Finding Accounts/Customers/Vendors based on Legacy Account Number

Hi Guru's,
Is there an easy way to get the SAP Account number based on account number provided from the legacy system?
Appreciate your help.
Regards,
Ved

Hello Vedratna,
It is much easier to find the SAP account number based on account number provided by leagacy data but for this in the background you need to know the data structuring rule which was followed during the data transfer from legacy to SAP system.
The data to be transferred to the SAP system is prepared in a sequential file. A file may only contain data that can be processed with the same transfer program. This means that a file may not contain data for different master records, for example, customers and vendors, since there are separate transfer programs for these records. The program creates batch input sessions from this file.
For every file, there are three types of structures:
Session header record
This structure contains data that applies to a session that is to be created. Here you enter information such as a batch input session name, the client key, and a user name. By entering a lock date, you can set a latest date for the session to be processed by.
Header data
These structures contain data that applies to one transaction only. Here you specify the data that you must enter on the initial screen when manually selecting the transaction. Among other items, this includes the transaction code and key fields, for example, Account group, Company code key, Account number, Purchasing organization, or Division.
Subsequent data
These structures contain data from the master records. This includes, for example, the address data for your customers/vendors, the company code data, or the sales area data.
The different structures are indicated by record types. For subsequent data, you have to specify the structure name in addition to the record type.
Hope I had been able to help you. Please assign points.

The other way could be to take a dump of customer master(general data) KNA1 in one excel file and also take the dump of legacy data. then use the Vlook up in excel. But for this to happen there must be some link between the two sets of the data like in search term u could have used the legacy number of customers or their leagcy name or any link.
Hope I had been able to help you. Please assign points.

  • HR Document split based on G/L account and Vendor

    Hi,
When HR payroll result posted to FI, system will split 2 several documents
if both G/L account and vendor exist, so I wonder that is there any solution which just
generate one document for different document type?
    Thank you in advance.

    Hi,
Check the vendor master data in XK02. In payment transactions under company code data check "Individual payment" check box may be flagged.
If this happens , multiple documents will be generated while postings. untick the checkbox and try with new postings. This may solve your problem.
contact your FI resource to resolve this....

    Output:
    Balance at key date
If not, can you show me the logic how to get it. I need it to show to my ABAPers.
Thank you very much for your help,

    Hi,
In FBL1N, press change Layout button.  there you will be find a field called G/L Account.  Select it and bring it into display fields and press enter.  It will show the recon a/c to which the vendor line item is posted to.

  • Creating a G/L Account for Vendor

    Dear SAP GUYS
I am having problem in creating G/L account Centrally, I click the Open item management and Open item display
In the maintain field status group; Account management,I have chosen Recon account, Terms of payment as REQUIRED while the rest are OPT.
But a mess keep come saying that Open item management is not defined for reconciliation accounts
    Can anyone please advice me
    Thanks

    Charles,
Open Item management and Open item display can be changed if account balance is zero. The reconciliation Account is an auxiliary accounting for Customers/Vendors, you will see just balance in this account.
If you have use this account, clear its balance with customers/vendors and change Master Data configuration.
Check if field status group display for Reconciliation Account to do this.

  • Payment proposal for vendor with multiple bank accounts

    Hi there,
I'm currently dealing with payment proposals (F110) with two conditions:
1): several documents with different currencies are attached in the same payment run (one in GBP, one in USD and one in EUR)
2): several banks are defined for that vendor in the master data. We assume that that three banks are defined in the master records (one in GBP, one in USD and one in EUR)
We started developing a user exit to find a way to have the correct bank selected in depending on the document currency; it worked but only for one document-->payment is done to the right bank account even if the vendor has different bank accounts. Whenever several documents for the same vendor are included into the payment proposal, only one bank is selected out of our program, corresponding to the first document.
I wonder if there is a way for setting up a bank selection in another way.
NB: the partner bank type solution within the document is not an option as the sites (which are creating the PO) don't know about bank details and therefore don't indicate anything.
    Thanks for reply!
    regards,
    FX

When you enter bank details in master, update field "Partner bank type" LFBK-BVTYP with free form value, may be currency is good choice.
During invoice entry, this field is available for update, update which bank to be used for payment of this invoice. You may build logic to populate this field, like substitution to populate currency in this field during invoice posting.
During payment, system checks value in field Partner bank type in invoice and selects corresponding bank.
    Hope this helps.

  • On Account Clearing Vendor/Customer

    Dear fellows
We are to be implementing SAP ERP ECC 6 by u201CABACUS Consulting (Implementer)u201D here we enable the new GL functionality for segment reporting.  We have a hot issue with on account clearing in both customer and vendor.
    The scenario is that
When we clear on account customer through f-32 and vendor through f-44 the system generates extra line items those increase the debit and credit amount with their respective ledgers.
    *Example*
Create customer invoice e.g 50,000 Rs. with profit center 10, segment 1000
Receipt on account payment from customer 50,000 Rs. with profit center 10, segment 1000
Clear the account with f.32 at that time clearing line items are generating.
    Note:
According to our implementers u201CAbacusu201D this is the standard functionality of SAP and referred the SAP standard Note 69767 to prove their justifications.
The transaction is not relevant with given below difference clearing:
    1.     Account Type
    2.     open Item Account Number
    3.     General Ledger Account
    4.     GL Account Number
    5.     Main Asset Number
    6.     Company Code
    7.     business Area
    8.     business place
    9.     Profit Center
    10.     Partner Profit Center
    11.     Credit Control Area
    12.     Company ID
    13.     Update Currency for General Ledger Transaction Figure
    14.     Withholding Tax Code
    15.     Certificate Number of the Withholding Tax Exemption
    16.     Payee code
    17.     Document Number for Earmarked Fund
    18.     Earmarked Funds: Document Item

    hello srikanth
    thanks for showing ur intrepid.
    invoice entries (fb60)
    Vendor(10013)               10,000
    Exp(41709006)          10,000
    payment entries (fbcj)
    vendor(10013)          10,000
    Cash (16620006)               10,000
    clearing entries
    Vendor(10013)          10,000
    vendor(10013)               10,000
the clearing document increase the DR and Cr amounts.
here, i want to clear one thing, this is not the SAP standard functionality because i have test this scenario on my IDES system and it is not generating any extra line items.
SAP released the notes 69767 to justify the clearing line items and the system exactly work according to the notes, but in our case any of the given options (mentioned in Notes and my above post) be not matched causes to generate any extra line items.

