Workflow step in status "In Process"

Hi Friends,
I am working on SAPXI support project.
Actually i have an issue related with BPM, there is a workflow(wk) which is completed but the one of the step in this wk is status "In process", but i can see all the steps in this wk are either completed or logically deleted except one step which is called as "Main Process Block".
Due to this there are countinues CCMS alerts genereted in TC RZ20. So kindly suggested me on how to complete this Step either i have to delete or complete or anyother solution.
Please dont give me any blogs or links, kindly suggest with your experince in Support project.

goto tcode SWIA and enter the work Item ID and click on Complete mannually.

Workflow dialog in status in process.

Dear Expert,
I have a workflow template with a dialog step in it. This dialog task will actually have a few approval which means anyone can execute it. I notice something strange when i check this in SWIA, most of the this task will be in ready status as it is pending for those approval to approve it. However, there are a few of it is not in the ready status but is in "in process" status. I got some complain from the user, even they execute the task, it is still remain in their inbox.
Can i know what is the different between ready and in process status? What will cause it to be in process? Will it related to the user issue where even after they execute the dialog step, it is still remain in their inbox.

This is a decision task. The strange part is most of the step can be completed. Just a few are in this in process status.

Workflow status 'in process'

Hello All!
I've created workflow with only task step. Workflow started and has status 'in process', then task completed but workflow still has status 'in process'. As i understand i need workflow status 'Completed' after task execution.
Where can i set up this?

Please check SWU3 is properly configured.
Also check for any Dump in ST22.

Workflow Step 'In Process'- Send mail with PDF attachment

Hi,
have to send mail with PDF attachment.
I have written a function module with following steps,
1. Convert SPOOL number to PDF using Function Module 'CONVERT_OTFSPOOLJOB_2_PDF'.
2. Send mail with PDF attachment using Function Module 'SO_DOCUMENT_SEND_API1'.
The Function Module is giving required output when tested and called in the report(Background Job).
When I call this Function Module from Method-> Workflow Task the Workflow steps status is 'In Process' and not ending.
Could you please help me on this??

Hi shafath,
When you try to send mail, You need to call the function FP_JOB_OPEN before calling the function module to generate the pdf. ( /1B****) . Is it missing in your code?

Workflow Step stays "In Process"

Hi Experts,
I have a workflow step which refers to a standard task. The step type indicates "Processing completion by event"
The related standard BO event is already completed, but this step is still 'In Process'. Probably the terminating event is not captured in the WF step.
Please suggest how to set this workflow step to completed status so that it moves on. (Is it advisable to re-create the BO event manually through SWUE)

WS20000075: work item of 1st release step stays in status In process

Hi All,
I have activated and set up standard flow WS20000075 but the work item of 1st release (PO release strategy with 3 levels) step stays in status In process. The work item for the 2nd and 3rd release step are completed as expected.
What could cause only the work item of the 1st release step to stay In process?

Workflow hanged- Background Task in Process.

Hi All,
Workflow hanged at background task with status in Process due to a dump…we change the logic now.
How I can restart this task again?
I checked in SWPC its empty.

Yes, SWI2_DIAG has a Restart Workflow' button.
Did you try it already?
Despite what the button name suggests, it 'resumes' the workflow from the current step
(it doesn't 'restart' from scratch).

My task is based on user decision, intended person will get approve or reject mail for that am using Am using "User decision" and "Mail" steps. Now recipient also receive a work item in SAP Inbox. When executing workitem.. not getting a screen to choose one among approve or reject as part of the user decision.

Can someone pls tell the steps ( preferably detailed) to create a workflow in MDM .Here is the simple scenario :
1. User A adds a record say Product name .
2. User B approves the records and then only this record should be available in the repository .

