Recurring meeting in Outlook sending updates automatically to all recipients

We use Outlook 2007 with Exchange 2003 SP2 cached mode.  We have a project team that schedules meetings for working groups that include some people in our organization and several from other companies.  With only one user we have an odd recurring meeting problem.  When our employee creates a meeting, makes it recurring with an end date, adds recipients and sends the meeting out, the recipients receive it and reply.  All is well. 
However, at random times, even when Outlook isnt connected to the system, Exchange sends a duplicate meeting invite to all recipients again, and they all reply again.  This time, their replies are different.  We receive a reply for each occurance in the series rather than just a single reply for the series.  Some recipients are saying that they received 6 invitations from us instead of one, and had to accept each one.  This happens about three times per meeting.  Another thing we noticed is that the End Date on the series is changing.  We wondered why updates were being sent out if nothing had changed and realized that the End Date for the series was incrementing by one day.  For example, the series was supposed to end on Nov. 21st when our employee sent out the message.  The End Date changed to Nov. 22nd and Exchange sent an update to all (This was on a Saturday that this happened.)  There were more updates sent by Exchange over the next few days and each update had added another day to the End Date.
Any ideas why the system would send updates to meetings on its own and change the end date? James Nelson

We are experiencing the same problem.  Four times in the last six months or so we've had iPhone users send out Calendar items that end up resending over and over and over.  This is on Exchange 2003.  The calendar items were each created in Outlook 2007 and involved multiple invitees.  Some of these items were reoccurring events, others were not. 
What we have found is that when the owner/creator of the calendar item deletes the acceptance emails from the invitees, that is when another calendar item is sent out again.  This also happens if the acceptance email is moved to a subfolder.  In other words:
Jane creates a calendar invite and includes Bill and Bob.
Bill and Bob each accept the invite and an acceptance/confirmation email is sent to Jane.
When Jane deletes Bill's acceptance email another calendar invite is sent to both Bill and Bob.
When Jane moves Bob's acceptance email to a subfolder...another calendar invite is sent to both Bill and Bob.
The only way I have found to stop the invite for re-sending is to delete the original invite and start over, or for the sender to not delete or move the acceptance emails.
I have not figured out what causes this problem.

    Macbook Pro w/Outlook 2011.  User has one (of many) recurring meetings he accepted (a weekly meeting) and it shows fine in his Outlook calendar
    (setup for Exchange).
    This one recurring meeting does NOT show up on the users' iPhone or in OWA (meaning it is not on the Exchange server).
    How can I get this one recurring meeting to sync (or at least get moved) to his calendar on the Exchange server so it can sync to his iPhone?
    Asking the person who originated the meeting to re-invite is not an option.

    Are there any sync issues logged on the client?  You may want to turn on logging (http://technet.microsoft.com/en-us/library/jj984217(v=office.14).aspx) and see of there
    are any communication issues.  If you believe this to be a corruption in the Outlook 2011 DB, you may have to rebuild it (http://support.microsoft.com/kb/2360509/en-us). 
    Anyways, I would have them look for the original meeting request in their mailbox via OWA.  It might have been accepted and moved to deleted items, but the original meeting request should be there unless it was too long ago. If it is found, accept it
    in OWA (no reply).  Then look for sync-issues to the Mac client.

  • Outlook 2007 recurring appointments cannot modify and send update; getting "The Attachment Size Exceeds the Allowable Limit" Error

    I am using Exchange 2007 SP3 with Rollup 11 and outlook 2007 SP3 with Windows 7
    Our users is facing this error, i can see on the bottom of the appointment, it has attachment with the same appointment attached.
    I googling some information, when a user modify an existing recurring appointment, it will auto attach the orginial appointment in the modified appointment, is it true?

    i can use MFCMAIP to remove those attachment, but i cannot find any preventive solution for user daily operation for modifiy the recurring appointment

    Has anyone found a fix for this?  I have exactly the same problem and it's driving the users mental.  If I use Windows XP and Office 2007 as the same user it's absolutely fine so guess it might be a Windows 7 setting.  We are going to be
    rolling out more Windows 7 PCs and hope this doesn't start doing it to everyone.

