Outgoing Cheques

Hello Experts,
We have gone live this finanacial year (i.e 01/04/2009)..However we have some outgoing cheques whose posting date is that of March but their dute date is that of April..How to handle such transactions in SAP... AND after making tarnsactions for the same how we will reconciale these entries??

Hi Divya
U can post outgoing payment through cheque by selecting the date as march and after that u have to do the manual reconciliation.
Before that check you document numbering series whether it is showing both the series or not ? whenever u r posting document in previous year system will show the numbering series pertaining to that year only.

    You need to configure the below steps
    1. Settings for check creation
    IMG\ FICA\ Basic Functions \ Check Management \ Settings for Check creation
    Here you have to attach the cheque application form
    Application form <T-Code EFRM> for Cheque printing provided by SAP is ‘FI_CA_DME_CHECK_SAMPLE’. This has 20 characters. But in FPY1 <for refunds>, for cheque printing, only 16 characters are allowed. So FI_CA_DME_CHECK_SAMPLE has to be copied into Z_UFI_****<shud be <=16 chars>.
    2. Define Void Reason codes
    IMG\ FICA\ Basic Functions \ Check Management \ Define Void Reasons for Checks
    3. Define Bank clearing accounts for encashment of  out going checks
    IMG\ FICA\ Basic Functions \ Check Management \ Define Bank clearing account for en-cashment of outgoing checks
    <posting area 1037>
    4. Define Expense and Revenue accounts for  Posting cashed Outgoing checks
    IMG\ FICA\ Basic Functions \ Check Management \ Expense and Revenue accounts for Posting cashed Outgoing checks
    5. Define cheque clearing for outgoing cheques
    IMG\ FICA\ Basic Functions \ Check Management \ Define Check clearing account for outgoing checks
    6.Define Specifications for clarification of cashed checks
    IMG\ FICA\ Basic Functions \ Check Management \ Define Specifications for clarification of cashed checks
    7. Define Cheque numbers <T-Code FQP6A>
    8. Define payment methods <FQP1>. You attach format CHECK to the payment method under  FORMAT.
    9. Also Define Specifications for paying company code<FQP4>
    10.Also define  accounts for payment program <FQC0: Posting area 1061>
    11.Maintain bank selection
    12.Now create a variant in FPY1.Go to environment &#61664; payment medium.Create ‘Variant’ and attach payment medium. you attach  CHECK in payment medium format  in under output control you attach the form you copied in step 1 above. Save and comeback
    Payment run for cheque
    13. Now you make sure that your document is being paid by running in simulation mode.
    14. Now run FPY1 in real mode.. You can see the check only when you run in real mode
    15. Go to SP01 to see the spool of your cheque. You can view the physical cheque there.

  • Automatic Cheque Payment

    Hi All,
                       I want to know how cheque numbers are assighned automatically to the outgoing cheques if we use payment wizard.
    What is the setup for that? In the Bank setup we have the next cheque no.How is this used automatically?

    For the test purpose, I joined (Not combined) two data sources and used Company and My Bank field to join the data source. (Used Left Outer Join as a Join Type.).
    Here is the screenshot
    To be honest, I am not sure,what difference it will have when you join data source and when you combine data source.

    Now since you are combining data source, I guess system is mapping Payee name with the Offset Customer / Supplier ID, Void date with the clearing date, and my bank with My bank, Company With Company (Check book register with Cash Ledger account Line items) and as per my understanding, this does not look the correct mapping for the obvious reasons.
    you can try with the Joined data source and that should work. From what I understand the reason why you don't see the proper data is because of the combined data source and mapping of the fields.
    I am not the expert in the reports area so I might be wrong with my understanding of difference between joined and combined data source.
    Let me know if you need my help with the Joined data source. As I have already tried /created Joined data source and reort for the data source. I can provide you that details. Result would be similar to what you see in my Previous comments. (if that is what you are looking for).

  • Balance(total) and line items balance difference in FS10N

    Dear All,
    We are facing an eccentric issue. When we execute transaction FS10N for a particular account,(outgoing cheque account) the balance it is showing is 497,241,737.46. But when we drill down to see the line items balance, it shows a different balance 497,248,376.46. The line items balance is matching with the FBL3N report.
    Can anyone help me for the issue why we are getting different balances in FS10N.

    Hello,
    There is a possibility that you have activate line item display for some of the accounts at a later stage. Meaning that earlier postings were not be shown for the earlier postings but only totals will be made available. Therefore, obviously there is bound to be difference between line item report and totals report.
    You need to identify which accounts are being changed with line item display at a later stage.
    In case if you forget to keep GL Line item display for an account, but the posting are already made the following steps you would required to get the line item display retrospectively.
    1. Note that you are NOT required to make the balance of that GL account to ZERO. Please do not confuse with Open Item Management.
    2. Put the check box line item display for the account in FS00. Make sure you are entering right company code.
    3. Block the account for posting in COA Segment and Company Code Segment in FS00
    4. Go to SA38 and run program RFSEPA01 (Give correct GL Account and Company Code)
    5. Now, remove the block you kept on the GL Account in FS00.
    This will reset the line item display retrospectively.
    Hope this will solve your problem.