Kindly follow the steps the achive your scenario.
1. Select workflow table in the Data Manager and create a new workflow.
2. Give workflow name (Ex: Create record approval) and other details set the Trigger action to "manual".
3. Click on the browse button in the property named Workflow. It will open the MS Visio prespective.
4. Create a work flow as defined below
Start -> Process -> Approve->stop
5. Change the property of the steps Approve and Stop as follows to make the workflow meaningful.
Approve
Name - "Send for Approval"
Assignee user - say "MDUser" (User who send the added record for approval) remove other users to avoid confusion.
Stop
Name - "Add record in the MDM"
Assignee user - say "MD_Manager" (User who approves) remove other users.
6. Save the workflow.
7. Execute the add record and approve scenario as follows
a. Login as "MDUser" in the datamanager. Add a record, right click on the record, select workflows -> Add to job-> Create record approval (Workflow name) from the context menu.
b. select Workflow tab in the properties. Select the workflow (Status is Unlaunched) and launch the workflow using the launch option from the context menu.
c. The status will now change to received. Using context menu select "Next Step" -> "Send for approval".
d. Now Login as "MD_manager". Go to workflow tad in the properties. You can find a workflow job with status "received". Click on the workflow job, you can see the record(s) assigned to the workflow in the record pane.
e. Select "Next step" -> "Add record to MDM" from the context menu of the workflo job.
You can add one or more records to a workflow job. Also try adding some validation in the workflow steps. Refer Data manager refernce guide for more details.
Now I am done with the process of creating and executing the workflow for your scenario. Hope this helps.

How to set Changed_by field with User ID not by Workflow ID, when Status Update from Workflow

I am updating the Order Status from Workflow. So the Status update (or Order Changed) is save with Workflow ID. I need to insert UserID instead of workflow ID. Please help me out of this.

Hi Imran
With the very few details available on your process, the workflow design and the "Order", all I can suggest is that:
1) In your workflow definition, go to the step which sends the user decision, in the binding FROM the TASK TO the Workflow, set _ACTUAL_AGENT to a workflow container element , say DECISION_AGENT (of type SWHACTOR)
2) Assuming that the next step in APPROVAL branch is setting of the status, go the task ID of that Step -> make it a dialog step (remove the Background Processing check) -> set it's agent assignment to general task
3) Back in the workflow, set that STATUS SETTING step to Advance With Dialog under the details tab
4) In the control tab of the same step, in the agents section, set agent as EXPRESSION and the value as &DECISION_AGENT&
When a user approves the decision item, his ID will be stored in DECISION_AGENT
The status set will execute immediately (because of "Advance with Dialog") in the same session of approving as the user who approved is the same running this step now
The status will be set by the ID of the Approver
The above is hypothetical considering
1) You do not have dynamic parallel processing
2) Status setting happens immediately after the approval; as a first step in the approval branch
3) The Decision Task does not has "Confirm End of Processing" checked.

Workflows steps help

I need help developing a workflow with specific steps. I am new to workflows but very familiar with sharepoint. I have a list called New Graphics request. I would need the workflow to alert specific users (graphic artist and manager) when a new request
is created. Once they are alerted, the graphic artist would need to go in and start the creation process. Once this user has started the process, the manager would need to be alerted that they have started. Upon completion of the graphic creation, they would
need to upload it back on SharePoint. Before they finish uploading it, is there a way to make sure that spelled checked and use the right name on it? Once uploaded back, the manager and original requestor would need to receive a notice letting them know that
it is completed and ready. If more details are needed, I can provide them. Any help would be greatly appreciated as I am a little stumped.

On my list Graphics Request, how would I alert the person that created it? I have a column called requested by but I cannot set the email to that specific user. I would need the email to be flexible because different users will be requesting graphics.
So I would need the email only sent to the user that requested the graphic. I have a group of users but I do not know how to set it to only the user that requested it.These are the steps I have in the workflow so far. Can you help me clean them up or streamline
them so the process goes smoother? I set everything to myself for the test but it will be different people when the process runs.

Workflow step not executed...

Hi,
In my workflow requirement (for VA01), I want to record the status in a custom table as follows;
Approver id     date   time    status
ABC                                     Submitted for approval
ABC                                     Approved (or) Rejected
So I have created a step called 'update custom status' after the step that sends email to the approver agent whose details stored in another custom table. Then I associated a task with this step which is bound to a custom class / method which has the logic to write the status to the custom table.
The issue is I do not see this step excuted. I checked in the log.
What can be wrong ?
Workflow steps are as follows;
1. Read the document's net value and store in a variable.
2. Read the custom table for agents list to whom the doc has to be sent for approval.
3. Send email for approval.
4. update custom status.
In the graphical view, I can see the update custom status step being called (Green link from previous step to this step) but after that no progress.
Am I missing passing some values ? Or is this step not giving any results ? Whats happening ?
Details on this update custom status step are as follows;
A custom task with terminating event set as _WORKITEM defined. (not synchronous)
A step of type activity defined and bound to the above task with binding done.. (what values should I pass to record the above needed details.)
In other words, how can I record the status in my custom table ?