  • Outlook sends duplicate emails

    Some users may have encounter the issue that Outlook sends duplicate emails to the recipients, this can be really frustrating as the
    causes can be varied so that it’s really hard to troubleshoot . In this article, some most common causes will be introduced, which helps us troubleshoot this kind of
    issue.
    Send emails on Web first
    Before we determine whether it is a server side issue or Outlook client side issue, please logon the webmail, or OWA for Exchange Accounts, send some test emails to have
    the recipients to check again whether they receive duplicate emails. If the recipients don’t receive duplicate emails, we can tell it is probably an Outlook client issue.
    Anti-Virus program
    As some Anti-Virus programs may have been integrated with Outlook to keep the users from spams and viruses, it may also bring some issues sometimes. The program may also scan the outgoing emails and bring troubles, such as making the emails sent multiple
    times.
    Contact the program provider to know how to disable the integration with Outlook, and exit the Anti-Virus program temporarily, send test emails to see the result.
    Similar to Anti-Virus program integration, it can be some add-ins, we can run Outlook in Safe Mode as well:
    Run -> Type “outlook.exe /safe” in the blank box -> OK.
    If the issue is gone when Outlook is running in Safe Mode, disabling the add-ins which may fix the
    problem.
    Send/Receive interval conflict
    In Outlook we can set an interval according to which Outlook performs a Send/Receive task. Imagine there is an email with a large attachment needs to send, the sending process starts in the first Send/Receive task, but doesn’t complete when the second Send/Receive
    starts. Then Outlook may try to send the email again during the second Send/Receive task, which ends up with two same emails in the recipient’s Inbox.
    In Outlook 2013, under SEND / RECEIVE tab, click Send/Receive Groups -> Define Send/Receive Groups. We can then see the window below:
    The default interval is 30 minutes, if you think it’s too long you can make it shorter. My suggestion is not to set the interval too short, it should be at least 10 minutes, especially when you have multiple accounts setup in Outlook and always need to send
    emails with attachments.
    Server Timeouts
    This is particular for IMAP and POP accounts. When we have a slow Internet or the latency is high, Outlook may not get response from the Server in time, thus Outlook considers the connection to the server is lost, by default, after 1 minute.
    However, if the message has actually been sent in the bad Internet condition, but Outlook doesn’t get a response from the server, it may still try to submit the message in the Outbox in the next Send/Receive task.
    We can increase the Server Timeouts to 2 or 3 minutes in this scenario, it will be more probably that Outlook can get the correct response from the server if the message is sent.

    IMAP Sent Items options
    This is only for IMAP accounts. The recipient may not receive duplicate emails but the sender gets duplicate emails in the Sent Items folder.
    In Outlook, there are options for us to decide to save the sent items or not for IMAP accounts.

    The IMAP account provider may also save a copy on the Server, if you have configured to save a copy in Outlook, this may result in duplicate. In Outlook 2010, select “Do not save copies of sent items” under Sent Items tab; In Outlook 2013, check “Do not
    save copies of sent items” under Advanced tab. Then send test emails to check the result.
    Another thing to check is under FILE tab -> Options -> Mail -> Save messages -> Save copies of messages in the Sent Items folder, we can uncheck this option to see the result. What we should note is it’s a global option that applies to all accounts.
    If your provider doesn’t save emails on the server, it’s better not to uncheck this setting.
    To know if the provider saves the sent emails on the server, contact them or check the webmail settings.

  • Changing one instance of a recurring meeting does not allow an update to be sent to all attendees

      The Outlook Community seems to think this an Exchange problem, although I'm skeptical:
    Have a user that is executive admin, handles many calendars and sets up many recurring meetings that have several attendees. It would appear that occasionally something "wonky"
    is going on with one or two of them. The behavior is sporadic not constant across all recurring meetings.
    What happens is this:
     1) User creates a recurring meeting on HER personal calendar, and invites 4 sometime more attendees (some within our domain
    others outside our domain)
     2) User sends out meeting request and people accept request. New recurring meeting is added to their calendars.
    3) Time passes sometimes months.
    4) An attendee of the recurring meeting can't make the normal time and request that the meeting time be changed for THAT SINGLE OCCURANCE, of the meeting, just that one time, all remaining
    occurrences of the meeting should remain in their normal time slots.
    5) User opens up the recurring meeting on her calendar. Chooses "Open this occurrence" (not open the series)
    6) Meeting shows that she is still the organizer. User changes the time of the meeting.
    7) User only has the option to SAVE & CLOSE the meeting, there is no "SEND UPDATE" button to notify all the other attendees that this occurence of the meeting has had it's
    time changed.
    8) If user clicks SAVE & CLOSE, the meeting DOES change on her calendar but again no notification goes out to any other attendees and of course meeting time remains the same old uncorrected
    time on their calendars.
    In a nutshell, where is the SEND UPDATE button, it is missing from this meeting entry.
    All users are using Office 2010 some (some with SP1)
    Exchange environment (Exchange Server 2007 Service Pack 3 Rollup 8V2)

    Attendees only receive the notification when meeting organizer update the meeting request.
    If she is the meeting organizer, she should have Send UPDATE button.

