Workbooks and Menu Roles

Hi ,
There is some transaction or SAP table where I can check all workbooks with its assigned menu roles?
I mean the whole list of Workbooks - MenuRoles relationship.
Any idea , suggestion will be appreciated.

  • Save new workbook in menue role with VBA / ABAP

    Hello,
does anybody know of a way to save a workbook which is not stored in SAP BW by then in a menue role folder through VBA or ABAP automatically?
I know that there is the SAPBEXsaveWorkbook function in VBA but that only works if the workbook already has an ID in BW. Maybe there is some workaround to assign name and ID beforehand? Where does the BEx get the ID if the workbook already has one? Is it stored in a temporary mapping table or something? I found that there are NO very hidden sheets as long as there are no queries embedded in the workbook, and I want to save a workbook WITHOUT queries.
Also, I know that there is the saveDialogWorkbook function, but as stated above the saving process should be automatically, i.e. a function like SAPBEXsaveWorkbook(name As String, role As String, node-id As String). By the way, where would I get the node-id for the nodes in the menue role?
    Thank you for ANY hints!

    Hi Peter,
thanks for your update! Saving in the "root folder" of a role might already be sufficient if we don't figure out how to save in folders.
I've done some research, too, and the strange thing is that the number at the end is obviously not the folder ID. When you choose "Open -> Workbooks", then copy a workbook entry using Ctrl+C and paste it in an editor, you get more information than what is displayed in the dialog even with technical names turned on. The pasted entry includes the role name and the number you referred to. And the thing is that even two workbooks in the same folder have different numbers! When you save a workbook using 0000000000 and then look at the number assigned in the way described above, it also has an ID different from 0000000000. It seems that every workbook has its own number. So to me it's still a mistery where the folder is specified.

  • Authority experts:: Problems with storing workbooks into the role menue

    Hello,
during upgrade from BW 3.5 to BW 7.0 we got the problem, that workbooks cannot be stored into the role menue.
Trace ST01 and RSECADMIN hasn't send any authority warnings.
The workbooks are stored in the role menu (PCFG). We cann't find them by searching with the
    query designer.
This are the entries we made in the roles:
    S_USER_AGR:
    ACTVT = *,
    ACT_GROUP = Menu-Role
    S_USER_TCD:
    TCD = RRMX
(We took notice of the new analysis authoritation )
    Thanks in advance.
    Greetings
    Peggy Nosek

goto the particular role in PFCG and check whether you are able to see the workbook. You can see the workbook in query designer. Open BEx analyzer and use the open workbook option to search for workbooks. The search is case sensitive. If you do not see any roles assigned through BEx anayzser, run a trace in RSECADMIN with your user id.

  • BW workbook and roles

    Hi guru
    I have a problem :
I have one role in PFCG  for access from BEX to the query of an infocube.
Under this role there are some workbook saved by the user.
My question is : if I cancel the role all the workbook are lost ? Is there a Way to save the workbook and assign the workbook to another role ?
This is because I need to recreate the roles in PFCG for query access reorganization, but i'm confused on assigning the workbook to the new roles
    Thank' in advance

    Hi Antonio,
This is a very simple task , copy the role as per other experts steps
go to your original roles authorization data , see where the workbook is inserted in Z1 ( A1 )
    in Z2 ( w1...... )
note down the authorization object  where its inserted
take down the field values also from the original role.
    NOte down
    Authorization object
    Field name --- values
Now come to your New/Copied role
    Search for the authorization object
enter all the values that you need into this role against its field name.
Actually you dont need to copy roles too.....
just open the role Z2 , find where the A1 is inserted, then add all that you need next to A1
Siddarth varma has provided the steps to follow very clearly to do this

  • How to save Query in a workbook and Role

    Hello All
What are this workbook and role? How to save the query into this and how it helps/use us.
    can anyone tell about this?
    regards
    balaji

    Hi,
You need to assign a role to a user. WHen this user enters the system s/he will be able to save queries under the role (the button 'Roles' will be seen).
See here an example of working with roles:

  • BW workbook and role

    Hi,
The user has two roles zrole1 and zrole2. When the user save workbook Analyzer suggests to choose a folder zrole1 or zrole2. The user saved  workbook zworkbook1 in a role zrole1 and zworkbook2 in a role zrole2. When the user tries to open the workbooks the role zrole1 and zworkbook1 is displayed only. The role zrole2 was created under recommendations of the note 373979, and the role zrole1 has even no access on transaction RRMX.
If a role zrole1 to remove then the user can open zworkbook2.
    Thanks,
    Raf

    Hi,
If you check the [BW security guides|http://help.sap.com/saphelp_nw70/helpdata/en/be/076f3b6c980c3be10000000a11402f/frameset.htm] in SAP Help or in SMP BI Area or [Collaboration Workplace|https://cw.sdn.sap.com/cw/docs/DOC-16439] you will be able to find out how the restriction of query is imposed. Based on the values you provide in the RS authorization Objects (specially S_RS_COMP, S_RS_FOLD and S_RS_COPM1) in the roles the security restriction is available. This part you need to judge from the values available in the different roles which refers to similar entities in terms of Queries of Same InfoArea.

