Large numbers of workflows appearing in SAP Inbox after system refresh

Hi all,
We are having an odd issue where after we perform a system refresh of our PR system to QA, a massive number of Business 23,000+ appear in the SAP Inbox of certain users who are registered as agents.
We understand how to delete the workflows but want to understand the process of why they keep appearing, and whether this is a system error or a symptom of a user/batch process during or after the refresh.  The workflows do NOT appear for these users in the PR system.
95% of the notifications are flagged "Error when generating IDoc from MC Document."
I have been reviewing the Workflow wiki but have yet to find anything pertinent yet.

Hi,
As the error message, those workitems are generated when system trying to generate IDocs.
And the reasons why all workitems are sent to all users is, the task is marked as general task.
What i would suggest is, select any of those workitem, go to its workflow log & analyze which workflow generates these workitems in what case and proceed accordingly.

    it is SBWP
    it is intresting to see that case if one of approver reserves it for the purpose of evaluating later.
    the thing is our onsite  consultant asked like  is it possible to keep the decision in the two approvers SAP Inbox  after selecting cancel and keep workitem in the inbox.
    is that possible ?

  • SAP License issue after system refresh.

    Hi,
    After system refresh, refreshed system has License info of source system. When trying to apply license from unix, it gives below error, saying system number is incorrect to apply new license. Looks the system number of source system is causing issue. I checked, there is no data in MLICHECK table. I could see some info in "saplikey" table. System is 700 system.

    First check whether you have deleted all invalid licenses?
    use below command to delete invalid licenses
    sidadm>saplicense -delete
    And apply new license based on new hardwarekey with below command
    sidadm>saplicense -install
    *I think there should be some invalid licenses lying in your system

  • Receiving the Workflow mail in SAP Inbox/Outlook

    Hi SAP Experts,
    I have situation, where I am receiving the PR-PO workflow mails for the approval. I am not authorized for it and also not assigned in any of the table maintained and used for picking the approver for PR-PO workflow approval.
    Please advice me how to proceed in stopping it.

    Authorization for approval is independent of workflow allocation, even it does not make much sense in this case.
    The worklfow assignment can be made by user or by organisation data, like department or workgroup.
    if that is done, then everybody in the group receives the workflow item in his inbox.
    But only the one how has authority for approval can release the PR/PO.
    So you need either be removed from this group, or a different assignment has to be made for the release group to workflow assignment .

  • Deleting all workflow  items from SAP inbox

    hi ,
    I'm doing some Workflow testing and I've got a bunch of work items in my
    Inbox.  Is there a utility I can run that will just delete all of the work
    items in my Inbox, regardless of the status?
    any suggestions????

    So if I don't want a user to receive a particular Workflow message everyday, how can I cancel that? Can someone tell the transaction code and procedure to do this?

  • Workflow is broken after system refresh

    Dear Gurus,
    We are planning on EHP upgrade to SP15. Prior to doing that we did a system copy of production to Development.
    I completed all the config steps and now can also see that the New access request is pointing to the development system.
    I creates a new Access request after completing all the sync jobs and master data update. The UAR request also gets submitted successfully and I get a UAR# triggered. As part of it I as a requestor also get a notification about the request#.
    But it STOPS at this stage. I don's see an update on audit log as it usally does. It just stops with the requested information but does not trigger any email or a work item to the next stage approver (manager in my case).
    Though this is a system copy we ensured all the event linkages were activated same as in production . BRF+ works fine with simulation and we also generated BRF+ and MSMP workflow.
    Still no luck. I have used tcode GRFNMW_DBGMONITOR_WD for analysis and found that the following task ID's were also completed for a production request. But when I compared that with the Dev request that I created I see log does not process any background step .
    TS76308024,TS76308025,TS76308027,TS76308048,TS76308025,TS76308027,TS76308048,TS76308051,WS76300056,TS76308026 (completed for succussfull completion in Prod)
    I have ensured WF-BATCH ID is active and not locked.

    I have activated the debug mode and I have enclosed the log result here.
    Please help me on this to resolve the issue. We need to complete this and then perform SP 15 upgrade and move this all the way to production by 7/25.

    Hi Lakshmi,
    basically the system copy should be done the same way as the standard copy process of other SAP systems. However, there are some additional steps to check.
    Please verify old references for your old system as they don't exist in the new system:
    - Connectors (remove if not used)
    - MSMP Workflows; make sure the workflow service URL references the new host name
    - etc.