Is there any standard SAP report/inquiry for GL Account Line Item like FBL3N, with information vendor name and VAT Registration Number (field STCEG) without using ABAP.
    Thanks.

    Hi,
We can get purchase register through T.Code: 'J1I2' by specifying condition types and tax codes.
We can't get 100% report from this T.Code.
    Check it once.

  • Change in Reconciliation Account of Vendor/Customer

    Hi Experts,
Can any one please tell me the scenarios where in we change the reconciliation account for the customer and vendor. If we change, what are the precautions we have to take in terms of transferring balance or open items from old reconciliation account to new reconciliation account?
    Thanks,
    SravanK

    Hi,
There is no problem to change the account number in the vendor or customer master data, that is :
All Document Items that were created in the old account will be posted in the same old account when you have a payment posting, compensations, etc.
All document created after the change will be posted in the new account as well as the payment postings, compensations and others.
The system will separate the postings in accordance with the moment at the documents were created.
You can do a test in the development client before you do the change in the production.
    For example :-
You can create a new reconciliation account because you want the G/L accounts to separate out sales. Just switched the setting in Customer Master and off you go. SAP will recognized the old account for the old postings and used the new account for any new postings.
You should run balance sheet adjustment program after any reconciliation account change.
The system performs any adjustments required due to the change of reconciliation accounts or G/L accounts. The items from the old reconciliation accounts are allocated to the new accounts.
Since you cannot post to the reconciliation accounts directly, the postings are made to temporary adjustment accounts.
These adjustment accounts should be displayed along with the relevant reconciliation account in the balance sheet. The postings are then reversed after the balance sheet has been created.
The program for sorting the payables and receivables makes the necessary adjustments automatically. This means that you have to define the adjustment account numbers and the posting keys for these postings in the system.
If you purchase and install the FI-LC Consolidation application and have bought up a previous customer or vendor (thus also taking on his/her payables and receivables), please refer to the note in the report documentation on changed reconciliation accounts. To define the account numbers, select the activity Define adjustment accounts for changed reconciliation accounts in the Accounts Receivable and Accounts Payable Implementation Guide.
You should only run this program if your new reconciliation account is classified differently from the original in your FS. e.g.. AR to Intercompany accounts. It will just reclassify the existing balance. The line items will not be transferred. If not then no need to run the program at all.

    Sreehari

  • Change Reconciliation Account in Vendor

    Hi,
Can I change the Reconciliation Account in Maintain Field Status Group: Account Management ?
The user-end ask to change the account from 120501 to 213006 acc.
Is´t wrong ? I´m change the Asset to Passive .
    Tks,
    Sandra Amadi

    Hi Sandra,
Yes you can do that, follow the steps mentioned below
This would require a config change. In the definition for vendor account groups first change the recon account field from display to optional, save the data make the necessary changes to the master records in Vendor and again set the recon account field to display and save. This has to be carried out directly in production server.
There is no need to reverse the entry of Recon Account as the Recon Account can be change in the config settings.
    Hope it helps.
    Thanks.

  • Vendor - change of reconciliation account

    Hello
I have search a read a lot of articles about this problem, but unfortuantely without success.
My problem is that some vendors shall be have another reconciliation account, so I have changed the account in vendor master data. I know that this have no influence on existing vendor items, but will it be possible to change the reconciliation account for existing records via F101. I mean that the old reconciliation account will balance to 0 and instead be listed under the new reconciliation account?
I have tried to execute F101, but without success. The records on the vendor account is still linked to the old rec account. Is it possible to do anything automatically?
    Best regards
    Søren Kirch
    LOGSTOR

    Hello Søren Kirch,
The below two stepped approach may let you solve the issue.
    a) Change the Reconciliation Accounts either using the TCode XK07 or by the Function Module VENDOR_CHANGE_ACCOUNTGROUP in bulk
    b) Transfer either the Open Items (Item by Item) or the Balances accumulated on the Old Recon Account to the New Recon Account using the Program SAPF101. Ofcourse, this might need a little bit of customizing in OBBW. (The Transaction Key 'A00' has to be configured to determine the Adjustment Account for the original recon account and also the Posting Keys)
Though I have not done this myself, I believe and wish that this will work for you.
    With Regards

  • Change of reconciliation account in vendor master

    Dear Friends,
Can anybody tell whether we can change a reconciliation account in vendor master or not.
If we can change then what is the procedure of changing.
    Regards
    Rahul Jain

    Hello,
You can change the recon account for a vendor/customer by transaction code XK02/XD02. The original transactions remain in the original recon account. After reconciliation change in customer/vendor will be posted to new reconciliation accounts and whatever old line items in the vendor/customer accounts will not change from old reconciliation accounts. If once cleared, manually you have to clear those open items from old reconciliations before shifting to new reconciliation accounts.
    Thanks
