FI/AP Invoice Entry Restriction

Is there a way to restrict invoice entry through transaction FB60 (Invoice) to specific vendors?
Purchase orders are required for purchases from some vendors but not from others. The goal is to restrict invoice entry through transaction FB60 to those vendors who do not require purchase orders, so that invoices for purchase order relevant vendors will only be entered through LIV.

The intention is not to block the vendor, so transaction XK05 unfortunately will not work.
Could you please provide more detail on how a validation rule can be used to prevent invoice entry with the condition being that a vendor is created in a specified Purchase Organization. I don't know how to do this without additional ABAP code.

    SPRO - MM - Logistic Invoice Verification - Incoming Invoice - Set Check for Duplicate Invoices - Activate Check box for reference field.
    Step - 2
    In Vendor Master XK02/FK02 goto Payment Transaction & click on check box - Check double Inv
    Step - 3
    There is also a Std Report for checking the invoices for which same reference feild was given

    Now according to OSS Note number 672960 we are able to add Custom fields in the header as well as item data screen of invoice entry without any difficulty.
    but our requirement is to add custom fields in the basic data screen.
    Is there way available to add custom fields in the basic data screen.

  • Urgent !!!! Duplicate invoice entry

    Hello Experts,
    I have a meeting tomorrow with business people to discuss the problems of "Double Entry Invoice" and how to control that.
    Here is what I was told by Business Unit head:
    I have observed that we sometimes make duplicate payments, usually through the AP check payments then again via wire transfer, but also could be duplicate invoice entry.  I need to understand how this could happen and what we can be done to prevent (or minimize) the possibility of this occurring.  Are there any SAP configuration settings we can use that we are not currently using?
    I joined very recently in this project and didnt know much about the configuration settings of the System.
    How should I deal this situation? Please advise me on what points should I prepare.
    Any help in this regard is highly appreciated and duly rewarded.

    In vendor master data you need to check " check double invoice"
    In the vendor master, set whether the system should check for duplicate invoices.
    The check for duplication of invoice entry aims to avoid invoices being accidentally created and paid twice.
    When you enter invoices, the system first checks whether the accounting documents in Financial Accounting and then documents in Logistics Invoice Verification – only those that contain errors or that were entered for verification in the background – match up according to the following criteria.
    Vendor
    Currency
    Company code
    Gross invoice amount
    Reference document number
    Invoice doc. date
    The system only checks invoices. It does not check credit memos or subsequent credits/debits. When you create a duplicate invoice, the system displays a warning or error message, depending on your settings in Customizing.
    Exception
    For the Argentina country version and for documents in Financial Accounting, both invoices and credit memos are checked for duplicate entries.
    If a previously created document is canceled and then created again, the system does not display a message.
    Integration with Financial Accounting
    One of the following checks is performed in Financial Accounting, depending on the entry in the Reference field:
    If you enter a reference document number in the current invoice or credit memo, then the system checks for previously posted invoices or credit memos in Financial Accounting that match the following attributes:
    Company code
    Vendor
    Currency
    Document date
    Reference document number
    If you do not enter a reference document number in the current invoice or credit memo, then the system checks for previously posted invoices or credit memos in Financial Accounting that match the following attributes:
    Company code
    Vendor
    Currency
    Document date
    Amount in document currency
    Your system settings determine whether the system sends a warning or error message when it finds an invoice or a credit memo that matches all the relevant attributes.
    Prerequisites
    In the vendor master record, select the Chk double inv. (check for duplicate invoice) on the Payments in Accounting screen.
    The system only checks for duplicate invoices in Logistics Invoice Verification if you enter the reference document number when entering the invoice.
    In the Implementation Guide (IMG) for Logistics Invoice Verification, you can define that the following characteristics are not checked:
    (Logistics Invoice Verification ® Incoming Invoice ® Set Check for Duplicate Invoices)
    Reference document number
    Invoice date
    Company code
    The result of this is that the system is more likely to find a duplicate invoice, as it checks fewer characteristics.
    Note, that if you deselect the Company Code field this can have a negative effect on system performance. This is because the system then checks numerous documents from existing company codes.
    Features
    During the check for duplicate invoices, the system compares the following entered attributes in the standard system in Logistics Invoice Verification:
    Reference document number
    Invoice date
    Gross invoice amount
    Currency
    Vendor
    Company code

