OTL Timecard Approval Notification Email

Hello,
When an employee submits a timecard, the supervisor receives an e-mail to approve the timecard.  Currently this email contains the timecard entries (and the details for each day of the time period), action history and the links to approve/reject/request information.  We also have an attachment that will connect the user back to the notification page.
We would like to modify this email content as follows:
1.  Display only the timecard entries without the daily details.
2.  Remove the links to approve/reject/request information.
For 2, I have tried to follow the instructions in Doc ID 302214.1, but unable to do the following steps:
h. Define the attribute #WFM_OPEN_MAIL (Template for email with response).
i. Set its Default value to WFMAIL:OPEN_MAIL_OUTLOOK
Please provide me the directions to complete the above customizations.

Unfortunately I do not have an environment to test this, is this related to the #HIDE_MOREINFO mentioned in the  Doc ID 302214.1 ? Alternatively I think you could just make a copy of the system template, modify the template as needed and override the appropriate message template attribute with the new custom template?

    Hi,
    To confirm that the patches are resp, can you check the file modified dates POXVCOMS.pls and POXVCOMB.pls? (To know the path on the box run diagnostic apps check for PO module and look for these file names).
    If they match with the patch application dates, then you might have to open a SR and get the fix from Oracle

  • OTL Timecard Approver

    Hi All ,
    I have a requirement where in the timecard approval notifications should go to a specific employee (not to the supervisor) . I see in the Approval styles window , we have options like Workflow or Formula Mechanism .
    Can someone please throw somelight as to what should be the quickest way to achieve my custom requirement . I would be storing the timecard approver information in the Soft coding KFF ("Timecard Approver" field) on the assignment screen .

    The predefined Oracle Projects timecard layout has an Override Approver field. The
    worker can select anyone in the business group as the override approver. The timecard
    is sent to this approver only, and the usual approval style is not activated.
    You enable the field by setting the following preferences:
    Enter Override Approver preference to Yes
    Override Approval Style segment of the Approval Style preference to Projects
    Override Approver
    (Optional) Default Approver preference to a name to display a default value for the
    Override Approver field.
    You can restrict the list of values for the Override Approver field by modifying the
    Overriding Approver view.

  • Approval notification emails missing link to login to SRM

    Environment: Standalone
    I have created the one shopping cart. Then the approver received the Email notification for approving the shopping cart.  Link login to the SRM missed in that approver's mail.

    When I am creating the shopping cart the approver normally receive the E mail as:Escalated: Shopping cart of Bill Memore value 799.98 USD.  In that mail the SRM web portal link for login by the approver missed.

    I am Implementing OTL with respect to Project from Scratch, I can raise a Time card and submit. when I submit time card, it is not going for approval for next level. can any one help me with required setups, to take my Time card to next level for approval.

    Use approval styles. Here you can select from a variety of techniques to determine the approval route.
    * Autoapprove - use if no approval required
    * HR Supervisor - the supervisor recorded in the HR assignment record for the owner of the timecard
    * Fast formula - used to determine the approval mechanism
    * OTL also comes with a seeded (empty) approval workflow - use this if you need complex decisions which cannot be met by any of the other techniques.
    * Entry level approval - allows different approval mechanisms and rules per timecard category

  • OTL TImecard Approver Report

    I have to create a report that lists the timecard and who approved them for a given pay period. I have the timecard by pay period portion of this but am having a hard time finding where to obtain the approver name from in the database.
    Has anyone out there done anything like this before?

    Check the standard workflow tables for the timecard workflow to look for the approver information.

  • OTL Timecard Rejection/Resubmission

    Hi All,
    I am working on OTL Timecard Approval Workflow. I have a requirement as mentioned. Please let me know if it is feasible or not.
    Approval Style used is Project Manager.
    Hence when timecard is submitted, it is split into the number of projects in the timecard and sent to project manager's approval.
    I have a second level of approval also which I have achieved through workflow customization.
    The main scenario is as below.
    An employee submits a timecard with 2 different projects.
    Project manager of first project approves and is routed to next level of approval.
    Project Manager of second project rejects the timecard.
    Requirement
    In that case, employee has to resubmit the timecard after making necessary changes and should be routed only to the person who rejected the timecard.
    But, in general, when a timecard is submitted again, the previous workflow is cancelled and whole new workflow is triggered, which will send notifications to all.
    Is there way to achieve this?

    HXCEMP workflow is not responsible for displaying the timecard information in the notification. It just routes to the relevant approver,
    Did you configure the Notification layout as well (along with Time entry layout)? You need to have the similar changes to Notification layout.

  • Disable next approver notification for a stage

    Hi guys,
    We would like to disable the next approver notification for a particular stage. Is it possible? We have deleted all text from the subject field and body, but the approvers are recieving blank emails.

      As far as I know, this is not possible. The approver notification emails are sent out from the Java code so we can not control them.

  • Timecard details in approval notification

    Hi All,
    My query is related to entering timecard in OTL for projects.
    I am entering time against 2 projects in a timecard and timecard is being sent for approval to 2 different approvers having details of time entered against their respective projects.
    e.g. approver one is getting data in its approval notification for project 1 only while approver 2 is getting project2 only in its notification.
    I wish to know from which table, we can see what project and time data is being sent to approver 1 and what project and time data is being sent to approver 2.

    When you submit time for multiple projects, mutiple application periods will be created, this application period is key for approvals.
    So if you submit time for 3 projects, 3 application periods will be created and these 3 will be linked to main Timecard id.
    This link will be stored in HXC_TC_AP_LINKS table.
    Once you know the application period ids, query in HXC_APP_PERIOD_SUMMARY with the application period ids. in this table there is column called Time category id, this actually represents which project the application period is for. get the time category name (from HXC_TIME_CATEGORIES table), the name actually contains the project_id.
    So once you identify the correct application period for a particular project, query in HXC_AP_DETAIL_LINKS table with the application period_id, this table contains the actual Detail building blocks belonging to a particular project.

