Outlook 2010 psts downloading duplicates - new issue

Hi all,
I've seen so many posts regarding duplicate emails over the last few days but nothing that explains my exact problem and any solution to it so apologies if this is just re-wording an old problem
We've been using Outlook 2010 for the last 3 years that I've been with my current company and in that time I've deployed and redeployed most employees onto this version. 90% of them work off of pst files connecting to MDaemon messaging server.
In the past whenever I've upgraded someone to 2010, reinstalled 2010 onto their pc or upgraded their pc inc. 2010 I've always set their outlook up the same way:
Manually configure
POP3 account
Use an existing outlook pst file
advanced settings > leave a copy on the server > do not delete after n days
This has never caused me any issues. I've never had duplicates come down using this method and it has always just picked up where they last left off
In the last few weeks however we have used this exact same method on about 4 accounts and all of them have started downloading duplicates. The first few were only small (1000-2000 emails) and so we went through and removed the duplicates afterward. However
once we deleted these duplicates they then re-downloaded again. One account we had this delete/redownload/delete combo happen 4 times!
So far the only way I've found around it is to move all of their emails out of the IMAP inbox folder so that Outlook can't find anything to download. This does work but we've never had to do this before
The question is multipart:
1) Why is Outlook now downloading these duplicates when it never has before
2) Why does Outlook continue to download duplicates after a download/deletion has happened
3) How do we prevent these duplicates from happening in the pst file without removing emails from the IMAP folder
4) Where does Outlook store it's records of what's already downloaded
I've been told that what I've covered above is just the way Outlook works with pst files but I simply can't logically believe that. Fair enough on a new profile on a new machine I can understand that the setup may not know what has already been downloaded
but then there must be something somewhere that tells Outlook that it's already downloaded emails somehow, otherwise you would constantly be redownloading every email. And if this record is stored in the pst file itself then why would it download duplicates
if you use the same pst file elsewhere?
I'm struggling to understand and/or pinpoint why duplicates all of a sudden are now plaguing us. I've not had this issue in 3 yeares of using hte same method to set up accounts on new installs using existing pst files

How about manually canceling the credential window, can Outlook still send/receive emails properly?
For this kind of credential issues, I would first try creating another Outlook profile and test if the issue persists.

  • Since downloading Mountain Lion my Outlook keeps re-downloading duplicate emails by the hundreds.

    How do I get Outlook to stop downloading duplicate emails?  It's downloaded 804 emails three times today.  I know I can uncheck "Leave on Server" but then I don't get email on my iPhone or iPad if the laptop gets them first.  BEFORE I got Mountain Lion, I could get email on all three devices without reloading the same ones over and over.  Is there a fix to this glitch?

  • Outlook 2010 - Strange email bounce back issue.

    Hello,
       I have a user who's emails are getting rejected by some mail servers.  We are on Exchange 2007, and the user is using Outlook 2010.  The strange thing is, I and many other users on the same server can send to the same address no problem.
       I also found that if the user sends mail from OWA or his phone, it goes through fine as well.  His emails get blocked only when he sends from Outlook 2010 on his PC.  I thought it might be something with his ost file, so I had him
    delete it and Outlook rebuilt it.  But the issue persisted.  His emails got rejected with a 554 denied error.
       I checked and our Exchange server is not on any blacklists and has a good reputation.  Its just this one user that is getting rejected when he sends mail to certain addresses from Outlook 2010.  Is there an issue with Outlook that
    would cause something like this?

    According to your description, I understand that the issue only occurs when sending message from the Outlook client.
    Please check the Blocked Senders and Safe Recipients settings in Junk E-mail Options in Outlook 2010. Also try to start Outlook in safe mode and send the test message to check whether the issue persists. If it doesn’t work, change a computer to have a try.

    Easy way: with the one you want to use open in Outlook and the other one not in your profile, go to File, Open, Import.
    If you only want to merge some content, open both pst files in outlook and drag between folders. For calendar, use a list view to see all of the appointments.