    A) The key is a key to differentiate account determination by business transaction. For ex: we must differentiate gl a/c posted by GR transaction and posted by invoice transaction.

                       Vendor (Recon A/c) A/c Dr.

  • Bank Clearing account

    Dear Friends,
    I have a situation and would truely appreciate your help and points will be awarded. Receipt from a vendor is getting posted in a 11306015 which is a clearing account instead of 11306010 which is the <b>confirmed cash account</b> attached to the Bank Account in FI12. When i checked the document i found out that 11306010 got credited and 11306015 is a debited. Can any ody explain f the process is right or wrong. Which i believe is wrong, as receipt in the bank account by eletronic statement should sit in 11306010 not 11306015. And also let me know how to correct it. The Bank account is a foreign currency account and the user says -this situation happens only when the currency is not USD or Euro.

    Settings for Manual BRS also same like EBS.. only thing here we will give our own business transactions..
    All bank GL Accounts should have masking logic.. eg: 230101 is for main bank 230201 is for Incoming Check 230301 is for Outgoing check .. this is only for one bank like that we have to define for others as well.
    In the House bank we will tag Main bank account.
    Go to IMG --> FI --> Bank Accounting -->Payment Transactions --> Manual Bank Statement - Create and Assign Business Transactions
    Here we have to define business transactions like...
    Transaction types eg: Z001 - Outgoing cheques -ve indicator Posting rule z001 - enter text
    Got to second node: Define Posting Keys and Posting Rules for Manual Bank Statement
    Here we have to define all 4 steps
    Above masking logic will helpful here
    1. create account symbols eg:ZOutgoing checks ... and Main Bank
    2. Assign accounts to account symbols (Here we have to assign all bank accounts to account symbols)
    Acc.Mod: Put + Currency+ If the GL Lenght is 6 .. We have to enter GL Account like this --> XXXX2303XX so up to 99 gl accounts we can masking rule...
    3.Create posting rule eg:z001 outgoing checks

  • Bank clearing account -Automatic clearance

    Dear Friends,
    I had set up bank clearing account as open item management and as part of bank reconsilation procoess am clearing the my bank sub account with the assumption that my payment have been processed by bank and my bank account have been deducted.
    While processing my sub account with transaction f.13,am getting an error message "No G/L account documents selected".
    Could someone advice why am getting this error.

  • Electronic Bank Statement - automatic clearing via Assignment number

    Dear all,
    when posting our outgoing cheques, the cheque number is copied to the assignment field (via an automatic job). Our cheque numbers have 6 digits.
    When we are getting in the bank statement file  the cheque number is populated in the 'Note to payee' (same number in "Reference" field), but instead of 6 digits, the bank adds additional 6 digits / zeros infront of the cheque number. Meaning that instead of 005217 we get 000000005217.
    We want to use the automatic clearing with the link between 'Note to payee' and 'Assignment field'.
    The following settings were done in the system:
    1. Posting rules: "4 Clear debit G/L acct"
    2. Search string definition:
    1. 0 > ' ', 2. 0 > ' ', 3. 0 > ' ', 4. 0 > ' ', 5. 0 > ' ', 6. 0 > ' ', 7. # > #, 8. # > #, 9. # > #, 10. # > #, 11. # > #, 12. # > #
    3. Search string use:
    - Algorithm 015: Clearing Transaction: Selection Using Assignment
    - Target field: Payment Notes
    With those settings the system does not find the items to clear.
    Does anybody know what is missing?

    We have uploaded MT940 file through /nff.5 .
    The posting which has happened after MT940 was uploaded is
    Dr  Main bank account ( 190220)  500 INR
    Cr. Bank Sub Control Account (190228)  500 INR
    The entry which is their is sub control bank account posted on
    Dr. Bank Sub control Account (190228)      500 INR
    Cr. Customer Account                               500 INR
    Their is no other posting also with 500 in sub control account
    But these are not cleared automatically & reflecting in FEBA as to be posted.
    Now out 100 trnsaction the success rate of automatic clearing is 30%.
    What could be the reason?  Is it to do with date etc.
    I undertand that clearing against ( two document ) is against some criteria.
    then what those criteria are.