I think its a background step. If yes, then make it foreground and debug and see what is the problem. Also check for short dumps and turn on the event trace and see the terminating event is getting triggered.

Url link in User Decision workflow step

Hi Experts,
I had created a workflow for "Employee transfer" process using SWDD tcode.
I had a created a workflow step with type as "User Decision".I had included "Approve" & "Reject" decision options.
Now i want to include URL link along with "Approve" & "Reject" in the user decision workflow step (i.e) The manager needs to see the URL link along with "Approve" & "Reject" in his SAP workflow inbox.
Can anyone guide me...

Hi Krishna,
I understand your issue. I have faced a similar issue in my project.
Here is the solution!
To add link of a URL you need to have the binding with the BO of the transaction your are refering to. To do this, you need to bind your BO event (triggering event) to the workflow container and then the workflow container to task container. This BO value should flow from event-> workflow -> task container to get the link in the User Decision.
To do the binding you need to follow the following steps:
1. Go to t-code SWDD and open your workflow template.
2. Go to Basic Data (cap sign button at the top of the screen) or click Ctrl + F8
3. Go to Start Events tab.
4. In the Object type enter your BO name (BO for the transaction you need to add as link), in Event of object enter the BO event. This would serve as the triggering event for your workflow.
5. Click on 'B' i.e. Binding Defined, click on generate automatic binding. It would automatically generate the appropriate binding for the workflow. You can also alter the binding as per requirement. This binding would ensure that the URL comes under 'objects and attachments' section.
6. Click on 'C' i.e. Start Condition. A dialog would open, select the appropriate start condition for the workflow. Check the condition before saving (recommended).
6. Click on 'A' to Activate the binding and start condition. All 'A', 'B' and 'C' would get green.
7. Save the changes made and activate your workflow.
8. Do the binding between the workflow and the user decision step. Select automatic binding (recommended).
You can also refer to the similar thread that I had provided solution to. This would help you resolve the issue!

BPM Status "In Process" - Message reached ECC successfully ??!!!

Hi,
I need help to resolve one issue which we are facing : (this is kinda strange)

We are using a BPM in one of our scenario where acknowledgements are sent in and out from PI to ECC. The BPM is relatively complex.
The issue we are facing is : -
The BPM shows status "In Process" but the messages have reached ECC and the functional team has confirmed the receipt of the message. All the tables / databases are updated as desired. We were yet to receive the response from ECC but strangely the BPM is not completed but the message has moved out of PI to ECC and updated the tables!!
My question is : - How come the messages reached ECC even though it showed that the BPM is not completed?

Action points which I have taken : -
1.) I have digged in sxmb_moni_bpe and went through the messages in the payload couldn't find anything there which could have answered my question.
2.) Matched the data and went through all the message flow comparing the time stamp - didnt find much here too!
3.) The graphical message flow shows "Response from ECC" - in Wait state and a white block but still the messages got updated. Found it really strange!! .. If the BPM does not get completed, the messages should not move out!!

workaround :-
1.) I thought of putting a wait step and an exception that if the messages do not reach PI within the stipulated time, it will throw and error in PI. But still the question needs to be answered as to "How come the messages reached ECC even though it showed that the BPM is not completed?"
Kindly suggest.

I didnt find anything much there .. and moreover it is a Production system where we faced the issue so anyway I did nt have access to it. We have confimed from ECC functional team on the same and have logically deleted the process from PI.

Could you, please, give me any ideas why Workflow Task based on business objects/method DECISION->PROCESS stays in status in process?
It happens after upgrade to ERP2005 from 4.6c. In old version it works perfectly.

If a Workitem has Status "In Process" then it means it is under execution and it is not completed. however it might get completed and the status is still can be "In Process". The reason for this would be the Workitem might have gone in Deadline monitoring. Check the Workflow Task whether any deadline is assigned or not. I guess it got assigned in your case. And another important thing is there must be a background program that is scheduled which takes care of such deadline monitoring Tasks. Check whether this program is ticked or not in transaction SWU3. So altogether you have to check two things.
