Initiating Approval in PM Notification

Dear All,
I have the PM Notification configured for approval.
This configuration enables approve and reject buttons in the notification.  The status 'APRQ' is appearing as the initial status. But I need the approval process to be initiated only when its required. not at the creation of the notification. I cant find how to enable something called 'Submit for Approval'.
Thanks & regards,
Sudhahar R

Sudhahar,
Well, it is not possible to initiate approvals at a later stage after the creation of a notification when the approvals have been associated with the notification type. But there are work-arounds to achieve this.
As Iqbal said, using the user status is the most viable method that can be used to achieve the approval requirement at any desired stage of the notification.
Another work around could be:
You can create a notification of type G0- General notification using transaction IQS1. Now you haven't maintained any approval requirement for G0 type. Now you have also created two notification types: one notification type for which approval is required(e.g. AP) and for the other, the approval is not required(e.g. NO). Now at any later stage when the approval is required, you change the notification type G0 to AP using transaction IQS22. Whereas if you find out that the approval is not required at all, then change the notification type to NO using transaction IQS22.
That way, you can initiate the approval process whenever you like.

Usman

Mail Policies > Text Resources > Add Text Resource
Set the type as Encryption Notification Template (HTML), edit the HTML and then also add one with a type Encryption Notification Template (text), edit the text. Then go into the Security Services > IronPort E-Mail Encryption > modify the Encryption profile and choose the new Text Resources created above.
Under Text Resources I was also able to create custom bounce messages with variables that display all the relevant information regarding the bounce.

  • Approving Requisitions using Notifications screen

    Hi,
We have two responsiibilities which have the notifications screen added to it (1x Purchasing responsibility, and 1x HR responsibility).
Using the Purchasing responsibility allows the requisition to be approved, using the notifications screen.
Using the HR responsibility causes the requisition to get stuck in the autocreate queue. This is also using the notifications screen.
    My question is:
Is there a function/security or similar which needs to be added to to allow approval of requisitions?
    Regards,
    Gary

    Hi Helios,
    Thank you.
That note explains the Purchasing Setup/Approval Hierarchies.
This is setup using the position hierarchy for us, no issues with that.
    Our issue is as follows:
    Scenario 1
Requisitioner ABC123 raises a requisition, Approver XYZ123 approves the reuquisiton using Responsibility A - Requisition Autocreate completes.
    Scenario 1
Requisitioner ABC123 raises a requisition, Approver XYZ123 approves the reuquisiton using Responsibility B - Requisition Autocreate fails.
This happens for EVERY requisiton approved under Responsibility B
The user/hierarchy isnt changing, but the responsibility is.
    Any advice?
    Many thanks,
    Gary

    Hi Hussein,
The 1st issue was, I was getting the notifications in plain text.
The reason is that for my user record in the WF_LOCAL_ROLES table, has the NOTIFICATION_PREFERENCE been set as MAILTEXT
I had used the metalink document 451929.1 for updating the value to MAILHTML
After doing a commit, did a test, then the workflow mailer sent a mail of HTML format with links enabled in it.
After wards the approve action when sent back, through the mailer, is approving the Purchase Order...

if the mail sent the purchase is not gerrting approve also, i want to know how can approval done from the notification mail itself without logging to application.
    Hafizoo

    Hi Hafizoo,
The notification mailer needs to be configured for both outbound and inbound emails.
I believe that the configuration for inbound emails is not correctly done.
If you do under OAM, Workflow > Service Components > Workflow Notification Mailer, you will see two setup sections for "Inbound EMail Account" and "Outbound EMail Account". Also at the top of the page you have a "Test Mailer" button which first sends a notification which allows to test the outbound mail and when you reply to the mail, the notification status and comments should get updated through the inbound mail.
If you are not able to complete the "Test Mailer" flow, it means you have to see with your DBA to correctly setup inbound messages.
Before trying to troubleshoot the PO Approval workflow, ensure that the "Test Mailer" works properly.
    Hope this helps,
    J.

  • Requests enter "failed" state without initiating approval

Hi there. Our OIM 11g BP4 installation started having problem with requests. Some of them simply fail, and failing frequency is increasing.
For all failed request the error message is the same:
IAM-2050014:An error occurred while initiating approvals for request oracle.iam.request.exception.ApprovalServiceException: oracle.iam.request.exception.ApprovalPolicyAccessDeniedException: User oiminternal does not have access to SEARCH entity of type APPROVAL_POLICY.. The corresponding error message is {1}.
Two peculiar things are worth noting:
    - the better part of those requests share the same template and are set to be auto-approved, via a proper approval policy;
    - failed and completed requests are intermixed, i.e. after a failed request there can be a completed request a moment later, or the other way around. That excludes a permission problem like the error message seems to suggest, IMHO.
A real-life example taken right from our installation:
    1852 Provision Resource Request Completed
    1853 Provision Resource Request Failed
    1854 Provision Resource Request Failed
    1855 Provision Resource Request Completed
    1856 Provision Resource Request Completed
    1857 Provision Resource Request Failed
    1858 Provision Resource Request Failed
All those request share the same request template and the same approval policy (which, as stated, is set to auto-approve the request).
It looks like SOA approval is not even started, so this behaviour should not be related to SOA.
Any hint of where to look to find the reason for these fails? It is a production environment and this behaviour is starting to become a serious problem.
    Thanks,
    Rpatri

    You mean patch 14036801.
Yes, that was probably the solution: after applying the patch there have not been failed request.
    Thanks.