  • Outlook 2010/multiple exchange accounts/new mail notification on one only

    Hi, is there a way to have multiple exchange accounts in Outlook 2010 but just have new mail notifications on the first only?
    I tried having the first exchange account open an additional user, but running into memory errors as a result. Found the solution to that by adding them as separate accounts, but this creates noise with mail notifications, reminders, etc-

    You can configure multiple Exchange accounts in Outlook 2010. For details on how to configure, you can refer to this article:

    Also, only the default mail store will get the new mail icon. You can use rules to pop up a desktop notification for the other accounts but the icon will only appear
    for the default account.

  • Outlook 2010 - Subject line of new e-mail changes to duplicate the subject of the e-mail below

    I'm having the strangest issue with a new install of Outlook 2010. Sometimes when I receive a new e-mail, the from, subject, received, and size fields will duplicate the information from the e-mail below it. In other words, no matter what the sender, subject,
    time, etc. actually is, it will display in the inbox the same as the e-mail below it. Once I open it, it will list correctly in the inbox, or I can click on another folder and return to the inbox to see it correctly displayed.
    I do not have any kind of preview on, and the inbox only displays one line. There is no pattern to which e-mails this happens to.
    Any ideas?

    Please run /cleanviews switch to check the result.
    (Type "Outlook.exe /cleanviews in Windows search bar and press ENTER.)

  • Outlook 2010 PST Import issue: ".pst is not an Outlook data file (.pst)"

    I recently installed the Office 2010 Beta and am attempting to import my old .PST files from Outlook 2007.  However, every time I try it I get the error, ".pst is not an Outlook data file (.pst)".  The two data files are large (2+ GB in size each) but have been working fine with Outlook 2007.  Steps to repro are:
    1.       In Outlook 2010, click the File tab.
    2.       Click Open and then click Open Outlook Data File.
    3.       Navigate to the .pst file to import and then click Ok.
    When I click "open Outlook data file" I get the error "the file Outlook.pst is not an outlook data file (.pst). 
    I've seen at least one other person post this question on another forum...  Any help you can provide would be fantastic as I have a lot of history (obviously ;-) tied up those files.

    Tried all the solutions metionned in this forum but no way unfortunately.
    The last thing that I didn't try yet is this recovery tool "Advanced
    Outlook Repair 3.4"
    which I'm not able to find on internet at all !!!

    I need your help as this pst file, will save my life... I got fired by my company for a no sens problem. Now I will start a justice process and all my evidences are inside my emails which are blocked inside this file.

  • Outlook 2010 calendar invites - duplicate recipients

    Have a client with Outlook 2010, she’s finding many of the Outlook invitations on her calendar have multiple copies of the same recipients.
    This user's calendar is opened on multiple computers - running Outlook 2003, 2007, 2010.
    I’m trying to reproduce this issue reliably, but not having luck yet. Tried creating an invitation, moving the time, but couldn’t get issue to occur.
    Has anyone run into this?

    What Anjula meant to say was there are no updates that corrects the issue you are having nor are there any "Solution in the works". From Time to time we have made changes to Calendar work flow that enhances calendar performance. So its advisable that we have
    clients at the latest Service packs and updates available. I don't think there will be any new changes to the work flow in the near future. Its best advised that you have the latest updates installed for Office. You can install the updates from here.

    To troubleshoot this issue. We can do the following
    > For manager Delegate scenarios its best advised to have a similar version of Outlook client.
    > we can review permissions assigned on the calendar. Change that or remove delegates to see if there is any impact.
    > Disable mobile device usage etc to narrow down the issue.

  • Outlook 2010 Professional Plus Send/Receive Issue

    When my client leaves for the day and his computer is idle his outlook 2010 Professional Plus stops sending/receiving.  Because of this NONE of his emails get forwarded to his phone when he is away from his computer.  I've spent HOURS trying