    sorry for the late reply.
    For the FI check, there is no specific setup. Only thing you need is to set the corresponding flag in the vendor master (company code view). Then, if the prerequsites are met (see below), a warning message will appear.
    How the check is working in FI? (ie., FB01, FB60 or similar, NOT logistics invoice verification, for LIV, see below):
    1. Is this a vendor line (account type K)?
    2. Is the flag set in the vendor master?
    3. Is the line item sales relevant (based on the posting key, e.g., 31 is sales relevant, 25 is not)
    4. Is this a normal document? (not recurring, parked, clearing, sample doc)
    5. Do we know the document currency?
    6. Do we know the document date?
    7. Is the amount in document currency <> 0?
    If the answer to all of the above was YES, then the check is carried out. What is actually checked, is table BSIP. Every time when you post a document meeting the above criteria, BSIP will be updated. Next time the BSIP entries are checked.
    And here the checking rules:
    IF the reference field (BKPF-XBLNR) is filled in, then the message is issued when there is a BSIP record already with the same:
    - company code
    - vendor number
    - document date
    - reference
    - document date
    - D/C indicator
    IF the reference field is NOT filled in, in addition to the above, the amount in document currency is also checked in BSIP, so that field must match too in order to get the message.
    The message is F5 117 and the type can be changed in customizing (view V_T100C) as usual for customizable messages.
    The above list also answers another question in this thread: NO, it is not possible to check it cross company code. I.e. if you have entered an invoice for company code A, then you can enter the very same invoice for company code B, there will be no message at all. You need to create some validations (transaction OB28) to achieve this. The standard check is working within the same company code only, see the list above.
    Now,  that was the pure FI thing, how about Logistics Invoice verification (MIRO, etc.). Here, you have some more configuration options. The function module called here is MRM_FI_DOCUMENT_CHECK.
    The check in Logistics Invoice Verification is carried out only if the below criteria are met:
    1. Reference field is filled in (!!!!! extremely important!!!!)
    2. This is an invoice (and not a credit memo... see RBKP-XRECH must be X)
    3. The vendor number is known
    4. The flag is set in the vendor master (company code view).
    The check is made against BSIP again, but WHAT exactly is checked, i.e., which fields must match, is customizable. In table T169P, you can tell the system which fields you want to consider as indicators for a double invoice entry. You can choose from: Reference, Company code, Document date.
    Here is part 2 of the answer to the previous question: YES, Logistics Invoice Verification can be set up in a way that invioces are checked cross-company code. If you do NOT mark the field company code, than this field is not checked, and the same invoice cannot be entered for 2 different company codes.
    First, the system tries to find a BSIP record with the same values in the fields below:
    - Vendor number
    - Document currency
    - Amount in document currency (this only if Reference is NOT ticked in table T169P)
    - Company code (only if ticked in T169P)
    - Document date (only if ticked in T169P)
    - Reference (only if ticked in T169P)
    If there was a BSIP entry found, message M8 108 will appear as a warning. Again, you can change the msg type to error if you like (user-specific).
    Also, Logistics Invocie Verification can be a 2-step procedure: first, the invoice creation (entry in table RBKP) and second, the posting of this invoice to Accounting (entry in table BKPF). In most cases, this happens in the very same moment when you press Save in MIRO, but it could be also set up in your company that you do these 2 steps separately.
    That's why after the posted invoices (BSIP) were checked, the system tries to check the invoices not yet posted to Accounting (invoice document status is "Not yet posted"). This is to make sure an entered but not yet posted invoice is also checked early enough. Basically the same fields as above are checked, but the message is a different one: M8 642. Default type is warning, changeable to Error if you like.

    Hi,
    Different than the material purchasing, there is not any such ''service return'' feature in SAP.  The only solution is to revoke the SE and then post it again with the correct quantity.

    I want to hide few fields and want to show certain fields in Invoice Entry form.
    When I go to Folder-Show Field and search for the field The required field get displayed but this activity I need to perform everytime I open the form.
    Is there any way to default this field in Oracle form, So that whenever I open the form That field should get displayed automatically.

    If the condition is met you can fire off a line of script that sets the "presence" property of the Copy tag to either "invisible" (if you want to preserve the space taken up by the tag) or "hidden" (if you want to remove the space taken up by the tag).

  • SEPA - How to control payment method used for SEPA during invoice entry?