  • Emulated DS's  appearing , info packs miss after system copy in 7.0 system

    We did a system copy of our BI dev system into a new installed BI 7.0
    system.As part of the post refresh steps we ran the BDLS run.We noticed
    that all the info packages were missing and the emulated data sources
    appeared instead of 7.0 data sources..We tried to migrate one of the
    emulated DS's and then all the info packages associated with that data
    source were seen......Also the DTPS were inactivated bcoz of this and
    we had to activate this manually.....But we have around 200 data
    sources ...Could you please suggest a program/report/solution to
    recover all the info packages and 7.0 data sources instead of migrating
    each of them individually which is daunting task.......

    Please check the logs it is clrerly mentioned thet your sapsystem is not able to connect to database.

  • BW connections in SAP Portals after system copy

    Hello,
    A system copy was made on BW and R/3 systems (production backups where copied into development environments).
    After the copy, the BW reports in SAP Portals no longer execute, message "The requested resource does not exist" is shown. Does any body knows why? Is it possible that an RFC destination is missing?

  • PO workflow mail not sent to SAP Inbox

    Hi All,
    I have created a standard PO workflow WS20000075 , Task TS20000166 and in SPRO i have maintained Object type as "US"(user) and agent is maintained.No agent determination rule is maintained for the task.
    When i create and Save PO, system is not triggering workflow to my SAP Inbox.
    When i test the workflow using SWDD by giving PO number and release code, i am getting mail to my SAP Inbox
    What setting i am missing to trigger the workflow to my SAP Inbox as soon as i save my PO.

Usersu2019 sometimes want to approve workflow from their SAP inbox not from outlook mail. But at SAP inbox e-mailsu2019 have such symbols at the front and back of lines <XTR><TD width="100%" nowrap>.
    Is it possible to hide these symbols at SAP inbox?

    When work item is sent to usersu2019 SAP inbox, from there it is sent to usersu2019 outlook inbox, mail text appears with the following symbols;
    <XTR><TD width="100%" nowrap> MEYA Sarf Emri No : 0000000859 </TD> </TR>
    What I want is to remove those symbols, highlighted as bold, from SAP inbox.

  • SAP inbox forward to user STATUS 'READY'

    Hi Experts
    I have chanllenge with workflow item  from SAP Inbox in Production. I am trying to forward the workflow item to any of the  users from SAP Inbox(SBWP) and when i see the forward workitems its in status "READY".
    i have checked the workflow ID  in TCODE : SWI1...and shows the status as READY.
    i did refresh the buffer SWU_OBUF but the results are same as expliained above.
    can pls know...What would be the problem...

    Which user? A) The one who sent the item, or B) the one who should have received the item?
    If it is the case A, then this is normal. If you forward the work item to someone, it will disappear from sender's inbox. B) If the received doesn't receive the work item (and you are not getting any error message when forwardig), then something is seriously wrong...

  • SAP Inbox-Idocs

    Hi,
    Couple of questions on Idocs in SAP Inbox.
    1) If the error Idocs are mapped to be automatically transmitted to the users SAP inbox, then if the users reprocess the Idocs successfully using BD87, will the Idoc disappear from the users SAP Inbox?
    2) If on successfull reprocessing the idocs do not automatically disappear (ie if the answer to the above question is no) from the users inbox, then how can they remove them from their SAP inbox?
    Any help would be appreciated.

    The Idocs have already been mapped to the users SAP Inbox. So the question is that if the users reprocesses the Idocs from BD 87 will they automatically disappear form their SAP Inbox or they have to do something to remove them from their SAP Inbox, after they are successfully reprocessed.

  • Issue in sending mail to SAP Inbox from Workflow

    Hi All,
    I need to send the mail to the creator of the document about the user decision. If i am executing the workflow through the event ( ouput type) , the workflow processing in SWIA is complete but the mail is not sent in the SAP Inbox. But If i try to manually execute the workflow, mail is sent to the SAP Inbox.
    I've used WF_INITIAITOR in the Expression. I need to send the mail not to the approver but to the creator of the workflow.

    the event is also triggered from my Id but in that case I do not recieve any e-mail. None of the users recieve the e-mail in the SAP Inbox for the mail step after the decision.
    In workflow Log the last step shows the details as
    name of the manager and the workflow background for mail sent step as shown below
    Sumit Vij     Background work item created     10.01.2012     12:08:43     
    Sumit Vij     Execution started automatically     10.01.2012     12:08:43

  • PR Workflow delay in sending a notification to SAP inbox of approver

    Hi All,
    We are experiencing a problem in PROD regarding the time delay of workflow in sending the PR to the approver in his SAP inbox.
    The current set-up is expected to be operating in runtime. However, we experience delays in the notification.
    In runtime graphics, the workflow stays in the background activity. The workflow is expected to just swiftly run the background activity and move to the next activity.
    May I know the steps on solving this error?

    i think background job sheduled timelimit, how much time is taking time to get workitem into ur inbox/ check with basis gut how theysheduled background jo running or check SOST transaction transmission r processing or not.