    The user can’t send/receive any emails, not just can’t forward emails to his phone, right? If I’ve misunderstood something, please feel free to let me know.
    Did he forward emails to his phone with Outlook rules?
    Did he get any error message or the outgoing emails just stuck in Outbox?
    Can he send/receive emails from web access? If not, please contact the user’s ISP to help resolve the problem.
    If web mail works fine, we can follow the steps below to troubleshoot the issue on Outlook side:
    1. Please check if Outlook shows Disconnect on the bottom of the Window. Hold Ctrl key and right click on the Outlook icon on the tray, click Connection Status to check if your email account is disconnected.
    2. If the user installed any security programs, please temporarily turn off them to check the result.
    3. Try to reset Send/Receive settings to check the result. To do this, go to
    C:\Users\%username%\AppData\Roaming\Microsoft\Outlook\
    Locate the <profilename>.srs file and rename it to
    <profilename>.old and restart Outlook to check the result.
    4. If above not working, please try to create a new mail profile and setup the email account in the new profile to check the result.

  • Outlook 2010: "Decline and Propose New Time" doesn't work.

    Environment: Outlook 2010 v14.0.7106.5003 (cached mode) / Exchange 2010 SP3+RU4 (v14.03.0174.001)
    We are following this guideline to propose a new meeting time:

    User1 sends a meeting invitation (monday 10:00-10:30) to user2. The appointment appears at user2 calendar with status "tentative". So long, so good.
    User2 clicks on "Decline and Propose New Time" and selects a new time (monday 11:00-11:30).
    Result: The appointment is removed from user2 calendar instead of being moved to the proposed time. User1 receives a notification (Subject: "New time proposed: ... ") with the information "appointment declined" but there is no option
    to accept the new time and also no hint about the new time.
    If found a lot of posts with the same issue but no solutions...
    Any ideas?

    Do the users have 3rd-party add-ins installed?
    Let's try running Outlook in Safe Mode:
    Press Win + R and type “outlook.exe /safe” in the blank box, then press Enter.
    Test if this issue persists when testing in Outlook Safe Mode, if there’s no problem in Safe Mode, disable the suspicious add-ins to verify which add-ins caused this issue.

  • Outlook 2010 won't update new messages unless you update folder

    Hi,
    Outlook 2010 sp1 with Exchange 2010 latest sp.
    Scenario:
    Some users are not receiving emails unless they click on update Folder. Once they do emails come in.
    Troubleshooting:
    No virus scanning outlook folder.
    Delete the profile with OST and re-created it.
    Send immediately when connected is enabled.
    Cache Exchanged mode is enabled (Must be ...there are 15000 users with mailboxes here).
    (If Cache mode is disabled everything works fine) This is not an option for us.
    Download shared folders whether it is enabled or disabled still the same problem.

  • Automatic download of new issues in Newsstand

    Hi,
    I recieved a notice, on the iPad, that a new issue of Wired was available. I went into the Newsstand and was surprised that I had to iniated the download I thought Newsstand automatically updates them in the background. Is anyone else experiencing the same thing?

    Funny but I just received this email from Wired that had a highlighted section about automatic downloads.
    The only problem is that when you go into the App Store tab there are two interfaces for Automatic Downloads. There’s one under Automatic Download for all Apps and a specific one for Wired magazine to automatically download new content when on Wi-Fi.
    So the question I’m facing is, do I need to have Automatic Downloads for all Apps on as well. Unfortunately the notification from Wired is a bit ambiguous.

  • Outlook 2010 Quick Steps - Address Book issue

    It was suggested I ask this question in the Windows 7 forum, after I posted it in the O365 forum... 
    Environment:  Wave15 O365, on-premise users/groups, dirsync'd to O365 (ADFS).  No on-site exchange servers.  Users use either OWA or Outlook 2010 full client (part of Prof Plus 2010). 
    We have verified that the personal address books have had their 'show this folder as an e-mail Address Book' checked.
    When we try to setup a Quick Step in the Outlook client on a Windows 7 Enterprise SP1 machine, it appears to be looking to the local machine's Windows Address Book, instead of the Outlook address books.  It
    only shows an Administrator E-mail Address.  The window top does say Address Book: Global Address List.  We cannot see any other address books.
    When I login as the same user on a Windows 2003 R2 machine (citrix full desktop), it properly sees all of the address books, so it's not specific to the user. It appears to have something to do with the Operating
    System.
    Ideas?
