator > Requisition management > authorization error and many....
    3. However we are able to see approved VR under E-Recruiting administrator > adjust support team. But while clicking on any VR, we are getting below error.
    "There is no iView available for system "SAP_ERP_TalentManagement": object "requisition". For more information, contact your administrator"
    Can you please guide what we are doing wrong?

  • Activate Substitute for other user

    I'm using Standard Substitutions in SBWP / UWL (SAP Portal) but now I found a specific requirement and I don't know how to implement it:
    Imagine that one user is going on vacations for a long time and he forgets to activate a substitute for him. Is there any way to activate a substitute for him without accessing his account and activate the substitution?

    Hello Andre
    Try to have a look at transactioncode RMPS_SET_SUBSTITUTE. This can be used to maintain substitutes centrally.
    If the user has maintained the substitute, but has forgotten to activate it, then there is another option. The Substitute can from the menu in SBWP, go to Settings->Workflow Settings->Adopt Substitute. By doing so, he gains access to the inbox.

  • WORKFLOW substitute overview

    Hello,
    I'm searching for a very simple overview of substitutions for the person who substitutes an other person...
    Person A activates Person B as his substitute from 01/09/08 until 10/09/08.
    Via Setting>workflow settings>maintain substitute Person A gets an overview of all his substitutes with the period of substitution.
    When Person B logs on in the SBWP, he can see who he is substituting (Setting>workflow settings>adopt substition), but he can't see a period.
    Is there an other way than this to check who and when your are substituting someone?

    First of all why do you logically delete workitems which are in error? As far as I know there is no option to continue that workflow. You should always investigate the error and try to resolve it so you can restart it.

    What do you mean by this? You said you saw the workflows which are in error under this pending instances. What you see there are the items which are in temporary error. This means the system will try to execute them again when the error monitoring job will run. So no need to take action.

  • Assigning Substitute by third party

    Hi.
    As you are aware, approvers can assign substitute some one for their Shopping Cart approvals.
    However some times approvers can forget to assign substitute and they leave. In this situation all the shopping carts are struck with the existing approver.
    Is there any way where some one else can assign a substitute for an approver?
    Something like a transaction code etc.,??

    For few workitems to forward, use Deepti method.
    To maintain substitute as an administrator, use transaction RMPS_SET_SUBSTITUTE. Be aware when using substitution, it will automatically stop with validity end date in SU01 for person to whom a substitute is given.