    Though it looks little complicated, just browse thru the above tables, you can understand easily.

  • OTL : Timecard Notification Layout

    We use the Timekeeper (Core Apps) form to enter Timecard.
    We have added a new column - Award to this form.
    Everything is working fine.
    We have set the Notification Layout as 'Project and Payroll layout'.
    The notification that goes to Approver has the Project and Task details. But the Award is missing which is understandable since i have to customize the layout to add this.
    I have the steps to add an LOV to the time card. But i have to display the Award that was selected by the user while submitting the timecard. How would my notification get the award id dynamically?

    You will have to configure the LDT file for the approval notification to include displaying your custom field.
    Presumably, in the template/data entry screen you have mapped this field to a context/segment in the OTL Information Types Flexfield. Use this mapping component to retrieve the data from the timestore and display in your notification layout.
    If, for exmaple, you stored the new field in context=ABC, Attbriute=Segment7, then refer to this context/segment as the source of the data in the notification layout.
    Usually, when you configure a new field, you also need to include it in the review, confirmation and notification layouts.

  • User not receiving emails regarding approval notifications

    Hi,
    SRM system has been upgraded to 5.0.
    User is not receiving emails regarding Approval notifications. However, the user is able to view the SCs pending for his approval in his approval list.
    I checked the transmission of the emails, the approval notifications are sucessfuly sent and the email of the user is correctly maintained. I tried resending the emails, and the user didnt receive emails even then.
    Could be please advice what could the error.

    If approval mail:
    - is correctly generated,
    - you can see it in SOST transaction,
    - request status in SOST is OK,
    this means SAPconnect is working fine, so your problem does not come from SAP.
    You have to check your STMP gateaway and your mail server.

    Hi,
    I was run out of idea how to complete my assigned job, need oracle expert to help on email notification workflow.
    Currently I am working on workflow enhancement with oracle application E-Business Suite for our company.
    My job is to add in new approval process to approve Bank Details transaction through AME.
    For this Bank Details transaction, the existing approval process is will only route to HR.
    Now my job is to add Admin & Manager approval, which mean once the transaction is submitted and the approval processes are as below:
    Admin --> Manager --> HR
    But this approval process will fall into 2 scenarios as below criteria.
    Scenario1: If the selected Bank Name from List Of View (LOV) not "Other Bank" then the approval process is Manager --> HR
    Scenario2: If the selected Bank Name from LOV is "Other Bank" (once Other Bank selected, user will need to enter the new Bank Name) then the approval process is Admin --> Manager --> HR
    Once Admin approve, Admin will add the new Bank Name into LOV.
    Both scenarios will auto trigger email notification to the approver once there is pending for Admin and Manager approval.
    For scenario1, our email process package able to send out email notification to the manager.
    But for scenario2, email notification not send to Admin. FYI, our Admin is a group of persons assigned to Admin group.
    My doubt here is how to let this email notification able to send out to Admin group?
    Hopefully anyone of oracle workflow expert could help me as soon as possible.

    According to your post, my understanding is that you wanted to use workflow to send emails to the approvers when a task process completed in SharePoint Designer 2010.
    First, when you add the “Start Approval Process” action to create the workflow in SharePoint Designer 2010, you can click on “these users” to set the task process participants and you can choose “One at
    a time (serial)” or “All at once (parallel)” to set how the tasks will
    be created.
    Then, if you want to send an email to the approver when a single task process completed, you can click on “Approval” in the
    “Start Approval Process” step to edit the task process and click on “Change the behavior of a single task” in the “Customization”
    to add the “Send a Task Notification Email” action in “When a Task Completes” section as below:
    And if you want to send emails to the all approvers when all tasks are completed, you can click on “Approval” in
    the “Start Approval Process” step to edit the task process and click on “Change the behavior of the overall task process” in
    the “Customization” to add the “Send an Email” action in “When the Task Process Completes” section as below:

  • Trigger email to outlook for PM approved notifications

    Hello Guys,
    I have a requirement to trigger email to outlook for approved notifications. Wheneever there is a PM notification created by any employee, it has to go to approval to his supervisor and once he is approved, the maintenance can create a WO to proceed. How would I acheive this. I know it can be done thru workflow but wanted to check whether I can leverage extended notifications for this function. If yes, what would be the steps. I did configured the extended notifications and set up the background job SWN_SELSEN but nothing has been triggered. How do system know to pick the pending notifications from IW29 ? is it from variant ? please help me to figure out the right way of doing this.

    It's not an standard option, you should develop an ABAP function to send email according the User Status and System Status changes defined for the work orders. You should start with status validations in work orders using tables JEST, TJ30T and TJ02T, starting from AUFK-OBJNR. And for Notifications with table QMEL. Identify a user exit and use this code to send the email:

    Additionally, Workflow provides a more complex functionality for this.

  • Setting up vacation rules from Mass Timecard Approval Responsibilty.

    Our users are using the Mass Timecard Approval for Oracle OTL to approve timecards. This does not however seem to have a link to set up vacation rules. It seems they can only do this from their workflow homepage however we don't want to have to re-assign everyone a different responsibility.
    I tried just adding the workflow function to the Mass Timecard Approval menu however when I tried to access it says not available from this responsibility (or something similar) - I think this is because it is a self service responsibility.
    Anyone any ideas?

    Are you using OTL Approval Formulas?
    If not, you can shift to this style.
    In your OTL Approval Formula, you can check, if person has any vacation rule set, if so you can redirect approval notification based on the rule set.