  • ARQ: How to configure Role Approve/Reject Email Notifications???

    Hi,
I would like to achieve below for my business scenario with below MSMP stage configurations:
    MSMS Stages Configurations:
MANAGER --> Can act on both request and line items level
Role Owner--> Can ONLY act on line items
    Requirement
In best case, a Manager approves all the line items in an Access Request. Then an email notification mail for "NEW WORK ITEM" would be sent to Role Owner(s) at next stage. This is achieved.
Now at Role Owner Stage, below 3 cases are possible:
    1. All Role Owners can approve the line items
    2. All Role Owners can reject the line items
    3. Some of the Role Owners approve and Some of them reject line items
In all the above cases, a Role Owner ALWAYS click on "SUBMIT" button (as he is not authorized to reject a request as a whole) and this action is considered to be as "APPROVED" and eventually, "APPROVED" event is triggered.
This looks good in case numbers: 1 & 3. Meaning, even a single role is approved, request can be considered as approved and the request details can be sent to business user.
However, I am facing a problem when ALL the line items are rejected by ALL the Role Owners!
This will surely close the request. However, the email notification that will be sent to user in this case will be of "APPROVED" though the request is rejected in a sense (because all the roles are rejected)!
Can anybody please he understand this and design proper solution?
    Regards,
    Faisal

    Hi Faisal,
    We are on GRC SP13.
Please do below settings to make role approval/rejection comments mandatory.
2040 - Set this parameter value as YES
In MSMP - Role Owner - Stage settings - Please maintain these settings
I have come across the same scenario as yours. Below is my observation.
When all role owners rejects all roles by REJECTING roles at LINEITEM level, request instead of getting closed at ROLE OWNER stage, it is going to next stage and getting closed there. I assume this is standard behaviour
Let's see if we can get experts advise on this.
    Regards,
    Madhu.

  • Approve in email notification

    Hi,
Oracle Workflow has the standard functionality of approving the from a mail, where the user has to login to E-BS and then approve. I would like to develop a functionality where the user just click a button in the mail and the workflow gets approved. Can anyone please help how should I develop such a scenario.
    Description:
Email should have a approve button and the user should just click the button and approval should be done. (No login)
    Please help..
    Regards,
    Boris

    Hi Boris,
You can approve a notification from email by just clicking on Approve/Reject link in email without login to application.
For this you need to do below steps.
    1. The recipient user has the valid email address set, for which the email notification has to be received.
    2. The recipient user notification preference should be 'MAILHTML' i.e 'HTML Mail with attachments', you can set it from preferences section after login with the user
    3. You can see the notification preference and email address details from wf_local_roles table..
    4. The notification Mailer should be up and running (Outbound thread count should >=1 and Inbound thread count = 1)

  • Approval workflow - email notification

    Hi,
I was run out of idea how to complete my assigned job, need oracle expert to help on email notification workflow.
Currently I am working on workflow enhancement with oracle application E-Business Suite for our company.
My job is to add in new approval process to approve Bank Details transaction through AME.
For this Bank Details transaction, the existing approval process is will only route to HR.
Now my job is to add Admin & Manager approval, which mean once the transaction is submitted and the approval processes are as below:
    Admin --> Manager --> HR
But this approval process will fall into 2 scenarios as below criteria.
Scenario1: If the selected Bank Name from List Of View (LOV) not "Other Bank" then the approval process is Manager --> HR
Scenario2: If the selected Bank Name from LOV is "Other Bank" (once Other Bank selected, user will need to enter the new Bank Name) then the approval process is Admin --> Manager --> HR
Once Admin approve, Admin will add the new Bank Name into LOV.
Both scenarios will auto trigger email notification to the approver once there is pending for Admin and Manager approval.
For scenario1, our email process package able to send out email notification to the manager.
But for scenario2, email notification not send to Admin. FYI, our Admin is a group of persons assigned to Admin group.
My doubt here is how to let this email notification able to send out to Admin group?
Hopefully anyone of oracle workflow expert could help me as soon as possible.
    Thanks.