    We are trying to get this to work. We have created an invoice dated 5th feb. Attached to is 7 days terms so should be due now. It has the correct payment method attached to it of outgoing cheque. when we do a payment wizard run though the supplier does not show up in the list.
    can someone please tell me the criteria it uses to do this?

    hope this update helps find the problem. So when it comes to the screen for selecting BPs there are none. If I input one manually the process then carries on working fine, i.e. it shows me the invoices etc that need paying.
    can anyone assist as to why it's not picking up the BP at that stage?

  • Bank Clearing Accounts

    Can someone please tell me which account group do the clearing accounts for bank in sap fall under.
    (For eg, from one bank account you do payroll and ap checks)
    Another question, do we need clearing accounts for wires, ach or only we need to have clearing accounts for checks? Please confirm.
    Third question, if there are no checks, wires or ach from a bank then do we need to maintain the clearing account. If not then what do we put in the in the bank determination for sub accounts. Or is it that we dont need to have anything set up bank determination?

    Hello Lakshmi,
    1. Accountgroup clearing accounts bank
    Recommendable is Accountgroup CASH, but you can even choose i. e. BS for Balance sheet. Normally the accounting department decides which accountgroup is relevant.
    Very Important: activate open item management and line item display.
    2. Different clearing accounts
    I recommend min. one account for outgoing cheques and one for outgoing wires/banktransfers. Depending on the way you post incoming payments you need one account for incoming cheques and another for banktransfers/wires/direct debits.
    Cheques should always be managed with a separate subaccount, just to enable a clear presentation of the chequeregister. Other electronical payments can be posted to another account.
    3. outgoing automatical payments
    If automatical payments are not used (cheques, wires, ach....) you don't need subaccounts.
    If you use automatical payments: never allocate the GL-Bankaccount directly in the accountdetermination of the paymentprogram because the accountancy can not post the bankstatement correctly. Always use subaccounts in the customizing of the paymentprogram.
    Hope this makes the banksubaccounts a littler clearer for you.

    Security deposits to Customers --> F-02 Posting Keys 09 Debit Customer and mention special GL indicator 'H' and posting key 50 Credit Outgoing Cheque.
    Security deposits to Vendors Debit 29 Vendor A/c give special GL indicator 'H' and Credit 50 Outgoing Cheq. A/c.

    We are having only one house bank. There is no Direct Debit and Card Payment, External Collections.
    We are using Check for Both Outgoing and Incoming and there is no Clarification Activities.
    We are using Prenumbered Check Printing. I am thinking that if we are using Prenumbered Check we can't do the BRS in FICO.Is there any possibility to do in FICO? if so can any one provide me the Config steps.
    If we have to do the BRS in FICA Will i get the Configuration Step.. for this.
    What is the procedure to do this In FICA.
    I am waiting for your reply eagerly since i am not able to find any solution.
    If i am getting any valuable solution it would be highly appreciatable.

    Please look into my answers below in bold

    I did not get your point when you say 'Prenumbered Cheque'. Do you mean the Chq no generated in SAP during print cheque? If yes, I do not think there shall be any issue in your BRS.
    Coz, when you generate Cheque and send to the customer, he'd submit the chq to the bank for collection and the bank would collect the money from your account and deposit in his account. Right?
    In that case, this <collection of cheque> would appear in the EBS. You need to take this as base and get this reflected in your books of accounts in SAP either via enhancement of event FEB00001 <use T-Code SMOD> or via FPB12 if using via FICA. In that case this shall be reflected in T-Code FPCHR.
    You need to understand what the file you'd be getting from the bank. Either EBS or Cheque transfer file.
    But remember that you can only update info of  Outgoing cheques only via FPB12.
    If we have to do the BRS in FICA Will i get the Configuration Step.. for this.

    In FI12, on each house banks, there was one g/l account. Is there any relationship between gl account in FI12 and Account in customer and vendor?     I didn't under stand your question. But  i am giving the brief scenario on House Banks.
    House banks: Banks of your client will do the day to day business trasactions by using these House Banks. In FI12, we have to maintain Account ID and the Main Bank GL number of the related House Bank  (If you use BRS Concept -  you have to maintain different GL's for the same HB like Incoming Cheques, Outgoing cheques etc...) 
    Prerequisites: You have to create Banks master first for this House Banks in FI01. (here you have to mainatin Bank country, Bank key and address details of the Bank)
    After this in FBZP under Bank determination you have to maintain the Outgoing Cheques GL number in Bank accounts tab ( if you use BRS Concept and Different GL's for same House Bank). By using this assignment this Outgoing cheque GL will be updated automatically in F-58,F110 and FF67. But for F-53 yuo have to enter manually.
    In normal F-28 transactions you have to enter Incoiming cheques receipt GL account manually. Whenever you are making confinguration of BRS, you have to maintain all the different HB GL's under in assign accounts for account symbols, basing on this your Incoming Cheques receipt GL will be updated automatically when you use FF68.
    Like this it will be worked.