  • Outlook 2010 Recurring meeting and notifications

    I am trying to get a better explanation on how Outlook 2010 works with recurring meetings.
    We have seen some crazy behavior and it may be by design.
    If a user schedules a recurring meeting and invites 10 people to the meeting. They all get on invite sent from the users account. You will see one invite sent out.
    If the organizer modifies a meeting in the series, everyone in the series will get a notification that the meeting was modified and you will see a separate email sent out to each recipient.
    If the organizer continues to modify individual meetings in the series, users will continue to get separate invites and you will see separate invites sent in the organizers sent items.
    Now if the organizers goes and modifies the series by changing anything, a separate update will be sent to all recipients for every meeting in the series that was modified and one for the meeting occurrence itself.
    Am I correct?

    Hi,
    When the meeting is created, the organizer should be sending one
    invite out, this is correct.
    But each update should also be one including all attendees instead of ten to each single one.
    You may try sending an update on OWA, will the update be one to all or ten to every single one?
    If this issue only happens in Outlook Client, not on OWA, please run Outlook in Safe Mode to determine if it's 3rd-party add-ins related, if some add-ins control this, the updates may not be handled as it should.

  • Outlook 2010 - Recurring Meeting Change Notifications

    An organizer created a recurring meeting with two people.
    The organizer modified the start and end time for one of the occurrences.  Both attendee's accepted the change to the occurrence. 
    But, the organizer received three accepted notifications.  Two from person A, and one from person B.  The organizer received acceptance notifications from both person A and B.  But, the organizer also received a recurrence series accepted
    notification from person A.
    Is this normal?  Or a bug?
    The legal assistant is worried that there is something wrong with the COO's calendar. 
    Organizer has Editor permissions to person A but person B.
    Versions:
    Windows 7 64 bit SP1, Outlook 2010 SP2 and Exchange 2010 SP3 RU6

    Does this happen to any events that Person A involved, or just for this specific meeting?
    My first thought is about the third party interaction. Please check whether the
    person A in your case syncs his Outlook calendar with any other devices, like iPhone, iPad, BlackBerry... When he/she syncs Outlook calendar on the other devices, it will automatically send acceptance notification to the organizer of the event again.
    There are some other possible reasons which might also cause the issue. You might also need to check below aspects:
    Check your delegate/manage scenarios.
    Cached Exchange Mode, try in online mode and see if issue persists.
    Disable anti-virus scanner program and verify result.

  • I have iCloud setup within outlook. If I change a calendar event in oulook it is sending updates to invitees using my iCloud email address rather than my outlook work email address.

    My outlook on my windows PC has mail setup already using my work email address. I have added iCloud now so my outlook calendar is always synced with my iphone. My iCloud username is my personal email address not my work email address. Problem is I just updated a meeting time in my calendar on outlook and it sent an update to my invitees using my personal email address regisetered with iCloud rather than my outlook work email address. I dont understand this as if I check my outlook sent items, I can clearly see that my updated meeting request was sent from my work email in outlook. Does iCloud automatically send updates to invitees using your iCloud username?

    Same here.. My girlfriend imported her calendar in iCloud from work and iCloud has send everyone in her appointments an email. Not funny....
    I'm afraid that if she is deleting her iCloud calendar everyone will get a mail that the meeting is canceled. By the way she exported her work calendar to an .ICS file which she imported in Outlook at home. Then she copied the calender (no other way) to iCloud.
    Apple I love your stuff but please do not mess around with this stuff or warn people better.. You can not send everyone in someone's calendar an email without let the user decide wether she wants that or not....
    Will Google further for solutions...

    I have a requirement to send recurring meeting request which will be spanning between a start date and end date at a specific time. Are there any inputs in this regard? Ideally require it not to have a response as mandatory, but just to block the timings on the Outlook calendar. Any inputs? Much appreciate.
    I am looking at a purely PL/SQL solution. I have seen the below link. But this needs to be enhanced to make it a recurring request..

    How did you open the .ics file in Outlook?
    What error message did you get when you try to open the .ics file?