    Hi Mike,
According to your post, my understanding is that you wanted to use workflow to send emails to the approvers when a task process completed in SharePoint Designer 2010.
First, when you add the “Start Approval Process” action to create the workflow in SharePoint Designer 2010, you can click on “these users” to set the task process participants and you can choose “One at
a time (serial)” or “All at once (parallel)” to set how the tasks will
    be created.
Then, if you want to send an email to the approver when a single task process completed, you can click on “Approval” in the
“Start Approval Process” step to edit the task process and click on “Change the behavior of a single task” in the “Customization”
to add the “Send a Task Notification Email” action in “When a Task Completes” section as below:
And if you want to send emails to the all approvers when all tasks are completed, you can click on “Approval” in
the “Start Approval Process” step to edit the task process and click on “Change the behavior of the overall task process” in
the “Customization” to add the “Send an Email” action in “When the Task Process Completes” section as below:
If you want to use the approval workflow to update the content approval status, then you can add the “Set Workflow Variable” action to set “Variable: EnableContentApproval” to “Yes” after you add the “Start
Approval Process” action in the workflow, and it should be added above the step “Start Approval Process”.
Please refer to the link below to add the “Set Workflow Variable” step in the workflow:

  • Approving review activity (notification)

    Hello,
please help to solve problem with notification.
I need to recieve notification if someone approve Review Acitivity in the change request, if I am responsible person of service request. I found possible way
http://www.scsm.se/?p=948 but it did not work for me. I created subscription, exported MP and changed string in the rule section of newly created subscription:
    <Item>$Context/Path[Relationship='CoreActivity!System.WorkItemContainsActivity' SeedRole='Target' TypeConstraint='WorkItem!System.WorkItem']/Path[Relationship='WorkItem!System.WorkItemAffectedUser' TypeConstraint='System!System.User']$</Item>
    but do not work.

So let me see if I have this straight. you have a change request, which contains a review activity, and when someone approves this review activity, you need the owner of a service request to be notified. I have a few questions:
How are the change and service request related? is this a unique relationship or the generic "work item affects work item" relationship?
Are you looking to send a notification when a user votes on a review activity, or when that review activity is marked as approved and the process is ready to continue? This is only an important distinction for review activities that have multiple reviewers.
    Hello,
for example we have simple service request with review and manual activity in it, if someone approves review activity, AssignedTo user of service request needs to be notified.

  • Query to find all ORACLE Finance Users who Approve via Email Notifications.

    Hello to all,
I'm not being lazy here honest, but Ive been asked to find out which users Approve PO's (Purchase Orders) via E-Mail rather than through the Application. As far as I can see, the WF tables do not show the differentiation between those who do one or the other and so Im asking if there's anyone who knows about any other fields where this can be found out.
    Many thanks

  • Why I am not able to approve/reject my workflow notification from email?

For R12 AP Invoice Approval Workflow, I have done Approver group set ups in AME. In HR People form, set my email id for that person. In FND USER from, used that person as the employee to have the email id populated for the user and saved the record.
When I am creating an invoice and initiating workflow, I am getting a notification in my mailbox but cannot approve or reject from the mailbox. I may hit the Approve link but it is not doing anything. In order to approve/reject the notification, I have to log in as that person in Oracle Apps and do it from there.
Is there anything I am missing? I have a requirement that the approver only approve / reject from their mailbox and they do not log in to Oracle Apps to see their notifications. What to do to make them enable approving from mailbox only?
I am having a steep deadline and will very much appreciate your responses.
    Thanks.

When you try to approve/reject or do any operation on the workflow using email the issue is the you do not have the responsibility/user values set.
You need to login to Oracle Apps and select the correct resp in order to take action on workflow.
Please check if you are table to take action from oracle apps that explains it. there are a couple of metalink notes too.
You may apply appropriate patch and then this will work.
If it is an SSHR WF you need to be minimum on ATG ROLLUP 7

  • Issue in a custom workflow with Approval Type Notification. Urgent

    Hi
I have created a custom workflow which contains an approval notification.
If the user approves/rejects the notification I need to update a table column as Approved or Rejected.
    I have created a function activity,say X, which calls a PL/SQL procedure.
    The issue is,
when the user approves or rejects the notification, the function X errors out even without entering the PL/SQL procedure.
    Following is the error message
An Error occurred in the following Workflow.

    Activity Label = XXYH_UMX_ASSIGN_RESPONSIBILITY:XXYH_UMX_RESP_ASSIGNED
    Result Code = #EXCEPTION
    Notification ID =
    Assigned User =
If I go the function from any other function, say Y, (bypassing approval notification) it works fine.
Can you please help me what could be the issue?
    Thanks,
    Kamath.

The danger in putting in one activity is that if there is any scope longer-term to expand the process to multiple activities, then it may be better to break it out into a sub-process early in the design phase.
Generally, you get the feeling from the client fairly early on about whether they have a final design and how likely they are to complicate the process later on :)
I wouldn't include it as a post notification function myself - it saves a tiny amount of processing time and database space, but at the cost of making it less clear what is happening. Plus you'd need to check the result in the PNF manually - putting it on a conditional branch ensures that you always know what the value is. If the lookup type changes at any stage, you would need to check a PNF to ensure that the code still remains valid; if it's on a branch then the only thing to change would be to change the label on the branch.