    To implement SEPA Credit Transfers, a new payment method must be created.
    But this payment method will coexist with other payment methods that can be used for EUR payments between non-SEPA countries...
    Is there a way to control during invoice entry that the user is using the right payment method? Thus, if the payment is to be made between two SEPA countries, is there a way to control that the payment method used is well the new SEPA payment method? These pmts would fall in error if OSS note 1406227 has been implemented (it creates a table that controls the validity of pmt methods per country of destination) but obviously, we want to control this before the payment run F110...
    Or is it only controllable via a user-exit?

  • PRD account different between good entry and invoice entry

    Hi all
    I have a company with purchase account posting active,  with the posting method "at clearing account amount". In the good entry the PRD account is of "calculation" type (not balance sheet relevant) like the stock account and the offsetting purchase account ; the total sum of  these three them is 0 (it is a must, otherwise I shall do a false in balance).
    But in the invoic receipt I have only three lines: vendor,GR/IR account and PRD, so I cannot use the same account I have in good entry because the GR\IR is a Balance relevant account, so the PRD must be also.
    No idea about how I can force a different account for the PRD in invoice receipt?

    Working a standard price can happen if the invoice price is different from that of purchase order. SAP register the variance in GR a first time between the standard value of product and PO value, and after a delta in IR corresponding the eventual difference between the PO value and Invoice value.

  • Validation for Duplicate Invoice Entry

    Hi Everyone,
    Currently, it seems that SAP reviews an incoming invoice for reference field (invoice number), invoice date, vendor and company code.  If the comibation of the criteria are met, then a warning message appears stating to review the entry due to a possible duplication.  I've since changed the warning message to an error so that users can not post the duplicate invoice. 
    Now, what is the process of stopping an invoice from being posted that meets the following criteria: (1) vendor, (2) invoice number, (3) amount.  Would this be a validation formula or some sort of user exit or is there standard SAP IMG that can be performed?

    hi Peter,
    this should be a substitution exit, should happen in FI, on line item level (check transaction GGB1), for all vendor credit postings (posting key between 31 and 39). The substitution has to be done on field amount (WRBTR), because this is the first point where you have all information you need (I guess the vendor invoice number is saved into header). You have to write a small code in the exit to select possible vendor invoices from BSIK and BSAK. If any found you should issue an error message and block the process.

  • MIRO Invoice Entry Date

    Hello All -
    There are multiple dates on the invoice when it is entered via MIRO - Invoice Date, Posting Date, Baseline date, etc.   I would like to find the date that the invoice was first entered into SAP.  This should be a system generated date similar to the 'Created On' date that can be found in EKKO for the date the PO was created in SAP. 
    Can anyone tell me what date field that would be for the MIRO invoice and what table I can find it in?
    I found Document date and entry date in RBKP but I can't tell which one is the date that the entry was actually created in SAP and system generated and which date is manually entered.
    Please help.

    A deletion indicator is not really a hard stop for anything, except you customize warning messages into error messages.
    Repeat the case  in your test system. to see which messages come up

  • Invoice Entry

    Hi,
    I am not able to enter and invoice with a serial number that was assigned in previous Financial year.
    As per my understanding in a financial year one invoice number from the same vendor can be accepted once, but if the same invoice number comes from the vendor in other financial year then it should accept.
    Please suggest me a solution.

    During purchase from dealer / trader I want to do excise entry . I am not entering anything in PO . I am giving Excise entry at the time of MIGO .  Now please tell me at the time of MIRO how can the tax liability be booked .

    In case of procurement from dealers the PO price is excise inclusive. So before goods receipt in J1IEX capture the excise with respect to Purchase order. During capture change the Excise Base amount to the Accessable value that the vendor will provide in its transporter copy. Tick the MRP indicator in the Excise header in Miscellaneous tab. Give the Excise Invoice Number, date & save it. Now During Goods receipt refer the excise invoice number & put the same date & the excise amounts will be copied from the Excise invoice. Post the goods receipt. Check the External amount in the Quantity tab in the Goods receipt document. Put that amount in the MIRO screen during Invoice verification.
    Do the same for each & every line item in GR document. You will see that the VAT amount is properly calculated. The VAT amount will hit during invoice (MIRO). The CST is an inventorized item & will hit during the Goods receipt.

    I have created an elementary search help. In which I want to display all the possible values with out resticting the entries. I tries with all the dialogue types(A, C, D). But it allways restricting with 500 entries.

So, even I am changing the value to zero or space here, it is not solving the issue. So, could you please tell me how to skip the restriction before control comes to the search help exit.