  • Assigning Queries and workbooks to user roles

    Hi Guys,
I was hoping that someone could explain, how the queries, workbooks and Web Templates can be assigned to roles.
What are the steps involved in creating the roles and assigning the queries.
How are these reports accessed by the users (by URLs or through SAP GUI) If I would want to use the URLs to access them, how do I open the workbooks?
I seem to have a lot of questions, hope to find answers to a few of them.
    Thanks,
    Doniv

    Hi Doniv,
Queries, workbooks and web templates can be assigned to roles during the time that they are being saved. The assignment can also take place in PFCG > role. These kind of roles are usually basic placeholders that are assigned to different users as per requirements. This ensures that the usersa can see only those objects which are on the roles assigned to them.
The workbooks are not accessed by a URL in the internet explorer, they are accessed in the BEx Analyser.
    Hope this helps...

  • Menu Role and Security

How do you enable menu roles and enforce security in forms?
For example in an complex application if we want to have a control of access of menus based on user login
I know it can be done thru the front-end itself by using an if then condition.
but can it be integrated with the database user logins itself
    kindly reply
    Thanx in advance

    Hi,
    first RUN frm60sec.sql under system/manager
    create different roles
    GRANT roles to users
Grant select access to the view created by frm60sec as follows:
    SQL > Grant select on frm50_enabled_roles to public;
    Note it is NOT frm60_enabled_roles.
To verify that your roles and grants are correct, log on as a user and run the following:
    SQL>Select * from frm50_enabled_roles;
You should be able to see the users roles.
then come to MMB file contibue assiging the roles in each menu Item. U ll see get the result.

  • Save workbooks in a role

    Hello Forum,
I've created a simple role in BW 7.0, to which I am assigning workbooks in order to gain direct access to them from a menu of user SAP. The problem is, I am allocating 5 workbooks and on the menu only see one of them (the first assigned), others do not see them. But if they keep the favorites in a folder see them all ... do not understand.
Someone may know that may be due?
    A greetings and thanks.

    Hi,
    Hello,
The workbooks I can see perfectly from the favourites, the problem is when I save in the role that he created for viewing from my menu user Sap, which I'm only seeing one (from SAP). However, when I go from Bex analyzer  to the role, I see all too. A rare thing, the truth.
    greetings.

  • Workbook without Assigned Roles

    Dear BI Experts,
I need your help to assign a workbook in the workbook storage of the server, back into a roles folder.  Here is my scenario:
I created a new workbook and assigned it to a role in Dev.
My Dev system got a system refresh from my Prod system.  Before the system refresh, I saved my workbook into a transport, and then re-applied it back to Dev after system refresh.  The issue here is that I did not save the roles folder of the workbook into the transport.
So now, after I re-applied the transport to Dev, the workbook exist in the server, but not in the role folder.  When I ran BEx and try to find the workbook in Dev, it could not find the workbook.
I ran RSWB_ROLES_REORG program, and the workbook is listed as Workbook in the workbook storage, but not in any roles folder (Unused).  I also ran function module RSBB_WORKBOOK_AGR_GET and did not see the role in the E_T_AGR table.
Please provide me the steps to assign the workbook in the server to a role folder.
Thanks in advance for your help in this matter.
    Kevin--

You can assign the workbook to a role directly in the Role Maintenance screen (tcode PFCG).
Go to the Menu tab there in change mode and choose the folder into which you want to put the workbook. Click on the 'Report' button at the top of the Menu screen, then choose the 'BW Report' radio button.
You can then enter the 'Report ID' (i.e., Workbook ID) of the desired workbook. (You may want to look this up in advance in the Admin Workbench using the Metadata Repository --> Workbook option.)
The workbook will then appear in the role menu with a "default" name of something like "New Report", which can be changed to the correct description for the workbook.
    Hope this helps...

  • Attaching Workbooks to BW Roles

    Hi,
We are having a problem in attaching excel workbooks to roles.
After going to PFCG and opening a role, we are clicking on the 'Menu' tab. To attach a webreport, we used to click on 'Others'- SAP BW Query URL and attach the BW Web report.
To attach a workbook, we are clicking on 'Report'- BW Report and attaching the Workbook Server id to the report id column. However we are not able to still open the workbook via the Role.
Kindly advice if this is the right procedure or which is the correct and easy procedure to attach BW Workbooks to roles.
    Regards,
    Rajan.K

    Hi dear,
look at OSS Note 570632 'Manual entry of BW workbooks in role maintenance' and 588144 'Entering BW queries in roles'
    Hope it helps!

  • Rename of Workbooks in BEx roles

    Hello together,
how can I rename workbooks which are published/saved in BEx menu roles ?
    I use BW 7.0
I tried to rename the workbooks in the role administration, but this changes have no influence of the view in the "Open Workbook" menu in BEx. And a change in the se16 table RSRWBINDEXT is not possible.
Thank you for your help in advance.

    hello,
Try  to go to the role in PFCG, reimport the menu under the Menu tab.
did u try in the open workbook menu if you could rename it.
did u try to log off from the sys and do a login again to BEX and check?