  • Blackberry Calendar sync issues- Recurring Meeting not getting updated properly

    I'm an IT person, all of our employees have been moved to microsoft office 365 recently. After that all blackberry users(BB Q10) in my company are experiencing some strange issues with recurring meetings.
    All the recurring meetings created before 11 AM IST are not syncing correctly and going to the next day in calendar(time is same). However this is showing correctly on outlook, iPhone and windows phone calendars.
    We are using exchange active sync for email setup. The meetings are created using outlook.
    Its strange that the issue is only for recurring meeting created before 11 am IST, single meetings and recurring meetings created after 11 am is working fine.
    We have tried configuring the mail accounts on android windows and iPhone, but those are all working fine. Its only causing issues with Blackberry.
    Troubleshooting done so far:
    1. Checked the  time zone of BB and outlook, all configured to GMT+5.30
    2. Re-synched the calendar
    3. Recreated mail account
    4. Restarted phone.
    Can any one help with this?

    Our environment is Exchange 2007 with Outlook 2010 client. Our executive assistant has full access permissions to our CEO's Exchange account and handles the calendar among other things. For some reason, when she creates a calendar event then makes changes
    to it or deletes it, the changes do not reflect on the calendars of the invitees. I verified that she is following the correct steps to create/update events but the problem persists for some recipients; not all. 
    If someone could offer some guidance about what might be root cause, I would greatly appreciate it.

    According to your description, I understand that the meeting updates which is sent by the user who has full access permission to CEO’s mailbox can’t update some attendees’ calendars.
    Please check whether there is any user using third-party devices to manage Calendar. If it is, please disable it. We can try to remove full access permission to CEO’s mailbox and add it back to have a try. If it fails, please consider to add the executive
    assistant as a delegate for CEO. To do it, please following these steps:
    1. Open Outlook in CEO’s computer, click File > Account Settings > Delegate Access.
    2. Click Add to select the assistant, and Delegate Permissions for assistant window appears.
    3. CEO can set folder permission for assistant and check “Delegate receive copies of meeting-related messages send to me”.
    4. Click OK to finish settings.
    Then check whether the issue persists.

    By default, Reader updates occur automatically via the Reader app itself, and this is the most secure way to receive updates. While you can choose to update manually (by choosing Help > Check for Updates), you may not always get critical updates as they're released. See Automatic updates | Acrobat, Reader. If you receive an email about needing to update Reader, you should ignore it, as that is where the malicious updates can come from. Just make sure you're letting the updates happen from within Reader, either automatically or manually.

  • Odd Outlook Issue; Cannot Send Updates to Existing Appointments

    Hi all,
    In the recent past (literally within the past month or so) a number of users have reported to our helpdesk that they cannot update events via Outlook.  They update the event then attempt to click the "Send Update" button, but nothing happens. 
    It appears as if the button is engaged nothing happens.  No errors are displayed and nothing appears in the event logs. 
    This started off with a few Delegates being unable to update items on behalf of the Manager, but it now seems like it has spread to a few people managing their individual Calendars as well.
    I already advised the helpdesk to remove certain Office updates that I thought may be either related to Outlook or impactful to Outlook, but removing them hasn't helped.  I also had them attempt to run in Online Mode (as the default is Cached Mode)
    and delete the .OST, but these haven't helped either. 
    The users are able to update their events via mobile device and OWA without issue, so it leads me to believe it is indeed an issue with Outlook, or maybe some odd interaction with a specific Windows update, but I cannot say for certain, hence my posting
    this here. 
    Particulars for the environment:
    -Users are running Windows 7 SP1 or 8.1 (all 64-bit)
    -Users are running Outlook 2007 SP3 with latest Outlook-specific updates
    -Exchange is 2010 SP3 UR 8 v2 (on 2008 R2 SP1)
    Someone from my team will go over to over to put eyes on this (with the helpdesk analyst who told us about this) and enable Logging in Outlook to see if it finds anything, but I wanted to post this here as well to see if anyone has encountered this
    (or anything like it).

    In client side, please start Outlook in safe mode for these problematic users to have a try. This operation can narrow down whether the issue is caused by any third-party add-ins in Outlook. If the issue doesn't occur in safe mode, please enable the disabled
    add-ins one by one to find out the root cause. About how to re-enable add-ins, please refer to

    Additionally, if the issue persists in Outlook safe mode, please perform a clean boot for this windows machine to confirm if the issue is caused by any third-party programs in local machine:

  • Why the event not added automatic into ical when receive a meeting from outlook?

    Hi,
    I'm using ical 4.0.4 and when I receive a meeting from outlook, there is no event added into ical. However, in my ios device, it works pretty well.
    Could anyone help me? Whether this is the issue of the ical(version 4.0.4)?
