Report:  Approval Process Timing

Hi,
1)  I need a report showing me the average time it takes for each approver to approve the POs.  Do you know how I can code this please?
2)  Also, I would like a report which shows me a list of all PO Approval Processes related to an Approver specified within a parameter.

By average time I mean for example:
Purchase Order 1:
Approver 1 approves on (01/11/2009)
Approver 2 approves on (03/11/2009)
Approver 3 approves on (04/11/2009)
Purchase Order 2:
Approver 1 approves on (17/11/2009)
Approver 2 approves on (21/11/2009)
Approver 3 approves on (27/11/2009)
The dates are dates of approval.
Average time for approver 3 is 3.5 days ((1+6)/2)
The average time it takes for a user to approve after the previous approver has approved from his part.
Any ideas pls?

    "You can achieve this by implementing the right security. Before approval, once the report is designed, give access to this report only to user1 and user2. When user1 logs in, he checks the report, approves it and notifies user2, then user2 logs in and approves the report and notifies you. Once report is approved by both, you can change the security permissions to make it available to all the users that needs to access it "

    My requirements in more precise is
    1) when user 1 logs and approves it, user 2 should see that it has been approved by user 1
    2) When user 2 logs in and approves , user 1 should see it..
    I want to automate the whole process .. insted of me going and chaning the security perimission .. once i it is approved by user 1 and user 2.

  • Approved invoices can not be edited  - Approval process

    Hi Experts -
    I have recently raised an incident with SAP about Approval process - the complete message and support reply is as follows - but i believe we need a change in the approval process - if the approval required is only one but you have defined two people (Either or OR) in the approver list - the system should allow the document to be edited if one of the approvers reject it.
    please let me know and i believe we need  a change in design - unless otherwise a solid reason is given to justify the existing design

    The invoice which gets opened from the alert window - does not allow the user 'Manager' to modify at
    all. All the information on the invoice are greyed out.
    The system should allow the user 'Manager' to modify the information. Since the manager has full

    When the originator sends the document for manager's approval, note that the at that stage, the document is still in the 'Approval Process'. This is because the system is waiting for the 'Manager' to 'Approve or Reject' the document. Hence, looking at the Document, it is still in 'Draft - Pending' Status.
    When the document is in 'Draft-Pending' Status, the document is not available for editing, because the system considers that it is still in the waiting process. In your case, the manager cannot edit t he document.
    To amend the document, an action is required from the approver either to reject it first. Once rejected, it can be amended and re-sent for approval.
    I have checked our knowledge base and noted that there is an article which describes the approval process. Please refer to the Expert on Phone Wiki Article (March 2009) with title: Why a draft documen t in an approval process cannot be modified by the originator?

    documentations) states that it needs to be rejected first before it is
    available for editing. When it is gets rejected - the person who

    Manager must get an alert so that he can edit the Rejected document.
    When the 'manager' rejects the document, and goes back to the alert

    If after the Manager rejects it and still the document is not editable (greyed out), it means that the document may still be in the 'Approval Process'. When it is greyed out, what is the status of the document in the header? Does it say 'Rejected' or 'Pending'?
    If it is still in 'Pending' mode, please verify the number of 'Approvers' set in the 'Stages' tab of the 'Approval Template - Setup' window. If there is more than one user listed as 'Approver', and o nly 1 approval is required, the system provides an opportunity to other 'Approvers' to approve or reject the document. If in your case, the number of approvers is 2, and manager 'rejected' it, the sys tem still keeps the document in Pending status as it waits for another approver's decision to reject or approve it.
    Also, verify the number of 'Approvals' required. If the number of 'Approvers' who have not rendered their decision is greater than or equal to the 'Approvals' required (e.g. approvers - 2, required ap provals - 2) the system keeps the document within the approval process. This is to allow the other 'Approvers' to decide on the document.
    I hope this clarifies the behaviour. If you can provide us a step by step screenshot of the issue, this may help us to provide a more accurate response.

    required as '1'.
    2 - in the number of approvers - we had mentioned two users
    Though the template requires only one approvals (Either or OR) the system

    Can u please let me why is this behaving like this - or is this is the
    way it is designed ? - if this is the way it is designed - i beleive it
    is wrong - weneed to give a solution to the customer

    Thank you for the information. The behaviour is a current system definition documented as per Note 1321234. I have attached the said Note for your reference. When only 1 approval is required and there are 2 or more persons are allowed to approve the document, the document does not get automatically rejected when 1 person 'rejects' it. The system waits for other approvers to render their decision b ecause a person may still approve or reject the document.

  • Approver Details Not Visible After Changing the Approval Process

    Hi Gurus,
    This expense report belongs to an open approval task when an approval process has ended its validity date.
    After a new approval process is activated, all pending approval tasks experience the issue of approver details not showing.
    In order to reproduce following steps need to be done :
    1. Deactivate the current approval process and activate the new approval process.
    2. When the status of the recently deactivated approval process is "Ended With Open Tasks", go to the "Show Open Approval Tasks" to
    see the open approval tasks.
    3 Check the Cost Assignment area for expense report which is in the open approval tasks.
    3. Approver Details are available.
    4. The approver sees the expense report on his/her approval list.
    Once the approver approves, it doesn't go out of his/her approval list and the expense report is still pending for approval.
    To determine if the expense report has no other pending approval from anyone else, there should be the approver
    details but the issue is it doesn't show up.
    The expense report is also stuck on the approver's approval list even after approving.
    Workaround provided to the Customer:   Recall the ER and submit again for approval.
    But as per customer there should be a background job to refresh the expense report to reflect the approval details.
    And issue should not occur as explained on the point 4.
    Kindly suggest if anything is possible to improve the system behavior.

    Hi Rahul,
    Although we have a workaround, I believe a permanent solution has to be implemented.
    In cases when an expense report has more than one approver (for example there are 4 approvers) and the 3 approvers had already approved, I think it will not be good to recall the expense report and resubmit because the traveler will have to seek for approval again from all the approvers.

    When a user creating  outgoing payment document which need to pass through approval process and when the other user receives message to approve the document when he click the arrow button to see what actually entered in the document the system displaying the purchase order draft  instead of outgoing payment draft.

    Hello there,
    I need a bit info on the AP Approval Process. (version 12.1.1)
    I have read in the Internet Expense Admin Guide, there is a way for AP to approved and modify the expense report through Internet Expense. How it is done? And how do I know user that have this capabilities (which roles to assign in order for the user to approved or modify the expense report).

    Couple of ways.
    1. In the template setup the expense type to have either receipt required for all above $0 / justification required.
    2. You could also create an audit rule applicable to all expense reports, criteria could be for all expenses over $1 audit rule applies.
    If any of above is setup - requires payable approval.
    Use Internet Expenses Auditor responsibility to approve all that are pending require "Payables Approval"

  • Exception in Approval Process

    Hi,
    I am working on creating an approval process. To block an account I need it to go through some approval first.
    I have followed all the steps as mentioned in the help doc but I am facing some issues.
    I have created a custom BO (CustomerBlock.bo) and an EC. I have embedded the EC in Account TI. This contains some fields which need to be filled and then submitted for approval. I have provided a button which invokes submitForApproval action on click.
    For the custom BO i have created the approval process, approval and notification tasklist views are added to Account workcenter view.
    In submitForApproval action, I am assigning EmployeeIDs to requester and RM approver.
    SubmitForApproval action is executed successfully, but on saving the Account I am getting an exception. The exception is not thrown if I remove the tasklist views from the account workcenter view.
    Any Idea what could be the issue here? Please help.

    Hi,
    There was some issue with another custom tab in the Account screen, due to which before-save was not getting invoked. Submit and save is working fine now. I am now facing the following issue during approval.
    When I click on submit for approval, a task gets created under Application and User management -> Task distribution -> BTM. But it is not assigned to anyone. When I say Assign Item,the list does not return any records. In submitForApproval action, I am assigning the EmployeeID to the approver.
    If the approver tries to open the task details and approve/reject, it gives an error saying "You are not authorized to change the data"
    If the approver tries to click on the custom Approve button, it gives the following errors.
    I have written the following code in Approve.absl. This code is invoked only when the approver clicks on Approve Button and not on click of approve icon in the notification task.
    I dynamically want to assign the approval task to requester's reporting manager. Not sure how this can be implemented.

    Hi,
    Is it possible to apply the KM publishing approval process to discussion posts? Can a reply to an initial post be sent to an approver before begin displayed to users?
    Is it also possible to set expiration dates to discussion threads similar to KM document time based publishing?
    Are there any auditing reports for posts that detail user, topic, date/time?

    Hi Nat,
       It's not possible to do that. You can not apply approval process to a discussion only is used by documents, idem to lifetime cycle. Also exist this kind of report.

  • OIM Approval Processes

    I have an approval process configured to go to the target user's manager first and then to a resource owner for the final approval. If a user request the resource the workflow works as expected, goes to their manager for approval and then to the resource owner. The issue I am having is when the user's manager request the resource on thier behalf OIM then sends the approval to the manager's manager which is not what I was expecting. I was expecting the manager's approval to be auto completed since it was the manager of the user who was submitting the request. Has anyone run into this?

    I found that the result I am seeing is actually how OIM was designed to handle such scenarios in the 9.1 release. Their logic is that a requestor should never be an approver which makes sense but I would have expected that if a manager requested a resource for a direct report the approval request for a target user's manager would get auto completed since it is the targets user manager making the request. Looks like I will have to write custom code to get the desired approval process.

        Sorry to say but there is no automated or even manual way to approve the usage of FF ID. This questions has been asked by so many people and hopefully SAP will add this to the next release. Basically, every customer will have to figure out a process for controller to review/approve the usage of FF ID.

    Can SAP MDM workflow handle multiple approval process.  Is MDM support looping mechanism?

    If approver rejects the records then the workflow will go back to previous step also u can branch the workflow on the basis of approve/disprove i.e. if the records approve then to a step and if approved then to a default step by using Branch.The record will be in MDM .The workflow history can be seen in data manager.And to have a report u can make a application.   • RFQ Approval Process through Workflow

    Dear experts,
    We are on planning phase of RFQ release approval through SAP Workflow. There is an issue I would like to hear from your valuable thoughts.
    When an RFQ is created, ME41, all individual bids are collected under a unique collective number. Once price maintain process is done through ME47 for all bidder, we would like to send all RFQu2019s, with necessary information, which are linked to a collective number in one e-mail even if there are tens of RFQu2019s linked a collective number, not one by one sending it as we do in PO workflow process.
    Is it possible to realize this case within SAP standard approval process? Because so far I noticed that once fundamental customizing is done after price maintaining step RFQu2019s are send individually, one by one, to approvers.

    I suppose you want to get approved the best offer in the bid. The best practice is to have a strong rules based on predefined criteria which quotation to be choosen by Purchasing. Then PO/contract/scheduling agreement/PIR can be maintained.
    What we have done in our system is that the PO created goes for approval based on Chart of authority via Enterprise portal. A report, displaying the key figures from the RFQs in the bid, vendor evaluation scoring for each vendor, if available and some other data, is linked to the workflow item and displayed during approval process.
